Thanks all, I appreciate knowing that this is proven to work by
experience. Backup backup is my mantra, and being able to take my info with
me will be great. I esp. like Dennis's idea of naming the portable drive X
as I am often confused when the computer starts assigning E F G to my USB

with great results.  I never get confused as to which file contains my

If I want to use Legacy on a desktop and a laptop, is it better to keep the
data files on the desktop and move them to a portable drive for access by
the laptop? Or is it just as useful to keep the data on a portable hard
drive and access it off either computer? I can't find a reference to this
scenario I the manual and would appreciate ideas.

Regarding scanning... I have been advised to use TIFF files as archive
copies and then Save As or Convert to JPG files for cropping, enlarging,
etc. Evidently JPG loses information with each Save and is not as useful.
The TIFF files are large, however.

For multiple page documents, I discovered a great file type called
MULTI-TIFF. This creates multi-page TIFF docs that are readable on both
Windows and Mac. I open the file in a little shareware program called XnView
and do a batch conversion to make indiv pages into JPG. The program
renumbers each one by original file name with _page_001; _page_002  etc. 

This allows me to have good archival TIFF files, and smaller jpgs too. 
Other programs such as Adobe Elements will also convert TIFF to JPG.

I am becoming a Scan Queen!

You Are correct  just identify the document 2A and 2B   My father 
military documents is 462 pages longer

Steve, on using old letters as sources. . . I have the same situation and am
handling it in this way. 

I treat the letters as part of the Family Papers. These are filed and stored
together, not mixed in with my other research or documents. I purchased
archival folders, one per letter. Because I am dealing with hundreds of
letters (and don't want to go broke) I using archival paper folders grouped
inside a sturdier archival manila file. 

 

1. First each letter is opened and placed with the envelope in the folder.
On the top of the folder I write (left to right)

Date of the letter/File No. [more about this below]/Name of author to Name
of Recipient.

 

File Number is just a numerical digit based on which letter is in my hand. I
have to do it this way because of the quantity I am dealing with. If you
have a limited number, you could organize by date to begin with but I would
still give each piece a control number. I start the number with an alpha
character b/c I also have photos and other documents I file. My numbers look
like this:  for letters  AAK-L001,  AAK-L002  etc; for photos AAKP-001,
AAK-P002 etc. AAK are the initials of my family archive. 

 

2. Next step is to scan the letter and save it a Multi-Page TIFF file with
the File No. as the filename.

 

3. Then, I take the each letter and enter it in a database. Again, you could
use an Excel spreadsheet, a chart in Word, Clooz, or a full database. The
key is to create a list of all letters with the primary info.  I have
created fields for my research beginning with File No., Letter Date, To,
From, People mentioned, Places, etc. followed by a full-text transcription
of the letter. This could be done also in individual Word docs, but I want
to be able to search the full-text of all letters at one time, hence the
need for a database. 

 

4. Last, when a letter has information I want Legacy to know about I enter
the letter in Legacy as a Master Source and cite the information itself for
the individuals concerned. For some people it is merely a residence, but
sometimes it is birth, death, or other vital information.

 

This may sound overly complicated, but I think it is important to preserve
the originals and then work with them. Hope this helps,

I would record the letters as sources, transcribing the contents in the text
field or scanning them and attaching them as pictures, or both.  The letters
probably contain information about various family members which you would
enter for those individuals and use the letter(s) as sources.

Mike, I like the idea of putting the version number first to assist

I have a number of very old letters from my G/Parents that I would like to
document somehow in a general area as distinct from an individuals notes if

Clooz as a possibility but would like to try and keep everything within
Legacy to avoid another avenue for a mess to sort out latter, I'm having
enough fun with what I have without creating anything else.

Ugh, sounds like I really have a problem. I also discovered that my Mirra
Personal Server has coincidentally (??) failed and is now a piece of scrap.
It last backed up my files on Friday May 9, and the next day I scanned about
40 multi-tif documents. Truly, it is enough to make one become a Luddite.

Thanks for the clear tips of how to limp along for now. My files are on a
laptop, thus the plan for a portable hard drive. Maybe I should switch to a
desktop?

If you really are running out of hard disk space, a portable hard drive is 
the least of your concerns. Your computer itself will start acting really 
flaky if you have less that 10% free space. Here are a few things you need 
to do ASAP.
1. Empty the Recycle Bin
2. Clear the Internet Explorer cache (in version 7 it is Tools_Internet 
Options_Browsing History - click delete, and then delete all (checking the 
box to also delete things from add-on programs) While in the options, also 
click the Settings button in Browsing History and reduce the size for the 
stored files to something reasonable like 60-90 MB.
3. Clear out the Windows temporary files

Note: Much of the above can be automated. I like to use a program like 
CleanUp! found at http://www.stevengould.org/index.php , but do a custom 
cleanup and check the settings so you do not delete things you want to keep,

such as newsgroup subscriptions. It will not change the storage options


4. Uninstall any programs you no longer need.
5. Clear out old, unused files from My Documents, My Music, etc.
6. Run the Windows disk cleanup utility, which will also compress some files

so they take up less space. Start_Programs_Accessories_System Tools_Disk 
Cleanup.
7. Defragment the drive.

Finally, consider having a computer tech clone your existing HD onto a 
bigger one, then reformat the old drive and move your multimedia files onto 
it, if there is room in the case for a second drive, or a portable one if 
not. I couldn't tell from your message if the computer in question is a 
laptop or if you *also* have a laptop.

Thanks, John, for the tip on temp files. I will check it out. I am using a
newer Dell laptop, so I think a Portable Drive will be my best bet. I don't
know if I have the stamina to complete this project, however, it is very
time-consuming.

I am making multi-tiff files for archiving purposes, then jpg for sharing.
Next week my high school students will be transcribing the letters as part
of a spring special project -- I am calling it Reading Women's Lives as
the letters were to/from my gmother's family. Should be very exciting.

Before buying anything, check whether your scanner creates temptorary
files during scanning and never deletes them.  I've used a Visioneer One
Touch scanner that creates a 25MB or larger temporary file in C:\Documents
and Settings\your-user-id\Local Settings\Temp\OneTouch for each page
scanned - but *never* deletes them.  This will rapidly fill a hard drive -
50 scanned pages * 25MB/page = 1.25GB in temp files, plus the size of the
files you named and saved.

Yesterday, in the midst of scanning multi-page tiff images I drew the
dreaded message -- you are running out of hard disk space.  Obviously, I
have to do something for my image files. I plan to buy a portable hard disk
to hold scanned images to use with my laptop. My question is. . . if I want
to link these files to my Legacy individuals, should I put my Legacy files
on the portable drive as well? Or, will it slow things down too much? Would
I run the application itself from the portable, too; or, leave the app on my
main C Drive, and just put the data on the portable?

I should say that I am using these images with a database program, and also
with Clooz.

[LegacyUG] Report Showing Brothers/Sisters

Is it possible to print a report that shows parents as well as siblings? I
can't find what I am looking for in the Report Menu, but perhaps I don't
know the right term. I would like to be able to keep track of the entire
family groups. Something like a Pedigree Chart that includes siblings..
