Only a couple of days to go before to call for papers closes for ApacheCon 
@Home 2020 on Monday. 

The Incubator will be running a track at this online conference, so if you're 
thinking of submitting something, please don't delay. We'll accept talks on the 
Apache incubator itself, and talks about projects in Incubator. If you have 
recently graduated (or may do shortly), you are still welcome to submit a talk.

I would agree with still try to more on the mailing list than IM. If you rely 
too much on IM you will be harder to get committers outside full time people 
and your time zone. This is even harder if a lot of the conversation on the IM 
is not in English.

Please make sure to have discussions on the mailing list. All decisions need to 
be discussed and made on that list not IM. IM restring contributions who are 
full time and only in the same time zone to be able to discuss thing in real 
time. This is generally not how Apache projects work.

Podling report formatting

Hi,

Some podlings (BCCed) are not formatting the reports correctly. Please do not 
remove or change  the existing formatting when editing your report in the 
incubator report.

In particular do not change the formatting of the sign-off area, we have tools 
that work off this and they depend on it being in a particular format.

As noted at the top of the page it's also best to:
• Do not change existing formatting.
• Keep all lines under 76 characters long.
• All content under the ### headings should be indented by two spaces. Do not 
use tabs.
• Please don't change the text in the headings or add new ones.
• Include a space after a bullet point or full stop on a numbered list.
• Use [X] (X and no spaces) to sign off reports.
• Do not include long URLs and use apache URL shortener https://s.apache.org.

Thanks for updating it. I still think improvements need to be made.

Why is "Grow the community,add system functions” an issue that the board or 
Incubator needs to know about? Only things that the board or Incubator need to 
take action on need to be listed here.

In you email you said "we need to adjust the current communicate way, by email, 
not only IM.”, if this is an an issue then add it to the report. The report 
needs to be an honest assessment and shouldn't leave things out.  If you add 
this  then future reports can track progress on this issue.

Things were left out last month and this month it seems. What I do when I 
writing a report is to go though all the mailing lists (dev and private), JIRA, 
,GitHub and write down any events that happened or anything off interest. I do 
this a week or more ahead of the deadline and post a draft so other people can 
contribute. In your case you may need to include off-list communication and 
mention that this need to be corrected. For instance I assume the meetup was 
discussed off-list?

The report still contains meaningless numbers on GitHub and the like please 
remove then unless there is something interesting to say about those numbers. 
Those number on their own mean nothing to anyone outside the project and the 
people reading this report are not involved in your project.

I think there's some room for improvement here, if possible can you update the 
report before the reporting deadline. In future please start working on the 
report well in advance of the deadline.

My understanding is that the project has been bootstrapped, if that is not the

provide help and guidance but you are responsible for this. Please correct this.

This is not enough detail, please provide more. The measles stats on GH /JIRA  
can be removed as they mean nothing to anyone outside the organisation. If they 
are included than some commentary on what they mean would be helpful. I didn’t

[MENTORS] Podling project report format

Hi,

Can mentors please review the format of the reports when they are submitted and 
get PPMC to fix up any formatting issues. For the second month in a row a large 
amount of manual changes needed to be made. In future reports that require 
large amounts of manual formatting will be rejected.

The instructions for the formatting are at the top of the temple and are quite 
clear:
• Keep all lines under 76 characters long.
• All content under the ### headings should be indented by two spaces. 
Do not use tabs.
• Please don't change the text in the headings or add new ones.
• Include a space after a bullet point or full stop on a numbered list.
• Use [X](X and no spaces) to sign off reports.

The reflow fixes some of these issue but not all, please follow them.

- Still think those logos could be bigger
- “everyday” -> “every day”

This is the best guide [1]. I have also given talks on it at ApacheCon you 
should be able to find and created a worked example [2] that may help.

All releases need a LICENSE and a NOTICE file. Apache officially releases 
source code only. If you decide to provided a convenance binary for users it 
also needs a LICENSE and NOTICE file but the contents of those files may vary 
from the source release. What matters is what 3rd party software is in the 
release artefact not what the dependancies are.

Thanks for that, the web site looks good.

