Why can't you simply add a main section called "Future developments" or alike 
to your book(s) and sum up the future developments there (and add a reference 
to the current AS IS situation)?
That would not conflict with the actual AS IS content and still please the 
marketing request (cause that's what it is!)

I could use some insight into a situation I haven't encountered before today:

their product's documentation about a functionality that will not be released 
with the upcoming release?(it will?still be in development)?but is hoped to be

I've politely pointed out that industry best practice is to document what IS as 
opposed to what WILL BE and that certain liabilities might be incurred if 
promises are made and then something goes wrong.

This is how we did it:



Put a ' Header/Footer $1'  or 'Header/Footer $2' marker in the bodytext.
Then on the MP refer your Running H/F variable to <$marker1> or
<$marker2> (I think Running H/F 4 has a default reference to <$marker1>.



This marker should be maintained manually however, to hold the Heading 1
text of the previous file. But you don't have to mess around with the
master Page, all can be done on the body page of the document.



If you use a special MP for the first page of a document, you could add
a separate text frame to store the marker. Make a dedicated paragraph
format to hold the marker and give it a large space after to make sure
the body text will start in the main text frame (I'm not sure what
happens if you create a separate flow).

Arial Unicode query in FrameMaker

Hi Rob,

I think that in Word you have a hidden character or alike between "Jes" and the 
question mark; It works fine with me (Windows7, FM9 V2.50; default chapter 
template, Body text with pgf designer (Format>Paragraphs>Designer) set to Arial 
Unicode MS). 

Have you tried to copy "Jes?" directly from Word and paste it in FM "as is"? If 
you get the same result, paste it in Notepad, or paste it as plain text (Menu 
Edit>Paste special), see what you get.

By the way, your text looks a bit like Medieval Dutch, but I doubt it. It 
translates like "In the year of the Lord...": is this South African maybe?

With my former employer I did just that for seven years in a row! So there must 
be a way...

I never bothered too much about the how, but I do know that <$marker1> is 
involved somehow. It can be that a FrameScript was involved, but I find that 
unlikely: I had the only office that applied FrameScript, all the other 
affiliates had to do without and they got it to work also! (Regretfully they 
designed it).

Since no body on FrameUsers seems know a way, I am extra curious as to how this 
was done: I forwarded my question to the designer of the template.

This only works with structured FrameMaker books. In unstructured FrameMaker,

I have the same with FM9 and Windows 7. Don't think it is Frame who is to blame 
for that 'lock up' though...

Maybe FrameX will have found a way to work its way back to the good old DOS 
environment, which is completely cloaked by Windows 7 (no, I was not referring 
to the Romulans...)

will get a "Not Responding" notification in the FM title bar. It looks like

Thanks for your help and offers to analyze but I switched to an alternative 
solution.

Nadine and Rick, you are right. If I start a blank page and apply what I 
described, I get the same result as you all get: the table moves to the new 
page (as it should). In my own document however it does not.

Since you offered to have a look at it I will send you a sample with the fault 
embedded. As said: I have switched to another way of solving this, so an answer 
is not mandatory, just for me to learn from mistakes!

Thanks for your feedback. I already tried that but applying Keep with next on 
the Pgf containing the table anchor doesn't help. 

I have done the following exactly: I created an AnchorPgf close to the bottom 
of the page, set it to keep with next and hit enter (creates a BodyPgf that has 
no 'keep with' settings applied). I was still at the bottom of the page. I 
typed some lines of text and voila, both the Anchor PGF and the text moved to 
the next page. So that works (as expected - luckily ;). 

I then anchored a small table to my AnchorPgf and guess what: both AnchorPgf 
and table move back to the previous page??? 
What do I forget/do wrong?

Sure. As Nadine noted, you can use the Keep With settings of the table anchor 
pgf (and/or the following pgf). And if you want to keep the table itself from 
breaking across pages, set Orphan Rows (in Table Designer) to a high enough 
number. Or, to control page breaks within tables on a case by case basis, use 
the Row Format Keep With settings.

Text Inset anomalies

Thanks for the feedback! It contained a lot of useful background details. 

What causes these problems is a series of text insets in a row with different 
heading styles (I know... I break the golden rule - but in this particular case 
I see no other solution). 

I found out that a non-breaking space after the text inset does not resolve the 
problem: The next text inset still inherits the style from the preceding one 
(which makes sense). Even when I put a carriage return between the text insets, 
that CR inherits the style from the preceding text inset (even when preceding 
the CR with a non-breaking space). 

