Colleagues,

I am interested in what CRM solutions you have in place - that is, if you are 
happy with them! We use some Blackbaud products (Financial Edge, Patron's Edge, 
Raiser's Edge, Counter Point). The Financial part works well but we
find the integration and support for the CRM part frustrating. We use other 
unrelated products for our Web events calendar, Ecommerce shop and online 
Membership and Donations and Enews.  I'm interested in solutions that integrate 
all of these activities to take advantage of relationship history and tracking.

We've done something like this here at the IMA...  We DO collect zipcode
data from visitors during the ticketing process and stored in our
Patron's Edge database. We chose to write a google maps mashup that
would pull this data from Patron's Edge and plot it on the map.  We also
wanted to compare this admissions info with the census data for that
zipcode.  For this, we used the information from zipskinny.com and
pulled that into the Google Map as well. I agree with Rich that the
harder part is working with Marketing and Administration about how we
should act on this information now that we have it.  We're still in
process there, but seeing the information in action is definately
helpful in envisioning how this should happen.

We just implemented a calendar and evetns management piece using Trumba. 
 
The Smithsonian and Jewish Museum also use it. Inexpensive and highly 
customizable.

[MCN-L] Internet access for a mid-size institution

We are a mid-size museum (NYC) and we have a T-1 (1.5 Mbps) for our
exchange server and to serve our collections database over the web and
we use a Time Warner cable to allow about 250 employees to access the
net which gives us (10 Mbps down and 1.5 up) for a low price. This has
worked fine for a year but TW is not really a business class solution
and recently we have had some problems with them - enough to affect our
business day and make us reconsider.

 

My question is what solutions are other mid-size museums using that give
enough bandwidth for all of your business activities and at what kind of
price?

We do full color pdfs at the Frick as well as printing copies to pass
out. No problems that I know of. We are now going to investigate posting
online as an alternative to printing (to save money).

How many of you web cast or livestream lectures?

We have been doing this for two years and have gotten a very positive response. 
We've been using Fora.TV but would like to explore other options in the coming 
years, perhaps even do it ourselves. We do like the quality of service provided 
by the vendor and particularly the quick turnaround on editing and posting on 
the web, something hard for us to do with a tiny video production team already 
juggling multiple exhibition related video projects.

Job Summary
Reporting to the Web and New Media Manager, the New Media Specialist will 
create, maintain, and manage digital assets for The Frick Collection and work 
with the Web team to create videos and podcasts and other online interpretive 
content. Primary job duties include managing digital images to be used in The 
Frick Collection's collections management system (TMS), and the related Web 
version (http://collections.frick.org), for current and future exhibitions, and 
for special events. Responsible for delivering images often under tight 
publication deadlines. Implement our digital asset management software (Xinet) 
and digital image workflow for a collection of images (currently at six 
terabytes) with awareness of metadata standards and best practices. Provide 
technical support for employees and lecturers who use digital images in various 
applications including PowerPoint, Keynote, and other software as needed. 
Provide backup support for the Senior Help Desk /Audio Visual Technician during 
occasional lectures and symposia (during normal work hours and occasional 
evenings and weekends). Other duties as assigned.

Requirements
Bachelor's degree and a minimum of two years experience with digital images, 
digital asset management, audio and video production in an art museum or a 
cultural institution. The ideal candidate will be organized, detail oriented, 
and efficient in prioritizing work to meet deadlines concurrently with managing 
long term projects in a team-driven environment. Familiarity with digital asset 
management concepts and technical image metadata is required. Expertise with 
Macintosh OSX working in a Windows network environment is required in addition 
to knowledge of PC platform. Photoshop CS5 and video production including 
capture, editing, archiving, sync-to-footage, and exporting using Final Cut Pro 
Studio is required. Must have a basic understanding of presentation AV. 
Familiarity with collections management software (specifically TMS) and Drupal 
is a plus.

[MCN-L] Shopping cart solutions

Colleagues,

I'm wondering what kind of shopping cart solutions any of you use? 

Specifically how you handle different categories of things, like store
merchandise, membership, education programs, concerts, school visits,
etc.?

Do you use one e comm solution for all of these categories? 

We have been using Yahoo and I've customized it to death to try and make
it look nice, work for memberships, shop items, etc. but I'm running
into problems now that we've added school visits and seminar fees. It is
getting too complicated and it would be so much easier to have a
different check-out cart for each category of items so that only the
information pertaining to that class of item would display. 

I'm looking into adding Pay Pal which would offer more capability, like
invoicing via email with links to pay or online donation forms where you
can type in any amount.

Any thoughts on these issues?

