Hi Susan,

Be careful when sorting a table. All hypertext markers
get deleted. When you to use the sorted list as a
hyperlink file this procedure is not a good idea.

I guess, an alphabetical list of paragraphs is best (as
Richard Combs already suggested).

You can add such a file for a single file (Special | List
of | xxx) or for the whole book (Add | List of | xxx).
If you add such a generated file for the book, you must
update the book to actually generate the list.
In the online help it's described how the list can be
formatted (Formatting lists and indexes). This will
always take effect after you have updated the book.

Minimizing layout work on localised manuals using trados translation memory

Hi
I work with unstructured Framemaker 8.
 
As you all know some localised languages take up more space than others.
This may result in the English source version looking OK and the
translated German version needing layout work. Do you have ways to
minimizd the layout work? 
 
Do you plan for additional space in columns so that the same tables can
be used in serveral languages?
In case of major updates of an English manual do you simply run it
through the translation memory and redo the layout work on localized
files?
 
 
Any tips on minimizing the layout work are welcome. Can we do more to
minimize layout work on translated manuals if we go structured?

RE: Minimizing layout work on localised manuals using trados translation memory

Hi,

At our company they established a step called incoming inspection. During 
this step, the publisher colleagues check the incoming Frame files and they 
allow more space for the call-out, tables etc. We work into 16 European 
languages, and as linguist - by the time the files get to me - I hardly ever 
have any space issues in the Frame files.

During the translation phase, in Trados Tag Editor, one can also play some 
tricks using tags to insert non-breaking spaces etc.

When I convert from the Trados translation environment into Frame, sometimes 
some text boxes have to be enlarged, but this is only occassional and it does 
not really take a lot of time.

The EN source material is not written by us, we receive it from another 
department, so I have no idea how those guys tackle this.

Sorry, my confusion - I was thinking there was an Index of Figures entry option 
( there's not); however I checked my copy of the help file in FM9  it says 
that you can rearrange entries on a list. Maybe that will help you sort the 
figures. Here's the text:
 

Rearrange information in list entries
 
You can specify the order in which the parts of a list entry appear. 
For example, you can specify that the page number appear first, followed by the 
paragraph text.
 
Choose View  Reference Pages, and display the reference page that 
contains the special text flow for the table of contents or list.
Rearrange the building blocks. For example, to put the page number 
first, followed by the paragraph text, rearrange the building blocks: 
$pagenum $paratext.

You must have used the List of menu item instead of the Index of one

Setting the structure of the alphabatized list

Hi All,
  Thank you all for your help with the alpha sort.  Now, I have an alphabetized 
list of my Work Instructions (WI) in an appendix, that's great. 
However, how do I make a separation with A, B, C and so on to break up this 
long list and make it a bit more user friendly? 
I have entered A, B, C with and without tags, but when I generate the book, it 
naturally sorts these letters and they all jump to the top of the page.  I 
realize that's because that would be the alphabetical order - so what is the 
magic key to make these introductory letters stay in place?   Does it have 
anything to do with using the ignore symbols function?  However, these are not 
symbols  but the introductory letters to a new section that I want to hold in 
place.

Special  List of  Figures? OK, then in the Set Up List of Figures
dialog, you had to select the paragraphs to include (your figure
captions).

etc., are lists of paragraphs in FM. That's very different from a list
of imported graphics, fonts, text insets, or other references.

I don't understand. But again, List of  Paragraphs (Alphabetical) will
give you alpha lists of whatever paragraph format(s) you want (like
Head1, Head2, ...).

I don't know what a WI number is, but maybe if you spend some quality
time with the generated lists topics in the help or user manual, you can
figure out how to do something with that, too. FM's generated lists
functionality is pretty robust and versatile.

 figure out how to do something with that, too. FM's generated lists
 functionality is pretty robust and versatile.

Hello to all who responded to my query,

Thanks for the responses. It is sincerely appreciated. I will sincerely explore 
the suggestions.

Our documentation (User and Reference Manuals) are made available as part of 
the installation in html (Webworks help) and pdf format. No print format. The 
User/Reference Manuals include “What’s New in the Release” section with the 
relevant hyper links to User/Reference Manuals for details. The “Requirements” 
are part of the Installation Guide which is made available as an external file 
as well as part of the installation. The readme.txt that accompanies the 
installer lists all the book names and its contents in brief. 

