Re: [Wikimedia-l] Call for Proposals to Host Wikimania in 2020

2018-10-05 Thread Ellie Young
Chris,

Just to followup on two points in your last communication:

We are doing a post-conference feedback survey and report this year with
the Learning & Eval
people here so that we can measure impact and also have more data year to
year going forward.
Stay tuned for that later this year.

The Steering committee has also expressed preference for moving the
conference around as
you indicated below but it isn't a hard and fast 'rule'. For 2020 there
is a preference stated in
the call for proposals to get proposals from Asia/Pacific. Of course the
final recommendation will be based on
the strongest proposal per the criteria. The committee is advisory and
makes a recommendation to
the WMF, who is responsible then for further vetting and funding. We
will be revamping the
Wikimania Handbook in the future and will try to clarify issues like this a
bit more.

Great discussion/points Andrew and Chris... thanks

[Wikimedia-l] [Wikimedia Announcements] Wikimania 2018 in Cape Town

2018-04-02 Thread Ellie Young
*Hello all,We wanted to share the latest news on Wikimania with you.We are
very excited to be hosted by Cape Town for Wikimania 2018 in July. As you
may know, Cape Town has been experiencing a drought for some time; the
Foundation and Wikimania organizers have been carefully monitoring the
situation. We have looked at a range of options and will continually assess
the situation to ensure that we both support the local community and manage
our ability to host an outstanding event. We have created a page on the
Wikimania wiki to track developments.[1] “Day Zero”—the day city water was
meant to run out—was pushed back by several months to reflect the
effectiveness of the ongoing campaign to save water, and has most recently
been indefinitely postponed thanks to efforts by the citizens of Cape Town.
To help conserve water we will be asked to: - Take short showers.
Visitors and residents alike are asked to limit their showers to two
minutes (120 seconds).- Flush only when necessary to dispose of solid
waste.- Use hand sanitizers instead of washing hands after bathroom
visits.- Don’t leave water running. For example, when brushing your teeth
use water in a cup to rinse.Although attendees will be asked to save water
as much as possible, the hotel assures us it has a secure water supply that
is both administered separately from the city's system and drawn from
multiple independent sources (including groundwater and desalination).
While the drought will impact our comfort, we will have plenty of water to
meet our needs for hydration and sanitation. We will strive to be cognizant
of the impact our presence has on the city’s water supply. It is clear that
the city is eager to have our presence.[2] Cape Town is highly dependent on
tourism, which will help fund the infrastructure the city needs to deal
with ongoing challenges of water conservation. Our presence will also have
a positive impact on other organizations hoping to hold their events there
as well. We will continue to closely monitor the situation, but at this
juncture we are committed to holding Wikimania in Cape Town. Holding
Wikimania in Cape Town provides us the opportunity to show we are truly a
global movement. The water crisis currently faced by Cape Town is an issue
that will soon affect cities and people around the world, so there are
valuable lessons even as we join the local community in their conservation
efforts. Perhaps most important is each person’s commitment to respect for
our host city, and eagerness to attend at this time in service to that
community. Wikimania is an exciting but stressful event and there are going
to be additional stressors, please consider that when making travel
decisions. For those accustomed to unrestricted water, this may challenge
you and we strongly suggest you make the decision whether to attend with
full information about the restrictions, and understanding about how they
may affect your visit.[2] We very much hope you will choose to join us, but
of course, no one is required to attend. If you have any questions regarding
Wikimania, please send them my way. We expect to announce the program by
early May.Best regards,Ellie YoungWikimedia Foundation Events Manager[1]

[Wikimedia-l] Wikimania 2019

2018-02-06 Thread Ellie Young
*All,On behalf of the Wikimania Steering Committee and the Wikimedia
Foundation, I am pleased to announce that we have decided to have Wikimania
located in Sweden in 2019. The proposal
 from the
Wikimedia Sweden chapter was accepted. The committee appreciates and values
the long standing interest of Wikimania Sweden to host an event, and we
believe that hosting Wikimania will be an opportunity to boost Wikimedia
projects there with a specific focus on public art, a field in which the
Swedish Sverige team has been particularly active. The exact location of
the conference will be confirmed at a later date. The Wikimania Committee
reviewed and discussed four very strong proposals
 to host Wikimania in 2019.
We would also like to thank the proposers from Sweden, Armenia, Perth, and
Prague for all their efforts in putting together materials for our
consideration and their time spent discussing the possibilities. It is very
encouraging to have so much interest from our community from individuals
who wish to lead and contribute to Wikimania. Please join us in
congratulating the Wikimedia Wikimedia Sverige!