I still think more work is needed on the branding and trademark side. Some 
suggestions:
- The Apache logo and the project logo and the incubator logo should be bigger.
- The first mention of TubMQ should be "Apache TubMQ”. Please need to know this 
is an Apache project.
- The incubator disclaimer text is too small to read
- You need to scroll to found out it’s an incubating project

One improvement branding / incubating wise would be to change "TubeMQ, a 
trillion-records-scale distributed messaging queue (MQ) “ to something like 
“Apache TubeMQ (incubating), is a trillion-record-scale….”

Does anyone see any other things that cruel be improved branding wise?

This is also a large button that goes to githiub, this is directing users to 
use unreleased code, please consider another way of doing this. A better way is 
to create a page for developers and put GitHub and mailing list details there, 
users should only be directed to download voted on approved releases only.

Other feedback:
- The text in general is too small and not easy to read
- The image behind the text make it hard to read in places (including the menu)
- It’s 2020 not 2019
- The main image is large and causes performance issues
- Images could be optimised to reduce size / speed up display
- Assets could be cached to improved performance

For performance see [1] it’s currently 67/100.

I think there could be a little confusion with the logo, there a tiny project 
logo up top left and the larger “logo” below it that uses a different front. 
Branding is important, and you want the Apache project logo to be easy 
recognisable on the page. It would be good the add the ASF feather logo linking 
to https://www.apache.org as well. Make it clear this is an ASF project, having 
the word apache there and the incubator disclaimer / logo below the fold may 
not make it as clear as it needs to be.Some podling sites or even top level 
sites do this poorly, so they may not be the best examples to copy from.

For instance Pulsar is IMO not a good example to copy from, On the home page 
[1] there's no ASF branding, other companies logos are on the page, there a 
link to encourage users to use unreleased code. The download page is promoting 
binaries over source releases. The powered by page is misleading as companies 
don’t contribute to the project individuals do.

I mot sure if you can see this [2] but Pulsar is currently passing 4 or the 
required 10 checks. The podling web site checks can be found here [3]

This design may be resource heavy, we’ve had some issues with heavy designs 
hosting an ASF Infrastructure and performance issues with them being viewed 
inside China. There been some experiments with CDNs but I’m not sure if the 
issue has been solved. That specific issue aside I would try and keep the page 
size down / time to initial draw down so it can be easily viewed anywhere in 
the world and work on low bandwidth connections.

It also a good idea to leave a place holder for the apache event banner.

Where is it is intended that the download button goes or what will it download?

What does Apache Pulsar (in the footer/disclaimer text) have to do with TubeMQ? 
(I assume some information was copied from there?)

Bootstrapping process

Hi,

A couple of weeks back I posted an email asking about progress of this podling.

I can see a lot of work has been done but there still some more to do:

- Submitting the software grant?
This doesn’t seem to have been submitted yet, is that correct?

- Moving the repos over to ASF infrastructure.
Work was done on this before the SGA was submitted. This is not ideal.

- Moving the website over to ASF infrastructure
I’ve got conflicting information on what happening here. There is development 
off list and a POC being shown onlist. I’ve received no answer about the 
incubator requirements for this website or where this work is being done.

- Having all PPMC members sign ICLAs
I believe this has been completed.

- Adding all PPMC members to the roster
I believe this has been completed.

- Having all PPMC members signed up to the private list
A couple of PPMC members are still not signed up.

Anyone add anything to the above?

guess that’s not the case?

I was also told development was being conducted in another repo. When I ask for 
that repo's URL none was given.

Do either this development is taking place elsewhere or is not. Which is it? We 
need clear communication on this list what is happening, it hard for mentors to 
help if their questions are not answered, conversations are not happening on 
this list or development is happening elsewhere.

Please read the link I posted previously about teh requirements for an 
incubating website, I can see a number of things missing.

The first question to ask yourself it is this obvious that it’s an Apache

a collaborative effort, it needs to be in the open where anyone can contribute. 
It needs to be done on ASF infrastructure.

A suggestion: The best course of action would be to transfer it to an ASF repo 
and work on it there before it is finished.