The training materials are made available to the customers at a cost (who buy 
the tool). This includes the labs with screen shots (step wise instructions) 
plus presentations plus videos. The changes made in the training material is 
provided as “Readme, I’m new.txt”. I also send mails to the field engineers 
about the changes and asking them to exercise the new features. But 
unfortunately they never respond. For all the major changes the engineers are 
given training through Webinars, which again most of the time is poorly 
attended.  As mentioned earlier, they are familiar with the tool so ignore the 
trainings and the documentation. But there are certain details that they need 
to know before going to the client site for training. At that time their only 
focus is to train and ensure that everything is running fine. When they are 
stuck with the new/modified features they aim the barbsJ. It is probably the 
lack of time and the confidence that “they
 know everything so do not need to read” is causing this issue. Not sure. 

As already mentioned the new comers are anyway made to go through the training 
to get hands on experience of the product before they actually get down to 
coding.


As someone suggested “how about bribing and violence”. Fortunately or 
unfortunately its not my cup of tea. I was hired to work so let me continue to 
do so. 

We are a very small company so almost everybody is busy with their respective 
projects. It is not always possible to have training sessions. Never thought 
about inserting offers.

I think the list agrees that not just anybody can write a good manual.  And 
No, writers cannot be just anybody.  They must be committed, they need to 
love language, and as Annie Dillard says ...you really need to like 
words...words such as 'transmogrify'  
 
Or, if you will extend the metaphor to IT, endianess.
 
The best writing happens as a collective effort with the writer at the center. 
So, for example, take manuals. To write a good manual, one needs:
1. Subject matter experts for authoritative content
2. Enthusiastic reviewers who know the audience and have exposure to the 
subject matter
3. Editors who know the language
4. The technical writer
 
Trying as a single individual to serve in roles 1 through 4 is possible, but 
the more 'eyes' you have scanning the pages the better the expected outcome.  
This is especially true if you are writing complete books, manuals, and 
periodicals, from scratch. 
 
There is also an equally beneficial flip side to this postulate. If you find 
either transmogrify or endianess to be ugly, and if you think anybody in 
particular can plant a garden, repair an automobile, or write a technical 
manual, you might be management material.

I'm using Frame 7.1, and Esc-m-p works as advertised to wrap the anchored frame 
around the figure.

However, the setting Anchoring Position changes from Below Current Line to 
At insertion Point.

I could live with this, and simply adjust the placement of the text, except 
that in addition to shifting position, the anchored frame now covers some of 
the surrounding text.

None of the Runaround Properties makes any difference to this behavior.

What's going on?

Most likely, the pgf format into which you're inserting the graphics has
Line Spacing set to Fixed. Uncheck that and the space above the pgf will
grow to make room for the frame. If you can live with At Insertion Point
graphics, that's the simplest solution.

Alternatively, IIRC, there's a plugin or script that will shrinkwrap
graphics without changing Anchoring Position. Sorry, I don't recall any
details -- someone on the list will know.

To recap, I was getting an Unresolved Cross-Reference Warning Message each time 
I opened the book file, no matter how I tried to refresh or relink the 
cross-references. The message never appeared when generating the book, only 
when opening the file.

Apparently the message is somehow related to good old Missing Fonts, possibly 
via character styles in the cross-reference format, because it disappears when 
the files are opened on a machine that has the missing fonts installed.

Well, I'm kind of stumped. All xrefs point to xref markers. The
Source Type = Paragraphs is just a convenience for us humans. FM puts an xref
marker at the beginning of the paragraph you select and gives it a unique ID
(the marker text), which the xref you're creating (and any subsequent ones to
the same pgf) points to. Xrefs become unresolved in two ways: (1) the file they
point to is moved or renamed; (2) the marker they point to is deleted (most
likely) or its marker text is changed (not common).  

   

Assuming you're not moving/renaming files, something's happening
to the markers in the destination file. You need to figure out what and when.
First, make sure you have View  Text Symbols selected so you can see the xref
markers (oversized Ts at the beginning of pgfs that overlap the first text
character). Then reinsert one of the markers that disappears. Now go to the
destination file and look at the pgf that the xref points to. Is the marker
there? (You can see the marker text by selecting the marker and opening the
Marker dialog -- Special  Marker.) Save both files. Is the marker still
there? Close the destination file and reopen it. Is the marker still there?

