Google "Miramo".  These people have a solution for extracting data from 
databases and generating MIF for precisely such applications as price 
lists and catalogues.

No, I don't think so, as the folder concerned was just called 'Graphics' ;-) I 
expected it to work, but it didn't. Surprise.

Ah, I see what you mean... the combined length of the pathname might have been 
too long. Er, ok - will run simple test now... no, it doesn't work even when 
the combined path lengths come nowhere near the 31 character limit. FrameMake 
doesn't want to follow an alias to a graphics folder that has the same name as 
the original. However, once you've told it to use the alias and chosen the 
'update document to use new path', all is well, and remains so.

I realise I'm not being as clear as I might here: what is happening is that 
FrameMaker, after using an actual folder to source graphics, cannot identify an 
alias to that folder as being the same thing until it's told to. After that, it 
uses the alias ok. Sorry if I confused anyone earlier.

utility with Framemaker? We are trying to find a way to publish a 1000 page 
catalog in Frame, and be able to "automate" the pricing

I tried alising a graphic folder within a book folder in FrameMaker 6 on Mac, 
but FrameMaker could not follow the link.

Right, Distiller Job Options (now known as "Adobe PDF Settings") is one 
instance where you can set the resolution.

But you also find it in the properties of your Adobe PDF printer driver 
instance. If I may quote the great Dov Isaacs:

"Properties => General (tab) => Printing Preferences ... (button) => 
Layout (tab) => Advanced (button)

Open trees and make sure that the following are set
(other options leave at original default settings):

Graphic => Print Quality => 600dpi

Why? Gets around known Windows 2000/XP GDI bug associated
with large point size & high resolution text being converted
to outlines. Also gets around FrameMaker bug associated with
higher resolution settings in combination with large page sizes
(similar bug in other applications as well). Using this setting
does not restrict the resolution at which the PDF file can
print and has no known bad effects."

Text into Table of Contents

I have a document that must be created each month.  The length of the
content of the document can vary, but for printing purposes the number of
pages in the document must be a multiple of 8.  When the number of pages in
the content isn't a multple of 8 the specifications call for two "dummy"
pages to be inserted (one on even pages and another on odd pages) until a
multiple of 8 is reached.  These entries are included in the table of
contents along with their page numbers.

I want to create these dummy pages using a master page.  I want to have text
appear in a disconnected text frame on the master page appear in the table
of contents that's generated from the document.  Is there any way of getting
a table of contents to read the text in a disconnected text frame?

Hi Pearl

We had a corrupted file once where the problem was that somehow we'd screwed an 
imported text inset (the TOC). It was set to automatically update insets and 
couldn't, so crashed. We deleted the TOC file and the chapter opened okay. So 
if you're linking to any other files, not just graphics, try renaming them.

To repeat what everyone else has said, we have our graphics in a separate 
folder and reference them with no problems. You can always get the name of the 
referenced files out of FM.

I use a mixed method, but reference *all* my graphics.
All scaps (screen captures) are in PNG format.
I have a Directory tree like so:

NOTES: P1, P2 ... Have the FM files in them
   Pix has all the images except product-specific ones.


I also use a naming pattern:

but_   (scap of graphic button)
btxt_  (scap of text button)
dlg__  (scap of dialog --
with feature selected if required) 
dtl_ (scap of detail -- usually just a part of a
screen.)
emess_(scap of message dialog)
ill_ (externally created line drawing, flowchart,
etc.)
pic_ (scap of a displayed function; for example the
chart of a stock)
menu_(scap of menu)
rmenu_   (scap of right-click menu)
tbar_ (scap of toolbar) 
wiz__P  (scap of wizard page 1-n)

This makes themn easy to sort/locate.
For ease of use, the product specific versions are all prefixed by a
3-character code and an underscore 
(example: PRO_dlg_YAxis_Props_Grid.png = Professional version, Y-axis
Properties dialog, Grid tab )

I also have a number of naming conventions that are peculiar to this
particular product interface
(candlestick, sample, and others)

Hi Roger,

I use AutoIt (completely free from http://www.autoitscript.com/autoit3/)
and FrameScript to do something very similar:


  FrameScript
for the stuff that needs to be done in Frame (show/hide conditional
text, save as PDF, show all conditional text again, plus a workaround
for text insets (Xrefs from within insets don't get converted into
links in the PDF unless you "flatten" the text insets first...)).
  AutoIt
for opening, controlling, and and closing Frame and WWP.

