I can only second Rui's words. Without the great speakers and equally
awesome participants GUADEC would not have been what it was.

Also, we could not have done it without the many supporters and volunteers
before and during GUADEC for helping us so generously.

Many thanks to all of you for making this such an awesome time at GUADEC.

[guadec-list] Volunteers - general info arrival in Brno

2013-07-24 Thread Florian Nadge
Hi,
For those of you arriving on Tuesday, July 29 or Wednesday, July 30, try to
make it to one (or all) of the pre-conf meetings. There are a lot of things
to do and never enough helping hands.

Make sure, you have picked your shifts during the core days. We need both
early risers and late-afternoon high-energy people, just pick a few slots.
Keep in mind that we need about 12 people per shift. For the timetable, see
https://wiki.gnome.org/GUADEC/2013/Volunteers/Timetable

Early shifts start at 8:30 and end at lunch time. Late shifts should check
in with Jozef or me during lunchtime. The shift starts after lunch.

About the arrival, The main train station is supposed to be closed and the
alternative station is a bit off the beaten track, meaning bad to reach the
dorm from and you might want to watch your bags. If you are traveling from
Vienna, Bratislava, or Prague, I suggest you to take the StudentAgency bus,
which is cheaper, safer, faster, very comfy and usually offers wifi and
onboard entertainment. For details, see http://www.studentagency.eu/ . If
you arrive in the evening, let us know and we will try to meet you at the
bus station.

[guadec-list] Gnomies 2013 - the list

2013-07-09 Thread Florian Nadge
Hi,

As one of the many perks that come with being subscribed to the guadec list
you are now cordially invited to pick your three all-time favourite CC
movies for the Gnomies 2013, the glamorous movie night at GUADEC.

How to?
Simply take your pick from the approved list of common-license films and:

- mark your top-three with a +
- write GNOMIES in the subject
- and send it to: fna...@gnome.org

The list was handpicked by our film guru Marcel and only contains CC movies
that we can show without paying licensing fees:

Full Length Movies:
* Time Expired (93 min)
* Valkaama (93 min)

Documentaries:
* Steal This Film series
  - part 1 (32 min)
  - part 2 (45 min)
* Just Do It (92 min)
* TPB AFK (82 min)

Short movies:
* Elephant's Dream (10 min)
* Big Buck Bunny (10 min)
* Sintel (15 min)
* Tears Of Steel (12 min)

If you want to suggest additional movies, make sure they are freely
licensed and are fit for screening.

Having media support is one thing, and bending over backwards and
 begging for it is another.

We already have 3 Czech media partners. LWN is probably going to cover
 it. That makes it 4.

I am all for giving free passes, but please, lets not plaster the
website with logos of everyone who claims to be a reporter. It is
strange to have 5 sponsors and an equal or higher number of media
 partners.

Lets put matters in perspective. LWN has covered GUADEC in the past,
and are likely to do so again this year. They come and silently do
their job without asking for much in return.

LWN is far more respectable and useful for us than any of these other
media outlets that we are talking about, and we are not even
acknowledging them while we are going crazy over some lesser
 entities. I find this strange.

This is the kind of thing that may attract attendees that are not core

Re: [guadec-list] Visa section

2013-05-29 Thread Florian Nadge
Hi Rui,
My experience is that this so called letter does not help. The Czech
embassy unusually asks to see the registration conformation. Sindhu had a
very bad basically lost a lot of money because she assumed that she could
travel when she could not. Maybe we could call this letter Confirmation of
Participation or something along these lines and make clear that this is in
no way a guarantee to get a visa.

Robert,
do you think this makes sense, can you send a letter of confirmation to
help along the visa process?

Thanks,

We had this discussion in this list and with Karen. She knows about the
status of these letters. From hard learned experience. I can say that
 these
letters give the wrong impression that we can help with the process when
 we
can not. People are quite upset if they are turned down. I would rather
have a short text giving the link Robert mentioned previously.

