[LegacyUG] Keeping track of attached documents
I have scanned, several hundred events (obits, wills, marriage/death certificates etc) over the years. I've been organizing them of late and have them stored in one folder rather than scattered all over my HD in various places. I started attaching a few to the respective individuals in my Legacy database (via the Picture Gallery icon). Thankfully, before I went too far it dawned on me 'how do I find those with obits in the future'? Right now they show up, along with photos of the individual, when I click on the Picture icon. Photos are stored in a separate path/folder; documents in another path/folder - both paths noted in CUSTOMIZE/LOCATIONS. I don't want to link all these documents to the individual only to find I can't locate those with specific document at a later date for a report. Am I wrong in linking these to the individual using the Picture Gallery option? How should I do it if this is not the proper option? I'm not sure what you mean by [can't locate later for a report]. If you use a picture from the Picture Gallery to print in a report, reports, at best, will only print one for each person, not all of them. What I have in mind, down the road, is being able to query the Legacy database and isolate those individuals that I've attached a document to (i.e. those with obits, those with marriage license, etc) and be able to make a report. Right now, I don't know if/why I might want to generate a report. But, as a retired IT Sr Systems Analyst it never hurts to plan ahead and be prepared! With several hundred documents already scanned and stored I'm not much inclined to TYPE a transcript version into Legacy! Further, I don't see a way of including attached documents in any reports...photos (and anything in the NOTES section) are the only thing that shows (in the Family Group Report and Individual Report). Appears that the only way attached documents are visible is when viewed/opened on screen. But having them attached in Legacy means you always know you've got them when they're needed! The advantage of typing them is for the content to show up in Reports. If I type out an obit (and it's not that hard) it becomes part of a report for that person. What's the point otherwise? Printing photos of source documents in the Legacy reports, where that's an option, will give you a small thumbnail, not a full size document that anyone could read anyway. Having the images attached to Legacy makes them immediately available for viewing. Using Word from Office 2007 for rtf version. Pdf version shows all expected images. Jan, Your PDF result is expected and the Word/Office 2007 result is not unexpected, although I believe I have heard that some versions of Word may allow images (I am unsure as I do not use Word).
