That has my vote.  Living about 35 minutes west of Atlantic City would 
guarantee my attending. I’d pay the registration fee myself.
There are some great Coastal Plains wineries in the area.  And the New Jersey 
Motor Sport Park  is not far away in Millville, NJ.
For golfers there the Seaview Golf resort.

Ah - now there's a thought.  We can all do a fundraiser by walking / running / 
biking from wherever we are to where the RUG is!  Just that some of us will 
need to start sooner.

Actually when you set up an event like this you're never going to please 
everyone so the earlier posts are correct about finding a venue that is easily 
accessible for most of the audience based on prior years, etc...  The only 
thing I'd venture to say is California and Washington are not the only areas 
with nice hotels and great airports.  Someone mentioned maybe Chicago in 2014 - 
that's fairly mid-country.  Heck, their even going to try and hold the Super 
Bowl in an open stadium in New Jersey in 2014, so folks can sometimes go 
outside the box to try different venues.

I’m not sure I completely understand your concern.  For me flights from the 
East Coast to San Jose or San Francisco are a small fraction of the cost to 
attend the conference.  In turn there are many folks coming in from out of 
country and flying into a major airport on the East or West coast reduces costs 
for them and is more convenient.



I believe Houston was looked at as a possibility.  Yet there were limitations 
that caused it to be dropped from consideration.

Then they can drive or take the Amtrak? :)
My opinion is that San Jose makes good sense because since BMC is the
premier sponsor of the WWRUG, we are closer to their engineering team and
they can have a larger presence at the conference. On the east coast, the
DC area is ideal because of the huge government presence and the Remedy
folks there usually have a tough time securing funding for a cross country
trip to a conference. I would hope that as some of the midwest states and
cities in Texas become larger tech hubs, we may see a RUG there in the
future.

Historically, going back to the first RUG in 1993, it has indeed always been 
east coast or west coast.
In fact for the first 6 years at least (I think? Someone who has a list of them 
all can answer this) I think,
were all in the Bay Area. Certainly 8 of the first 10. The only times it has 
been off the West coast were
Disneyland (or DisneyWorld whichever is in Florida) and Washington DC.

Next: As for votes we actually did something similar back in 2010 for choosing 
future cities, and asked attendees for suggestions.
First we did a short list of suitable cities out of what the attendees 
suggested, then had votes on which work best, then we did the actual venue.

Some of the factors considered (at least by me and the WWRUG Board):

Availability of Venues (and the requirements are more restrictive than you 
might think and I can only plan a year ahead not four or five)
Direct flights from as many locations as possible. 
How easy is it for BMC to send as many Remedy technical people as possible (one 
of the reasons for the return to San Jose)
Weather - We try to pick somewhere that weather will affect us as little as 
possible.
This can change based on when the conference is held, 
however, we decided to stick to a consistent timeframe unlike the RUGs of past.
Why San Jose not Houston? A combination of a great experience at the Fairmont, 
a tie in the votes for the two cities, 6 months to get the conference together, 
better for Remedy technical people

The Venues, flights, timezone same as California etc. was a huge factor when we 
scrambled to create the first WWRUG in 2009. Las Vegas for direct flights is as 
good as it gets.

Please note that if WWRUG continues the plan is Chicago for 2014, I hope that 
counts as central.

Happy to chat with folks at WWRUG13 about what goes into creating a conference; 
it makes a 1200 line project plan for an Enterprise ITSM system look 
easy/simple/straight forward.

Well, those folks can take a train, bus, motorcycle, or automobile if they 
don't care to fly.  Or, I suppose, depending on where they're coming from, 
walk, run, bike, or sail.  They might even be able to find some other Listers 
who don't want to fly for whatever reason to caravan with.  (ooh...road trip!!)

Seems to me that if a person *really* wants to go, there are plenty of possible 
options for getting to the conference.

Here is an idea that may help everyone have a chance to be heard. I think 
that just about every area has a local RUG of some sort. Why don't these local 
groups try to get a representative involved with the WWRUG board? Not saying 
that the board needs to grow but the representatives could offer suggestions 
from their constituents and then possibly even help to lighten the load of 
the guys and gals that are jumping through hoops to make this function happen.
Of course that may already be occurring and I have just missed the memo.

