[Coworking] Re: How I'm using workflows and automation to improve our member onboarding

2015-01-30 Thread Anne Kirby
Great post, thanks! I use Trello all the time for my marketing business but
haven't really used it in this way for our coworking space. I'll have to
try it :)

because I’m already stoked about what it’s going to let us do and hope that
 more people use these tools.

 Anybody here use Trello?
 How about Zapier?

Sidetone: aren’t those ridiculously silly names for anything, let alone
 *business* products?

Trello is…a project management too? A task management tool? A workflow
management tool? Honestly it could be any of those things…it’s super
 flexible and adaptable.

Zapier sort of turns the world of your favorite internet tools into legos
that you can snap together and combine in fun and useful ways. It’s a way
for you to have actions in one piece of software trigger a result in
 another piece of software.

I use both Trello and Zapier quite a bit but not as much for Indy Hall
until recently. Today I started using BOTH of them, together, to create
some automated workflows for my team.

The 6 workflows that we automated are:

1. Adding new tour sign-ups to a Trello board for better post-tour
follow ups
2. Adding new drop-ins to a Trello board for better post drop-in
follow ups
3. Adding new interested members to a Trello board to better prepare
them for sign up
4. Connecting Trello to Trello (TRELLOCEPTION), creating a seamless
connection between the 3 previous workflows into our Member Onboarding
workflow
5. Adding cancelled members to a Trello board to make sure we remove
people from GroupBuzz, Slack, etc.
6. Adding failed credit card charges (via Stripe) to a Trello board so
we don’t lose track of reminding people to update their cards

I got so psyched about it that I recorded a video so others might be
inspired to try it, and even create their own workflows and share them back.

 Check it!

about members and more about adding new people to your team (community

It'd be really interesting to understand why some of the other

forfeit any pay after it became clear that we’d be unable to go forward
without additional revenue. We’ve spent hours on the phone educating
coworking space managers and catalysts about the resources available on the
wiki. We’ve identified the wiki’s key functions and resources in order to
produce a better, more intuitive structure for it, and we’ve begun
delegating the task of transferring pages accordingly. Last week, we
migrated the entire wiki from wiki.coworking.info to wiki.coworking.com,
and managed to preserve all of our SEO and link continuity in the process.
Most importantly, we’ve recruited a full

ensure the site’s hierarchy will be as simple and intuitive as possible for
 newcomers.

Are you an expert or highly experienced in something coworking-related? Do
you see a section on the wiki you could improve upon? Is there a relevant
topic that’s completely absent? Maybe you want to get involved, but aren’t
sure of the best way to help. Consider

us. We’ll talk to you about your experience and talents in order to
identify the task best suited to your interests, and then we’ll provide any
 assistance you may need.

Though active fundraising will conclude on July 31, we will continue to
provide you with project updates and news about the wiki, posting
information on the blog and Twitter http://twitter.com/coworkingwiki.

For Our Donors, We are Misty-Eyed

We’ve accomplished a lot, but the majority of our work is yet to come.
It’s all possible only because of the tremendous amount of financial and
logistical support we’ve received. The vast majority of this support comes
from people in the coworking community who recognize the benefits of having
a Coworking Wiki that’s more organized, up-to-date, and carefully
maintained. We will all benefit from the generosity of these individuals
and organizations. Everyone who contributes before July 31 will be
recognized as a Founding Partner. Our thanks will never be enough.

We currently lease but would love to buy in the future. Working on building
a strong community first and seeing where that takes us. I wouldn't have

Also, believe it or not buildings in Lancaster,PA are really expensive and
all the good spaces are being bought up by wealthy developers.

That being said, we do plan to ultimately open up a space. One of my
biggest questions is whether to buy or lease. It seems the predominant
model is leasing, which used to be my preference. However, I do have a
bias in general toward building equity vs. making money for landlords,
AND the market in Pittsburgh seems to be more amenable to buyers than
to renters at this time - I could be off on this as my research is far
from comprehensive, but this is the feel that I get.

I have an interest in property in general and my partner has both
design and building skills - while we would not do it all on our own,
we do feel that we could make good use of a property irrespective of
the long-term prospects of its use as our coworking home.

