She/he will assist the Admin Support Service, Senior officer and she/she will be actively involved in helping the Administration Officer (Integration Agreement work related, visa process and police registration for visitors/delegates) . Key tasks and responsibilities · Responsible to organize the weekly PNS meeting and to prepare the minute meeting including PNS Country Representative Meeting and any outside meeting with government agencies or NGOs. · Responsible to maintain updated contact list, collecting from other PNSs Admin and then to circulate the update contact list. · Supervise the meeting room agenda, update the board accordingly and support workshop/meeting organization if required · Assist the Head of sub-delegation in all Administrative duties, i.e. appointments, meeting and minute if required · Responsible to maintain the weekly appointment/ agenda of Head of sub-delegation · Responsible to the documentation and filing system of Head of sub-delegation · Submit to the head of Sub-delegation and PNSs Agreement Advisor all documents which have to be signed by them and forward these documents to person required · Ensure that all visitors are attends to promptly and directed to respective offices · Responsible to receive, record and relay all incoming and outgoing calls/messages from phones, fax and postal mail · Ensure that travel requests/mission orders have been properly filled and approved and coordinate with Adm. Services Officer · Responsible to bring relevant documents to Police Office for police registration or related purpose accordingly · Responsible to accompany visitors and delegates to Police Office to process the STM (police registration) · Translate letters, agreements, and other written documents from English to Bahasa Indonesia and vice versa. · Provide oral translation for presentations/ meetings as needed. · Draft routine correspondence/ reports in English and Bahasa Indonesia · Backstop to the Administration Officer in the absences or when workload dictates · Report all activities to the Adm/support service senior officer on a weekly basis as required Duties applicable to all staff 1. Actively work towards the achievement of the Secretariat’s goals. 2. Abide by and work in accordance with the Red Cross/Red Crescent principles. 3. Perform any other work related duties and responsibilities that may be assigned by the line manager.
