Jukka, Apologize for the delay in sending the report. There was some confusion on when the due date was (mostly my mistake). We will make sure to send the board report by Sep 5th. It would be very good to see the community to come up with a more concrete plan just increase the number of active committers for how to proceed towards graduation. See the earlier discussions on general@ about community growth for some ideas on what such a plan could contain. If the project doesn't start showing signs of increased activity I think we'll need to look at alternative exit paths from the Incubator. Is there another TLP that might want to take over the codebase and the small Nuvem community? For example, it seems like Nuvem's scope overlaps a lot with that of Deltacloud. Or as a last resort we'll need to consider retiring the project. DeltaSpike Status - Re: Preparing for August report
Hi - AFAIK Documentation is not a graduation requirement. I was frustrated with the documentation because the lack makes it hard to understand the project, but that is not a blocker. I think the project should start working on graduation soon. They have made a release. The community is active on the lists. Most of the status page items are checked off with possibly only podlingnamesearch needed. Hi, The standard podling report deadline of the first Wednesday of a month would fall already to next week on August 1st. Since that's a bit soon, doesn't play too well with the automatic report reminders, and since the August board meeting will take place only on the 28th instead of the originally scheduled 15th, I'm postponing the podling report deadline one week ahead to Wednesday, August 8th. I've prepared the August report page [1] with placeholders for all podlings whose reports are expected. When preparing your reports, please consider your status in May [2] and summarize your recent actions to move forward towards graduation. I made an observation in the board meeting last night that there were too many reports not being signed off by mentors. The board acknowledged that this is an issue being addressed by the new process put in place by Jukka and it was not a board issue. So, as an IPMC member I again request that the board report includes a note from either the IPMC chair or the Shepherd indicating whether the lack of mentor sign off is considered a problem for that specific project. My justification last time I requested it was that it would increase visibility of the issue and encourage subsequent shepherds to re-examine any problems. I can justify this further this month. At lease one of the projects (ODF-Toolkit) without mentor sign-off also did not have adequate evaluation from the shepherd. I know this for a fact because I was the shepherd. I don't imagine there is a problem with that project but a lack of mentor sign-off might indicate a lack of adequate oversight on the project. I'd like to think my failure to check this month is rectified next time. As one attempt to fix this, or at least make the scope of the issue easier to track, I replaced the Signed off by mentor: lines with more generic Signed-off-by: lines. It would be helpful if anyone from the IPMC, ideally at least mentors and shepherds, who reviews a podling report adds such a sign-off note. I won't submit the full Incubator report until all podling reports have been reviewed at least by one person. Earlier when we discussed the mentor sign-off entries there was some pushback about process for process' sake, so I'd rather still keep the sign-off as a voluntary step. On a related note, I guess I should pick up again my earlier effort to track down inactive mentors and update our records to better reflect reality. There still are a number of podlings without adequate mentor support, and I think that's also showing up in low sign-off counts. I can justify this further this month. I'll point out that all of the Directors attempt to review every report sent to the Board, and note this with their pre-approval of that report. They may add some comments/questions, too. Sometimes Directors will run out of time and not get to some/all of the pre-approvals. The overall goal is to get a majority of the Directors (at least 5 of 9) to pre-approve the report. That dramatically speeds up the Board meeting since we do not have to stop and review the report at the meeting -- it's already been done by a majority. As a comparison point: our meeting yesterday lasted about 40 minutes, and we covered 57 reports; before I introduced the pre-approvals to our process, the Board meetings sometimes took over TWO HOURS, and we covered maybe a dozen reports. My basic point here is to not worry too much about some IPMC people not performing reviews, as long as you have ample numbers in the first place. I realize that you don't have nine dedicated Directors :-P, but hopefully in time, you'll build a good set of people interested in performing overall reviews. (and just thought: you could actually get some of those reviews from Directors who are IPMC members; they're gonna read it eventually, so why not a bit early and provide a review?) Commentary may be a bit tricky. For the Board, we place the feedback directly into the agenda (which gets stripped for the final minutes). Not sure what you'd like to do here. For the Board, the shepherds are the ones assigned to *definitely* perform a pre-read of the report, and they are also the ones to deal with any feedback within the agenda, or to carry things back to the PMC from the Board meeting. I think bringing shepherds comments here is good and don't want to change that (consider this the equivalent of discussing in the board meeting). By calling for brief comments in the report I'm just hoping to set a reminder for following shepherds. Consider this roughly equivalent to action items follow-ups. Any other solution that achieves similar results would be fine.
