When you create your collection, you can set up a "default read access"
permission for the collection which can be assigned to a specific group.
 This will create a "default item read" policy and a "default bitstream
read" policy for the collection.

If you wish to have different rules for the bitstreams and for the items,
you will want to "edit authorization policies directly".

Depending on the authorization scheme that you use, you may or may not be
able to automatically add all registered users into a specific group.

I believe that password authenticated users would need to be individually
added into the group that you have created to contain all users.

indexing command - update-discovery-index, see documentation. Did you

[Dspace-tech] Collection empty even after restore - dspace 4

Hi all,

I am running dspace 3.2 in Ubuntu and trying to upgrade to dspace 4. I 
installed a fresh dspace 4 version. I successfully restored the database and I 
could see my collection and community names in the new dspace and I could login 
to dspace 4 using my admin credentials. But I am not able to see any items in 
the collections - it is all empty. I had restored the assetstore also to the 
new one. I have run /home/dspace/bin/dspace index-init also - but still the 
same. I have the correct entries in dspace.cfg for the assetstore location. 
What could be wrong here?

that means that Tomcat ran out of heap memory, which is a particular
memory space. You can find more about memory allocation tuning in the

[Dspace-tech] Collection page not open.

I have repository based on DSpace 3.2 in which there are around 6 lacs
record.
In this application i have 2 collection. When i click any one of the
collection link, i can't the open collection page.


Following error are occurred during open collection page in tomcat

java.lang.OutOfMemoryError, Java Heap Space.
java.lang.OutOfMemoryError, GC overhead limit exceeded.

visualization part of the open source InfoVis toolkit:

Integrating this into DSpace should definitely be possible.

[Dspace-tech] Collection wise Statisics and duplication check

Dear Sir

I wanted to see access report on each collection in perticular duration and
is there any free addon or utility to check duplicate title alert while
submission of item.

[Dspace-tech] Collection Error

I've set for a collection  workflow, especially the workflow step 2.When
i'm trying to delete it later i'm having this error. Can anyone give me a
hint please?

What you now need to do is edit the policies that have the 'Anonymous'
group associated with them and give permissions --READ,
DEFAULT_ITEM_READ and DEFAULT_BITSTREAM_READ-- to the appropriate user
group(s) (e.g. Administrator).

Login using your administrator account, then navigate to the
collection in question and click 'Edit Collection' right under the
'Context' panel. Click the 'Assign Roles' tab... there should be a
link right at the bottom called 'Edit authorization policies
directly'; from there, you can add and remove policies associated to
the collection in question.

DSpace will 'politely' notify anyone without credentials that
collection is inaccessible.

Hi Mark,

I don't know XMLUI at all, but I've been mucking around with the REST API and 
you might be able to apply this basic (I don't have the most efficient jQuery 
coding skills) jQuery script. I've attached *part* of our  tree (the whole 
thing goes on for miles...) so you get the idea of how the classes are applied 
to collections, communities and sub-communities. I've also attached the jQuery 
script - you'll need to modify it as it's using "noconflict" mode (I'm applying 
this in Wordpress, mind you, I don't bother with noconflict any more, but 
that's another story). It would probably be much neater to use the toggle() 
function, but as it does what I need it to for my purposes now, I'll leave that 
up to you.
I've used the community/collection title as the anchor for 
expanding/collapsing, and a ">" to the right of each as a link to the 
community/collection home page, but you could quite easily use a +/- for 
expanding/collapsing and the title as the link to the home pages.

 I believe there is a configuration parameter or parameters in dspace.cfg 
in 1.7 that will allow to you control if description.provenance appears in the 
long listing and I think it defaults to NO.

Hi, We are running DSpace 1.7 and have a group of e-people who have Collection 
Admin authorizations to reject or approve submissions.  As a high level DSpace 
administrator I can see the dc.description.provenance for an item, which listed 
the e-person that rejected a submission and the reason.  But the Collection 
Admin e-people cannot see this information.  It is important that they be able 
to see that information in the Collection that they administer.  Does anyone 
have any suggestions as to why they can’t see this information.  Many thanks,

[Dspace-tech] collection to sub community

We are in process of moving a collection to a new sub community, the question I 
want to ask is:
Is there a way to change/move an exsisting collection into a new sub commnity 
in dspace?
I tried using community filiator command which did not work for me, is there 
any other way best practised way to do this.

