We also combine different editions and formats like paperback and hardcover
on bib records, to reduce "duplicate" records and to make title holds
simpler, and also get regular requests to separate paperbacks.

However, we are also now using Aspen discovery which groups formats by
default, and the different formats/editions are much easier to
differentiate than in other public catalogs.

I'm beginning to wonder if separating formats/editions is a better approach
now that we have better tools for display.

[Evergreen-general] Is anybody interested in talking about Aspen discovery?

Hi all,

We recently rolled out the Aspen discovery layer, and are finding a number
of features that were in our Evergreen OPAC that are not (yet) supported in
Aspen, and that our patrons very vocally miss.

I know there are at least a few other Evergreen sites using Aspen, so I'm
thinking it could be helpful to share experiences, patron feedback,
lessons learned, identify common issues, and maybe consolidate our
efforts for development (regardless of Aspen host)?

I think we should be looking very seriously at Evergreen's APIs and
improving the documentation, functionality, performance, etc. More vendors
and services are moving to APIs, not just for holdings, but user and
transaction data as well. Speaking personally, I run holdings uploads for
Novelist and Syndetics (which also now offers API uploads but not for
Evergreen) and would love to shift them over to an API method. We also use
a discovery layer where user data conections needs some improvement. And we
have libraries interested in analytics platforms that would also benefit
hugely from API connections.

Here are a few thoughts, some of which are documented in places...

   - Besides staff editing an item directly, what are the other conditions
   that cause the item status to change, and how do they change?
  - Check In, aka Process Items in Ye Olden Evergreene Tymes, does most
  of the status change heavy lifting. In addition to discharging a
  borrowed item from a patron account (status change from checked out to
  Recently Returned), also changes non-circulating statuses like
  Damaged/Lost/Bindery/Cataloging/etc. back to circulating
(active) statuses;
  captures holds, from a pull list or opportunistically, and sets
items to On
  Holds Shelf or In Transit; changes new items from In Process to Available
  - Check In, and allied processes (like Renew, Clear Hold Shelf), sort
  of stack status changes. Ex: an item being checked in from a
loan that can
  fill a hold will go from Checked Out to Recently Returned to On Holds
  Shelf or In Transit
 - If you have access to the database, there is an audit table
 - auditor.asset_copy_history - that shows these types of changes
  - Other processes, like Checkout, Cancel Transit, Mark
  Lost/Missing/Damaged/Discard/etc. produce the related statuses,
and some of
  the resulting statuses are defined in Library Settings
  - Some statuses are changed by Action Trigger, such as Checked Out
  (overdue) to Lost
  - Some statuses are changed based on Library Settings, such as
  Recently Returned to Available
  - Lost is changed to Lost and Paid when a bill is paid in full (if
  enabled)


   - Do all items get reshelving status on check in?
  - Sort of! See above!
  - Reshelving is more or less specific to items that are going to the
  shelf. If other things are needed, like transits/pending holds,
the status
  will effectively skip reshelving
  - Some items, like Pre-cat circs, typically go to Cataloging status


   - When reshelving status expires, what determines the new status?
  - I've always sort of assumed the "Available" is a hardcoded default
  status, because that item should be on the shelf, ready to be checked out
  or able to be targeted for a hold, etc., but... IDK

[Evergreen-general] Rethinking staff user accounts, authentication, login, workstations, etc.

Hi,

Here in Westchester we centrally manage all of our member libraries' staff
user accounts, using Active Directory and LDAP. We manage most staff users'
Evergreen access, network access, and devices, through VDI.

One major source of friction is that workstation is required at login, and
workstation - along with saved username/password - is saved to browser
local storage. If for some reason, the browser being used doesn;t connect
to local storage, staff need to re-register a workstation. If staff do not
use the exact same workstation name, they create a new workstation with
none of their saved workstation settings, or they connect to one of several
variant workstations.

In short, we are looking for other sites who are interested in / have
thoughts about the staff login process.

Several of us from WLS will be at the conference, if there is interest in
an in-person discussion.

Hi all -

Kind of a random nitpicky question about Evergreen data tables...

In the database, I'm looking at money schema, specifically the various
billable/billing summary tables and wondering if the transactions included
that do not have last billing anything or total owed values were returned
before accruing any fines, or circ transactions that would never have
accrued fines because of non-fine bearing circ rules?

Looking at xact_start and xact_finish dates for those records, it looks
like the former. But... I'm a little hesitant. Does anybody know?

Yes, replacing a barcode requires the UPDATE_COPY permission.

However, if one is attempting to use the Replace Barcode function, from the
Circulation Menu or an Actions menu, it will silently fail. Editing a
barcode in the holdings editor displays the permission failure dialogue.

Hi Millissa,

We've been recommending libraries adding preferred as an alert in Messages
> Penalties and Messages. This adds the pronouns in a section below the
name, which is a helpful display location, although the text is highlighted
red and the "alert" type causes the name to be highlighted red even though
it is informational and not indicating a bad or blocked status.

We are using version 3.6.

[Evergreen-general] Metabib classes and fields documentation/info

Hi,

I'm doing a deep dive into search config and am wondering what the
"Buoyant?" and "Restrict?" fields in the config.metabib_class table do/mean.

A dokuwiki page, Bibliographic Indexing in Evergreen (
https://wiki.evergreen-ils.org/doku.php?id=documentation:indexing), is, so
far, the only reference to that I can find, but it predates those fields.

Suggestions?

Hi Deanna,

To add to Terran's suggestion - if your library anonymizes/ages data, you
will probably want to use the Combined Aged and Active Circulations source!
That will ensure you get all the circs, not just those still associated
with patrons.