I am looking to switch our service, for the primary reason that I am
concerned that our db has grown "stale".. we are still using the tools I
set in place five years ago, and I am worried that there may be those
who are not getting mail just cuz the app, known address format are OLD,
etc...

Also, I want a better look-and-feel and an easier back-end user
interface to hand all this over to Faith, with an eye on her doing
reports of opens and clicks, users and interests, etc.

There's actually a lot of functionality, in terms of tracking with
Topica and I do not want to lose that moving forward (not being
leveraged well enough now).

can you please blast a question to your peeps, about bulk email services
and tools with an eye on metrics and reports?  Also, I want to start
list sharing with other local and national orgs. to build the list.
Anything you can get re: issues and case scenarios'd be greatly
appreciated.

[MCN-L] Website Development?

An advisory committee, the Deputy Director/Chief Operating Officer, Head of IT, 
Web Master (in the IT & New Media dept) and then Head of Development, 
Editorial, Photography, Education, Curatorial, PR, Library. The IT & NM dept 
designs, builds, maintains the site. It is hosted by an outside vendor and we 
use a lot of low cost third party software database solutions like an online 
calendar and events management solution, an ecommerce store, a collections 
management system which are all designed to meld into one consistent look for 
the site. We are just beginning a redesign (in house) and a move to Drupal but 
that will take months and months with such a small team.

Basically the IT & NM Web team presents solutions to the committee but 
sometimes committee members ask questions, suggest something and it is 
discussed and agreed upon. I think the key to our success is having involvement 
at the top level and a lot of dialogue and collegiality. We met weekly 
initially, then bi-weekly and now after two years, we meet monthly.

PR office to post press clippings packets to the intranet instead of
photocopying many thick packets to distribute to staff.

We had a conversation this morning with the director about greening the
museum and one of the things that came up was going paperless (where it
makes sense -- I'm use to be the archivist, after all). He asked for
some examples of museums who were doing it and doing it well.

Anybody out there want to put their museum out there as an example of a
(pretty much) paperless shop?
What have you automated? Payroll? Personnel files? Purchase orders?
Financial records? Loans? (I'm assuming that with CMS systems, a lot of
object documentation is now paperless.)

And a related question: anyone with a full-fledged electronic records
program up and running successfully? 

I browsed this year's MCN program (how I wish it was searchable...) and
didn't find any references to "paperless" or "electronic records."

[MCN-L] Attachments sent in email

I'm curious as to what size limits you have on sending attachments. As a
rule, we use Yousendit to send image files, but recently someone on
staff insisted on sending a 15 MB file as an email attachment and
refused to consider Yousendit,  it really turned out to be complicated.
Many other businesses do not accept files larger than 10. Any experience
or policies to share about this issue?

Recently, our small Audiovisual and Information Technology departments
merged into a "Technology and New Media" department so we could work
together more efficiently and effectively. "Technology & New Media" is

[MCN-L] Intranets in Museum to improve staff communication

Here at the Frick Collection I have just upgraded our Intranet using
WordPress. It was quick and easy and is easy to maintain.

It is a great place to link internal stuff: useful documents relating to
HR benefits (403 B plan, health insurance forms,. etc.)  Calendars,
Organizational charts, employee database, telephone lists, IT Help Desk
and network info and technical help files on a variety of topics - like
metadata standards, image file name standards, etc., Emergency
information: security office phone numbers, emergency procedures
flipbook, bombthreat info sheet, AED videos, etc.

The homepage is used for announcements and links to frequently used
resources.

[MCN-L] Multiple member online accounts + growing online services =1 big mess

Here at the Frick we use Blackbaud Raiser's Edge and Patron's Edge for both 
membership and admissions ticketing and I know Blackbaud has an ecommerce 
solution (we do not use it). We use Yahoo for ecomm. and EmbARK for our CMS and 
Xinet for our DAM, Wordpress for our intranet, Filemaker for numerous internal 
databases. 
 
I have to say that we have not been happy with the Blackbaud products and I 
would also like to hear what others are using for various solutions.

  Here's our situation (and I'll bet it is similar for many of you):
  
  Like everyone, we're trying to offer more of our services online. To date, we 
have an online ecommerce system (xcart) and an online hosted ticketing system 
(Gateway). We will soon have an online education registration system (Semtek) 
and are contemplating an online member portal (Raisers Edge). Each system is 
pretty much standalone so there is the potential for a given member to have 4 
separate accounts, each with different account names, credentials, etc. You can 
see where the messiness comes in for our members and customers.
  