Any and all thoughts welcome and appreciated! I love this group - it

Hi, gang! I'm hoping to tap into the collective intelligence to get
perspective on a question we're facing. We have organized our
coworking center around offering hotdesk service only. If someone
wants a dedicated desk, we offer that through our larger innovation
 center (www.cictr.com).

However, we're finding that some software developers really want to
have both a dedicated desk AND participate in the coworking center
community (it's not that our innovation center has no community, but
compared to a coworking center, it's community light). Just offering
a second monitor that they can plug their laptop into doesn't seem to
be enough: they want to leave a desktop computer there all the time.

Our concerns are that offering a dedicated desk would have a revenue
impact -- we count on being able to oversell our physical seating by
at least 2X, to make the center work financially -- and we are also
concerned that we would see those dedicated desks sitting empty much
of the time, which has a deadening impact: someone obviously sits
there, but they're not around. We also value the simplicity of the
 offer: one price, that's it.

Has anyone else run into a similar problem with accommodating
someone's need for dedicated space? Are there any substitutes you've
 found that have worked well?

 Thanks!

[Coworking] Re: 2011 Coworking Owners Retreat: Direct to DVD and Blue Ray

2011-10-05 Thread Anne Kirby
Fantastic, signing up now :)

On Oct 4, 10:39 am, Alex Hillman dangerouslyawes...@gmail.com wrote:
 Hello Coworking World!

As promised, we've returned from the weekend in Santa Monica with some tasks
and topics for further discussion. Our #1 priority for holding this weekend
was to have some focused discussion on what the global coworking community
wasn't doing - what the biggest opportunities to work together to further
 coworking for everyone are.

We're consolidating everybody's notes (and lots of photos as well) because a
LOT of amazing information was shared and we want you to have access to as
 much of that as possible.

In the mean time, want to share an overview of the weekend and some of the
results in the form of a call to action!

*Here is the fast-forward summary of the actionable results of the
 weekend.*

*More background on how we got there is included below. The directors cut
below provides more background and insight. If you have questions, please be
sure to read that as well before replying.*

 1. Coworking's ad-hoc community has generated great projects in the past,
but we never had a consistent method in place to maintain them.  The
following is what we've come up to address that:

    - help people build a team first, then execute tasks and topics.
    - we'll have a group of 'coordinators' (initially, myself Jerome and
Jacob), and teams of managers and volunteers. coordinators are a resource
 to
the teams, and teams focus on their topics/projects

 2. We came up with a few goals to achieve, and some people have stepped up
to work on them already. Some of these topic focuses are awareness,
research, group buying/leverage, best practices documentation. This is not
 all-encompassing, it's just a start.

Additionally, coworking.com leaves room for improvement as a tool to house
high-value material that's currently buried in the wiki, google group, etc.
This means we need to both determine the [CMS] platform, and migrate that
content via the above mentioned teams.

This form will allow you to sign up for a team, either as a volunteer or a
 manager:https://docs.google.com/spreadsheet/viewform?formkey=dGQxdVhHVzBGQVlG...

 3. While we do *not* at all plan to incorporate an association at this time,
we have recognized the importance of some functional entity just to be able
to hold funds, as we now have leftover community funds from projects being
held by multiple members of the community without any clear path to
distribution for services such as hosting coworking.com, etc. A team is
heading up the work to determine what options we have and what remaining
questions exist before we come back to the group. That working group is
researching solutions, not making an autonomous decision.

 *Directors Cut Weekend Summary*

The attendance was diverse, and a lot of the topics raised tense
conversations. What we all agreed was that there were common goals that we
could work on together even considering our differences of opinion. Apart
from dense sharing of our experiences and knowledge, this weekend generated
the need for two primary tools:

 1) an easy common organizational structure - not an organization, though -
for tactical teams to form and execute coworking related projects.

Many new projects form and quickly die, and others run because of the
ongoing effort of contributors. We want to make sure that any time a new
coworking project (not a space, but a resource or tool to help the coworking
community) is forming, people can do it in a way so that an effort has a
 chance to survive.

