RE: How do you type a dash em in FM12

I always use Ctrl Q Shift Q for em dash and Ctrl Q Shift P for en dash.

In stock Word, it is usually three dashes to get to an em-dash, two dashes gets
you an en-dash (a different character). This is using the auto-correct feature,
and you can change its behavior pretty easily too.

Plus (at least in Word 2013 and Office 2013 products) typing a “space, dash,
space” followed by another word and then a space converts the “space, dash,
space” to “space, en-dash, space”. Not sure which option selects this behavior,
but I don’t think it is auto-correct, since the change is elsewhere compared to
the text entry location. It is also quite specific – having extra (or missing
one) spaces before or after the dash does not work, for example.

In FrameMaker, I just use the ALT 0151 key sequence to get an em-dash. There is
also a menu pull-down that allows you to insert various common symbols – not
just an em-dash.

In earlier versions of Word, when you typed 2 hyphens (--) it would
automatically convert to a dash em. Is there any way to do the same or similar
in FM12?

Yes, you can extend the date, though it’s taken me a while to work it out!

Open the document in Acrobat and display the Comments. Above where the comments

RE: Question for the Group: Create a Conditionalized or Hierarchical Book

2014-12-17 Thread Laura Fergusson
Hi Tony

If I understand you correctly, I would do the following.

Keep all your files in the one folder, including three separate book files:

Book for Product A

Book for Product B

Book for Product C

Add the chapters you need to each book and conditionalise the content of each
file as required.

(You CAN exclude chapters from books (in the book file itself), but I
personally find this more difficult to maintain.)

Hope this helps. If you’d like more information about how we use this, feel
free to contact me off line.

Subject: Question for the Group: Create a Conditionalized or Hierarchical Book

I currently need to create a new non-structured book in Frame 12 that will have
one of three possible outputs (to .pdf). I’m looking for advice on the best
way to create and maintain the project.

To simplify the problem: previously we had the Product A user manual and the
Product B user manual – maintained and distributed separately. These manuals
are each at about 15 chapters and 800+ pages each, with little or no
overlapping content.

Now, my company has merged the two products into an optional third product, so
that we have three possible product permutations (and manuals): Product A,
Product B and now the new Product C (which consists of all of the
components/chapters from both A+B).

So my question is: what is the best way to merge the two document sets so that
I can publish Manual A, Manual B or Manual C (A+B), depending on the customer.

Should I conditionalize all the chapters under one book – so that I would only
display and publish the appropriate chapters based on the customer — e.g.
publish chapters set to Condition A, Condition B, or both conditions for
Product C? Or should I use the hierarchical book structure and then add/delete
the subordinate book depending on the customer release?

I have no experience with hierarchical books so I’m not sure what the benefits
or drawbacks are.

I could also simply add/delete the appropriate A/B chapters from the master
book manually – but with 30+ chapters, this seems like it could be prone to
mistakes in publishing the correct content.

Any suggestions will be much appreciated.

Thanks,
~Tony

Framemaker 11 crashes constantly when I generate a RH project

2013-02-05 Thread Laura Fergusson
Hi all

Every time I try to generate a small RH project which is linked to a single
Framemaker chapter, I get the message that FM has stopped working.
This was working for me yesterday, no problems with this part of it. I've
tried just generating, doing an update all etc, same result.
I changed a couple of mappings - I selected Ignore Output for ChapterTitle,
ChapNumber and AppendixTitle in the mapping dialog.
No idea if that is what has caused this. I've also tried starting a new
project, but it gets as far as specifying a FM template then crashes. We are
using TC4.
Has anyone else had these major problems? We are still trialling the TC4
software and although I am a big FM fan I am starting to wonder if this is the
right way to go as the integration seems very flaky.
Please help if you can, thanks in advance.
Laura

Deleting conditions across a book - Frame 10

2012-08-01 Thread Laura Fergusson
Hi all

Does anyone know of a way to delete conditional tags across a book using Frame
10?
I used the PGF Whopper plugin for Frame 8 but can't find anything for version
10.
I know you can go into each file and delete each tag individually but it's very
time consuming.

