Re: [Archivesspace_Users_Group] Batch deleting unassociated top containers

2023-05-31 Thread Dan Michelson
Hi Lev,

I regularly delete unassociated top containers since it's so easy to end up
with them and have never had problems.

The only precaution I take is not to delete them when anyone else is doing
work that might involve creation of new top containers on the off chance
that they might have created a top container but not linked it to anything
in the moment that I ran the search.

Unless you have workflows that involve creating new top containers in
advance of linking them to records (which is very unlikely, we have an odd
use case where we do that under certain circumstances), I can't think of
any other potential issues.

All the best,

Dan

Re: [Archivesspace_Users_Group] Rights Statement notes indexed in PUI even if unpublished

2023-04-26 Thread Dan Michelson
Hi Joshua,

Thanks for following up on this and locating that ticket, I'll add my
comments there. This also fits with my vague understanding that it used to
be impossible to have fields indexed in only the staff side (it was both or
neither), but that this was something that could be done now (or will be
possible in the near future).

All the best,

Dan

Re: [Archivesspace_Users_Group] Rights Statement notes indexed in PUI even if unpublished

2023-04-21 Thread Dan Michelson
Hi Benn,

We actually just noticed the same issue today, except with unpublished
accession records being indexed, which results in hits on any linked
published records (credit to my colleague Michelle Paquette for working out
where the indexer was pulling from).

I suspect this issue may be systemic, but haven't had the opportunity to
test it out.

Re: [Archivesspace_Users_Group] Linking multiple top containers at once

2023-03-22 Thread Dan Michelson
Hi Nicole,

It is not currently possible to do this via the staff interface.

In my experience, having both resources/archival objects and accessions
linked to top containers is duplicative and causes problems down the road
if you ever need to consolidate material that was in multiple containers
(it's really hard to remember to update two different records for a single
change).

Of course, every institution's workflow is different, so if this would be
valuable for your work, you should definitely submit a JIRA ticket.

All the best,

Dan

Re: [Archivesspace_Users_Group] Subjects: Metadata Rights Declarations

2022-04-28 Thread Dan Michelson
Hi Jim,

We haven't started using the Metadata Rights Declaration subrecord yet
(still relying on a blanket statement in the PUI footer), so I don't have
an example from NACO (and their license statement isn't as easy to find on
their website as the AAT one). DACS 13.11
<https://saa-ts-dacs.github.io/dacs/08_part_II/06_chapter_13/11_rights_statement_for_archival_authority_records.html>
gives examples from SNAC and VIAF that could be used as a model.

All the best,

Dan

Re: [Archivesspace_Users_Group] Subjects: Metadata Rights Declarations

2022-04-28 Thread Dan Michelson
Hi Kate,

First a disclaimer: I'm neither a lawyer nor a copyright expert.

I would think that AAT subject records would ideally link to their licensing
statement
<https://www.getty.edu/research/tools/vocabularies/obtain/index.html>.
It's of less importance than making sure an institution's own description
has clear rights declarations, but it seems like it could be helpful for
systems outside the GLAM world which may not inherently know that AAT data
can be reproduced.

As a side note, I also want to be clear that while *DACS *requires metadata
rights to be declared, it does *not *have to be done using the
ArchivesSpace Metadata Rights Declaration subrecord. That's just a good
way to make it machine-actionable in a way that a statement on the PUI
footer (which complies with the *DACS *requirement) is not.

All the best,

Dan

Re: [Archivesspace_Users_Group] Subjects: Metadata Rights Declarations

2022-04-28 Thread Dan Michelson
Hi Jim,

The short answer is no.

The longer answer is that the only reason this is the case is that "DACS
does not provide rules for the construction and maintenance of subject
authorities
<https://saa-ts-dacs.github.io/dacs/08_part_II/01_introduction_to_archival_authority_records.html>."
If it did, TS-DACS would have made the rights statement a requirement for
subject authorities when it was introduced. In my view, there is no
downside to including such declarations in subject authority records.

All the best,

Dan Michelson (formerly TS-DACS co-chair)

Re: [Archivesspace_Users_Group] Rights statements not showing up in the public interface

2022-03-21 Thread Dan Michelson
Hi All,

The rights statement module does not appear in the PUI. It was developed
as a one-off implementation of PREMIS rights statements for digital
preservation in ArchivesSpace (by RAC if I recall correctly). A request to
make it appear in the PUI has come to Dev/Pri in the past, but would
require some sort of specification.

All the best,

Dan

Container types are managed through a controlled values list, not the yml
file. Are there values in that list that are not working with the importer?

All the best,

Re: [Archivesspace_Users_Group] Date Expression Parsing / Issues with Timewalk Plugin

2021-10-04 Thread Dan Michelson
Hi Benn,

That's a great feature request!

It's much better to change the way the dates are translated to users than
to change the way you record dates to fit an ever-changing PUI.

Re: [Archivesspace_Users_Group] Date Expression Parsing / Issues with Timewalk Plugin

2021-10-04 Thread Dan Michelson
Hi Laurie,

I've never used the Timewalk plugin, but why use the date expression field
at all when you don't have to? That would avoid having to enter the same
information twice, aside from cases like "Spring 2020," which don't
translate perfectly to the normalized date fields.

All the best,

Dan

Re: [Archivesspace_Users_Group] Bulk updating instances with new Top Containers linked to multiple resources

2021-06-16 Thread Dan Michelson
Hi Nicole,

What aspect of the merge function wouldn't meet your requirements? I
haven't used it for dealing with this specific situation, but it seems like
it would work perfectly. Either create a new box A to merge into or update
one of the existing top container records with the appropriate data and
merge the others into that one.

Re: [Archivesspace_Users_Group] normalized begin/end date display in PUI

2021-04-14 Thread Dan Michelson
Hi Benn,

I think that's a great idea! Ideally, we'd have a way for the format to be
customizable (e.g., day month year for European institutions, month day,
year for US institutions), but removing the ambiguity is more important.
