[libreoffice-documentation] 2016 budget proposals

Dear community,

the year 2015 is over, and we have achieved a lot of exciting things, 
thanks to your amazing work, dedication, passion and support - thank you 
so much for being part of our community and working with us on the joint 
goal of fostering LibreOffice!


In order to support the community even better, we would like to create a 
better budgetting process, have a concrete plan for 2016 already now, 
with a few "pools" or "buckets" defined, ideally:


1. community events (aimed at getting face-time for community contributors)
2. infrastructure (e.g. compute power/hardware/storage, cloud, VMs),
3. marketing (aimed at representing the project to the outside world)
4. other (anything that does not fit into the above)

The idea is to have a good plan for 2016 already now, while keeping the 
administrative overhead low, and have two authorizers (one of them being 
a board member or deputy, the other one from the wider community) 
responsible for each budget, which means getting receipts, approving and 
tracking expenses, and clarifying questions with Florian or Sophie.


To get a better understanding of your needs, we ask you to send us your 
budget requests within *three weeks* from this e-mail, i.e. by 
2016-03-02 to flo...@documentfoundation.org


While I monitor some of the lists, please always send your 
proposals/requests *directly* to me so they are not lost!


Please let us know your requests for funds *alongside* some items you 
envision to be paid from these funds. The items are not binding, the 
spending in the end is the responsibility of the authorizers, but some 
examples help the board in getting a better understanding of the funds 
required to best match your needs. If possible, please also mention the 
amount of travel costs associated. We'll factor in some margin, but 
concrete numbers and ideas are very much welcome to have a plan for 2016.


As a sample, a request could look like this:

1000 € for community events
500 € for infrastructure
1500 € for marketing

Expenses we envision are
1. marketing: attendance at XYZ trade show to show LibreOffice to ABC 
user group (700 € booth costs, 300 € for collaterals and 500 € of 
travel, totalling to 1500 €),
2. community: a community weekend to discuss tasks and ideas (600 € 
hotel, 100 € for snacks and 300 € travel, totalling to 1000 €),

3. infrastructure: dedicated server to QA localized versions (500 €)

Alongside that, we will also provide some mechanism in Redmine for 
approvals and tracking of expenses, and will follow-up with details on 
this later on.

we have a few antispam measures in place that might be the reason. When 
the error occurs next time, send me the error message, then I hopefully 
can identify the culprit. ;-)

approval, we decided to leave the registration open, but that means we

TDF in upper case is correct.


What's the street abbreviation without number? I typed Kurfürstendamm.
No idea what the abbreviation would be since I'm not German.


Sorry for that glitch - it indeed contained the old address. The new one 
has a special character (Umlaut) in it, so I completely removed that 
question now.



What's the phone number for TDF? I've tried 609856720 and 30
609856720. My next try will be +49 30 609856720


That sounds about right. :-)


Anyway, long story short, I'd say some of these questions either have
unexpected answers or non-obvious ones for English speakers like me.
Furthermore, being locked out for a day or more seems excessive :-).


Sorry for the bad experience you made, that's definitely not what we 
intend. I have fixed one of the questions, and if you let me know the 
exact error message about locking, I am happy to have a look.


You can also let me know your desired username, then I create the user 
manually for you.

[libreoffice-documentation] Seeking for list moderators

Hello,

at the moment, we are looking for volunteers who could help moderate 
this mailing list.


If you are interested, the only requirement is that you are subscribed 
to the list yourself and read its mails in a somehow timely manner, but 
that's about it.


Moderation means dealing with e-mails that do not automatically make it 
to the list, which you then manually forward, or reject. This happens 
either when an e-mail comes from an unknown sender, e.g. when a project 
member uses a different address for posting. It also occurs when someone 
unexperienced writes to the list, thinking it's a private account, but 
in fact it's a public list.


You'll receive the message to be moderated via e-mail, which you then 
can either moderate through, or reject.


Is someone interested in joining our efforts? It'd be much appreciated - 
just drop me an email (please also copy me directly, and not only the 
list), then I'm happy to add you to the list of moderators.