[Wikimedia-l] News regarding Wikimania 2018

2017-01-10 Thread Ellie Young
All,

On behalf of the Wikimania Steering Committee and the Wikimedia Foundation,
I am pleased to announce that we have decided to explore having Wikimania
2018 located in Cape Town, South Africa. It would be hosted by a team
<http://wikimedia.org.za/wiki/Wikimania_2018_team> led Douglas Scott with
support of the Wikimedia ZA chapter and the WMF. The proposal will be
further vetted by the WMF staff in the coming months, after which time we
hope to confirm the award.

This past Fall there were a total of four teams
<https://meta.wikimedia.org/wiki/Wikimania_2018> that expressed interest in
hosting in 2018. We would also like to thank the people from South
Africa, Armenia, Thailand, and Perth for all their effort in putting
together materials for our consideration and their time spent discussing
the possibilities. As a volunteer-led movement, it is very encouraging
to have so many who want to support Wikimania.

Please join us in congratulating the South African team. If any of you
would like to get involved or have questions/suggestions, please
contact Douglas
Scott douglas.i.sc...@gmail.com

Sincerely,

Ellie Young

This is what we were using for the past few Wikimanias. It is public.
I reference it in the recent posting as well. I will be updating this
since we are no longer doing the competitive bidding process but it does
have a lot of information and is pretty accurate.

Regarding Wikimania goals and strategy, I'd like to suggest that WMF take a

WMF funds with a grant this conference and works closely with WMDE.
There was a proposal a couple of years ago to have a paid program and
events coordinator who would provide continuity year to year and liaise
with other conferences/groups. There is also paid meeting planner as well
as staff support from the WMDE itself.

We started that in London and Mexico City Wikimania with my position and a
paid local coordinator (Esino Lario was an exception where the local team
received a grant and handled pretty much everything.)

Re: [Wikimedia-l] LGBT+ safety considerations for conference venues

2016-10-17 Thread Ellie Young
Yes we are doing a review and I can vouch that issues like this will always
be a part of the criteria when selecting a venue. In most of the recent
Wikimanias the selection committee and WMF have included the security of
our LGBT community as one of the criteria when considering bids.

Another critical issue that you mention below when deciding what to do for
future Wikimanias is whether the conference in its present form (program,
location, etc.) is serving the community and WMF. That is a longer
conversation that I hope we can continue to have and make some progress in
the near future.

[Wikimedia-l] Outcomes from the Consultation on Wikimedia movement conferences/Wikimania

2016-02-08 Thread Ellie Young
The Community Resources team at the WMF recently held a consultation
<https://meta.wikimedia.org/wiki/Grants:IdeaLab/Towards_a_New_Wikimania>
on articulating the value of Wikimedia movement conferences overall, the
unique value of Wikimania, and what new form Wikimania could take to better
serve the movement going forward. We have completed analysis of these
results and have prepared this report:

https://meta.wikimedia.org/wiki/Grants:IdeaLab/Towards_a_New_Wikimania/Outcomes

I will be working with the community, organizers, committees, and WMF in
2017 to begin set up and planning for an experimental model for Wikimedia
movement conferences, including Wikimania, starting in 2018.

Feedback and comments are welcome at the discussion page
<https://meta.wikimedia.org/wiki/Grants_talk:IdeaLab/Towards_a_New_Wikimania/Outcomes>
Thanks to all who participated!

Dear Colleagues,

I’m writing to seek your feedback on the consultation to improve Wikimania,
open until 18 January 2016. If you have already contributed, we are most
grateful.

The goals are to (1) build a shared understanding of the value of Wikimania

community input on what new form(s) Wikimania could take (starting in
2018).

https://meta.wikimedia.org/wiki/Grants:IdeaLab/Towards_a_New_Wikimania

Feedback on both of these goals is welcome on a survey provided on the
project page, and can also be given on the project discussion page. In

at at a Wikimedia movement conference, including Wikimania. We plan to
compile and share back outcomes from this consultation in February.

I look forward to working with you to develop a Wikimania that better
serves the needs of your communities.

Re: [Wikimedia-l] Biggest disappointment from Wikimania 2017

2015-10-06 Thread Ellie Young
I believe we all know now by now that the Committee regrets the delay in
posting a recommendation about the process change for venues/hosts for
Wikimania. There was no intention to blindside anyone or to not seek
input from the community. We should have updated the bid timeline to
reflect that things were being discussed and might be possibly changed. (I
was also wanting more time to investigate whether the idea of Montreal for
a 2017 venue could become a reality e.g., meeting space, prices, hotels,
etc confirmed, etc.)