It doesn't matter *where* the missing fonts are lurking, and they are unlikely 
to be in the cross-reference formats. What is making your cross-reference 
behave as if they are broken is the fact that there is *any* missing fonts 
issue.

I think a better understanding of how cross-references are handled will help 
you under why I say this.

Whenever you open a file that contains one or more cross-references, FrameMaker 
refreshes each of those references. If the reference is to another location 
within the same file, the refresh is straightforward unless the cross-reference 
truly is unresolved due to a missing or hidden cross-reference marker. If the 
reference points to a location that is in another file that is already open, 
the process is similarly straightforward. But if the reference points to a 
location that is in a file that is *not* already open, FrameMaker has to 
silently (without showing anything on your screen) peek inside the target file 
to retrieve the latest information for the refernce. If that file has any sort 
of problem that would throw a warning message during a non-silent open (e.g. an 
unavailable fonts message), FrameMaker is unable to peek inside it and 
therefore cannot find the marker it's looking for. It reports this failure to 
find the marker as an unresolved cross-reference. If you start b
 y manually opening the file with the missing fonts issue, so that you can 
manually dismiss the warning message, then you will not get an unresolved 
cross-reference warnign when you open the original file because FrameMaker can 
now find the target marker when it updates the cross-references.

BTW, the updating of the cross-references is the reason why FrameMaker will 
warn you about unsaved changes when you attempt to close a file that you *know* 
you didn't make any edits in. Even if the cross-references did not actually 
change as a result of the update operation, the fact that they were refreshed 
counts as a change that FrameMaker thinks you ought to save.

Exporting the paths of graphics used

Hi Susan,

Be careful when sorting a table. All hypertext markers
get deleted. When you to use the sorted list as a
"hyperlink file" this procedure is not a good idea.

I guess, an alphabetical list of paragraphs is best (as
Richard Combs already suggested).

You can add such a file for a single file (Special | List
of | xxx) or for the whole book (Add | List of | xxx).
If you add such a generated file for the book, you must
update the book to actually generate the list.
In the online help it's described how the list can be
formatted ("Formatting lists and indexes"). This will
always take effect after you have updated the book.

Minimizing layout work on localised manuals using trados translation memory

Hi
I work with unstructured Framemaker 8.

As you all know some localised languages take up more space than others.
This may result in the English source version looking OK and the
translated German version needing layout work. Do you have ways to
minimizd the layout work? 

Do you plan for additional space in columns so that the same tables can
be used in serveral languages?
In case of major updates of an English manual do you simply run it
through the translation memory and redo the layout work on localized
files?


Any tips on minimizing the layout work are welcome. Can we do more to
minimize layout work on translated manuals if we go structured?

List of vs Index of

Sorry, my confusion - I was thinking there was an Index of Figures entry option 
(& there's not); however I checked my copy of the help file in FM9 & it says 
that you can rearrange entries on a list. Maybe that will help you sort the 
figures. Here's the text:


Rearrange information in list entries

You can specify the order in which the parts of a list entry appear. 
For example, you can specify that the page number appear first, followed by the 
paragraph text.

Choose View > Reference Pages, and display the reference page that 
contains the special text flow for the table of contents or list.
Rearrange the building blocks. For example, to put the page number 
first, followed by the paragraph text, rearrange the building blocks: 
<$pagenum>?<$paratext>.

  In fact, my first effort I did use the "Index of"  and as I said, all I got 
was a blank page, then I tried the "List of" option to see if I could find

searches on the help files and in the FM 7.0 User guide and can't find 
anything.

Motivating end users to read the manual

Hello to all who responded to my query,

Thanks for the responses. It is sincerely appreciated. I will sincerely explore 
the suggestions.

Our documentation (User and Reference Manuals) are made available as part of 
the installation in html (Webworks help) and pdf format. No print format. The 
User/Reference Manuals include ?What?s New in the Release? section with the 
relevant hyper links to User/Reference Manuals for details. The ?Requirements? 
are part of the Installation Guide which is made available as an external file 
as well as part of the installation. The readme.txt that accompanies the 
installer lists all the book names and its contents in brief. 