I don't run
AutoIt from the command line, though I'm sure you could.

And the PDFs that I get aren't perfect--they don't open on the first
page, so I have to fix them in Acrobat. (This may not be a problem with
the version of Frame you are using, and is something that you should
also be able to automate with AutoIt. I just never got around to it.)

If you need any specifics, please contact me off-list and I'll try to
help.

Pearl,

We only reference graphics and don't have any trouble keeping track of 
them (well, mostly no trouble). We name graphics according to their 
figure number or use and UNF for un-numbered graphics.  The rub comes 
when an author inserts a figure and all the figure numbers in the book 
change --- you end up with actual figure numbers being different than 
the figure number in the book, unless you renumber. Our books are done 
by chapter, so the quantity of graphics is usually small enough that we 
renumber to keep things in sync.  If the author adds a graphic its not 
as bad: you just add an alpha to the numbering scheme for the graphic 
(UNF1-1, UNF1-1b, UNF 1-2).

I once had a problem with a corrupted file, and there the heroic open  
didn't help, but opening it while suppressing the automatic update of  
references.

Hi Dominick,

I do not reference my graphics, but this may be a good reason to do 
so. Altho having the graphics in the files makes them larger, I also 
thought it would be easier to manage the book without a directory of 
graphics.

I'd be interested to hear from those of you who reference graphics 
about how hard it is (or isn't) to keep track of the graphic files.

Text into Table of Contents

I have a document 
that must be created each month.  The length of the content of the document 
can vary, but for printing purposes the number of pages in the document 
must be a multiple of 8.  When the number of pages in the content isn't a 
multple of 8 the specifications call for two "dummy" pages to be inserted 
(one on even pages and another on odd pages) until a multiple of 8 is 
reached.  These entries are included in the table of contents along with 
their page numbers.
 
I want to create 
these dummy pages using a master page.  I want to have text appear in a 
disconnected text frame on the master page appear in the table of contents 
that's generated from the document.  Is there any way of getting a table of 
contents to read the text in a disconnected text frame?

Keeping track of graphics

We reference all graphics into our documents.  Currently we have a
couple of thousand graphics stored centrally in the same folder
location. While it can be a bit cumbersome to maintain that many
graphics in the same folder, it ends up helping us in the long run
because if a graphic is updated, it gets updated in *all* locations
where it is used.  Previously we had project-specific graphic folders,
and we found that the same graphic might be updated for one manual, but
not for another.

We avoid naming files by document name or figure number because of the
reasons Bob Kern mentioned (if you insert one in the middle, what
happens to the numbering?).  Also, most graphics are used in multiple
locations, such as in the User Guide and in the Maintenance Manuals, so
the fig. numbering really didn't apply for all uses.

Instead, we set up a naming scheme that incorporates the product/s the
graphic is used for and a pre-defined set of procedural/descriptive
words.  It took some time on the front end for our graphics team to set
this up, but it seems to be working pretty well for the most part.

Also, if links are broken, there is only one folder to point to for
updating the path.

