[LegacyUG] Searching for FHL film numbers in to-do list

2008-08-07 Thread Jennifer Trahan
Does anyone know if there is a way to search for FHL film numbers in the
description section of an individual To-Do task? I would like to create a list
of all the individual to-do items for each microfilm number. That way, I can
tag all the indiviudal to-do tasks and create a to-do report with just those
tasks when I go to view the film at my local FHC. So far, I have not figured
out a way to search the to-do list. Currently, I keep track of every individual
to-do task with an FHL film number in Excel as well as in my Legacy database.
In Excel, I can filter by film number and tag those to-do items in Legacy to
print my to-do report. However, I would really like to not have to use Excel to
do this because it requires double entry of to-do tasks. Maybe there is no way
to do what I'm wanting to do, but I just wanted to double check with other
users.

2008-08-07 Thread JLB
It does seem odd that all the To-Do fields got left out of the Search
options. The only place I've seen it is under Search Replace and that
won't help you. There are a few Filter options in the To-Do list itself
but not ones that will help you either.

Re: [LegacyUG] Searching for FHL film numbers in to-do list

2008-08-07 Thread Bruce Jones
If you are willing to modify your ToDo items, you could put the FHL film
number in any one of three places and then select just that film number.
These places are the Category, Locality, Repository.
Using any one of these you can get a (customized) ToDo report for either
just the selected (Category, Locality, Repository) or for all TjoDos sorted
by (Category, Locality, Repository).
The advantage of Repository is that you can get ToDos for more than one
Repository without getting all ToDos by tagging the desired Repositories
whereas with Category Locality it is just one or all.
It doesn't get you what you want without some work, but could be useful for
all new ToDo items.

Re: [LegacyUG] Searching for FHL film numbers in to-do list

2008-08-07 Thread Jennifer Trahan
Bruce,

Thanks for the advice. That could probably work for repository b/c if I see a
number in that field, then I'll know the true repository is FHL. I may try that
with new ones. I think I heard awhile back of someone putting a general to-do
item with the film number as repository and listing all the people in the
description tab. Of course, I kind of like the to-do sheet Legacy prints for
each individual b/c it has enough room to take notes. I don't think one to-do
sheet with 50 people on it would have enough room to take notes. So I think I
will go with your way. Thanks again!

Re: [LegacyUG] Searching for FHL film numbers in to-do list

2008-08-07 Thread Dee
I put the film number in the description. It shows on the Legacy home page
in my To Do's with a due date, and lets me see groupings. However, I really
like the idea of the repository as well!