What does work is the following:
1. create a para style (which I will call EMPTY) that looks like your body 
style, but has no line height nor space above/below and is side-head aligned. 
Make the size as small as you can without losing sight of the pilcrow in your 
text. 
3. Start each text insets with a CR in the EMPTY style, followed by the actual 
content.
4. In the main document separate each text inset with a CR in the EMPTY style. 
Add a non-breaking space if you want to, but that has no effect on my system 
(FM9).

When you now update your text inset, the EMPTY style from the text inset is 
transferred to the main document (instead of your usual style). EMPTY overrules 
the style of the paragraph following the text inset. As this is a CR also based 
on EMPTY, nothing changes!

There is an issue of white space though: we now have two EMPTY para's between 
the actual contents of the text insets. If the line height of EMPTY is small 
enough you can compensate this though by decreasing the  
setting for the 'first actual content' style used in the text inset. Make sure 
though that you use this 'first actual content' style only in text insets based 
on this principle, and not in the main text (duplicate if you have to).

Preventing a text frame from containing text from next page

Hi Verner,



To make sure you always start at the top of a new page (your rear page)
you can use a first paragraph style (preceding your markers) that always
starts on top of a page. This forces the paragraph (and all subsequent
paragraphs) to move to the rear page (in your case).



In the Paragraph Designer (CTRL-M) you will find a tab or icon named
'pagination'. Click that and you will see a dropdown list named 'start'.
Default setting is 'anywhere'; change that to 'top of page' to make that
paragraph style to always start on top of a (new) page. If this new
style causes a line feed on top of the rear page that you do not want,
you can also change the format to 'run-in-head-default punctuation'.

Hi Wim,

Your table-in-a-frame solution seems easier than the Rubi text solution because 
you can change (I read that with Rubi you cannot change or delete, only add). 

Using a table is also what Art Campbell tipped me. Now I have got that tip 
twice. But rotating table and text in opposite directions to auto-adapt to the 
text length is an excellent addition to this idea! 
You got me turned: using text instead of graphics keeps the option open to 
restyle, change and for the user ...to search!

Thanks for that tip and see you June 9th on NLDITA 2010!

Two more options I haven't seen passing by:

- Use an anchored frame at insertion point, put a text frame inside and in
that texframe place the one cell table. Adjust the frame to make it fit
nicely (store a dummy version somewhere for reuse). Additionally, if you
rotate the table left and then rotate the text right it will automatically
adapt to the text length. 

- Use the Rubi text function to create special highlighting. See the web
pages of Klaus Daube: http://www.daube.ch/docu/fmaker51.html. He made a very
nice description of how to make use of Rubi tex.

But indeed, if you have a fixed set of buttons, using illustrations may be
more easy. Using text based images keeps the option open to make changes if
needed.

Hi Simon,
Just a warning upfront: This could end up in a long discussion as each writer 
has his/her own preferences, and should have - to maintain this profession as 
an art instead of just another job. ;-)

I think I get your drift, but for me the temptation as a user to "just pressed 
as it says here I should do so..." stays: It is not just in the used 
punctuation and line separation but moreover in the emphasis combined with the 
wording: Your separation in different lines would make no difference to me as 
the sentence structure has not changed a bit; I would still act the same I 
suppose...

It may be enough for others, but I think rephrasing and "weight balancing" is 
also necessary here. What I think I should see are an "acknowledge this" step, 
and a subsequent "act now" step. If the first step is likely to be skipped you 
need to make sure the weight shifts to the first line and you have a virtual 
"full stop and now think" remark standing out between these two lines. 

The emphasis that your button graphics automatically get (due to the abnormal 
"typeface" of graphics in text), acts as honey to bees and should be balanced 
(maybe even over balanced - can't hurt!) by the just as important line right 
above which tells you to WAIT for these indicators...

I would therefore rephrase as follows: 
(note that both [X] and {FOO}/{BAR} are eye-catching graphics)


1. **Make sure** system indicators {FOO} and {BAR} are shown.
2. After confirming step 1 enter [X][X][X]


The numbering emphasizes that this instruction actually exists of two steps; a 
first warning not just to enter [X][X][X]. I then emphasized **make sure** to 
increase the weight of the first step to make it stand out better and draw more 
attention than the subsequent step: In my opinion this too helps draw the 
readers' eye to the top line, despite the tempting buttons in the second line 
(which you may also choose to reformat and stand-out less). Finally I embedded 
a silent warning in the second step: "After confirming step 1...", a third 
indicator that there's more to do than just enter [X][X][X]!