There are also a number of requirements that podling sites need to follow [1]

While it's good to look at what other projects do, please remember:
- They are top level projects and they may do things in a way for their own 
particular reasons
- They may not be aware of recent changes in policy
- What works for one project may not be be the best for another project or it’s 
community
- It best if you work out the best way for your project and community and what 
works for you and what doesn't

Spark, while popular, is not an exemplary example for podlings to copy for a 
number of reasons, so please take care when looking at these projects.

I notice there's 25 contributors to the TubeMQ repo, in general it’s a good 
idea to get ICLAs from all major contributors. This needs to be done before the 
repos are transferred to the ASF. 

Can someone create a document in the TubMQ wiki [1] that lists all contributors

Of the people or so who already had signed an ICLA why (for the most part) you 
need to be added to the PPMC roster and sign up to the private email address. 
Not many have done so, important email are sent to that list and it is a 
requirement that all PPMC members have signed up.

I suggest that all of the initial committers (if they have not done so) read 
what the responsibilities of a PPMC are [2].

Hi,

Thanks for submitting the  report but it will not be accepted in it's currently 
form as it doesn't accurately reflect the current podlings state and what it 
needs to do. Next time I suggest you work on the report in the open before the 
due date.

You have user the three most important unfinished issues to address before 
graduating:
1. Grow the community to involve more contributors and increase the diversity.
2. Polish the code and document to satisfy the Apache way.
3. Publish the Apache release.

There are far more serious matters that need to be sorted out before those are 
addressed. Number one being moving conversation to this mailing list.

Under "Are there any issues that the IPMC or ASF Board need to be aware of?" 
you have said "No" this is incorrect.

Under "How has the community developed since the last report?" you mention PRs 
and commits but the repos have not moved to the ASF yet so how is this possible?

User "How has the project developed since the last report?" you mention working 
on the first release and website. I see no conversation of this on list or any 
work towards those gaols. http://tubemq.apache.org currently gives 404 not 
found.

Please rewrite the report to accurately reflect where the podling currently is 
and what issues it faces.

Again there seems to a be a lack on discussion on list about this, without this 
conversation (requested several times nows) we cannot help you.

Can the PPMC please respond and tell me where they are up to with:
- Submitting the software grant
- Moving the repos over to ASF infrastructure
- Moving the website over to ASF infrastructure
- Having all PPMC members sign ICLAs
- Adding all PPMC members to the roster
- Having all PPMC members signed up to the private list
- Moving off list communication to this list

How and where is this off list communication happening? This has been asked 
several times and no answer has been supplied. Has it been made clear to the 
project that communication and decisions needs to happen on this mailing list? 
I understand it may take time to move towards that, but the project needs to 
show signs of doing so, more so than they currently have, otherwise they may 
need to explain to the IPMC why they should be an incubating project.

Without communication on this list the mentors and the IPMC can't help the 
project. Without communication on this list this project going to find it hard 
to grow it's community. Without communication on this list the project will not 
graduate.

The podling has had ample notice. The mentors should be following the incubator 
general list and be reading the IPMC report. The mentors should know that a 
podling needs to report monthly for the first 3 months. I personally reached 
out to the projects mentors asking for an explanation a month ago. Questions 
about this project have gone unanswered on the incubator general list. This 
issue has been mentioned in two IPMC reports now. What more needs to be done 
before the podling or it’s mentors takes notice?  During setup the podling 
still has to report, even if that’s to explain why things have not been setup 
yet.

Hi,

This is the second report in a row the project has missed, one missed report is 
OK, two are cause for concern, three and you may be kicked out of the 
Incubator. I can see that you are still moving resources to the incubator and 
start up here has been slow. You need to provide the IPMC with oversight to how 
the project is going and what issues it is facing and still need to submit 
reports in the start up phase.

It seems to me that some of your mentors are missing, if this is the case 
please mention this in your report. I've reached out to them (on the private 
list) and if they don't reply they will be removed and other mentors found to 
replace them.

I suggest you discuss on this list what is need to move the project over, I'm 
not seeing a lot of communication on these lists, and it seems that some 
communication is currently occurring elsewhere. Please fix this.