Oops, It was a mistake about changing the cfg in the right path, now it works...

But let me bring up another issue: I have some items mapped between different 
collections, and I realized that they have been double-counted.
Has anybody faced the same issue?

[Dspace-tech] Collection home page layout

Hello everybody.

I try to change "home" page of collection in xmlui. Standard layout is:

Title
Browse by
collection description
Submit a new item to this collection
Recent Submissions

I want "Submit a new item to this collection" before collection description.
I have not found xsl template, where to set up it. How to set up it? Thanks.

[Dspace-tech] Collection strength caching

We're currently using the jspui, but are on the verge of cutting over to the 
xmlui.  We're using caching for the item counts (webui.strengths.cache = true); 
but this doesn't seem to apply to the xmlui; collection strengths there appear 
to be calculated on the fly, even when the above is set to "true".  Searching 
the config, I find two entries that seem to bear on this:

xmlui.community-list.render.full = false turns the collection strength off 
entirely, and

xmlui.community-list.cache = 12 hours caches the; but, according to the comment 
with it, also seems to affect how long it takes for the items themselves to 
show up.  Is there a way in the xmlui to cache the strength counts, but still 
have the items show up immediately?

If you are using xmlui, make sure that webui.strengths.cache = true in your 
dspace.cfg file after the upgrade.

Just to rule out the most obvious, did you check that you updated your
dspace.cfg properly?
Specifically, for strengths to show this must be set:
webui.strengths.show = true

Also, if you have
webui.strengths.cache = true

you might have to run
[dspace]/bin/itemcounter

[Dspace-tech] Collection Administrators can not ADD bitstreams to new batch imported items.

Hello,

In version 1.6.1 we created a sub-community and a collection in that
sub-community. The same persons & group were given Administrative rights
to the sub-community and collection. Next we used the batch metadata
load to create new records in the collection (therefore these have no
attached bitstreams). The Collection Administrators can do everything to
the new records (edit metadata, delete the records) except adding a new
bitstream. When they attempt to Upload a new bitstream, they receive
this message:

"You need the ADD & WRITE privilege on at least one bundle to be able to
upload new bitstreams."

If we manually create a record and include a bitstream during the
submission process, then the collection administrator upload a new
bitstream and also delete bitstreams. It appears that if the all the
bitstreams are deleted, that person can not then upload a new bitstream.

Only full DSpace Administrators can upload bitstreams to "empty" items.

This is a real problem, because we envision a workflow where the
metadata is batch imported and student-workers/staff then attach the
file(s) or bitstreams. (We have the meta-data in another system which
easily generates csv files. But that old system was just a 'finding aid'
and did not include the bitstreams.)

Is there a work around to this issue? Can this be fixed in later
releases?

use open policy for all recently created collections, our problem is we
want to apply changes to even those old collections so they all use open

I created a collection and  loaded some PDF files I also chosen
anonymous to have read access but I can't read that file as anonymous,
when I open a file I got a message saying you are restricted and when I
log in the file doesn't open but instead the system log me out I am
using normal user account for this not administrator, when I am using
administrator account everything goes well.

My experience is the same as Dorothea's.  It worked very well for our 
instance of DSpace. 

Here's a possibly silly question... You're using the web submission 
process, right (in other words, not bulk import, or some other 
process)?  Default values are only inserted if you're going through the 
web process.  In the bulk import, standard metadata values need to be 
included in the dublin core xml file for all new items.

I got nothin' here. I've done what you describe, and it worked the way
you want it to work. (This ended up annoying one of my content
providers, but that was purely MY fault.)

One possibly-clueless suggestion: are you absolutely sure the value
isn't there? Have you checked the full item view and the database? If
the field in question isn't explicitly told to show up on the
short-display page in the theme's XSLT, it won't.

