Mary, Corporate Purchasing cards are issued by several credit card companies and have the "look and feel" of a credit card at least to the person using it and the retailer/company accepting it. Its purpose is to allow corporate use of a credit card particularly for small dollar or non repetitive purchases while enhancing the control over a normal credit card. We use this type of card for marketing people traveling with large displays and needing immediate access to purchasing power in cities all over the globe without encumbering their own Travel & Living credit card with these expenditures. We also use it for maintenance personnel who need to make purchases from merchants ranging from the local Sears or Kmart to the Mom & Pop hardware store down the street. We don't unnecessarily encourage proliferation of these cards but have found them to be useful due to the level of control we are able to set as well as the value added services the credit card company/financial institution provides. Billing can be via an 810 invoice and, at least in our case, includes the internal account number the purchases are logged against. This allows automated entry to our sub-ledgers. Management reports are also provided and facilitate the auditing of their use. Primary audit control is invested in the manager for whom the card is issued. When the card is issued a profile is generated about its use. A number of commodities are typically eliminated from potential purchase so that it cannot be used to purchase fur coats, exotic sports cars and trips to tropical vacation resorts. This can be tailored for the functions necessary depending on the person using it. We have greatly lowered the number of one time purchase orders issued for miscellaneous items thereby lowering the bureaucratic workload for our buyers on purchase where they can generally not add a lot of value. Overall it is one of the techniques we use to attack the "small dollar order problem". Does that help explain what a corporate purchase card is?
