Question about BCC

I have a user who likes to bcc himself on emails so he can retain a copy
without having to go thru all his sent items.  Is there a way to make a
default template where his email is in the bcc line?  Having a draft and
constantly forwarding that is a nice work-around but not the best option
if there are others.

Outlook 2007 has a rule that lets you put a copy of every message you send into 
a specific folder. There are other actions available and you can fine tune it a 
bit. I am unsure if that option is available in earlier version.

That might help, although it would just be another sent items folder in 
essence. I guess I am also unclear on his current method.  What the difference 
is between having all his sent items in his inbox to sort through vs. having 
them all in his sent items. :)

He has about 100 sub folders in his outlook and he likes to keep the
message he sent in the corresponding folder.  So each week, he goes into
his sent items and sorts them into his subfolders.  If he could set it
to bcc himself on all emails, he has rules set up to sort them into the
subfolders by specific subject line words and it would move them for
him.

Then the rule I came up would work. Have him modify them so that his subject 
rules are applied to everything he sends rather than on the bcc he receives. It 
is the very last rule template in Outlook 2007, 'check after sending'.

Well, using that rule in Outlook 2007 that Jim mentioned, he could have
a copy of every email he sends sent to a folder, just make that folder
the Inbox. Then he'll get a copy of the email he sent in his Inbox, and
it's the same as if he Bcc'd himself.

Oh mighty Exchange gurus,

We have a user wanting to fwd all emails to an external address.  We run
Exchange 2003 and fwd to external is turned off.  If I turn this on, will we
be vulnerable to a mail loop?  We run one domain only.

I see this here:  ESM  Global Settings  Internet Message Formats  Default
(which has * listed at the Domain)  Properties  Advanced  Allow auto
foward is unchecked.

Yes.

 

Go get him a BlackBerry or Windows Mobile or something else to access
his email remotely. Forwarding to the internet automatically = bad.

You can add a single domain entry so mail can only be forwarded to that 
domain. Don't change the default entry, you'll open a can of worms if 
you do that.

Our policy is that (1) if you are a project manager or higher you get a
company provided blackberry using our BES (2) if you have a personal cell
phone, it's as the IT staff has time to deal with your PDA and its a crap
shoot if it will work or not.  He isn't a PM or higher.  He has a personal
BB.  It was agreed to give him a license on our BES, against my better
judgement.  He doesnt want to pay for the right service from t-mobile.
That's about the long and short of it.  Done.

I thougt about setting up an active dir contact and doing an internal
forward to that contact.  Naahh forget it.

Its been about 2 years since anyone has asked our IT staff what smart phone
will work with our system.  But now they pretty much buy whatever and THEN
ask us if it will work.  C'est la vie.

communications devices will be allowed to be used as company communications 
devices - period.

Use BIS. It will hit his OWA account and download messages. You don't need
an enterprise plan for it.

Search Google for carrier name BIS. For example Sprint BIS.

I have to do something like this in my organization and I handle it like
this:

 

I created a Contact in AD, and assigned it the remote user's home email
address.  Then on the users actual Domain Account, I set the Exchange
General  Delivery Options   Forwarding Address  to forward to the AD

I suppose that if the home user had a rule to forward things back to the
office as well, it could create a loop, but I don't see that happening.
They certainly don't want a rule to forward dirty jokes from their Uncle
Tasteless to the corporate office.

Sure they do - and worse yet, your internal users will have no idea that
their presumed secure internal communications are being forwarded to
some unknown external mail system across the internet.

I have to do something like this in my organization and I handle it like
this:

 

I created a Contact in AD, and assigned it the remote user's home email
address.  Then on the users actual Domain Account, I set the Exchange
General  Delivery Options   Forwarding Address  to forward to the AD

similar bad spot, advice comes from MS, Chances of eseutil repairing with 
out significant data are nil.  No backup = Very bad place

Export all mailboxes, create a new store and import  I was just in a
similar bad spot, advice comes from MS, Chances of eseutil repairing with

Junk Email Senders List

Hello All,

I am having an issue with the Junk Email Safe senders list max value being 
reached.  In exchange 2003 there was a Max Extended Rule Size registry 
setting that would increase this.  I can't seem to google my way to finding one 
for Exchange 2007.  Has anyone ran into this or found a work around besides 
turning of junk email? One of my users keeps getting this pop up that more 
addresses cannot be added.

Looks like this is supposed to fix the issue with Export-mailbox as per 
http://support.microsoft.com/kb/951747/.  Been waiting for that one... I 
remember a few others on this list seeing the same issue as well.