Why San Jose not Houston? A combination of a great experience at the Fairmont, 
a tie in the votes for the two cities, 6 months to get the conference together, 
better for Remedy technical people

The Venues, flights, timezone same as California etc. was a huge factor when we 
scrambled to create the first WWRUG in 2009. Las Vegas for direct flights is as 
good as it gets.

Please note that if WWRUG continues the plan is Chicago for 2014, I hope that 
counts as central.

Happy to chat with folks at WWRUG13 about what goes into creating a conference; 
it makes a 1200 line project plan for an Enterprise ITSM system look 
easy/simple/straight forward.

Well, those folks can take a train, bus, motorcycle, or automobile if they 
don't care to fly.  Or, I suppose, depending on where they're coming from, 
walk, run, bike, or sail.  They might even be able to find some other Listers 
who don't want to fly for whatever reason to caravan with.  (ooh...road trip!!)

Seems to me that if a person *really* wants to go, there are plenty of possible 
options for getting to the conference.

I’m not sure I completely understand your concern.  For me flights from the 
East Coast to San Jose or San Francisco are a small fraction of the cost to 
attend the conference.  In turn there are many folks coming in from out of 
country and flying into a major airport on the East or West coast reduces costs 
for them and is more convenient.



I believe Houston was looked at as a possibility.  Yet there were limitations 
that caused it to be dropped from consideration.

I don’t know but maybe it is me, but it seems like every year WWRUG is either 
on the East Coast or West Coast and never located more central in the US. Not 
sure what the reason for this is but it makes it hard for many in the middle of 
the country to attend this most valuable event. Sorry for the rant but just had

be an easy job. So while the event may (or may not) be at the location of my 
choice, I didn't have to do the leg work to secure it and I'm just thankful 
that we have a place to go to meet, share and learn.

As a general note: If you are constrained by **budget**, the flight (or general 
travel) cost is generally a cheaper expense and thus is the least of your 
concerns. If your business/edu/gov entity can't afford the flight, they almost 
certainly can't afford the lodging and conference fees. So at that point, it 
really doesn't matter where the event is.

from as many locations as possible. 
How easy is it for BMC to send as many Remedy technical people as possible (one 
of the reasons for the return to San Jose) Weather - We try to pick somewhere 
that weather will affect us as little as possible.
This can change based on when the conference is held, 
however, we decided to stick to a consistent timeframe unlike the RUGs of past.

I am not aware of any local RUG groups here in the Albuquerque area I could use 
in the way you did, but I've involved in a Toastmasters club here locally and 
for about the last 3.5 years and certainly feel confident enough to entertain 
the idea of presenting, though my TM family of course won't be able to speak to 
the technical accuracy of my talk.  I just recently switched from a focus on 
testing to a focus on building Analytics reports and would consider maybe 
giving a talk on tips and tricks in Analytics, covering everything from what 
information do you include on the report to tricks you can do with the 
scheduler to How do I get my report to do X types of things. About half a 
dozen things come to mind just off of the top of my head, and I've only been at 
this for a couple of months.

presenter.  You still have to cover hotel costs and costs of getting there but 
conference fees are generally lessened.  

I did a presentation at RUG in San Francisco many years ago.  To prep for the 
presentation, I gave it at WARUG a few months before.  So there were several 
benefits, my conference costs were lower, a local User Group was able to hear 
the presentation, the presentation was well received at RUG and good for the 
company I work for.  In addition I made a long lasting friendship with Misi and 
others. 

Now is a good time to start thinking about a topic and develop it.  There will 
be announcement for presentation papers in the not too distant future.

I don't speak for anyone on the RUG committee, nor do I speak for future facing 
decisions, but I can tell you that last year they waived conf fees altogether 
for presenters, which is how I was finally able to swing my first ever national 
rug visit.  I got my employer to pay my time as well as travel and lodging, I 
walked away with no cost for myself personally :)