I had a quick chat with German Poo who is in the Foundation Travel
Committee and is generally knowledgeable about these things.

He says the we can't, of course, send formal letters, which, as I
understood, are the ones that basically guarantee that you get a visa
unless you have a criminal record or something. The inviting person in
that case basically takes all the legal responsibility for the invitee
 in that case.

 That's not what we do.

What we can do is send a letter that will help people prove that they
are coming for a conference and we know them basically. It help to
prove, but they can still be turned down of course.

So, seems to me that all your gripes, Florian, are that the current
wording on the website suggests we can send out the former rather than
the latter kind of invites? That's pretty easy to change.

But I do want to do this anyway. German says that they've always
managed to do it and it does help in some cases though possibly not
 all.

Rishi and I spoke earlier and here is a summary of what we
  concluded:
   * the volunteers page is now up at
   https://live.gnome.org/GUADEC/2013/Volunteers (as per
  previous years)
** we need a mailing list to add them to, this has been
  guadec-list last
year, but guadec-local is also fine
   * the volunteer coordinator needs to be *local*
   * volunteer coordinators from the last two years need to be
  asked to help
   out
*** from 2011: Patricia Santana Cruz
  patriciasantanac...@gmail.com
*** from 2012: still tracing, got as far as Santiago
  Saavedra who has more
   information
   * the volunteer coordinator needs one phone (usually with a
  pre-paid SIM)
that can be passed to whomever is in charge of volunteers so
  that all
volunteers can get in touch with them at any point
   * the volunteer coordinator phone needs to be pre-programmed
  with mobile
contact numbers for all volunteers (this was a point of
  failure in some of
the previous conferences) - volunteers usually use their own
  phones/SIMs
because this is only in case of problems and walkie-talkies
  not working
   * list of volunteer tasks needs to be decided on
** session chairs (2 per room)
** info desk, the volunteers need to know about or have:
*** maps (usually available from the Tourist Information
  office, ask them
   for a box)
*** details of where the closest shops and pharmacies are
*** display maps of the venue (if needed)
   ** badge printing/folding (before event)
   ** evening events (parties)
   ** runners
** extras in case someone doesn't turn up (usually 1-2
  people per day do
   this)
   * do volunteers get free refreshments and registration? (as
  per previous
   years)
   * each volunteer needs one t-shirt per day, extras must be
  available
   * there must be a volunteer debriefing before the start and
  after the end
of each conference day - especially important on the first
  day
   * ideally, all volunteers must arrive at least the day
  before the
conference starts and have a full tour of the venue

   Considerations for timetabling volunteers:
   * Full day of work is better than an hour here and there
   * People who do volunteering during the day should not be
  volunteering the
   same evening
   * Try to timetable volunteers according to what *they* want
  - it looks
really bad if a volunteer misses out on a talk that they
  want to see
because they are having to do something else

I would very much like to encourage them to volunteer
  to
help out at the conference. For this, I need some link
  or information
about
who they need to contact to volunteer.

Shouldn't they just be contacting you? :-)

No, as I haven't volunteered for it :) I will, of course,
  help however I
can, but the coordinator really needs to be a local so that
  they are well
acquainted with the venue and can speak the local language.

These are all very good points, Kat, thanks for raising them.

  Being local

   that can happen?