Thanks in advance

Translation question

2012-07-26 Thread Laura Fergusson
Hi all

I'm starting to work on revamping user guides from another division in our
company.

One of the guides is currently in Word(!), in French, and I'm about to move it
to FrameMaker and translate it into English at the same time.

I have a question: Is there a case for just having ONE book file for this
guide, which contains files which have both French and English in them (hidden
or displayed by conditional text)?
I can't decide if this is a good idea or not, or if I should instead have two
completely separate books for the English and French guides.

This will not be a one-off, btw, all guides for this division need both French
and English versions.
None of them seem horribly long or overly complicated.

It may be that I should definitely maintain two separate versions - but I'm
just not sure.

Any thoughts would be greatly appreciated.

Laura

The offer is "Adobe FrameMaker 7.X customers can receive a savings of 30% on
the FULL version of FrameMaker 10 software purchased through Adobe Customer
Service, or a participating reseller worldwide."

Adobe charges $999, 30% off that is $699. Amazon charges $634.

Personally I'd stick with 7 unless I had a specific reason to upgade.
Adobe introduced a lot of bugs with the UI makeover in FM9 and if anything they
got worse in FM10. The last new feature they added that I have any use for was
the multiple undo in 7.2.

Problems with PDF creation since Windows update

2012-05-29 Thread Laura Fergusson
Has anyone else had problems with creating PDFs from Framemaker since the
weekend?
There appear to have been 3 Windows updates on Sunday evening and since then I
can't Save as PDF.

I'm using Frame 8 on Windows 7.

I am now resorting to trying to save as a ps and then distilling, like I used
to do in the dim and distant past...

If anyone has any ideas, that would be great. I have tried using System restore
but for some reason it keeps failing no matter which point I choose.

Many thanks
Laura

Find/Replace restarts at beginning

2012-04-06 Thread Laura Fergusson
Hi all

I am sure I have seen something in a forum about this before but cannot find
anything on it now.

When I search for a term/paragraph style etc throughout a book, Frame opens a
file, searches for the term, then instead of opening the next file in the book,
goes back to the start of that file, searches again, and only when it reaches
the end THIS time does it pop up the message "Unsaved changes in File:x. Save
before closing". It then moves on to the next file.

Does anyone else see this behaviour? I'm using Frame 8 on Windows 7.
And is there any way to stop this?

Thanks
Laura

Unstructured to structured FM?

Hi all

My boss has mentioned the possibility of transferring our unstructured Frame
docs to structured XML format. I have NO experience of structured FM and to be
honest I'm a bit intimidated by it! (Boss is technical but knows little about
tech writing tools btw)

He thinks that it will make it easier to share our doc set with other parts of
the company which has just acquired us - but he's not totally sure - so I'm
looking into it. I'm not even sure this is correct.

I am the sole author here and make heavy use of conditional text as we have
several different clients and many product variants. I currently use Frame 8 on
Windows.

Could you kind guys please tell me the pros and cons of transferring from
unstructured to structured? Any caveats or things to watch out for would be
appreciated .As I say, I know nothing about structured FM or XML at all, but
have many years of experience in unstructured.

RE: Figure numbers that span all chapters in a book

2011-12-22 Thread Laura Fergusson
Hi Doug

All I can think of here is to ensure that the Paragraph numbering for the book
is set to Continue Numbering from Previous.

Go to the book file, select all files and right-click. Select Numbering, then
the Paragraph tab.

This may not be the entire solution but it's all I can think of!

Season's greetings, fellow Framers!

