Can you please provide a little detail about what and who the event is
for. How many people? Would you would expect none academic folk to pay
(i.e. those outside your usual audience), if so what for? Do you want
the ASF to provide anything in addition to authorisation to use the
brand.

With respect to additional stuff I would like to make a suggestion.
The ASF needs to reach out to the academic sector and make them aware
of the support and infrastructure it can provide. We could ask ConCom
to pay for someone to come and talk about the ASF and the academic
sector (yes I could do this, but since I do this as a day job I
suspect it would be good to have someone else do it. I have a couple
of canditates in mind).

I'll start the ball rolling over at ConCom, to get ASF approval you
need a member of ConCom to back the idea (I'll do that) and two
committers (Scott and Kris both have their ICLAs on file so they
count). There is also a requirement for one of the team to to have
experience of putting on ASF events (me again) and for one of the
newbies to be willing to act as a mentor to another project wishing to
put on an ASF event in the future (this may not be called upon and
costs will be covered if it is). So as long as either Scott or Kris
would be willing to say yes if asked (and able) all is well.

ASF events must be vendor neutral, ASF events are not branded as such,
they are sponsored. I know JISC CETIS well and therefore know this
will not be a problem in this case (JISC CETIS are non-profit) I only
mention it for completeness in the archives.

However, ConCom have not done this for an incubating project yet.
ConCom may wish to place some additional restrictions on the use of
the brand as a result of this, I'll take this up with concom now and
report back on any progress.