I prefer to separate input and output onto separate lines, for example:
When the system indicators:
{FOO} {BAR}
... are shown, enter:
[X][X][X]

Punctuation can often mess up instructions, and so I avoid them.
It's just a personal style thing, but for me, keep instructions simple.

necessarily the zero key on your keypad I presume) why would the reader be 
tempted to press zero three times (he/she may be tempted to press the intended 
button three times, but that's what you want, isn't it?)

The idea of installing a new typeface would be the most straight forward and 
simple solution if not that I too foresee printing problems. So after reading 
Rick's suggestion (which makes good sense: I didn't think of it!) I decided to 
rule that option out.


Back to Art Campbell's suggestion: if you do use a single cell table with black 
background, how do you then keep it in line with the remainder of the text like 
you can with an anchored frame? (Tables have no "at insertion point" anchoring 
position, anchored frames do.) Note that I am talking about a single word 
somewhere in the paragraph, not an entire paragraph.

Hi all,

Surprise that such a feature is not available. On the other hand, I have never 
been confronted with this in the last 10 years either!
What I need to reproduce are some black LCD display "bulbs" with text inside, 
representing a limited number of system states. Reading your feedback I think I 
better drop the idea of using reversed text and go for inline graphics on the 
reference page instead.

Just a warning upfront: This could end up in a long discussion as each writer 
has his/her own preferences, and should have - to maintain this profession as 
an art instead of just another job. ;-)

I think I get your drift, but for me the temptation as a user to "just pressed 
as it says here I should do so..." stays: It is not just in the used 
punctuation and line separation but moreover in the emphasis combined with the 
wording: Your separation in different lines would make no difference to me as 
the sentence structure has not changed a bit; I would still act the same I 
suppose...

It may be enough for others, but I think rephrasing and "weight balancing" is 
also necessary here. What I think I should see are an "acknowledge this" step, 
and a subsequent "act now" step. If the first step is likely to be skipped you 
need to make sure the weight shifts to the first line and you have a virtual 
"full stop and now think" remark standing out between these two lines. 

The emphasis that your button graphics automatically get (due to the abnormal 
"typeface" of graphics in text), acts as honey to bees and should be balanced 
(maybe even over balanced - can't hurt!) by the just as important line right 
above which tells you to WAIT for these indicators...

I would therefore rephrase as follows: 
(note that both [X] and {FOO}/{BAR} are eye-catching graphics)


1. **Make sure** system indicators {FOO} and {BAR} are shown.
2. After confirming step 1 enter [X][X][X]


The numbering emphasizes that this instruction actually exists of two steps; a 
first warning not just to enter [X][X][X]. I then emphasized **make sure** to 
increase the weight of the first step to make it stand out better and draw more 
attention than the subsequent step: In my opinion this too helps draw the 
readers' eye to the top line, despite the tempting buttons in the second line 
(which you may also choose to reformat and stand-out less). Finally I embedded 
a silent warning in the second step: "After confirming step 1...", a third 
indicator that there's more to do than just enter [X][X][X]!

... as I have seen users follow instructions and pressing the keys: X and X and 
X and .

For a series of technical manuals I am asked to describe sections with
menu items. In the device these items are numbered numerically from 1 to
9 and then (due to lack of available digits) numbering continues
alphanumerically with A, B, C etc. 

 

To make life easy for both reader and myself I need a section numbering
mechanism that corresponds to the devices menu numbers (so 1 ...9,
A...F). In fact, a hexadecimal numbering format would do as I never have
more than 15 items in a row (meaning that I will never go beyond F). 

 

I might be able to find a solution based on manual numbering, but this
is too error prone and labor intensive: I am talking about a series of
roughly 100 manuals, all based on the same concept. Some have more menu
options, some less. Some may even have some menu options in reverse
order. I therefore want to define text insets for each menu item and
import each menu option in a specific order in each book. I was thinking
of using the paragraph numbering (counter) mechanism to keep track of
the menu ID number. But this counter is only available as numeric,
alphanumeric or roman. I need Hex (or alike)!

 

If someone has a solution for me, it would be very grateful. I work with
FM9 unstructured.
