I feel it is better to meet in a particular day of month, same time same place (unless another major event do not overlap with).
for eg: Every second saturday at Kanakakkunnu @ 4.00 PM. So there will be no confusion, and give the contact numbers of 3 people. P.S: Please keep punctuality in meetings(I don't know about the habit of you guys, if all of you are punctual then sorry for this comment).
