[GNC] transfer dialog shortcut

Dear group, is the shortcut ctrl + arrow up for the transfer dialog 
deactivated? In my version it is not working any more.

And if you find that  is the same, make yourself a new one,
change the new file and see what happens.
Of course you will have to do this every time you import for the new
credit card.

[GNC] Credit card account with two cards

Hello,

I’m wondering if anyone has dealt with multiple credit cards under a single 
credit card account?

My spouse and I each have a credit card under a single credit card account. We 
make purchases on our separate credit cards. Each month I receive a single bill 
for both cards. The bill separates my purchases and my spouses into two 
separate lists and sum them up.

I’ve set up my accounts in GnuCash like this:
-Credit Card
--My Card
--My Spouse’s Card

This account structure allows me to separate purchases between cards.
I can reconcile the account including sub-accounts every month, however I can’t 
confirm each transaction is entered under the proper card.

Does anyone have experience or suggestions to this?

I’m guessing you mean you can’t verify the account from the reconcile window...

Before opening the Reconcile window, as a first step, I’d go through each 
account and mark the matching transactions from the statement as ‘cleared’ by 
clicking the R column. (changing the flag from ’n’ to ‘c’)

Then when you open the Reconcile window, those will have green checks by them. 
If all is well, then the balance *should* be zero and you can just click to 
finish the reconciliation, else you might have to edit something, or enter a 
balancing transaction until you can track down the error.

I forgot to mention that you might also run a Reconciliation Report as a 
first/early step. The report can be made to show only unreconciled and/or 
cleared transactions. Then you’re looking at each sub-account (card) separately 
and can make sure everything is where it belongs, then proceed with the 
Reconciliation.

Zacharie,

I have a bank account with two debit cards that have different card
numbers.  In my case the bank does not separate the transactions by card
number in the monthly statement, but the last four digits of the card
number is in their description field which maps into the GnuCash Notes
field during the import.  I am not sure how I could separate them before or
during the import, but at least there is a property which differentiates
them.

I think that I could do a find based on one of the numbers after the import
to temporarily separate them in the find results, then move one set to the
other sub-account before proceeding to the reconciliation step.  Perhaps
you could do something similar.

because this is exactly how business/organization credit card account 
work. Authorized individuals have their own cards, and the statement 
shows use by cards, but the total amount shows under the master account 
(and that is the one to which payments are made).


One of the organizations for which I am treasurer has this. 
Unfortunately I am not going to be of much help suggesting how to treat, 
as such low volume I don't bother with downloading from the bank << only 
one of the authorized persons charges "frequently" and even he rarely as 
many as 2-3 transactions/month-- the rest don't average even 2/year >>

Nope, this is handled by Employee Expense Vouchers.  If you have an
employee card, when you enter an expense you can mark it as Cash or Card,
which dictates whether to reimburse the employee or put it on a
(corporate) credit card.

Multiple employees can "share" the CC account.

This doesn't really help the non-biz case.  For the OP I think the answer
is subaccounts.  You and spouse have subaccounts of the master CC acct. 
When you reconcile you can click the check-box for the top-level CC to
include subaccounts so you can reconcile the whole shebang.

I might be missing something, but I’m reading that Mike is referencing the 
example of corporate card, not expenses paid by an employee that is to be 
reimbursed. The company pays the card -always. A family business I used to work 
for had this for several cards. The business had multiple owners/manages with 
cards having their own names but identical digits. (some banks instead issue 
cards that have different digits, but still technically the same account) There 
was no reimbursement issue. It was simply for convenience and tracking as 
opposed to having one physical card.

That is what they are doing already but noted that the Reconcile window doesn’t 
display the sub-account for each transaction. They are just all lumped 
together. So if you are also needing to make sure you entered them in the right 
sub-account, you have to do that prior to hitting that Reconcile button.

You have described YOUR business/organization. I assure you that there 
are others (including one for which I am treasurer) that work the way I 
described. The treasurer (or in a large organization, somebody working 
for the treasurer) would examine the statements to see if expenses 
charged were authorized/reasonable. No "vouchers" involved*. Of course 
can also pay for things with their own funds/cards and submit receipts 
for reimbursement.


