For deleting extra spaces, replace dialogue of ms word can be useful.
One can actually click on special button, and see if the desired
character is available. E.g., white space.
And even otherwise, google search provides some symbols, for removing
specific things like extra line break, which often comes when we paste
text from pdf. And I remember there is something for a normal space
also. Now what that space is called or what is the symbol, I don't
have in mind at this time. But replace all in such cases becomes
useful.
One of the other thing which I learnt was that when you copy something
from websites, often at the beginning of those lines there are extra
spaces. For removing those, you copy all the text, centre justify it,
and then left justify it. Although I haven't personally experimented
other than the replace dialogue, but people say its useful. Even while
pasting, there are ways to keep the original formatting, or to paste
with the surrounding formatting, using the paste options.

One quick tip.
When you copy text from Internet, first paste it in Notepad. This will
remove all its formatting. Then copy it from notepad and paste in word.
Another tip,  first prepare all your text in Word without worrying about
formatting. Finally select all text and then press CTRL + SPACE. This will
also remove all formatting. Now format the document as you wish.

Note that these methods may not be suitable when you want to retain tables
or columns from the Internet.

Hi all,

  I have a little query. I thought it may be common so few of us must have
reached the solution. If anyone knows regarding my doubt related formatting
please do guide.

  When ever, I write formal letters or say even projects. I try to format
on my own. Unfortunately,i face lot of dificulties in formatting.
For e.g.  if i try to copy any quote from internet and if it happens if
there are many quotes in projects containing 100 pages. It becomes dificult
to check fonts,colours of the pasted quotes. And it takes lot of time to
catch the flaws. Even small mistakes like finding extra spacing requires me
supreme efforts. Even though i format the document i need some sighted
assistance.
  Is there any quick method to minimise the time and efforts?  Is there any
software developed, which increases the independency of visually challenged
person in formatting?