Rishi and I spoke earlier and here is a summary of what we concluded:
  * the volunteers page is now up at
  https://live.gnome.org/GUADEC/2013/Volunteers (as per previous years)
** we need a mailing list to add them to, this has been guadec-list last
year, but guadec-local is also fine
  * the volunteer coordinator needs to be *local*
  * volunteer coordinators from the last two years need to be asked to help
  out
  *** from 2011: Patricia Santana Cruz patriciasantanac...@gmail.com
*** from 2012: still tracing, got as far as Santiago Saavedra who has
 more
  information
  * the volunteer coordinator needs one phone (usually with a pre-paid SIM)
that can be passed to whomever is in charge of volunteers so that all
volunteers can get in touch with them at any point
  * the volunteer coordinator phone needs to be pre-programmed with mobile
contact numbers for all volunteers (this was a point of failure in some
 of
the previous conferences) - volunteers usually use their own phones/SIMs
because this is only in case of problems and walkie-talkies not working
  * list of volunteer tasks needs to be decided on
** session chairs (2 per room)
** info desk, the volunteers need to know about or have:
*** maps (usually available from the Tourist Information office, ask them
  for a box)
*** details of where the closest shops and pharmacies are
*** display maps of the venue (if needed)
  ** badge printing/folding (before event)
  ** evening events (parties)
  ** runners
** extras in case someone doesn't turn up (usually 1-2 people per day do
  this)
  * do volunteers get free refreshments and registration? (as per previous
  years)
  * each volunteer needs one t-shirt per day, extras must be available
  * there must be a volunteer debriefing before the start and after the end
of each conference day - especially important on the first day
  * ideally, all volunteers must arrive at least the day before the
conference starts and have a full tour of the venue

  Considerations for timetabling volunteers:
  * Full day of work is better than an hour here and there
  * People who do volunteering during the day should not be volunteering
 the
  same evening
  * Try to timetable volunteers according to what *they* want - it looks
really bad if a volunteer misses out on a talk that they want to see
because they are having to do something else

I would very much like to encourage them to volunteer to
help out at the conference. For this, I need some link or information
   about
who they need to contact to volunteer.

Shouldn't they just be contacting you? :-)

No, as I haven't volunteered for it :) I will, of course, help however I
can, but the coordinator really needs to be a local so that they are well
acquainted with the venue and can speak the local language.

These are all very good points, Kat, thanks for raising them.

Being local with a decent knowledge of Czech (ehm), I am happy to
help out with the volunteering, but I would prefer somebody with real
experiences in this field to be the coordinator, preferably someone
actually studying at FIT VUT. Do we have such a volunteer?

 Cheers,
 Petr Kovar

The faculty can provide the internet connection for non commercial

Technically, the rooms are covered with wifi. The ethernet connection
should be possible. We have to discuss this with our network
 administrator.

[guadec-list] News from the GUADEC coordination team

2013-02-05 Thread Florian Nadge

Hi,
so as promised here are the latest updates on GUADEC - Brno 2013.

This update contains info on:

- Mailing lists
- Irc channels
- Roles
- Venue
- Accommodation
- Events

MAILING LISTS:

All of the the members of the local coordination team should now be
subscribed to these lists. We are sorry if any of you have been
subscribed twice.

Petr (pmkovar) is now the owner of the mailing lists.

- guadec-list Community list for GUADEC organisation
- guadec-local Forum for the local GUADEC team

IRC CHAT:
We have started to use the following irc channels:

Chan. : guadec-planning, guadec

Server: irc.gimp.net

It might be a good idea to join at least the guadec-planning channel to
follow our regular irc meetings.

ROLES:
For the time being, we have defined the following roles but will add
more people as needed:

- cschalle: sponsorship, etc

- fnadge: venue, accommodation, lunches, social events, team coordinator

- imlich: coordination with FIT VUT

- rtcm: webmaster

- rishi: feedback from paper committee, work on videos, etc

- bancinco: translations (intern)

- pmkovar: mailing lists

- msivak: general support, contact for Superlectures video editing services

- jeischman: general support

- jsteiner: design

- robert kratky:Liberix

VENUE:
The Technical University asked us to sign a contract with them that
defines room number, agreed conditions, and occurring costs for
electricity and technicians.

Jakub Mlich (imlich) and fnadge have outlined a plan for the number of
rooms needed during the conference:

For the conference days, we have reserved four large lecture halls and
four smaller rooms for admin and smaller meetings.

For the hackfest days, we have reserved twelve smaller rooms with
capacities between 20 and 50 people per room. We were promised
flexibility in case we need more or less rooms.