The last line in what you said, what do you mean by "share card"? Isn't 
that what we have been talking about? There is a master account (the 
"corporate" account) which has an account number but no cards, and then 
a number of cards for individuals each with an account number but tied 
to the master account. The statement shows a total for the master 
account (items on it would be the totals from each subsidiary account) 
and then each subsidiary account showing its transactions for the period.


But this is NOT just for business. My wife and I have individual 
cards/numbers but these get combined into a master statement giving the 
total  BUT there is also a part that shows each card transaction grouped 
under that card number, the charge transactions on my card completely 
separate from the ones on hers.

spending more that authorized they would use their own funds/personal 
card and then submit for reimbursement of what was authorized << example

I should perhaps note that RECEIPTS are required whether putting in for 
reimbursements or not. ideally even when donating the amount. We get 
GRANTS which can be specific as to category of expense for which can be 
used.

[GNC] Unable to modify existing database

When I open GnuCash, I get the error message "unable to obtain a lock." I have 
searched for a .lck file, but none exists. I selected "Open Anyway" and tried 
to make changes to my accounts. I cannot save those changes because then I get 
the error message "unable to create a backup."

I have read all of the documentation, but cannot find a solution that works. I 
don't know of any instance where GnuCash closed inappropriately or crashed.

I updated to Version 3.7, hoping that would eliminate the problem.

Please tell me what to do to get rid of these error messages!

Usually "unable to obtain a lock" means that the previous instance of
GnuCash crashed or was force-stopped. But you say that didn't happen,
and if it had then you would not get the "unable to create a backup"
error when trying to save the file.

That error suggests that for some reason you do not have the ability to
write to the directory (in Windows, "folder") where your main GnuCash
data file lives. It could be a permissions problem,  or it could be that
the disk is full -- anything that prevents files from being written.

If my analysis is right, you get "unable to obtain the lock" because
GnuCash is unable to create the .lck file -- again pointing to
permissions problem in that directory or folder.

No, I have described how GnuCash handles employee credit cards within the
Business features.  This was in response to your statement that GnuCash
cannot do it.  I'll note that this has nothing to do with my
business/organization, but rather this is just a statement of how to enter

"Employee Expense Voucher" interfaces.

You're talking about the process, which is different than (and IMHO
orthogonal to) the way that GnuCash wants it to be entered into the
system.

I did not say "Share card"  I said "share the CC account".  Yes, indeed,
it is EXACTLY what we've been talking about.

My reply was to your statement that "GnuCash cannot handle this."  I
wanted to point out that yes, GnuCash CAN handle it, and this is how to
enter it into the system, using the Employee Expense Voucher interface
with items being "Card" (instead of Cash).

Sure.  And my wife is an authorized user of one of my credit cards and, as
a result, has her own -- but the bill is consolidated.

For a non-biz use case I don't know that the "expense voucher" is the
right solution.  It's a very heavy-weight operation to keep track of his
vs hers transactions.  However, it *WOULD* let me keep track of it, which
is contrary to your statement that GnuCash cannot do it.

You shouldn’t suddenly have a permissions issue if all was working properly 
before.

Make sure you are trying to save the file either in your own user folder or on 
a thumb drive. (or network share)

Some users have reported here that trying to save files to C:\ or other 
locations have a chance to trigger the problem, especially on more recent 
versions of Windows. (10 in particular)

Also, make sure you are not logged into the computer using the ‘guest’ account 
if there is one. Those accounts usually can’t save files to the hard drive (but 
could to a thumb drive) and would likely trigger this as well.

I have not changed the location where the files are saved (in my user folder on 
the C:\ drive). It has always worked in the past. I looked at the permissions 
for the folder, and I don't see anything awry there (it looks to me like all of 
the permissions are set to "allow").

Any other suggestions?

[GNC] Import bug? no account matching options

2019-09-25 Thread Grant
I'm trying to import transactions I've downloaded from Chase in a QIF
file but when I'm importing Gnucash doesn't give me any options to
match them to an account (zero accounts in the list) and the button to
change the matched account is grayed out.  This is happening with 2
separate Chase accounts and I am able to import transactions from
another bank just fine.  What could be causing this?

