Re: [LegacyUG] Make a Focus Group

2014-10-18 Thread aparsons
Cathy,
Thank you for your support. I was ready to give it up. I have been trying
to do this since the middle of Sept. I have used Legacy Deluxe since Feb.
1999 and Standard before that. I don't ask for help on this mailing list
unless I have no other choice as I am rather thin skinned. I could never be
a politician. Before writing I had printed out the Focus Groups from help.
Searched the Archives for Focus Groups & printed what I thought might
apply. I did click the help button on each screen thinking it might have
better "how to" than the general help that I had printed out (it did have
more).

"Two comments on your attempt to create a focus group AND export that group
to a new family file - I think that's what you are trying to do - have a
new family file for part of your family. It's good to be able to do this
but it's much easier to work with just one family file for yourself and
then export bits for other people."
A cousin lost all his Legacy files when he went from Win XP to Win 7 or 8.
He asked me to send him my Huddleston file.

"When you create the focus group, you choose the starting person and then
click Individual and Descendants - and then choose Descendants (not the
Entire Descendant Line).
This will give you only direct descendants and their spouses for as many
generations you choose."
I did this.

"You say you got a message that there were no records to export. Earlier
you mentioned that you had a file with nobody in it. Are you sure you
weren't in that file when you tried the export?"
I don't know, by this time I had worked on this for several weeks, I don't
know what I did.

"When you export, if you only want to export the focus group, then you must
say so and not choose all records for the entire family as this will give
you a copy of your entire family.
You need to choose the next option - Selected records contained in the
focus group."

Yesterday following Sherry & Jim's advice I got this far. This is where I
made a mistake. I ended up with my entire file.

I have printed out your message, and will see if I can get rid of the file
with everyone in it. Then give it another try.

I appreciate you!
Ann

Re: [LegacyUG] Make a Focus Group

2014-10-17 Thread Cathy Pinner
Hi Ann,
I'm not sure that you had sorted out your problem completely from what
you said.

Two comments on your attempt to create a focus group AND export that
group to a new family file - I think that's what you are trying to do -
have a new family file for part of your family. It's good to be able to
do this but it's much easier to work with just one family file for
yourself and then export bits for other people.

When you create the focus group, you choose the starting person and then
click Individual and Descendants - and then choose Descendants (not the
Entire Descendant Line).
This will give you only direct descendants and their spouses for as many
generations you choose.

When you export, if you only want to export the focus group, then you
must say so and not choose all records for the entire family as this
will give you a copy of your entire family.
You need to choose the next option - Selected records contained in the
focus group.

You say you got a message that there were no records to export. Earlier
you mentioned that you had a file with nobody in it. Are you sure you
weren't in that file when you tried the export?

Another query checking I'm understanding what you said. "it brought up
on the left side a huge list of names and on the right a shorter list of
Immediate Relatives. "
The Search List is like the Name List. The Name List has everyone in
your file, the Search List has only the people specified in the Search -
in this case the search was for members of the Focus Group. On the right
there are various tabs that enable you to see all the information you
have about the highlighted person on the left. You appear to have had
the Family Tab on top on the right.

Ann, for a time you might want to make a habit of clicking the Help
button on every screen you open so that you learn more about the options
in Legacy you are using. When you're learning, the Help is sometimes
helpful and sometimes not as you don't quite understand it. Do keep
asking questions here when that happens.

Hope that helps a bit,
Cathy

Re: [LegacyUG] Make a Focus Group

2014-10-17 Thread aparsons
Thanks Sherry and Jim. I did print out the Focus Group from Help. This was
before I asked for help on Oct. 9th. Also as I was doing the various steps
I would access Help to see if there was more detailed info. (there is).

I have the Focus Group printout in front of me. My copy doesn't mention
going to Search > Miscellaneous tab and select Focus Group. Then Create
List. Thanks for telling me this.

I just did this, it brought up on the left side a huge list of names and on
the right a shorter list of Immediate Relatives. It worked!! This isn't
what I thought it would be, I thought I was going to get the Direct
Descendants only.
I did the File > Export to > Legacy File. It asked for a file name I called
it Test Two. Saw the Option Window, selected all records for entire family,
clicked Start the Export. Saw AutoSource Reminder, selected Don't Assign a
Source. Saw "There were no records to export, click ok.

Sherry I am very sorry I have to keep bothering you folks but I don't know
where else to ask for help.

re: [LegacyUG] Make a Focus Group

2014-10-17 Thread Jim Terry/Support
Ann,

The Save and Load buttons in the Focus Group screen and only for saving and
reloading the selections/options you chose for determining who will be
exported file or included in a report. It is not the exported file or
report itself.

Re: [LegacyUG] Make a Focus Group

2014-10-17 Thread Sherry/Support
By creating at Focus Group, you're not creating a new file. You're only
creating a list of individuals within the file you're searching.

It might behoove you to read the Help topic on Focus Groups - click on the
Help button when you're in the Focus Group window for this information:

*Saving a Focus Group*

Legacy lets you save up to nine different *Focus Group* *Lists*. To
save a *Focus
Group* after building it, click the *Save* button. The *Save Focus Group*
window appears. Select one of the numbered lines, enter the name for the
group in the box at the bottom of the screen and click the *Save* button.

*Loading a Focus Group*

Any saved *Focus Group* can be loaded back into the regular *Focus Group*
window by clicking the *Load* button. When the *Load Focus Group* window
opens, select the desired *Focus Group* and click the *Load* button. The
group is loaded into the *Focus Group* window.

This basically saves and loads your Focus Group selection but doesn't
create a new file to open in Legacy.

To view the individuals in the Focus Group, you need to go to Search >
Miscellaneous tab and select Focus Group. Then Create List.

To export to a new file, go to File > Export to... and select the gedcom
option if you're sharing this with someone who has a different genealogy
program or uploading to a website that asks for a gedcom or select Legacy
if you want to create a new Legacy file to share with someone or have your
group in a separate file.

Sincerely,
Sherry