I'm using unstructured FM 8 on Windows XP, and I have a set of FM documents
that currently identify figures with consecutive numbers that span all chapters
of the book. For example, chapter 1 has figures 1-5, chapter 2 has figures
6-10, and chapter 3 has figures 11-15. I defined a new paragraph format in a
different template (using a new paragraph name) that I thought matched the
definition in the original FM documents, applied the current template to the
original FM documents, renamed all paragraphs using the old paragraph format to
the new format name, and regenerated the book. Now all figure numbers are
getting reset to 1 at the start of each chapter. I'd like to keep the figure
numbers that span all chapters of the book, but I can't determine how it was
done in the original FM documents. The paragraph format I'm using has an
Autonumber Format of F:Figure : . Ideas, anyone?

Thanks,

Doug Edwards

Keyboard shortcuts - strange behaviour

Hi all

I tend to use shortcuts a lot in Framemaker 8 on PC - but have noticed for a
while that if my mouse is hovering over the toolbars, they don't work! Move the
mouse to the main body of text, they work fine!

Anyone else noticed this and is there anything I can do about it?

FW: Adding reference images to paragraph styles

2011-12-14 Thread Laura Fergusson
Many many thanks to all who took the time to reply, especially Roger and
Bethany who went far beyond the call of duty!

As I was wanting to apply new template styles to an existing template, I had to
keep the new styles as closely based on the original as possible, to reduce the
amount of post-editing required. So I couldn't go for the table option here.

I ended up creating two styles - one, a CautionAnchor with size 2pt and -12pt
below the paragraph. The other was Caution - which had -30pt above the
paragraph. The only post editing required is then to add in the CautionAnchor
before each caution.

Hope that makes some sense.

Happy Laura :)

Subject: Adding reference images to paragraph styles

Hi fellow Framers

I wonder if you can help.

Following on from my previous mail about templates, I'm now trying to create
some test ones in Framemaker 8 for PC.

I'm getting stuck on a particular style : Caution.

I've created a crude layout of how it should look:

x
Image CAUTION texthere texthere texthere texthere texthere texthere
texthere texthere texthere texthere
  texthere texthere texthere
texthere
xx

I want to have an image, taken from the reference pages, to indicate a caution.
When I apply the Caution style to some text, I want the image to appear as
well, so all I have to do is add the specific text. I'm pretty sure this can be
done as I used templates years ago which had this for the note, caution and
warning styles.

I do not have any side heads in my master pages and the rest of my styles go
right to the left margin. How do I get the image to appear as part of the
style? I can get the line above and below, and the rest of the style ok, but
not this part. Help!

Thanks in advance
Laura

PS I have looked online for answers but can find none.

FW: Paragraph styles not importing correctly

2011-12-14 Thread Laura Fergusson
Since posting I have managed to solve this. It still seems odd that it didn't
work the way I had it set up but I think I must have been going wrong somewhere.

I created a new Character style called "Warning" identical to "Caution" and
used it for the Warning small caps word. Once imported, that worked ok.

I reapplied the Warning icon to the WarningAnchor style and hey presto.

Sigh. The wonders of Frame.

Hi all

I have created a template which contains two separate paragraph styles:
Caution and Warning.

The basic look and feel of the two styles is the same - lines above and below,
with an icon on the left as follows:

All good so far. The template is fine, but when I Import All Formats from the
template into an existing file, BOTH Caution and Warning appear as Cautions.
That is to say, they LOOK the same (both say Caution and have a yellow icon),
even though they both are tagged correctly as Caution or Warning.
In other words, the Autonumbering for Warning is importing as the Autonumbering
for Caution: they BOTH say Caution: \t in the existing file.

Background info - in the template:

* The word CAUTION/WARNING is part of the relevant Caution/Warning
style, set up in the Autonumbering format as Caution:\t or Warning:\t
respectively. The small caps format is a Character style called "Caution" (used
for both Caution and Warning paragraph styles).

* The icons are on the reference pages as Caution and Warning
respectively.