I have reached out to the Perth bid, and also to Josh Lim about a bid from
the Philippines (although it wasn't listed) about the future and to offer
whatever support they need.If anyone else is thinking about hosting a
future Wikimania, I would like to strongly encourage you to get in touch
directly with me before starting. We are not happy about wasting any
volunteer time. I have worked closely with recent groups in preparing
their proposals and it was worked well-- saving time and effort on both
ends.

In the near future I will be working with the Foundation and the Steering
Committee to support development of a clearer process going forward. Siko
has outlined some of that in her posting. And as Richard has said below,
I am usually very prompt in responding, but I also have a lot on my plate
right now that are taking precedent-- like the financial reporting from the
past two Wikimanias to attend to, survey results, preparing for a site
visit to Montreal (and I am part-time).

I look forward to working with everyone in the coming months and years on
improving the conference and meeting the community needs.

Keep those cards and letters coming!

2015-09-30 Thread Ellie Young
The Wikimania Steering Committee is in the process of discussing and making
a proposal about our changing the process of how hosts are selected for
future Wikimanias. We will be asking for the community's input. I didn't
update the wiki pages to reflect this. There will be an announcement soon
about this. We haven't forgotton about 2017!

Thanks for your patience and we expect to make an announcement in the next

recipients scoring a 9 or above

[Wikimedia-l] Calling all Chapters re Wikimania Scholarships!

2015-01-26 Thread Ellie Young

I am attempting to do outreach to all the Wikimeida chapters to assess which
ones might be offering scholarships to Wikimania 2015 being held in July in
Mexico City. The WMF Scholarship program's call for applications has been
recently posted and the deadline for receiving applications is February 16.
The Scholarship Committee will be doing its review and making its
recommendations to WMF from mid-February through mid-March.

If a chapter would like to be sent applications from those submitted to the
WMF Scholarships Program, please get in touch with me prior to February 16.
It would also be helpful for planning purposes for me to know if a chapter will
be offering scholarships directly (not making use of the applications to the
WMF program).

For more infomation about the WMF program see:

https://wikimania2015.wikimedia.org/wiki/Scholarships

I look forward to hearing from chapter contacts in the next 3 weeks.

Thank you,

Ellie

[Wikimedia-l] Bids to Host Wikimania 2016 are in

2014-11-23 Thread Ellie Young
On behalf of the Wikimania Jury Committee, we would like to let the community
know that the deadline for receiving bids to host Wikimania in 2016 has passed.
Of the 6 unofficial bids that were listed, only two were deemed qualified
for our review: Esino Lario, Italy and Manila,
Philippines.

https://meta.wikimedia.org/wiki/Wikimania_2016_bids#Bids

Between now and December 3, the jury committee and community at large has an
opportunity to reach out to these two bid
teams with feedback and questions. This can be done via the proposal's talk
page, holding a public meeting with a bidder on IRC (#wikimaniaconnect channel
on Freenode); or via other personal means as you see fit.

After December 3, the jury committee will further evaluate and discuss the bids
with the prospective hosts.
A decision and recommendation will be made by mid-December to the WMF and
Wikimania Steering Committee.

Re: [Wikimedia-l] [Wikimania-l] Wikimania 2016 - Jury Announcement and Start of Bidding

2014-09-29 Thread Ellie Young
We have a system that works for jury selection. What I would STRONGLY like to
encourage people in the community to do is seek out prospective people who
would be good hosts and work with me on preparing a bid. That is is our
biggest need! The CFP was posted earlier this month.

Thank you all.

Ellie

I might be wrong, but I didnt saw a mail with a call for volunteers to
compose the jury like they do every year. (I do might had missed though so
is better if Manuel or Ellie answers.)

Could someone point to a profile of the jury members? It is incredibly
hard to see who has been an employee of the WMF or Chapters unless you
happen to know people personally. However, I believe I am correct in
saying that only the minority of the jury has never been a paid
employee, which may not be the best thing for a conference aimed at
 unpaid volunteers.

[Wikimedia-l] Announcement regarding Host for Wikimania 2015

2014-04-21 Thread Ellie Young
Dear Wikimedians,

On the recommendation of the Wikimania 2015 selection Jury Committee, we have
accepted the proposal from Mexico DF to host. The proposal will be further
vetted by the WMF staff in the coming month, after which time we hope to
confirm the award. Please join us in congratulating Wikimedia Mexico!

We would also like to thank the teams from Cape Town and Monastir as well for
all their effort in putting together excellent proposals for our consideration.
As a volunteer-led movement, it is hugely encouraging to have so many who want
to support Wikimania. The bidding process requires a substantial time
investment, and we are most grateful for every team’s hard work.

For those of you who are considering hosting in future years, we expect to
issue the Request for Proposals for 2016 by September this year.

Sincerely,

Ellie Young, WMF Conference Coordinator