If your user sorts the messages prior to reading, then he can check off the
box that allows the sent message to be saved in that folder in e-mail
preferences.

He has about 100 sub folders in his outlook and he likes to keep the message
he sent in the corresponding folder.  So each week, he goes into his sent
items and sorts them into his subfolders.  If he could set it to bcc himself
on all emails, he has rules set up to sort them into the subfolders by
specific subject line words and it would move them for him.

Outlook 2007 has a rule that lets you put a copy of every message you send
into a specific folder. There are other actions available and you can fine
tune it a bit. I am unsure if that option is available in earlier version.

 

That might help, although it would just be another sent items folder in
essence. I guess I am also unclear on his current method.  What the
difference is between having all his sent items in his inbox to sort through
vs. having them all in his sent items. J

I have a user who likes to bcc himself on emails so he can retain a copy
without having to go thru all his sent items.  Is there a way to make a
default template where his email is in the bcc line?  Having a draft and
constantly forwarding that is a nice work-around but not the best option if
there are others.

Well I believe about a year ago I made a Exchange Fopah with my Stores.
Exch 2003 Sp2, Enterprise

 

The thinking was that data in the main Store is growing quite large and
the recovery time with our current backup tape drive would have taken 12
to 14 hours..So Veritas estimated.. verified with a tech on the
line..yadda yadda..

 

Mgmt was not happy with that wanted it to be lower without spending
money and wanted the stores broken up by Groups..  Admin Staff, Finance,
Sales, etc..

The desire was to be able to recover someone's folder or data more
quickly than having to do an entire IS recovery of all mailboxes and
just recover the depts. Store data..

 

So I broke it up knowing that SIS would be lost if Email went across
stores.. It was brought up to mgmt but they said the majority of email
was dept localized.  I didn't think so and did not fight hard enough,
but.. Now fast forward a year and we are sitting with 5 stores but oh
look they all have grown at about the same rate because they send email
to everyone regardless so I now make a copy 5 times for every email and
attachment..

Did I mention that they refused to set store limits and mandated 20gig
file transfers allowed via SMTP..Oh I lost that one hard... CEO had to
be able to send videos to his other buddies and the dept heads as well..

 

So now the question...I am 99.% sure that moving all of the
mailboxes back into the same store will result in one store being the
size of the sum of all 5 stores combined...  Am I right there??

 

Any suggestions now that they are separated and essentially is just
taking up more space...

One large store in Exchange 2003 isn't a good thing. I know in Exchange 2000, 
one giant store worked fine, but in 2003, it changed. We had a gigantic store, 
163 GB (or some ridiculous number like that). We never could have recovered it, 
and it wasn't backing up properly because one backup wouldn't be finished when 
the next one wanted to start. No matter how we tried to tweak the timing, it 
never seemed to work. Log files never purged, hard drives filled up, Exchange 
went offline. It was ugliness all around.

We broke the one store into 4 information stores with several databases in each 
one, trying to keep the database files smaller than 30 GB. I can't remember 
where I found that magic number, very well could have been some random thing 
I dreamed up, but we didn't have problems with Exchange going offline after 
that.  

We had no mailbox quotas and no limit to attachments either. A silly, silly way 
to run Exchange, but the very importants didn't seem to care much for the finer 
points of the technology. They just wanted complete freedom. I spent a month 
moving mailboxes into the other stores, after hours, then ran an offline defrag 
on the emptied store to get the space back. Every month I'd send notes to 
people with extremely large mailboxes (more than 500 MB). The subject line read 
Piggy mailboxes, and I included instructions for cleaning up mailboxes. It 
offended many customers, but it also shamed them into cleaning out the garbage.

Remember, if the size of the database is 100 GB prior to a big purge effort and 
the customers delete 50 GB of crap, the size of the database remains 100 GB, 
but the store still has 50 GB to grow before it will get bigger than the 100 GB 
it was before the cleanup. An offline defrag is required to get the empty space 
back, but the store won't grow again until the amount of data grows back to the 
original size, as if that empty 50 GB of data is just a placeholder, waiting to 
be filled. 

Either way, you didn't commit a faux pas. The way you're running it, with the 
exception of the no quota thing, is considered best practice, not one large 
store.

just want to confirm that to overcome this issue i have one idea i.e
i dismount the store  i will copy priv1.edb file  priv1.stm file. Now i 
rename the both file with priv1_old.edb  priv1_old.stm file now i mount the 
database it will ask that you want to mount blank database say yes. now 
throught exmerge i can upload the mail box. 
just i want to know that weather this idea will work or not? 
i done in my test enviroment but i am not sure
