[Axapta-Knowledge-Village] Invoice account vs order account in AR.

Hi,

 

We need to implement the concept of an umbrella account in Axapta. This
means that we have a big customer that has many accounts with us. Every
account gets its own set of invoices and statement at the end of the month.
What we however want to do is also provide the customer with a statement and
related invoices for the consolidated head office account (the umbrella
account). Also, when we look at our top 100 customers we would like Axapta
to look at the value of the umbrella account instead of at the individual
accounts. 

 

My question is this: Is the invoice account/order account fields the correct
place to implement this? It seems to me as if all transactions and all
invoices lie against the invoice account even if you post to the order
account.

 

Can someone please shed some light on this for me?

[Axapta-Knowledge-Village] One-time suppliers

Hi all,

 

What is the real significance of making a supplier a one-time supplier? Are
there any functionality that works differently? It seems as if AX allows
you to post multiple invoices in different periods to a one-time vendor
which kind of defeats the meaning of the word one-time supplier. Also, are
there any pitfalls when converting a one-time supplier to a regular
recurring supplier?

[Axapta-Knowledge-Village] Sales groups/teams

Hi all,

 

I am looking at implementing sales commission in the AR module in Axapta.
Requirement is that Sales Reps (Employees in the HR module) should be
grouped into sales teams.  This is no problem in Axapta and get stored in
table.CommissionSalesRep and table.CommissionSalesGroup.

 

Further requirement is that sales reps / sales teams should have targets
assigned to them and there will be appraisals/councelling based on the sales
targets and whether you reach them or not.  This can be done in the CRM
module and gets managed in table.smmSalesTargets and table.smmSalesUnit and
table.smmSalesUnitMembers (the sales unit members again coming from the HR
module).  

 

As far as I can ascertain, however, this CRM tables do not get used anywhere
else in Axapta than just in a very isolated fashion in CRM.  Are there any
links between 

A)  The CRM sales units  accompanying sales rep targets AND

B)  The Accounts Receivable module  the commission sales rep groups on
which sales commission is based.

 

Or are sales units in CRM entirely different form sales rep groups in Sales
Ledger?  Did anyone ever attempted to join the two and intergrate sales
targets into commission?

As you can see, clustered indexes are an
absolute necessity (unless maybe for tables with LOTS of update statements and
few inserts/deletes).



I also assume you are not doing credit
limit checking as part of the posting of a sales order because this is
known to be slow.

My next step is to use the code
profiler. The thing that is strange, is that just last week it was performing
fine, and there have been Zero code changes to the code in the area that is
starting to perform slower - which is pretty much all SalesFormLetter classes /
processes (The entire Sales Life Cycle slowed down the past two days).



Anyway I will continue to see what I can
find out and keep everyone posted. I know that we will be able to figure this
out, I was just trying to get some fresh minds giving me some fresh ideas.

our Axapta v3sp2 installation. Our biggest problem area was Sales Ledger
/ Account Receivable. We definitely found that adding clustered indexes
to a number of the most heavily used tables improved performance by quite a
lot.



Troubleshooting Axapta performance
unfortunately is quite a tedious process and you will have to identify the key
processes that are slow and need to be improved. While troubleshooting a
process a few weeks ago, I found the Code Profiler to be quite valuable since
you can see exactly where the
problem lies and then either make a code or an index change. I found the
SQL Index tuning wizard to be not that valuable since it does not pinpoint the
exact problem in the way that the code profiler does.

Can Axaptas inventory model and financials handle consignment
/ 3rd party stock items? I cannot find anything that looks like
consignment stock in the inventory module. Can anyone please give me any pointers

your AOS log file for clues. More often than not it is DB connectivity (DSN

[Axapta-Knowledge-Village] Fixed asset acquisition adjustment

Can someone please 
help me understand this

I have a fixed asset 
in my Asset Book (GL  Fixed Assets). When I look at the asset's value 
model under the General tab, there is an acquisition price and date. I 
need to make an adjustment to an asset's acquisition priceand want to know 
if this is the correct place to make such an adjustment? Would this form 
take my changes all the way through to the General Ledger fixed asset accounts 
or does this only affect the asset register?

I found that I can 
also create a new fixed asset journal (under GL  Journals  Fixed Asset) 
that can be of type "Acquisition adjustment". This will surely post to the 
relevant GL accounts as set up under fixed asset posting profiles. Will 
this be carried through to the asset book?

My 2 questions are 
basically:
1. What is the 
difference between the above mentioned ways of adjusting acquisition price and 
what is the correct way of doing it?
2. How will an 
adjustment inacquisition price affect the depreciation of the asset if it 
is in the middle of its life cycle and you adjust the acquisition price? 
Will it update the depreciation amount of past depreciation 
cycles?