I use a mixed method, but reference *all* my graphics.
All scaps (screen captures) are in PNG format.
I have a Directory tree like so:

I also use a naming pattern:

with feature selected if required) 
dtl_ (scap of detail -- usually just a part of a
screen.)
emess_(scap of message dialog)
ill_ (externally created line drawing, flowchart,
etc.)
pic_ (scap of a displayed function; for example the
chart of a stock)
menu_(scap of menu)
rmenu_   (scap of right-click menu)
tbar_ (scap of toolbar) 
wiz__P  (scap of wizard page 1-n)

This makes themn easy to sort/locate.
For ease of use, the product specific versions are all prefixed by a
3-character code and an underscore 
(example: PRO_dlg_YAxis_Props_Grid.png = Professional version, Y-axis
Properties dialog, Grid tab )

I also have a number of naming conventions that are peculiar to this
particular product interface
(candlestick, sample, and others)

simplest. However, the single central folder of all graphics could be
confusing.

Has anyone successfully employed operating system links, aliases, or
shortcuts in project-specific graphics folders for this purpose? The
idea is that you can have project-specific directory structures that
only contain links to the source graphics that are stored in a central
location. Each project's graphics directory contains only the project's
graphic links. FM files in each project refer to the link, not to the
source.

The advantages are fewer graphics (links) to manage for each project,
and a single graphic source for multiple uses.

The disadvantage is setting it up and retraining authors to use the new
approach.

I know that unix links are reliable, and that the reliable Macintosh
aliases are not an option past FM 7.0. Is anyone using Windows
shortcuts?

No, I don't think so, as the folder concerned was just called 'Graphics' ;-) I 
expected it to work, but it didn't. Surprise.

Ah, I see what you mean... the combined length of the pathname might have been 
too long. Er, ok - will run simple test now... no, it doesn't work even when 
the combined path lengths come nowhere near the 31 character limit. FrameMake 
doesn't want to follow an alias to a graphics folder that has the same name as 
the original. However, once you've told it to use the alias and chosen the 
'update document to use new path', all is well, and remains so.

I realise I'm not being as clear as I might here: what is happening is that 
FrameMaker, after using an actual folder to source graphics, cannot identify an 
alias to that folder as being the same thing until it's told to. After that, it 
uses the alias ok. Sorry if I confused anyone earlier.

I tried alising a graphic folder within a book folder in FrameMaker 6 on Mac, 
but FrameMaker could not follow the link.

The most common cause of this behavior is using too 
high a resolution.  Look in the Distiller job options to
see what resolution you are using. If it is 1200 or higher,
try using a lower setting or a different set of job options
that uses a lower resolution.

Not hard at all. First, I have a two or three letter prefix for each
book (HRP, Pub, DM, CPF, etc.). That prefix is included in the name
of every file and every graphic. All my files go in one one directory
and all my graphics go in a subdirectory off that file directory.

The vast majority of my screen shots are of web pages or parts of web
pages since I'm documenting a large HR portal. I name my graphics
with three elements; the project name, then the header title of the
screen, then the state of the screen. Use an underscore between
elements, never use spaces anywhere in the file name.

For instance, I have a project with the code HRP, then a GUI page
with the title "Login Pages", one showing a Login code window prior
to putting in the code and after the code is entered. Therefore, my
images have the following names:

HRP_LoginPages_BeforeLoginCode.gif
HRP_LoginPages_AfterLoginCode.gif

This my not work well for you, it does for me.

Different projects may require that I vary the naming conventions,
but the methodology is usualy the same.

shortcuts in project-specific graphics folders for this purpose? The 
idea is that you can have project-specific directory structures that 
only contain links to the source graphics that are stored in a 
central location. Each project's graphics directory contains only the 
project's graphic links. FM files in each project refer to the link, 
not to the source.


The advantages are fewer graphics (links) to manage for each project, 
and a single graphic source for multiple uses.


The disadvantage is setting it up and retraining authors to use the 
new approach.


I know that unix links are reliable, and that the reliable Macintosh 
aliases are not an option past FM 7.0. Is anyone using Windows 
shortcuts?

Hi Pearl,

I once had a problem with a corrupted file, and there the heroic open  
didn't help, but opening it while suppressing the automatic update of  
references.