* The line above and the icon are contained in a
CautionAnchor/WarningAnchor style - Paragraph Above is a single line (from ref
page), Paragraph below is the icon (taken from the reference pages). The Next
Paragraph is set to Caution/Warning as required.

* The line below is contained in the Caution/Warning style - Paragraph
Above is empty, ParagraphBelow is a single line.

I have tried importing into a completely blank document - same thing.
Have also tried deleting the existing Caution and Warning styles from the
existing document, then importing from the template - same thing.

Does anyone know what is going on? Is there a known issue with paragraph styles
not importing correctly? I have not seen this before in my many years of
Framemaker usage.
It is possible that I'm missing something

Many thanks
Laura

Paragraph styles not importing correctly

2011-12-14 Thread Laura Fergusson
Hi all

I have created a template which contains two separate paragraph styles:
Caution and Warning.

The basic look and feel of the two styles is the same - lines above and below,
with an icon on the left as follows:
[cid:image005.png at 01CCBA53.8901CBF0]

Many thanks

RE: Is it possible to export a FM file without including all of the conditional text?

2011-12-08 Thread Laura Fergusson
Hi Laura, I've had the same issue. I've experimented quite a bit with this.

What I eventually found worked best, was to create a PDF of the manual with the
required conditions showing. In Acrobat, I then use Export> Word document or
Export> RTF.

It's still messy I have to admit - you may need to do a quick edit of the
resulting Word files to tidy them up, but it's what I now do.

Depends really if the customer wants just the text or if they want a "nice"
version.

Hope this helps
Laura

My customer asked to have a word copy of one of the manuals. Is there a way to
choose conditional text for the manual that I want which excludes all of the
other conditional text in the final output? When exporting to an .rtf file, all
of the information gets exported, even if I'm only showing the conditional text
that I'm interested in. As a work around of last resort, I had to do a Show All
and manually strip out everything I didn't want in the final version.

There must be a better way. I've been using v7.1, but on the trial version of
10 I noticed the same thing happening. Does any one have any ideas?

Thanks in advance!

I suggest different template files, but exactly the same naming conventions

Conditional text and templates

2011-11-28 Thread Laura Fergusson
Hi fellow Framers

I've been making heavy use of conditional text in Framemaker 8 (unstructured).
Up to now, all manuals for different customers have used the one template.

I have a feeling that a new customer is about to request a customised template.
However, the content will still be very similar to the other guides I produce
for the other clients.

Is it possible to do this? That is, use one template for this particular
client, and keep the default template for the others, within the same files?

If not, can anyone suggest the least messy way to proceed? I would say 70% of
the text is common to all product variants.

Thanks in advance
Laura

Changing the color of a horizontal rule under/over a paragraph

2011-08-24 Thread Laura Fergusson
Hi Tim

I found this in FM9 web help. Is this what you're wanting to do?
HTH
Laura

Add graphics to paragraph formats
A paragraph format can include a line or other graphic that appears above or
below a paragraph. Perhaps all top-level headings in a document rest on a long
thin line.
1. On a reference page, draw or import the graphic in a reference frame, or
locate one already there that you want to use.
2. Click in the paragraph you want to change. To place a line above or
below several adjacent paragraphs, select all the paragraphs.
3. Display the Advanced properties of the Paragraph Designer, and choose
the name of a reference frame from the Frame Above Pgf or from the Frame Below
Pgf pop-up menu. All reference frames appear in the pop-up menus.
4. Click Apply To Selection.
the Frame Above Pgf and the Frame Below Pgf settings can't place graphics to
the right or left of a paragraph, you can't use these settings to place boxes
around text. Box text by using a single-cell table with outside ruling.

I'm using FM 10, Unstructured.

I can't find in the help where to change the color of the rule under a
paragraph, and I don't have my copy of Unstructured FrameMaker 8, which I
always turn to first when I have questions like this.

How do I change the color of a rule that I apply to a paragraph in the
Paragraph Designer > Advanced > Frame Above/Below Pgf?
