I thought the folks at Adept Engineering Solutions had a solution for custom 
tracking and reporting.  Glades Adams is on this list or you could inquire at 
the website http://www.adeptengr.com

I use very meaningful names and folders when I archive and I am able to scan 
the file names by eye and pick out the one I want (for instance inbound 997's 
are named with the group type and group# they acknowledge) and I use ultraedit 
to search in file names for most other things.  I only keep a year's data and 
the burden has not been so great that I have felt the need to throw more code 
at it.  

However I am designing a new audit system for invoices from our UK division 
because I can't walk over and sit down in their offices until they answer me.  
I need to automate my nagging.