  My research so far has revealed solutions for managing more homogenous 
environments (such as internal employee user accounts) but nothing that can 
herd the member cats. Has anyone addressed this problem for cultural 
institutions and would like to share thoughts? All help appreciated. Thanks in

I've been struggling over this for a couple of weeks now and I'm not
getting anywhere. I'm being promoted to "Collections Information
Manager" and I'm also taking over the website. Even though I'll be doing
the basic webmistressy stuff, I'll also be involved with digital
strategy and thinking about how we can use web technologies to promote
our mission. Since many of us on staff have multiple roles, I'll be
allowed to have a double title, "Collections Information Manager" and
under that, this other title.

 

I don't feel that "Webmistress" or "Webmaster" is descriptive enough, so
I'm not entirely comfortable with it. Does anyone here deal with website
management and strategy? What is your title? Are you happy with it?

Clearinghouse on Art Documentation and Computerization

This documentation center and information service conceived and
implemented by Patricia J. Barnett was originally hosted at the
Metropolitan Museum of Art, Watson Library and later at the Frick Art
Reference Library no longer exists. It collected and disseminated
information related to art, museum, and library informatics. Most of the
information that was once in the database can now be found in Web sites.
An article by Karen Parles (Spectra, Summer 1996, 23(4), p33-35)
discusses the impact of the Internet on this service and how Web sites
were doing the work that was once done by the Clearinghouse.

The Clearinghouse Records were disbursed, a lot of it was ephemera. The
article I mentioned by Karen Parles in Spectra addresses what happened
and why. I checked with Deborah Kempe, the Frick Art Reference Library's
Chief of Collections Management and Access who said a few things may
have been cataloged and incorporated into the library collection but
that there is no way of designating what was in the original
Clearinghouse.

[MCN-L] A message from Travis Fullerton of the Virginia Museum of Fine Arts

We are a small museum and this area has grown out of the Technology and Digital 
Media Department which has a staff of 10 people and comprises a Technology 
Division, a Web and Digital Media Division and a brand new Media Production 
Division.  

For a few years we have produced short exhibitions and permanent collections 
related videos with one full-time videographer and one part-time AV tech/Audio 
Engineer. They are often helped by the photographer who is part of the 
Curatorial Department.

Now I am officially creating a Media Production Division which reports to me 
and will have two full-time staff, an AV Technician/Audio Engineer and a 
Videographer/Media Producer and they will handle all AV production, including 
live streaming of lectures as well as podcasts and exhibitions as well as 
permanent collections related video production. We maintain tight quality 
control over these productions.

Recently our Education Department began filming videos of some of the short 
gallery talks given regularly by education interns. These are done 
independently of the Technology Department by a part-time person in the 
Education Department and are showcased in the Student Programs area of our Web 
site.
We have no formal involvement with production of these videos, but they do go 
past the Web team who keep eyes on quality and consistency and make 
suggestions, if needed.

In regards to the archived lectures and exhibitions as well as permanent 
collections related video production, we save both raw and edited footage and 
have a large storage area network. Our IT Manager and Network Admin handle 
storage issues but I realize that we need to work out a long term plan as this 
area grows.

We use Vimeo, YouTube and Art Babble and ForaTV to make video accessible via 
links (embeds) from our Web site.

This is all developing for us and I'll fine tune as we grow.

How is the finished content stored? DAMs? Hard copy? Do you save edited 
projects only or all raw footage as well? Who manages the storage?

I think the institution has about 250 employees.

Currently Technology and Digital Media has 10 positions. The head of the 
department reports to the Deputy Director/Chief Operating Officer.
 The department has 3 divisions and tasks do overlap somewhat within divisions. 
We are a flexible staff who adapt readily to the evolving needs of the museum.

Technology Division
Responsible for technological infrastructure support services; including voice 
and data circuits; computer networks; digital image storage; back-ups; network 
security; business continuity; disaster recovery, business application 
integration and support. IT plans, purchases, installs and manages all computer 
hardware and software including PDA?s, mobile phones and the Avaya telephone 
system. The Help Desk provides concierge level service including individual and 
group training.

Digital Media Division
Responsible for design, maintenance and publishing of public and private Web

tech support of the online membership and event ticketing Web site. Responsible 
for information and data management, including data transfer, meta-data 
standards and database creation and management and for the creation, 
manipulation and delivery of digital media soon to be in the Xinet digital 
asset management system. Also responsible for oversight of app development.

GURU http://theguru.co/ is an interesting one. We're not ready for VR or AR yet 
here but I like to keep up with the possibilities, I met the Guru people at a 
conference and like them.

Another one which I think has s lot of potential is Histovery 
http://www.histovery.com/en/  who have done AR in French castles and museums.  
They did a demo here for us but our curatorial staff are not ready for VR or AR 
yet.

Both worth a look and maybe a meeting to discuss possibilities.