The training materials are made available to the customers at a cost (who buy 
the tool). This includes the labs with screen shots (step wise instructions) 
plus presentations plus videos. The changes made in the training material is 
provided as ?Readme, I?m new.txt?. I also send mails to the field engineers 
about the changes and asking them to exercise the new features. But 
unfortunately they never respond. For all the major changes the engineers are 
given training through Webinars, which again most of the time is poorly 
attended.  As mentioned earlier, they are familiar with the tool so ignore the 
trainings and the documentation. But there are certain details that they need 
to know before going to the client site for training. At that time their only 
focus is to train and ensure that everything is running fine. When they are 
stuck with the new/modified features they aim the barbsJ. It is probably the 
lack of time and the confidence that ?they
 know everything so do not need to read? is causing this issue. Not sure. 

As already mentioned the new comers are anyway made to go through the training 
to get hands on experience of the product before they actually get down to 
coding.


As someone suggested ?how about bribing and violence?. Fortunately or 
unfortunately its not my cup of tea. I was hired to work so let me continue to 
do so. 

We are a very small company so almost everybody is busy with their respective 
projects. It is not always possible to have training sessions. Never thought 
about inserting offers.

Setting the structure of the alphabatized list

Hi All,
  Thank you all for your help with the alpha sort.  Now, I have an alphabetized 
list of my Work Instructions (WI) in an appendix, that's great. 
However, how do I make a separation with A, B, C and so on to break up this 
long list and make it a bit more user friendly? 
I have entered A, B, C with and without tags, but when I generate the book, it 
naturally sorts these letters and they all jump to the top of the page.  I 
realize that's because that would be the alphabetical order - so what is the 
magic key to make these introductory letters stay in place?   Does it have 
anything to do with using the ignore symbols function?  However, these are not 
"symbols"  but the introductory letters to a new section that I want to hold in 
place.

Do you mean that within a single FM file, not a book, you selected
Special > List of > Figures? OK, then in the Set Up List of Figures
dialog, you had to select the paragraphs to include (your figure
captions).

etc., are lists of paragraphs in FM. That's very different from a list
of imported graphics, fonts, text insets, or other references.

I don't understand. But again, List of > Paragraphs (Alphabetical) will
give you alpha lists of whatever paragraph format(s) you want (like
Head1, Head2, ...).

I don't know what a WI number is, but maybe if you spend some quality
time with the generated lists topics in the help or user manual, you can
figure out how to do something with that, too. FM's generated lists
functionality is pretty robust and versatile.

Procedure How to Write a Manual!

I think the list agrees that not just anybody can write a good manual.  And 
"No," writers cannot be just "anybody."  They must be committed, they need to 
love language, and as Annie Dillard says "...you really need to like 
words...words such as 'transmogrify'"

The best writing happens as a collective effort with the writer at the center. 
So, for example, take manuals. To write a good manual, one needs:
1. Subject matter experts for authoritative content
2. Enthusiastic reviewers who know the audience and have exposure to the 
subject matter
3. Editors who know the language
4. The technical writer

Trying as a single individual to serve in roles 1 through 4 is possible, but 
the more 'eyes' you have scanning the pages the better the expected outcome.  
This is especially true if you are writing complete books, manuals, and 
periodicals, from scratch. 

There is also an equally beneficial flip side to this postulate. If you find 
either "transmogrify" or "endianess" to be ugly, and if you think anybody in 
particular can plant a garden, repair an automobile, or write a technical 
manual, you might be management material.

I'm using Frame 7.1, and Esc-m-p works as advertised to wrap the anchored frame 
around the figure.

However, the setting "Anchoring Position" changes from "Below Current Line" to 
"At insertion Point."

I could live with this, and simply adjust the placement of the text, except 
that in addition to shifting position, the anchored frame now covers some of 
the surrounding text.

None of the Runaround Properties makes any difference to this behavior.

What's going on?

The first part about a procedure is not so far-fetched in a regulation
and standards-rich environment. The procedure won't be a literal
step-by-microcosmic step description of what happens, but it will set
out the requirements of the process and final product. Your
circumstances, however, may not be so heavy on the regulations and
standards.

That second part about "anyone can do it", though... that looks like
the tip of some kind of iceberg. Is there someone else you can talk to
in the organization who knows the context and players?

Most likely, the pgf format into which you're inserting the graphics has
Line Spacing set to Fixed. Uncheck that and the space above the pgf will
grow to make room for the frame. If you can live with At Insertion Point
graphics, that's the simplest solution.