[libreoffice-documentation] feedback needed for TDF annual report

Hello,

one of the legal requirements of running a foundation is to send in an 
annual report. In fact, it's two reports: One financial report, which 
mostly Thorsten takes care of (thanks so much!), and one activity 
report, which is mostly on my desk at the moment.


We need to list all activities we have done, all milestones achieved, 
and hand that over to the authorities, to show that we have been doing 
what's outlined in our statutes, and that we were active and not just 
collected money. ;-)


This report is due end of April, and to be in time and have some reserve 
for changes and translations, the board wants to approve it end of March 
(!) already. It must be formally approved by the board.


I will look at the announce mailing list as well as the blog, but the 
more material I receive, the better it is. So, today, I would like to 
ask everyone in the community for feedback:


- What major achievements have you done?
- What events did you participate in?
- Did you get new contributors, donors, supporters?
- Did you participate in any third-party projects on behalf of 
LibreOffice?
- What were your highlights of the previous year?

In a nutshell: We are about to write a review of our first year as 
foundation. The good news is, we have been very active. ;-)


The report will be public, so please only send in information that is 
meant for the general public. It does not need to be too technical, so 
rather than telling we have implemented function XYZ, improved API 
functions ABC and so on, make it understandable for a wide audience.


So we can collect all documents in one place, please send your feedback 
directly to i...@documentfoundation.org (I am not subscribed to all 
mailing lists). Images, videos, slides and other materials are highly 
welcome as well. You would *really* help me a lot if you could send 
already some written text I can work with, but if that's not possible, 
some keywords are ok as well.


2012 was an exciting and very successful year for TDF, so let's present 
this to the public - thank you for your cooperation on this!

[libreoffice-documentation] Does wiki want to come out and play?

Hello,

I spent the last week with setting up our new wiki. I've copied all 
articles, users and most configuration settings, and enhanced them, 
based on the recent MediaWiki version.


What is currently missing:

- multiple languages
- caching (thus it might be slow)
- autopromoting/autoconfirming (spam protection)
- WYSIWYG editor (there exists none)

I've also enhanced spam protection, but that might trigger false alerts. 
So, what I'd like as feedback from you now is:


- bugs and problems
- feature and extension requirements
- proposals on what to change

Please check your favorite page if it renders allright, please check if 
all the functions work, and if any of the newly-introduced limitations 
for spam protection interrupt with your productive work and of course, 
let me know, what functionality you are missing, since now is the best 
time to include it.


One word of warning, I can't emphasize that enough:

This wiki is for TESTING PURPOSES only.
Users, articles and settings - in other words: ANYTHING -
created here WILL be deleted when the testing is over.
There are NO backups. Content WILL break.
Do NOT use this wiki for anything productive.

[libreoffice-documentation] [WIKI] wanted extensions

sorry for the crossposting, but I wanted to reach out to the wider 
community. Please *only* reply to webs...@global.libreoffice.org so we 
have the list in one place - thanks!


As part of the new wiki setup, I'd also like to install some more 
extensions. If I recall, there have been numerous requests we couldn't 
fulfill so far, and now is the chance to do so. :-)


So, if you have one extension you desperately need, please add it to 
this thread, so I can investigate and have a look! My clear preference 
is to use one of the extensions out of the WikiMedia-maintained 
repository. [1] Any other extension causes a lot of more work, so please 
think twice before requesting an extension not listed there.


Also keep in mind that any extension creates a bit more load, so we 
should only install those that are really needed for production. For 
anything else, e.g. for trying out new extensions before deciding about 
them, I'll provide a testbed wiki soon.

add it to BackupPC? Best is to discuss offlist with David for the 
required credentials.



Florian Effenberger, Cedric Bosdonnat and the TDF sysadmins have all
the info to log in and take action at OS level, as does Jeff Potts.


There's still one e-mail from you from early May (sic!) I didn't manage 
to work on yet. Sorry so much for that - I'm really swamped with work :/ :/

[libreoffice-documentation] Reply settings on this list have changed

this is to inform you that the reply settings on this list have changed 
(so-called Reply to mangling has been disabled).


So far, e-mails had set a reply-to the mailing list address. In other 
words, with any e-mail client, replies to e-mails on the list were 
automatically sent directly to the list.


