Sorry the issue was we did not have quorum and did not announce the meeting. So it could not count as the annual meeting. The Treasurer's report is finished (a big part of these sorts of things) and we can have an annual meeting. Anyway, the plan was to have an online annual meeting, which is possible according to our bylaws. As for SotM-US that is dependent on people willing to organize. Though the event was smaller than SotM it still was a major undertaking. Thea Clay did the majority of the work while she was working for Cloudmade. It would require a larger volunteer effort to do it this year. Though we could certainly start a bidding process to look for possible venues. The bylaws say a quorum shall be determined by the Board of Directors prior to any such meeting or at least 10. What number has the Board chosen? Anyway, the plan was to have an online annual meeting, which is possible according to our bylaws. Is this planned to happen this month or next? I'm having trouble finding any information about the elections for the OSM US chapter, though people have already started to add nominees: http://wiki.openstreetmap.org/wiki/Foundation/Local_Chapters/United_States#Elections_for_2011-2012_Board When is the election? bylaws say At the first organizational meeting, whenever that happened or will happen What are the procedures for voting? What is the expected or desired commitment from board members? Can current board members run again? I have many other questions unrelated to the election like: Where are the minutes (or summary if minutes aren't approved) from the 21 April, 2011 meeting? Where are the financial reports? What assets does the Chapter have? e.g cash, investments, servers and other hardware Who administers the server resources? (Ian and ?) Will administration of the servers change after the election? What are Chapter servers being utilized for now? What are the ongoing operations and maintenance costs for the servers? What projects are going on now or will be started after the election, and what are the financial commitments? How many members are there? Has the Technical, Education Student Outreach or US Tagging working groups ever met? There has been some informal talk about when the elections are coming up. I think with SOTM this year, things have been more focused on that than the elections. I'm not a member of the board, although I am running this time around, but this is my understanding of the questions: - Where are the financial reports? - The secretary most likely has these, if they are published, I'm not sure how current they are - What assets does the Chapter have? e.g cash, investments, servers and other hardware - The cash number would probably be in the financial report, there are servers and some schwag - Who administers the server resources? Currently they are serving http://openstreetmap.us/ and http://toposm.com/. I'm attempting to get a rendering database set up but it's taking longer than expected. The virtualization system we set up has a greater IO impact than I expected. What are the ongoing operations and maintenance costs for the servers? Currently $0.00. All ongoing costs are donated. What projects are going on now or will be started after the election, In terms of projects utilizing the server hardware: - Near term: I'd like to get Richard's shields overlay rendering and start working with people interested in getting a US-specific rendering going. - Longer term: I'd like to find storage for helping service aerial imagery, try to get another JXAPI instance going, and start implementing alternative OSM APIs for people interested in mapping stuff that wouldn't otherwise fit into OSM (e.g. historical maps, Burning Man, etc.) and what are the financial commitments? How many members are there? There are currently 19 paying members. Has the Technical, Education Student Outreach or US Tagging working groups ever met? I feel like there must be some mailing list or Google Group that I don't know about for me to be missing this much information. Another barrage of questions The wiki says that the 2011-2012 election is coming up soon. How is this being organized and when is it actually going to be? The system that was set up last year worked pretty well. I think it was surveymonkey run by some independent (Apache?) observers. Is it possible to do this again? If so, what needs to be done? I know that at one point getting 503(c) status was a goal of the organization. Did this ever happen, and if not, what needs to be done? One thing I would like to see with the US servers is one set up to make extracts, especially for major cities and metro regions. Even the state ones can be rather unwieldy. Assuming others think this would be useful how do we go about setting something like this up? And last but not least has anyone started thinking about the next SOTM-US.? If the main SOTM is going to be in the August-September timeframe it might be a good idea to try and offset ours. For instance, aim for March so they aren't taking place one directly after the other. I threw this idea around some at SOTM Denver and it was well recieved but If we want to do this we'll need to get started planning it pretty soon.