Hello group.

I am trying to use the item template on a collection to insert an automatic 
metadata value into any new item.  I believe that I am doing it correctly. But 
I am not getting the result that I would have hoped.

When I go into a collection via the xmlui interface I select "Edit Collection". 
After that resulting page loads I click on "Create" new "item template" at the 
bottom of the page.  On that resulting page I then click on "Item Metadata".  
Once that page loads I select from the pulldown list the metadata name I want 
and type in its intended default value.  I then click on "Add New Metadata". 
All seems to go well.

I assumed that this would add a metadata value to any new record entered into 
this collection.  But it doesn't.  Is this not how this is intended to work?

BTW - I am running DSpace 1.5.2 and xmlui.

Hello Richard,

I don't know yet how it should work in DSpace 1.5.2, but what you describe is 
how it works in earlier versions. They can do most of the admin tasks, but can 
not replace bitstreams. Only site-wide admins can do that.

Onderwerp: [Dspace-tech] Collection Administrators


Hello,

We are running 1.5.2 using Manakin. I have set up a collection and created a 
group. I have assigned two people to the group and also assigned the group the 
collection administration role. The two users in the collection administrator 
group can do what I would expect, except for the following: They cannot delete 
or upload bitstreams on an existing item in the collection.

Is this by design or should they be able to do this? If they should be able to 
do it, how do I fix it so that it works for all existing items and any items 
that will be added later to that collection?

Victoria & Richard,

We actually ran across several issues with Collection Administration in 
the XMLUI in 1.5.x.  This functionality has been almost completely 
re-built in the upcoming 1.6.0 release -- both for the XMLUI and the JSPUI.

In the upcoming 1.6.0 release, there will be both Community and 
Collection Administrators possible.

By default, a Community Administrator will be able to perform any 
actions within that Community (including in any sub-communities or 
sub-collections).  In the same manner, by default, a Collection 
Administrator will be able to perform any actions (add/withdraw/delete) 
to any item within that collection.

In 1.6, you will also be able to make your own policies around what 
Community and Collection Administrators are allowed to do within your 
DSpace installation.  So, if you wanted to, you could disable a 
Collection Admins ability to delete items (by setting a new flag in the 
dspace.cfg).

So, I'd recommend upgrading to 1.6 once it is released (likely in 
mid-Feb), for a more stable Delegated Administration system.

Hola Héctor,

there is no admin tool to map a collection to another community, this 
can be done on db level changing the community2collection table. Make 
sure you got a dump of your db before changing it. Then you got to 
refresh the browse and search indices and the count.

insert into community2collection (id,community_id,collection_id) 
values(getnextid('community2collection'),COMUNITY_ID,COLLECTION_ID);

It might cause you some problems though... You'd better test it first.

display of the license granted was configurable.

[Dspace-tech] collection-specific license text

Using XMLUI, 1.5.1:

I see that I can specify different license text when I create a new collection 
by entering it into the License field. However, I don't really want all that 
license text to display on the Collection page. I want the license to just be 
accessible from the item's License Text link, just like the default license 
text.

Can someone point me in the right direction to achieve this?

I think so.  I'm not sure what a UI that supported this would need to 
look like, but the code itself should be relatively straight-forward.

If possible, we would like to use the existing feature.  But it seems that

If I remember correctly, this is possible through the DSpace API, but 
not actually possible from within the JSP-UI (I'm not sure about the 
XML-UI).  Are you looking to code something, or just to use an existing 
feature?

[Dspace-tech] Collection for multiple communities

Hi,

It is said in the manual that a collection can belong to multiple 
communities.  I tried to find how to set a collection to be member of 
multiple communities, but I could not find one.