Can anyone please 
explain to me what the value('!?*') means? I suspect is specifies a 
null? Is this the only/simplest way of specifying null in a query range 
value or is there something simpler?

Make sure that the PAE (Physical Address Extensions) and 3GB properties
are set in your boot.ini file on the server and then reboot.

Hi all;

I have a problem with SQL 2000. When i run Axapta i can't use more ram
than 1,826,000 MB. I thougth that it was because it is Standard Edition.
Then i created a test env. and Setup an Enterprise SQL 2000. But i can't
still use more than 1,826,000 MB ram.

Is there a solution for this.

changed the alignment of this EDT once (by accident). It caused quite a 
bit of chaos since Axapta could not find any of its GL accounts and as a result 
posted all transactions to the "System Error Account" 
account.

also struggle with this inconsistencies in the XPO import. I specifically 
found that hidden ranges on reports do not import correctly. Sometimes a 
second import fixes it, but I have a few reports where I had to add the hidden 
range in the live env.

am not sure about a pattern.

Just the other day another partner sent me a .xpo. I imported 
into a clean copy of Axapta SP4 - this had no other 
customisation. Some columns on the table were 
excluded and therefore there were compile errors (of 
course). I could see the missing columns 
using Windows notepad but they did not import until I repeated the .xpo 
import.

This was running axapta sp4 locally on my laptop - 2 
tier.

i also have an interface for importing the sales
transactions into temporary table for posting the
sales orders in axapta.

i use a Axapta definition group of Custom type to
import the sales transactions into the temp table.

in my case, there are 250 Shops, and the average
transactions are around 1 recs per month per shop,
and the process what i designed is importing per shop
and Posting per shop.

When posted it will create one sales order per day and
post invoice.

till now i havent faced any problems, but if any of
you have already experienced such case and have faced
any situations which need attention, then please do
let me know.

Hi Austin,

I am working with Edine (axapta123456) on this. We have already carried
out the MemSizeUp due to previous memory issues (as she mentions at the
end of the post). This is not the issue. The problem is that we have
identified that there are definitely memory leaks in the posting process
leading to a leak of (on average) 150k with each call to
SalesFormLetter.post(), which we did not notice previously due to the
fact that our posting pattern was different. Basically things have
changed as follows due to changed business
requirements:
Before:
-Import batches of 500 Sales Orders into parm tables
-Post all 500 simultaneously

Now
-Import a single invoice 'realtime'
-Post the invoice

As a result, when posting all 2 invoices using the old method, we
would only leak 2/500*150k = 6000k = about 6Mb, which is by no means
trivial, but small enough to not cause leak problems too often (though
in retrospect some of our memory issues now make sense. Now when
importing 2 invoices we are leaking 2*150k = 300k = about
3Gb! We are currently running into issues after 3500 invoices, which
leaks about 500M, which matches the behaviour on Edine's machine.

We are aware that the SmartHeap garbage collector may eventually reclaim
some of this memory, but by that time we have already experienced out of
memory issues, ie Axapta has already crashed.

Our requirements are that we need to import single invoices and post
them immediately and return the generated voucher numbers. This,
combined with the fact that we cannot have entire batch postings failing
due to one invalid invoices means that we cannot stick to a batched
approach of any kind. We MUST have a 1-1 relation between invoices and
posts.

What we want to know is if anyone has written any code to fix this leak,
or if anyone knows how to fix this.

give me some info on the use of sales units in CRM. I believe that it can 
be quite valuable in management reporting by sales unit / team and have set the 
sales units up accordingly. It seems however as if very few reports 
actually has smmSalesUnit as a datasource (Sales Targets seems to be the only 
one) and are able to report off it.

Do you have to

client PC and the error occurs in both 2 and 3-tier 
mode.

The standard Axapta posting procedure, in SalesFormLetter.run(), is 
called for eachsales order imported. 
(The code causes the memory leak).

The SmartHeapMemorySizeUp() value has 
been set.

Do anyone have any suggestions in this 
regard?