In the past, this lead to two major problems:

1. Several times, people have sent direct replies to the public list, 
where deleting them is nearly impossible. I remember at least one case 
where confidential information has been sent out that caused lots of 
worries for the sender and his employer. This happened because people 
hit reply and thought it would reply to the sender only.


2. I have heard complaints in the past from people, stating that working 
with the non-developer lists of LibreOffice is a pain for them, because 
of reply-to mangling, resulting in a lack of communication. This also 
led to the fact that numerous tasks were done by the same people, who 
needed to spend more and more time, instead of sharing the work burden 
with others. While I do not fully believe this argument, there's just 
one way to find out...


Therefore, I have applied a change:

Replies to e-mails from the list now only go to the original sender. You 
either need to use the reply to all feature of your e-mail program, or 
- preferably - the reply to list/reply to group feature, which will 
direct replies directly to the list.


This is common practice on most mailing lists, and even the default 
setting for our mailing list software, so we did not re-invent the wheel 
here. Those seeking for details should have a look at 
http://www.unicom.com/pw/reply-to-harmful.html


I know we had numerous discussions on this topic in the past, but the 
outcome was that roughly 50% were for this change, and 50% refused it, 
so I am really sitting between two chairs here, for which I beg for your 
understanding. On the one hand, those complaining the lists are unusable 
with reply-to mangling, on the other hand, those complaining the lists 
are unusable without reply-to mangling. Unfortunately, combining those 
two, even on a per-recipient basis, is not possible, so they are 
mutually exclusive to each other.


In order to find out the real impact, I simply changed the setting, and 
again, I beg for your understanding.


Do not worry: The mailing lists are for the community, so it's the 
community deciding how they should work. What I'd like to ask all of you 
is to try out for a few days if that change is good for each list or 
not. Should we find out it is more harmful than it helps, I will 
immediately switch back to the old behaviour.


Sorry for this short notice, and I beg for your understanding that I'm 
somehow sitting between two chairs here.

[libreoffice-documentation] address change working

Hi,

I managed the first change of the addresses.

1. The archives from listarchives.libreoffice.org/www are now available 
at listarchives.libreoffice.org/global, with an automatic redirection in 
place


2. The lists previously available @libreoffice.org are available now at 
@global.libreoffice.org, with the old addresses working for a few more 
days (but will vanish soon)


3. The headers have been modified, so chances are you have to adjust 
your e-mail program filters.


4. The e-mail footers have been modified as well.

I will take care of the mail archives and GMANE tomorrow. If you run 
into any issues, please let me know.


Things should work, but I'm not finished yet, so the rest will follow 
tomorrow.

the Community is all of us, the people engaging on the lists, 
contributing. We received many requests like can I have a 
@libreoffic.org address like it was at OpenOffice.org, and during one 
of the public calls, the steering committee agreed in doing so, help 
people identify with the project. The limitation to members -- anyone 
active can apply as a member -- is solely because of bad experiences we 
had at OpenOffice.org, where people simply could register an 
@openoffice.org address and pretend they speak on behalf of the project. 
We ran into problems indeed with that.


We discussed on the public lists and in the public calls -- it cannot be 
more public and transparent, anyone had a chance to join. In fact, the 
discussion has been running since February or even earlier, so there was 
plenty of time.



But why is the change not made a slight change, if any, for those who are the 
beneficiaries of the change, rather than those who are not?


Because it is technically not possible. We want to issue 
@libreoffice.org addresses, and by doing so, we cannot have mailing 
lists on the same addresses. I also proposed to instead use 
@libreoffice.net for the mail forwarders, but nobody agreed to that. 
This, again, on the public list where anyone could discuss.


And, honestly, it's no bigger change than if one contact of yours has a 
new e-mail address. You change it in the address book, and that's it.

LibreOffice Conference to be held in Paris this October
First annual project meeting from October 12th to 15th

The Document Foundation today announced the first annual LibreOffice 
Conference, which will be held in Paris from October 12th to 15th. 
Carrying on the tradition of previous OOoCon conferences, the 
LibreOffice Conference will be the event for those interested in the 
development of free office productivity software, open standards, and 
the OpenDocument format generally.


