There are tools such as automatic filters, there is search (gmail's one is great, Thunderbird has a very decent search as well). It is a way of organizing work. Mailing lists are a very old-school collaboration tool (they pretty much pre-date internet), but they work well and there are plenty of tools to deal with them.