Can anyone help me to figure out how to do this ?  Thanks.

no, the role hasn't changed that far. In 1.5.x the collection admin is 
able to:

- edit the metadata of the collection (incl. logo upload)
- edit the template
- edit the submitters
- map items
- export the collection

Hi,
I posted some time ago about a feature that I'm needing. I have to  
make the collection logo to be a thumbnail with a link to a bigger  
version of itself. For this I've been considering several aproaches.  
I'm not sure about hardcoding SQL into de jsp pages, because there  
could be issues with the internal way in with files are stored... So I  
was thinking about duplicating what's done in the file

upload-logo.jsp

I've been studying it and I don't know how it works, because in the  
part where the file is uploaded, in the form, input type=file, the  
"action" part is blank (actually is "") So, where does the file go?  
How can I do something similar?

Any help with all this will be much appreciated.

Jesús,

At University of Illinois, we are in the process of updating that 
"delegate admins" patch to DSpace 1.5.1 XMLUI.   As soon as we have 
something stable, I'll definitely be making it available to everyone. 
I'm also hoping that I'll have a chance to make sure it works fully with 
the 1.5.1 JSPUI, but currently that's a secondary concern (as we're 
migrating to the XMLUI).

I'm hoping something will be ready by early next year, but it all 
depends on how much time I can devote to it.  Either way, I'll post a 
message across DSpace-Tech whenever it's ready to go.

items permissions of its collection in the version 1.5.1 of DSpace. Last 
time I've read about this problem (called "delegate admins") was this post:

I need the collection logo to have a link to a big size version of it.  
This means that the big logo has to be an item too (I suppose) so it  
can be stored in the database along with the rest of the items. But I  
have to keep from displaying it when showing the items of the  
collection... Maybe it can be stored in the database manually through  
SQL in a new field created for that purpose. But I wouldn'k know how  
to call it from the jsp... I feel I'm close, but not quite there.
Has anyone done something similar to this?
Any ideas?

a full size version of itself. I searched the maling lists archives  
and the documentation but couldn't find anything. This doesn't look  
difficult. Has anyone developed it? I'm not sure how to approach it.

[Dspace-tech] Collection authorizations: cant upload new bitstreams

Im struggling with collection authorizations in DSpace 1.5.1. It seems 
that collection admins cannot upload or delete bitstreams when editing 
items. Not even if they have ADD, WRITE & REMOVE privileges. Any 
suggestions how to get around this are welcome.

(jpg or png), it starts showing a "The collection's logo" line of text 
instead of the actual logo where the logo is supposed to be at the 
collection's page. The collection images and thumbnails work fine 
themselves. Does anyone have a guess why the logo images are not recognized?

Thanks for your reply. I could able to find out the problem. By mistake
someone had deleted the dspace 'crontab'

I use 'crontab' for this action as below. I re-created it and the problem
solved.

# Send out subscription e-mails at 01:00 every day
0 1 * * * /dspace/bin/sub-daily

[Dspace-tech] Collection Item Mapper Search

If you go to the main page for any collection while logged in as an
administrator you should see a button called "Item Mapper" under Admin Tools
in the upper right hand corner. Clicking on it takes you to the Item Mapper
which gives you the option of searching by author name for items to map.

 

Our dspace installation is not carrying out this search correctly. If there
is an author with the specified name, the resulting page is blank. If the
author specified does not have an item in the repository, the resulting page
shows an empty table. Does anyone have any ideas as to what may be causing
this?

As a user of an archival repository I would be
very surprised to find an item constantly changing
e.g. if referenced from my own work. This is just
one major difference of an arbitrary web resource
to an item in a repository (that is accidentally
managed be means of a web application for reasons
of convenience and accessibility).

I doubt that anybody found such a feature useful
before. I guess most admins would either append
new bitstreams to existing items or create a fresh
item per bitstream. At least older versions should
not be removed from the repository, thats the nature
of an archive. There is some connection to the long
lasting discussion about the option to assign per-
sistent identifiers on the level of items vs. bit-
streams as I understand it.

[Dspace-tech] Collection Administration Rights and Bitstreams

I understand that a DSpace collection administrator has the following rights:

- add and delete submitters

- edit metadata

- withdraw items

- map items from other collections

Is there any way that a collection administrator can be allowed to edit
the bitsteams asssociated with an item within the collection?