  We are still experiencing problems 
  with the standard sales order posting process in Axapta v3 SP2. It seems 
  as if the standard posting routine in Axapta has a memory leak that causes 
  Ax32.exe to crash with an out of memory error. Has anyone of you 
  experienced thisbefore and do you have any recommendations for us in 
  this regard? The details are as follows:
  
  
  
  We get the SmartHeap Out of Memory 
  error when trying to import and post individual sales orders from an external 
  system.The invoices get imported into Axapta and then posted. This 
  posting happens on a per sales order 
  basis. (Import 1 sales order from the 
  external system into the temporary posting tables and then post the sales 
  order) Wesuspect that this is due to a memory leak in the 
  Axaptastandard posting 
  process.(Class.SalesFormLetter). For 
  each sales order that is posted, a certain amount of memory is 
  allocated(as can be seen in the Windows task manager) and added to the 
  total memory usage of the Ax32 process. Only a small amount of the added 
  memory is releasedafter the posting process. This cause the total 
  memory usage of the Ax32 process to keep growing. (Typical memory leak 
  behaviour). This causesthe SmartHeap Out of Memory error after a 
  variable amount(about 3500) ofsales orders were posted. We 
  have tracked this down to the SalesFormLetter.post() instruction in 
  Axapta. The posting is run from a client PC and the error occurs in both 
  2 and 3-tier mode.
  
  
  
  The standard Axapta posting 
  procedure, in SalesFormLetter.run(), is called for eachsales order 
  imported. (The code causes the memory leak).
  
  
  
  The SmartHeapMemorySizeUp() value 
  has been set.
  
  
  
  Do anyone have any suggestions in

Can anyone please 
give me some info on the use of sales units in CRM. I believe that it can 
be quite valuable in management reporting by sales unit / team and have set the 
sales units up accordingly. It seems however as if very few reports 
actually has smmSalesUnit as a datasource (Sales Targets seems to be the only 
one) and are able to report off it.

Do you have to 
customize your reports to be able to report / filter per sales 
unit?

or SOX is the abbreviated form for the Sarbanes-Oxley Act. This is a set 
of COBIT (Control Objectives for Information Technology) guidelines that all 
companies that are noted on a USA stock exchange should pass in order to get a 
favourable (unqualified) audit report at the end of the financial 
year.

Search 
google for sarbanes-oxley. There are 6 million odd pages to get you 
started.

Hi James,

Thanks for your comments.  I agree that copying the entire AOD file for
the layer in which you develop should enable you to disable development
tools in live and would also provide better version control in that you
can copy the AOD file into a 3rd party source version control system and
thus easily keep n, n-1 and n-2 versions of your live environment as per
SOX requirement.

You also wrote I could just use another normal users network login.
This is of course not allowed by SOX.  Correct SOX way of doing things
is to request a new login from the User Administrator (for lack of a
better term) that is only active for a limited time to do what you
agreed to do.

To add to this:

To pass the audit supposedly the way you should do live changes is not
XPO/projects but via complete AOD files this way you can turn of dev
tools in the live.  So changes should be put into test system where user
test and when okayed full test AOD moved to live (and remember to move
any new permissions as well!!!)  This will pass SOX audit ok I believe
(experience is from XAL but same concepts apply).  

A few other thoughts/experience that might help .. basically I the
developer have no rights to get to the live system (done at OS file
level) therefore any raise requires me to request the customer to
provide access to the live for a given period of time that I can move
AOD files etc overall this basically means it is very difficult for any
change to be made to the appl, of course it is not impossible (I could
just use another normal users network login) but the final step is for
binary file comparison by the customer to allow detection of any change
in AOD files.  The main problem I had with XAL and I am not sure whether
it also exist in Axapta is: In XAL the main problem was any user setups
on screens (hide fields etc) and filters was saved in the AOD (*_UTIL)
and so these files had to be kept as read and write.  If the AOD can be
made read only (e.g. hopefully in Axapta the user settings can be
contained in a separate file, if they are in the AOD I suggest you make
a service request to MBS to change it for SOX compliance etc) then you
should be able to lock down the dev side of Axapta no problem.  Maybe
someone can tell us where are user chagnes kept?

And yes SOX is a real killer for EVERYONE involved, the only ppl who
benefit are the audit firms who charge huge amounts to the customer to
make them run their business twice as slow!  I understand the reason
behind it all but really in practice you will see it really is a bit of
a joke...a sad joke at that!

In closing, Axapta comes from a very open/flexible approach...SOX
basically wants everything locked down and segregation of dutys for each
user so your task is to change the fundamental thinking of the design of
Axapta! Good luck :)

Some SOX examples (for your enjoyment and my rehabilitation - yes it was
really that bad an experience doing it for XAL which does not have field
level permissions!) ... I have a customer who has the MD's secetary as
the user rights admin...why? Because they need someone who does not use
the system for any financial transactions to be in charge of assigning
rights etc...you can imagine the amount of hotline calls I have had from
this person who knows nuts about IT and even less about access rights!!!

tell me what the purpose of this tables are? The way I understood it is 
that it is tables that temporarily keep data for the purpose of posting sales 
orders. Once posted to the GL, they wont ever be referenced again. 
Is this assumption correct? 