Alternatively, IIRC, there's a plugin or script that will shrinkwrap
graphics without changing Anchoring Position. Sorry, I don't recall any
details -- someone on the list will know.

Thanks again for your help on this. The problem resolved in an unusual way.

To recap, I was getting an Unresolved Cross-Reference Warning Message each time 
I opened the book file, no matter how I tried to refresh or relink the 
cross-references. The message never appeared when generating the book, only 
when opening the file.

Apparently the message is somehow related to good old Missing Fonts, possibly 
via character styles in the cross-reference format, because it disappears when 
the files are opened on a machine that has the missing fonts installed.

Well, I'm kind of stumped. All xrefs point to xref markers. The
Source Type = Paragraphs is just a convenience for us humans. FM puts an xref
marker at the beginning of the paragraph you select and gives it a unique ID
(the marker text), which the xref you're creating (and any subsequent ones to
the same pgf) points to. Xrefs become unresolved in two ways: (1) the file they

Assuming you're not moving/renaming files, something's happening
to the markers in the destination file. You need to figure out what and when.
First, make sure you have View > Text Symbols selected so you can see the xref
markers (oversized Ts at the beginning of pgfs that overlap the first text
character). Then reinsert one of the markers that disappears. Now go to the
destination file and look at the pgf that the xref points to. Is the marker
there? (You can see the marker text by selecting the marker and opening the
Marker dialog -- Special > Marker.) Save both files. Is the marker still
there? Close the destination file and reopen it. Is the marker still there?  

 ?

It doesn't matter *where* the missing fonts are lurking, and they are unlikely 
to be in the cross-reference formats. What is making your cross-reference 
behave as if they are broken is the fact that there is *any* missing fonts 
issue.

I think a better understanding of how cross-references are handled will help 
you under why I say this.

Whenever you open a file that contains one or more cross-references, FrameMaker 
refreshes each of those references. If the reference is to another location 
within the same file, the refresh is straightforward unless the cross-reference 
truly is unresolved due to a missing or hidden cross-reference marker. If the 
reference points to a location that is in another file that is already open, 
the process is similarly straightforward. But if the reference points to a 
location that is in a file that is *not* already open, FrameMaker has to 
silently (without showing anything on your screen) peek inside the target file 
to retrieve the latest information for the refernce. If that file has any sort 
of problem that would throw a warning message during a non-silent open (e.g. an 
unavailable fonts message), FrameMaker is unable to peek inside it and 
therefore cannot find the marker it's looking for. It reports this failure to 
find the marker as an unresolved cross-reference. If you start by manually 
opening the file with the missing fonts issue, so that you can manually dismiss 
the warning message, then you will not get an unresolved cross-reference 
warnign when you open the original file because FrameMaker can now find the 
target marker when it updates the cross-references.

BTW, the updating of the cross-references is the reason why FrameMaker will 
warn you about unsaved changes when you attempt to close a file that you *know* 
you didn't make any edits in. Even if the cross-references did not actually 
change as a result of the update operation, the fact that they were refreshed 
counts as a change that FrameMaker thinks you ought to save.

Ah, it's good to be back on Framers after a 15-or-so-year
hiatus! My question:

On an XP machine localized for CH, I'm trying to convert
and translate a manual into Simplified Chinese. I'm doing
fine with entering or pasting characters directly into the
document, but am having no success with variables.

In the edit variable window I can get a character in and
displaying correctly, but as soon as I space over to do the
next character, the previous one changes to a question mark.

I hope there is just a simple setting or step I'm missing.
Any suggestions? Thanks!

that one because it's 700 pages and $95 in paperback. Tell the PHB that it 
would be cheaper than paying you to write it. Also faster.

Motivating end users to read the user manual

I like Sharon's advice (ask the user directly). But I haven't seen anyone
mention context-sensitive help or conditional text.

I hope the lengthy paragraphs in your query are not representative of your
manuals--that would certainly turn off users.

A couple of guidelines:

KISS--keep it simple, sir.

Tell them what you're going to tell them, tell them what you want to tell
them, then tell them what you told them

Engineers like flow charts and logic diagrams, so fire up your Visio and try
to put the points across that way.

And everyone likes pictures, so see where you can use those. (Many people
are visually oriented and don't like to read.)

I hope I haven't insulted your intelligence. I'm just picking trees out of
the forest.