 2) an effort to improve our living repository of knowledge at coworking.com
 and
related properties (like the google group, the wiki, the blog)

The biggest underutilized toolset we have is coworking.com, etc, and we want
to make it a rallying point for all of the things we have to share. It's a
big task, but more then big *it's continuous and will never be finished.*

Again, each team needs a manager that will take on the responsibility of
being accountable for the team as a whole.  Consider this very carefully
before taking on this commitment.  How the individual teams are organized is
left up to that team.  We'll work together to learn from and develop a plan
for how the teams come together and how everything is presented on the
website as information is gathered and shared.

 *What it's Not*

This tactical model lets small teams form that contain leadership and
volunteers. That's it. There was a lot of discussion around a coworking
association or an organization. While this model provides organization, it
is not THE organization. It is simply a mechanism for people to get more
done, and that benefits everybody who contributes and participates - just
like this group always has operated, but with more action orientation.

We did, however, determine that it would be universally valuable to
consolidate the now leftover funds from things like

This is awesome. I visited Israel a couple of years back and realized how
prime Israel is for coworking. The Kibbutz model as a community workspace is
remarkable, and coworking feels like an updated version of something already
native to Israeli culture. I'd love to talk more about this, just out of my
 own personal interest.

We don't currently have plans to ustream the event, but that's mostly
because we haven't talked about it very much. I don't think its so much a
physical/technical limitation as it does change the attention of the
participants. If we can figure out a good way to do it and keep everyone
 focused, I'd be game.

Regarding international events: I'm going to be at the Coworking Europe
conference in November, in Berlin -http://coworkingeu.wordpress.com.

This is the 2nd event they've done, and while last year was international
attendance, I believe that the focus is on European countries. Someone who
attended last year would be better to speak to that than me. I'm pretty
 pumped to visit Berlin myself.

  Hey Everybody,

I'm writing on behalf of a group of coworking leaders including (but not
limited to) Jerome from BlankSpaces, Susan and Jacob from Office Nomads,
Angel from Cohere, Iris from Nextspace, Rachel from Camradarie, and of
  course myself representing IndyHall.

We have been thinking for a long time that there should be an opportunity
for people who invest a great deal of time into not just their individual
spaces, but helping coworking as a movement and a community advance. At the
prompt of Jerome, we decided to take a weekend at the beginning of October
and convene in LA to get beyond talking shop and look for opportunities
  to
  advance the movement.

This working group was decided to keep small - we know how quickly large
group discussions can get, especially with all of the varying opinions. In
the interest of keeping a weekend productive, we decided to designate time
for a small working group, representative of the coworking community, to
start sifting through some of the more challenging topics.

Our initial registration is limited to *only 30 people*, but there are a
  few caveats.

In order to participate in this weekend, we are asking that:

     1. You have owned or managed your coworking space for a minimum of one
     year by October 1, 2011
     2. You are eager walk away from the weekend with some homework to help
bring the weekend back to the entire coworking community

No more than 2 individuals from one particular space (or network of
spaces) may register, we want a broad spectrum of representation in our
  limited attendance numbers.

*These conversations are NOT happening behind closed doors* - this
working group is going to help provide some structure for ongoing public
conversations, here on the list and at other events, to be more productive.

We want everybody to get more out of ALL discussions, so we'll be sharing
as much as possible from the weekend.

*This is not a replacement for the SXSW coworking unconference, or any
other coworking events throughout the year.* Our hope is for this more
focused event to be complimentary, and provide information to help those
larger events be better and more effective.

Also, If there are topics that you'd like to inspire conversations
regardless of your ability to attend, please share them here:
 https://indyhall.wufoo.com/forms/i-have-an-idea-for-discussion/

Jerome is generously donating room at Blankspaces in Santa Monica, and the
$100 fee covers food and snacks while we're working as well as some basic
working supplies. Everything else will be largely BYO (bring your own) and
  DIY (do it yourself).

Particpants are responsible for their own airfare and accommodations,
though we're looking into some options that'll let the group reside
  together
and nearby Blankspaces in Santa Monica.