It would be useful to allow this for an item that changed content fairly
regularly (e.g. Video Collection), so it kept the same metadata and handle
reference.

Hi! Claudia,

Here each school is represented by a community and individual divisions are
represented by collections. Although DSpace administrator account can
manage submission workflow to collections (i.e. edit metadata, accept, and
reject submission), it would be quite useful if individual collection
administrators can manage this workflow.

For managing individual collection "C" using an account "X" apart from the
Administration account

(1) Added the account X to the Collection administrator list of collection C
(2) Added the account X to the Collection Submitter group. (without this
authorization error is given)

>From the task pool of account X, workflow of collection C can be managed
(i.e. metadata editing, accept, reject submission etc)

Is this the right way to allocate a collection administration other than
the administration account? We want the DSpace administration account to be
relieved from managing individual collection workflows. Please suggest

clicks for finding out handle and collection details from dspace admin 
interface.

Hello Sanganmerkar,

the access to collections and communities is not restricted.
You may restrict the access to items by setting the following rights in 
the collection, where the item will be published, to a specific group 
other than the default anonymous:

- DEFAULT_BITSTREAM_READ (accessibility of the bitstreams of an item)
- DEFAULT_ITEM_READ (accessibility of the whole item)

As these rights are inherited by the items on submission, the changing 
of rights on a collection which owns already some items will not affect 
these items.
Note also that some basic information about items will be given away by 
the browse indices, the list of recent publications and the search. At 
this point the items are always partly visible.

dspace-admin,

Select manage collections - select your collection - edit policies.

Remove DEFAULT_BITSTREAM_READ Anonymous. 

If you have a group that can access this collection give that group name
for DEFAULT_BITSTREAM_READ instead of anonymous group.

 

Please try this on a test server and let me know whether this works.

[Dspace-tech] Collection-specific itemlists?

dspace.cfg tells me how to provide collection-specific simple item GUI
displays, and this works well.  I'd like to provide customized itemlists
and browse index choices on a per-collection basis as well.  I suspect
this is not possible without modifying some java code.  Am I right or am
I missing something?

I'm running DSpace 1.4.1 on Windows2003 server.

I had a search text box on the Dspace default-header page. This was
disabling the e-person popup menu. After removing the scripting for
search function the e-person popup menu was working fine.

(1) In Dspace 1.4.1 a collection was created and tried adding collection
submitters through edit collection interface - edit button. Clicking
"Select E-people" enabled the e-person menu. But when clicked on "add"
button, the Dspace status bar shows "error on page". Scripting is
enabled. 

 

(2) In Dspace admin tools- Groups, for a user defined group, adding an
e-person to the group deletes the e-persons existing in the group. The
Dspace status bar shows "error on page". Removing existing users is not
happening with the Administration group but cannot add new e-person to
any group including the Administration group. In this case also the
Dspace status bar shows "error on page". 

 

Please suggest.

Hi! Claudia,
 
I upgraded from 1.3 to 1.4.1. Few months back i selected an e-person to be 
deleted from a group. But the second e-person was deleted. Today it happened 
again. I have not tested this on fresh installation of 1.4.1. Any idea whether 
this is rectified in 1.4.1.  
(1) Is there any facts to be taken care when going for a fresh installation of 
1.4.1 where 1.3 is installed successfully. Using different folders will be 
okay. 
(2) deleting 1.3 source and instalaltion and then going for fresh installation 
of 1.4 is better. 
 
please suggest.

was your DSpace instance once on 1.2.*?
If so, your problems might be related with:

submitters through edit collection interface - edit button. Clicking
"Select E-people" enabled the e-person menu. But when clicked on "add"
button, the Dspace status bar shows "error on page". Scripting is
enabled. 

 

(2) In Dspace admin tools- Groups, for a user defined group, adding an
e-person to the group deletes the e-persons existing in the group. The
Dspace status bar shows "error on page". Removing existing users is not
happening with the Administration group but cannot add new e-person to
any group including the Administration group. In this case also the
Dspace status bar shows "error on page".