To open a document without updating references:
1.  Choose File > Open, and select the file you want to open.
2.  Do one of the following:
*   (Windows) Control-click Open.


Also, feel free to send me the file privately, I'll try if I'm able to  
open it (using Frame on Mac).


I'm keeping my graphics in a separate directory and have absolutely no  
problems with that.

We reference all graphics into our documents.  Currently we have a
couple of thousand graphics stored centrally in the same folder
location. While it can be a bit cumbersome to maintain that many
graphics in the same folder, it ends up helping us in the long run
because if a graphic is updated, it gets updated in *all* locations
where it is used.  Previously we had project-specific graphic folders,
and we found that the same graphic might be updated for one manual, but
not for another.

We avoid naming files by document name or figure number because of the
reasons Bob Kern mentioned (if you insert one in the middle, what
happens to the numbering?).  Also, most graphics are used in multiple
locations, such as in the User Guide and in the Maintenance Manuals, so
the fig. numbering really didn't apply for all uses.

Instead, we set up a naming scheme that incorporates the product/s the
graphic is used for and a pre-defined set of procedural/descriptive
words.  It took some time on the front end for our graphics team to set
this up, but it seems to be working pretty well for the most part.

Also, if links are broken, there is only one folder to point to for
updating the path.

Keeping track of graphics

Pearl,

We only reference graphics and don't have any trouble keeping track of
them (well, mostly no trouble). We name graphics according to their
figure number or use and UNF for un-numbered graphics.  The rub comes
when an author inserts a figure and all the figure numbers in the book
change --- you end up with actual figure numbers being different than
the figure number in the book, unless you renumber. Our books are done
by chapter, so the quantity of graphics is usually small enough that we
renumber to keep things in sync.  If the author adds a graphic its not
as bad: you just add an alpha to
the numbering scheme for the graphic (UNF1-1, UNF1-1b, UNF 1-2).

Hi Dominick,

I do not reference my graphics, but this may be a good reason to do 
so. Altho having the graphics in the files makes them larger, I also 
thought it would be easier to manage the book without a directory of 
graphics.

I'd be interested to hear from those of you who reference graphics 
about how hard it is (or isn't) to keep track of the graphic files.

Right, Distiller Job Options (now known as "Adobe PDF Settings") is one
instance where you can set the resolution.

But you also find it in the properties of your Adobe PDF printer driver
instance. If I may quote the great Dov Isaacs:

"Properties => General (tab) => Printing Preferences ... (button)
=> Layout (tab) => Advanced (button)

    Open trees and make sure that the following are set
    (other options leave at original default settings):

        Graphic => Print Quality => 600dpi

        Why? Gets around known Windows 2000/XP GDI bug associated
        with large point size & high resolution text being converted
        to outlines. Also gets around FrameMaker bug associated with
        higher resolution settings in combination with large page sizes
        (similar bug in other applications as well). Using this setting
        does not restrict the resolution at which the PDF file can
        print and has no known bad effects."

The most common cause of this behavior is using too 

high a resolution.  Look in the Distiller job options 
to
see what resolution you are using. If it is 1200 or 
higher,
try using a lower setting or a different set of job 
options
that uses a lower resolution.

cut off graphic

I have a graphic from a JPEG, 
that displays well in the FrameMaker file, but is cut off in the PDF file (frame 
6, acrobat version 7) (either the bottom or top is missing when I create the 
PDF)
Can anyone guess why, and say how to fix 
it?

Hi, Pearl:

It's more likely a corrupt file than a memory issue.

Have you tried the "open heroic" method? In FM, tap and rekease these 
keys in sequence:


Escape
lowercase o
uppercase H

Then select the file in the Open dialog box. If it opens 
successfully, save it immediately to a new name.

files in the book except the one I can't open. Also, I gave a copy to a
co-worker who has 1 GB of RAM, and he couldn't open it either.

Please, can somebody help? I put a lot of hard work into this chapter!