Can I safely purge 
old data from this tables once posted to the GL? (We do have "Delete Order 
after Invoicing" selected in Sales Ledger parameters causing Axapta to purge 
SalesTable and SalesLine once posted)

Please help! 
When I create a big document in my print archive and I want to print it to 
printer or file, I get a "Cannot load page" error on some of the pages. 
There is no pattern to this that I can establish. It seems as if it 
generates pages and then suddenly just cannot load the next page.If you 
specify pages to print you can usually skip the affected page and it will print 
the rest without any problem. This usually only appears on documents in 
excess of 400 odd pages.

Does anyone have any 
idea on what might cause this to happen and how to fix it?

[Axapta-Knowledge-Village] Settlement reversal

Hi,

We quite often have 
to reverse payments and general journal vouchers that have been settled against 
a customer (Sales Ledger  Customers  Functions  Closed Transaction 
editing). This occasionaly give us problems amongst 
which
1) Voucher ' ' 
could not be found errors,
2) The marked 
transactions do not balance errors
are the most 
frequently encountered.

Usually I have to go 
into table.SpecTrans and delete the affected records and then redo the 
reversal. This usually solves the problem.

Ocasionally however 
(like now) I find that regardless of the tick box status in Closed Transaction 
editing there exist no records is table.SpecTrans. The records do however 
exist in table.CustSettlement but never go through to SpecTrans regardless of 
the fact that I tick the records on the Closed Transaction editing form. 
The result is that I cannot reverse any of the settlements. It keeps 
saying Voucher ' ' does not exist.

Does anyone have any 
idea how to solve this?

To fix 
your problem you can look up the voucher number in table.VendSettlement or 
table.CustSettlement and then take the OffsetRecId and join it up with 
table.SpecTrans. Delete all the found SpecTrans records and then 
re-attempt the reversal.

This 
usually works. I want to know how it can be prevented or if it is an 
Axapta program bug?

Occasionally however it does not work.

[Axapta-Knowledge-Village] SpecTrans help please

Hi 
everyone,

I need to know a few 
things about the use of the SpecTrans table in Axapta. When we are doing 
Closed Transaction editing we are getting all kinds of errors on Axapta. 
It happens only on some customers and I cannot see what is different between the 
affected customers and the rest.

In closed 
transaction editing I select a single payment and Axapta then marks the 
corresponding invoice line. When I then click Reverse, it tells me that 
Voucher " cannot be found. When I debuged through this 
process I found that even though I only selected one payment (and the 
corresponding invoice) 3 records gets written to table.SpecTrans. I cannot 
figure out where the third record comes from. The only obvious difference 
between this record and the other two is that this third one has the Payment 
field ticked and the others not.In the reversal process the program 
then loops through the records in SpecTrans and finds the first two records 
without problems in both CustTrans and LedgerTrans tables and validates 
OK. It can however not find a voucher for this third (unrelated) record 
and then the reversal process crashes and the reversal gets 
cancelled.

Also sometimes when 
I select the payment and the corresponding invoice and click reverse Axapta 
tells me that The marked transactions do not balance. 
Again table.SpecTrans revealed that there sits one unrelated record in SpecTrans 
apart from the 2 that I expect (the payment and the 
invoice).

Has anyone 
experienced something like this before and be able to offer some advise? I 
would also like to know whih processes writes data into 
table.SpecTrans?

[Axapta-Knowledge-Village] Settlement reversal

Hi,

I have a serious 
problem and hope someone can help..

When doing closed 
transaction editing in Sales Ledger, I select a payment and Axapta then selects 
all corresponding invoices. I then click reverse to unlink the payments 
and invoices in the settlement. Axapta then gives me an error message 
saying: Voucher " does not exist. Reversal cannot be 
executed.

I checked 
table.CustSettlement and it shows that the transaction is indeed reversible and 
the voucher numbers exist as expected.

Any 
ideas?

[Axapta-Knowledge-Village] In use records (again)

Hi,

One of my users 
marked a number of records for settlement on a specific customer in open 
transaction editing in Accounts Receivable. (about 700 records). After 
marking the records (but before settling) his session got terminated by the 
AOS. All marked records now sit with a red hand in the "In Use" column of 
the open transaction editing form and nobody is able do anything with the In Use 
records. How do I remove the red hand and make the records available 
again?

