I agree. Your users need to learn who is who. I have at least a dozen duplicates. We get around these by using middle initials, if no middle initial exists, they get the next letter in the first name. We have 2 users who had the same middle initial AND first names. That was tricky. Their names are David A Jones, and I already had a djones! So we got dajones and davjones.
They had issues of getting the wrong mail for a little bit. They had to educate people to find their name in the GAL and select it, and not rely on the auto complete all the time. I also completely spelled their names (first, middle, last) out for Display name, so when it does auto complete, you see a different display name. If they had the same middle name, then we would have had to come up with another way to differentiate the display name, but fortunately that has not happened yet. -----Original Message----- From: [EMAIL PROTECTED] [mailto:[EMAIL PROTECTED] On Behalf Of Erik Sojka Sent: Monday, November 07, 2005 1:54 PM To: Exchange Discussions Subject: RE: Similar Names It's a user competence issue. (Cue Ed C.) Similar names in the GAL is not an excuse for misaddressed emails. I'd send out a notice to staff reminding how to use the auto complete feature and how to Check Names before sending. Remind them that there are two Jim Smiths in the company and that they should triple-check that the Jim Smith in the To: line is indeed the Jim Smith who should be receiving the message. Commence public flogging for those who continue to mix them up. -----Original Message----- From: [EMAIL PROTECTED] [mailto:[EMAIL PROTECTED] On Behalf Of Boyd, Nathan Sent: Monday, November 07, 2005 1:44 PM To: Exchange Discussions Subject: Similar Names We have two users with similar names and one of these users is a new VIP who is complaining they receive e-mails addressed to the other recipient i.e. Jim Smith (Alias: Jim.Smith) is receiving e-mails from Jimmy Smith (alias: Jsmith). The new Jim.Smith has been with us for about 3 months and Jsmith has been with us for 20 years. I believe it is an issue of the auto complete in Outlook, and I wondered how others of you handle this type of request? FYI I know how you would LIKE to handle this type of request.