ACCOMMODATION:
We have secured Kolej Josefa Taufera as the main accommodation for the
conference. They offer:

420,- CZK per night/per person, single room (1 person)

310,- CZK, per night/per person, twin room (2 persons)

Breakfast, running buffet 100,- CZK per person/per day

The large lobby offers WiFi and many comfortable armchairs, ideal for
hacking and chatting. Each room has its own internet connection. People
might need a reminder to bring cables.

Traveling to the conference venue takes about 12 minutes by public
transport or 25 minutes walking.

Unfortunately, there is no bar but sandwiches are sold at the reception
and a wending machine is stocked with snacks. There is a pub on the same
block offering food until 11 p.m. and more pubs and restaurants are in
the vicinity.

For details and two photos, see: http://www.skm.mendelu.cz/kolej_TAK.php

EVENTS:
The university offered us to use the venue for the welcoming party. If
the weather is good we might even use the beautiful court space.

Other ideas that come to mind are a boat trip at the Brno Ohrada, there
are few restaurants with the capacity for around 200 - 300 people at the
various stops.

If we get the sponsoring for it we could also use again the technical
museum. We have used this place once before for a party and it was an
unforgettable experience.

For details, see http://www.technicalmuseum.cz/lang/en/

I liked the public swimming pool Dobrak, which is just across the street
from from the dormitories. They have a beach volleyball area as well, if
you are asking about the GNOME sports day.

I think the first option, Koleje pod Palackého vrchem, is just a round 300
CZK below the price of Avanti.

However, Avanti, it seems, can't take more than 200 people and we wanted to
have everybody stay at the same place to create a more self-sustained
community.

The second place, Kolej Josefa Taufera, is far cheaper (420 CZK for a
single and 620 CZK for a twin room). I also agree with Vlaimir that it is
much better located. Today, we timed the way to the venue, which was 12
minutes. Walking distance would probably be around 25 minutes.

 120 CZK per person

are very nice and tidy. Also the prices are considerably lower than
 those of other dormitories.

 Prices per rooms are between

420 CZK per night/per person, single room/twin room used by one person

 Breakfast is available for:
100 CZK - large continental breakfast
70 Czk - small breakfast plate, 1 bread roll cheese and cold cuts, a
 cup of coffee or tea

 Number of rooms:

 single rooms: 49
 twin rooms: 251
triple rooms: 86 (maybe used as twin rooms)

Attached are a few photos I took earlier this morning at Kolej Josefa
 Taufera.

Please let me know your feedback before February 10.

Internet connection is free of charge. Each room has its own internet
connection, the spacious lobby has WiFi.

 Thanks,

Hmm, this is more expensive than what we're paying right now in hotel
avanti for devconf.cz - Avanti has around 100rooms, we're using at least
60 of them. All double bed rooms. Jirka E has the latest price estimates.

I think the first option, Koleje pod Palackého vrchem, is just a round 300
CZK below the price of Avanti.

However, Avanti, it seems, can't take more than 200 people and we wanted to
have everybody stay at the same place to create a more self-sustained
community.

The second place, Kolej Josefa Taufera, is far cheaper (420 CZK for a
single room and 620 CZK for a twin room). I also agree with Vlaimir that
it is much better located. Today, we timed the way to the venue, which was
12 minutes. Walking distance would probably be around 25 minutes.

 Hi all,

 +1 for Kolej Josefa Taufera,

 definitely reasonable price
closer to restaurants (Selepova, Zelena Kocka, Hacienda Mexicana,
 Paladeo, Na Purkynce, etc)
 close to Red Hat
 closer to town center

can that breakfast room be used during the day as a collaboration space?
 is it covered with wifi?

The breakfast room will unfortunately be closed during the day, but there
is a large lobby lots of comfy armchairs that has WiFi. I guess we could
get more chairs and tables in there there to work on.

those prices in Palackeho are crazy. You can buy nice hotel for two for
1200 with breakfast here in Brno.

 thanks,
 Vladimir