I'm looking forward for this opportunity to push the boundaries of what
we're used to discussing about coworking, and coming back from LA with TONS

Hey Tara, Cadu I think that would be great. Ryan had some good
suggestions on how this could happen. Something to thing about!

Angel, I'll be working on some posts for you as well. Can we send
pictures with the posts? The map idea would be fantastic, let me know
how I can help.

Willie, congrats on the space!

[Coworking] Coworking Facebook Page and other ideas

2010-10-13 Thread Anne Kirby
Hey Everyone,

I know there are a lot of facebook pages on coworking I was just
wondering if there was one specific FB page for this google group or
the wiki page?

If not, would it be beneficial to have one page setup to represent
this community better? I'd be happy to start one and add people as
admins if you're interested in being an admin. We could post our info,
press, discussions, actively promote coworking as a network. If a page
like this already exists could someone post the link?

I think we could take this group further and even create a website
with everyones info listed, really connect this network in the public
eye.

Thoughts, ideas, suggestions?

Cheers,
Anne

[Coworking] Re: Coworking Facebook Page and other ideas

2010-10-13 Thread Anne Kirby
Thanks Ryan,

I'm actually on both of those pages. They just don't seem very active,
it would be great to bring all of us together in a more public setting
(i.e. facebook, focused website) the Wiki, google group and even the
blog is great but it's not very public friendly. Could we create
something or enhance something so as to bring us all together and to
educate the public?

Whenever we get any press we're always giving props to other coworking
spaces in the country, i.e. CoinLoft, indyhall, citizen space or
Workbar. How do we share the love better on the current FB pages,
network better and promote the idea of coworking? That kind of thing.

Cheers,
Anne

P.S. The twitter hashtag is great and is a perfect way to bring us all
together on twitter!

Alex, if more spaces collaborated maybe the press would get better?

My post was to start a discussion on how we could do this, with the
suggestion of a Facebook page. More like a collaborative public face

I'd be happy to spear head it and know a few spaces who might be

 Thanks for the discussion.

I don't want to discourage the passion and momentum here and I,
  too, want
to see coworking be a household word (well, maybe not household,
  but a
well-known concept that people see as a great alternative to
  working from an
office, home or coffee shop - that isn't for everyone). I just
  want to
encourage us to think about proceeding in a manner that is true
  to the small
pieces loosely joined ethos of this movement.

Alex, if more spaces collaborated maybe the press would get

My post was to start a discussion on how we could do this,

suggestion of a Facebook page. More like a collaborative

I'd be happy to spear head it and know a few spaces who might

 Thanks for the discussion.

[Coworking] Re: Coworking Facebook Page and other ideas

2010-10-13 Thread Anne Kirby
Well thanks Ryan, I'm happy to inform you that I'm very familiar with
South by Southwest but thanks for the other links and suggestions.

Maybe we will host something here in Lancaster - details coming soon.

Cheers,
Anne

Anne, you've officially started the Coworking Conference discussion
three months early. You win! :)

The Coworking US conference is called South by Southwest. It happens
in Austin, Texas in March and it is the one place I know where the
most coworking catalysts are all in one room.

OK, so there are also tens of thousands of people in Austin who aren't
there just to talk about coworking, but it's a pretty good start.

Honestly, I think if you want to host something in Lancaster, you
should. I will do something in Orlando on the same day, and we could
convince others to do the same. I know of someone who recently did a
big US tour of coworking spaces for hishttp://gwob.orgtour, ending
with a simulcast event in several spaces all over the world. That
would be a cool coworking party.

Well I'm all about doing Ryan.

It would be great to plan a conference on coworking like Coworking

Maybe this is a way for us all to get to know each other better?

[Coworking] Re: New York Times op-ed piece on costs of decreasing offline social connectedness

2010-06-13 Thread Anne Kirby
Very good article and so true. As much as I love my online social
network it's also very important to keep sight of our real live
network. I feel your networks should come full circle. Connect with
your face to face network online and connect with your online network
face to face if possible. For example Lancaster, PA has a very large
twitter network and we meet up regularly at local tweetups. As much
as I love my online social networking, I also understand how important
it is to keep your offline social connections strong.

Thanks for the post Will.

Cheers,
Anne
