Hi Adrien,

Personally, I don't put the bill through AP, but have a monthly scheduled 
transaction to account for the actual payments (personal accounts only, 
doesn't crop up in my business accounts)

I'm pretty sure that you can't tie a vendor bill to a scheduled transaction - 
it certainly was not possible in the past, it may have changed with the recent 
improvements to process payment.

Installment Payment Plans & Bills Due Reminder

Not sure if this is possible, but has anyone worked out a way to get the Bills 
Due Reminder to trigger that a payment is due on a loan or other type of 
installment plan?

Particularly, this issue comes up with insurance that is charged all at once, 
but paid for in monthly installments. (and then expensed as ‘used’ each month)

I can’t see any way to generate a bill due reminder.

I can enter the full amount of the insurance bill and then just pay the monthly 
amount and let the Bills Due Reminder subtract it as I go. (showing the full 
balance due) But that doesn’t show me that any particular monthly payment is 
due, just the full amount. (or remaining balance)

I tried bringing a liability account into the mix, because technically the 
insurance is paid for me and then I’m paying on an installment plan. (with 
usually a small monthly service charge for the convenience)

But unless there is some magic that happens by setting up the liability as a 
type Credit Card or type Loan, it doesn’t seem possible to get a reminder for 
when that installment is due.

(type Loan won’t seem to work anyway since it demands an interest rate, no 
service fees, and insists on compound as opposed to upfront or simple interest)

How is anyone else handling this scenario?

Thanks to everyone for your answers.
I proceeded as Adrien suggested and found that there was a problem
each time I had a transaction in a different currency (EUR). In fact,
the transactions in foreign currency were not "translated" into the
local currency in the report, and therefore Gnucash could not
calculate the Total.

 I checked the Currency Exchange Rate with the Price Editor, and
everything was OK. In the Report Editor, the default choice for the
exchange rate was "Volume weighted average cost of purchase", and I
changed it for "Price recorded nearest in time to the report date"
and that made it! My balance sheet is now OK.
Still, I believe that this is a bug in my version of Gnucash.

I still have Gnucash crashing with large transactions report involving
 many years (4 or more). This may be corrected if I upgrade to a newer
version, as Geert Janssens suggested. So far, I can live with it.

Hi,

You should probably start by uprading to a newer version of gnucash. 2.6.1 has 
known issues attempting to report on large data sets. It is unfortunate Ubuntu 
14.04 is tied to version 2.6.1. You may get a newer one via the getdeb 
repository.

I an another user with a rather large file, but not nearly as large as
yours.

I think GnuCash has no internal limit, but your os and hardware will give
you a practical limit.  Remember, GnuCash loads the entire data file when
it starts.

Linux, especially 32 bit versions, can run out of memory and bog down
swapping data to disk.  If you have several GIGs of RAM you may be ok, but
if you only have 1 or 2 GIGs that may be your issue.

I have imported  QIF data from Quicken into Gnucash  from three
different bookkeeping periods in order to have all my bookkeeping data
in a single file.
My Gnucash version is 2.6.1, running under Linux (Ubuntu 14.04). The
import went smoothly. I now have been working 5 months on it without
problem.
The file is large and contains actually 41'287 transactions (25 years).

The problem arised when I tried to get a balance sheet. The total
amount for Liabilities will print, but the total amount for Assets
will not.
I tried to get balance sheets from previous years: il works well up to
year 2009, and the problem start for years 2010 and later.

After that, I tried to get transactions reports  of different
accounts, and it works if I limit the range to a 3-4 years, but then
Gnucash crashes if I ask for a larger transactions report involving 5
years or more.

Is there a limit in the number of  transactions in Quicken

Thanks Derek, Maf and others who replied. I think I have it sussed. I saved my 
files (old PC) to USB stick, read them on the new PC and saved them to a 
selected location.
All looks good now (and I don't think I have destroyed any apps).

The GnuCash data file DOES NOT live under Program Files.
As for where it DOES live -- that very much depends on where you told GnuCash 
to save t.  Usually it would be in your Home Folder or in your My Documents 
folder.  But Gnucash will let you save it anywhere.