We're proud of what we have achieved so far with LibreOffice and The 
Document Foundation. We are seeing a rapidly-growing ecosystem built on 
free software, and the LibreOffice Conference will be an exciting 
opportunity to meet our Community members, developers and hackers, says 
Charles Schulz, Steering Committee member of The Document Foundation and 
one of the organizers of this year's conference. Paris has long been a 
strong supporter of free software and, following a fantastic release 
party in 2008, plans for another event in Paris were already being made 
during the last OOoCon. So, we're happy to announce our first conference 
taking place in the heart of France.


The LibreOffice Conference will host several tracks on various aspects 
of LibreOffice, including adoption, migration, development and 
interoperability. More information about the venue and a call for papers 
will be available soon.


The location for the LibreOffice Conference in 2012 will be decided by 
the Community in an open Call for Locations process, details about which 
will be announced soon.

Thousands of donors contribute €50,000 in just eight days to The 
Document Foundation


LibreOffice Community accomplishes next major milestone
Ongoing donations to support marketing, infrastructure and development


The Community around LibreOffice, the free personal productivity suite, 
has accomplished the next major milestone in establishing The Document 
Foundation as a legal entity. In just eight days, some 2,000 donors from 
all over the world contributed €50,000 for the capital stock necessary 
to set-up the legal entity in Germany.


We still can't believe it, says Florian Effenberger, Steering 
Committee member. It happened in such a short period of time and was 
beyond our wildest expectations. You all really rock! On behalf of the 
Community, the Steering Committee would like to thank all the donors for 
their generous support.


The €50,000 collected will form the Foundation's paid-up capital, 
ensuring a permanent future for the organization after the legal 
paperwork is complete, based in Germany. The capital will be frozen 
assets for the Foundation: the funds cannot be spent, and we will be 
able to avail just the annual interest. All money donated from now on 
will actually bankroll our ongoing running costs for things such as 
marketing, hardware, infrastructure, attending trade shows, initial 
financing of merchandising material and, of course, developing new and 
exciting ideas.


So we still need your support: Every donation helps to pay for our 
future operational running, Effenberger adds.

LibreOffice Community starts 50,000 Euro challenge for setting-up its 
foundation


German-based model provides best stability and safety for users, 
adopters, developers and enterprises

Race for funds open until March 21st

The Internet, February 16th, 2011 - The community around LibreOffice, 
the free office productivity suite, today announced its fifty-thousand 
Euro challenge for setting-up The Document Foundation as a legal entity. 
The race for funds is open until March 21st 2011, which marks the 
beginning of Spring in the northern hemisphere. All users - especially 
enterprises - are invited to donate to the capital stock of the future 
foundation.


After thorough investigation, the Steering Committee came to the 
conclusion that a foundation based in Germany would provide the best 
stability, not only for our users, but also for adopters, developers and 
enterprises. For achieving this stability, a capital stock of at least 
50,000 Euros is considered best practice in Germany, says Florian 
Effenberger, Steering Committee member of The Document Foundation. Now 
that we have our first release of LibreOffice, which has been downloaded 
and installed all around the world, the time has come to legally 
establish the future home for our community.


All donations will be used for setting-up The Document Foundation, and 
after the fifty thousand Euros has been collected for the capital stock, 
donations over the top of that sum will be fed directly into the future 
foundation's budget to cover operating costs. Should the race for funds 
not succeed, The Document Foundation will use the donations to 
incorporate itself in a different country that requires less capital 
stock, such as the United Kingdom.


To achieve their ambitious goal of a Foundation in Germany in just five 
weeks, the community has set-up a dedicated website with detailed 
information at http://challenge.documentfoundation.org The site will 
also give adopters, community members and corporate sponsors a voice, 
and will have special features rolled out at the accomplishment of each 
donation milestone.


We have seen wide support from many organizations, and the amount of 
volunteer work that has been put into The Document Foundation is just 
amazing. Without people donating their free time, knowledge and 
creativity to what will be the future home of LibreOffice, we wouldn't 
be where we are today. However, volunteer work alone can't fund the 
necessary capital stock, which is why we have started a public race for 
donations, especially targeting contributions from enterprises and 
public administrations adopting LibreOffice, and those interested in an 
independent, vital and growing ecosystem around free office productivity 
software, Florian Effenberger adds.