[Axapta-Knowledge-Village] In use records (Please help)

Hi,
 
One of my users were busy capturing a payment journal in Accounts Receivable
and while she was capturing the lines of the journal, her PC lost connection
to the AOS and her session was subsequently killed.  When she logged back
on, she discovered that the journal header that she was working on, now has
a InUse flag set (a small lightning icon) and she can not open up the
lines any longer.  When I remove the tick in
LedgerJournalTable.SystemBlocked, the lightning icon change to a cross..
 
What is the solution for this?  How can  I make the journal available again?

any (annual) dedicated Axapta conferences anywhere in the world that is 
worthwhile to attend? (We are not a MS partner - merely Axapta 
customers). Any info would be appreciated

I did notice that 
the Convergence 2005 user conference will focus on all the solutions that fall 
under MBS (obviously including Axapta). Has anyone maybe attended 
Convergence 2004 and what were your impressions (especially from an Axapta point 
of view)?

See AOT  System Documentation  Functions for all the string
manipulation functions available in X++ viz:
stralpha,strcmp,strcolseq,
strdel,strfind,strins,strkeep,strlen,strline,strtrim,strlwr,substr etc.

You can do pretty nifty stuff with combinations of these functions.

We are importing sales orders and posting them on a daily basis from a
legacy system.  We are importing between 22000-25000 sales orders daily.
We have been forced to run the import on 1 AOS only because of DB locks
when running on multiple AOS's.  Our import and posting runs at about 32
minutes per 1000 sales orders (every SO has between 3 and 5 lines)

not do credit limit checking in Axapta because credit limits gets checked in our 
legacy system that feeds into Axapta. Our credit limit checking is 
therefore set to "none". Am I right in assuming that this will not 
have any performance implication as far as credit checking 
goes?

Regardless of the version 2.5 or 3.0, the credit limit check is very 
slow when the setting is other that just "Balance". We had to redesign 
it because of the large number of transactions. I do not know why 
Microsoft has not addressed this

Hi,

I want to rant about 
Axapta and if anyone wants to listen me out and give any advise it would be 
appreciated.

Some 
Background:
We are a company in 
the courier and freight forwarding business and are using Axapta mainly for 
financials (AR, AP, GL). We do not have warehouses, BOM's, costing 
modelsetc. Our few (about 15) services that we offer has been 
captured as service items in the Inventory module, but other than this, we do 
not use inventory at all. Because Axapta is more geared towards 
manufacturing, we had to customize quite a fewcomponents to suit the 
services industry we're in.

1. We have 
major performance problems on Axapta - especially around month end when the 
volumes of transactions reach a peak.

2. We are 
creating and posting around 25000 sales order per day with an average of5 
lines per sales order. The performance of the posting is not 
acceptable. We also get lots of database locks from this posting process 
that sometimes takes minutes to resolve. We are running3 AOS's on 
the application server (dual 3GHz Intel box; 4GB RAM) and a SQL Server DB on 
another hyper threaded 3GHz dual processor box with 4GB memory. What 
is your volumes like? Is ours exceptionally big or not really? Our 
AOS server is not straining. Our DB server sometimes hits 
abottleneck on disk I/O.

3. Because of 
our volumes, our database grows at an alarming rate. We are 8 months into 
Axapta now, and our database size is around 54GB, and growing at about 4 to 5 GB 
/ month. If we need to keep like 5 years' financial data I do not want to 
do the calcs. How big are your databases and how do you manage the 
size? Has anyone developed some purging/archiving solution yet or are we 
holding our breath for Microsoft to come up with one in the next 
release?

4. We are 
getting serious database locks on SQL Server when running big tasks 
simultaneously. What isolation level (allow dirty reads, read committed, 
serializable etc.) does Axapta use for its transaction processing and do I have 
any control over this? It sometimes seems as if Axapta prefers locking on 
a table level rather than on a row level and if these locks are exclusive, 
everyone waits!

5. Do you 
allow reporting off your main database, or do you have a replicated / 
snapshot'ed database for reporting? Our performance problems get 10 times 
worse when a user kicks off a biggish report. Also Axapta was sold to us 
with the promise of users doing self-help reporting, which seemed nice back 
then. But if a user filters / sorts on a column that is not indexed on a 
table with 2.5 million rows it brings the DB server to it's knees. Also if 
the user accidentally klicks on the column heading on a form that displays a 
couple thousand rows and the DB tries to sort the grid, it kills the 
performance.

That was my 2 
cents...

[Axapta-Knowledge-Village] Which module is active

working in?  I need to determine if a user is maintaining alternate
addresses from SalesLedger, PurchaseLedger or CRM side but have no clue.