As many other people have suggested -- log in to your old machine, launch 
GnuCash (which will auto-open the last file it used), and then use File -> Save 
As (which will open a dialog and show you the folder where your data file is 
sitting).

Also note that by overwriting data in Program Files with your old stuff, you 
may have just destroyed some applications on your new system.  YMMV.

You neglected to say whether the new computer will be under the SAME 
operating system, and if not, whether you were familiar with the new 
operating system. BTW, this is more  a question about ALL of the data in 
your old computer, not just the gnucash data.


a) If the same operating system, and if you are choosing the same user 
name(s) as on the old, you can simply do a restore from backup << the 
backup that has ALL of your data >> because everything would be going 
into the same path(s) as on the old one.


b) If not the same operating system, a bit trickier. Whenever I do this 
I am usually unfamiliar with the new operating system, not sure whether 
everything should go (what the NEW path(s) will be). In that case, as I 
am installing software on the new machine, I take a look to see where 
data (from that application) goes. Now I know where to copy the data 
from that backup.

Hi Maf (bit of confusion - you are now answering my earlier query - same issue).

 

Let me tell you exactly what I have done:

*   On the old PC (Windows 10, but GnuCash 2.4.10 was installed under 
Windows 8) I copied everything in Program Files (x86) onto a USB stick.
*   On the new PC (Windows 10), I downloaded GnuCash 2.6.16.
*   I then copied all files from the USB stick to the same location on the 
new PC, replacing any of the same name.
*   I then opened GnuCash.

 

I don’t know how to access my data (assuming it has been transferred – I could 
well have done something untoward). The accounts do not appear as before and in 
‘Open File’ I have the whole machine to choose from, which is not much help. 
Any ideas?

Hi,

 

You can find the file from within GC on the old PC (you haven't mentioned an OS)

- if there's no file extension are you on a linux distro?

 

File -> Save As will give you a pointer to the correct path to find your data 
file.

 

In fact, while you are in File -> Save As... you might as well just save to a 
USB stick and save some clicking... 

 

Or if you have already copied your ~ to the new PC, just navigate to the same 
path on the new PC and see what is there.

The file with all your financial data on it is just a normal file.  If 
you open GnuCash on your old computer and go to File -> Save as... the 
dialog which opens should show you the whereabouts of the file you 
currently have open, which is the file where your financial data 
resides.  Save this file onto a usb stick, move it to the folder where 
you want your financial data to reside on your new PC, and then you will 
know where to go in the File -> Open dialog.  There are some preferences 
which will not carry over with this file:  you have been given links to 
info about the preferences file, which varies between operating systems, 
but if you're not certain about these you can just set up the 
preferences on your new system manually.

I don't understand this statement "positioned correctly as a liability
account and is not a sub account"??  Do you mean that you have this
listed as a Top Level Account???  That's...  weird.

Which again implies that you entered your transactions backwards.

Hi Edwin.

Suggest that you firstly don't try and copy a program from one PC to the other 
by dragging the Program folder around.  You should download & install GC from 
scratch on the new PC.  

As previously alluded, your GC data file(s) SHOULD not be in Program Files, but 
somewhere in your user data folders. ("Home Folders")   If you don't know 
where exactly you have saved you file, then (on the old PC, within GC which 
should open your accounts file up as it starts) use File -> Save As to start 
your hunt off in the correct direction.

Then you simply have to move the data file to the new PC. If it is in a folder 
you have already copied, then once you have correctly installed GC on the new 
PC, file->open should let you navigate to it. 

As to things looking different - are you changing a windows version? I can't 
say for sure, as I don't use windows, but maybe a change in underlying OS will 
make things generally look different?

Thanks for pointing me at that info. But I’m still confused. On the old PC, the 
release is 2.4.10 and I don’t see any file with an extension .gnucash. Maybe 
the file extensions are different in release 2.6.16.

Any other thoughts?