My recollection is spotty but that sounds familiar. Maybe related, (or the same 
person) a few weeks ago someone could only save using Win10 to a thumb drive - 
for any app. They settled on continuing to do so and not proceeding down the 
rabbit hole further as far as I know.

If the user has access to their alleged user files, then they aren’t logged in 
as a guest, so that isn’t the problem.
If permissions are all set to ‘allow’ then that is ruled out.

That would leave either some sort of security measure (as you alluded to) or a 
drive space issue. (which supposedly isn’t the problem here either)

I’m not familiar with Win10’s security measures at the moment. Perhaps they 
have some sort of ’trusted apps’ list where GnuCash can be white-listed similar 
to firewall settings.

What is odd is that if this is the issue, why aren’t *many* more people 
reporting problems? (there are certainly plenty of Win10 users here)

Problem solved! Adrien & Colin were correct - the issue was with Windows 
Defender (I am running Windows 10). There must have been a recent update that 
created this problem, not sure.

In any case, I fixed it by opening Windows Security in Settings and then going 
to Controlled Folder Access. I clicked on "Allow an App through Controlled 
Folder Access," found the GnuCash .exe file, and selected it. When I reopened 
the GnuCash app, everything worked normally (no more error messages).

I have one possible workaround that I have used (albeit with version
2.6) to change the OFX-to-gnucash-account mapping in situation like
that: First, create a backup of your gnucash file, just in case.  Then
create a temporary account, call it "placeholder".  Give it properties
just like the old VISA account that is unfortunately getting all your
new transactions.  Then on the VISA account, click to Delete Account.
Gnucash will then ask you if you want to move the transactions into
some other account instead of losing them.  Go ahead and move them to
the "placeholder" account and allow it to delete the (empty) visa
account.  Now rename "placeholder" to be "VISA".

After all those gymnastics, you are pretty much back where you
started, i.e. should still have your old VISA data just as it was
before.  But next time you import OFX transactions, they won't go to
VISA: instead gnucash will ask the (one time) questions about where
they should go, and it sets up a new mapping accordingly.

When I transferred over to GnuCash from Quicken a number of years ago, after
first toying with the import directions/options, I opted to use the "6-pack"
method...

I bought several 6-packs of Stella, picked how many years I wanted to go
back to be reflected in GnuCash, and entered each and transaction manually.

Doubt I'd do anything different in 2019.

Would you care to specify WHERE you saw that statement you claim is from 
me?


And I believe we are talking about VERY different issues. As I have 
pointed out, not MY problem since all the organizations for which I keep 
books have such low volume I do not download bank statements and try to 
get that data into gnucash. I am simply entering the few transactions 
that exist from the credit card statement > OBVIOUSLY if manually entering 
transactions no limitations from gnucash.

Yes, I understand... And this is exactly what "Card" is meant for. 
Employee Expenses charged back as "Card" are not reimbursed to the
employee; they are "charged" to the corporate card, which the business
pays directly.

This is true.  I don't know of a way around that at the moment.  I suppose
one could suggest an RFE for a hover-over popup of full account (or
subaccount name)?  Always displaying the account would be unimportant for
most of the use-cases of reconciling subaccounts, I think.

[GNC] Transactions Associations

Hi,

?? I am having a problem with transaction associations. I am using 
Gnucash 3.7 on a 64-bit Windows 7 Pro laptop.?? I am trying to import an 
OFX file that contains stock cash dividends.?? I seemed to have messed 
something up early on because all the dividends get imported directly 
into the individual stock accounts instead of the upper level brokerage 
account.?? When I try to pull up the "Transaction Associations" from the 
gnucash "Tools" menu, all I get is a blank window.?? I tried changing the 
"Path Head" in preferences but I still get a blank window.?? I also tried 
deleting entries using the "Import Map Editor" from the "Tools" menu but 
that didn't seem to have any effect.?? I finally uninstalled the program, 
wiped all the remnants that I could find, then reinstalled.?? That also 
had no effect.


?? If any has any hints to offer so I can change the transaction 
associations I would be grateful.

Transaction Associations are for linking files on your computer/network to a 
particular transaction, for example, a scanned receipt or utility bill.

Unfortunately, I can’t help with the importer, as I don’t use it, but I’m sure 
someone else here will lend a suggestion.

Transaction associations are not formed automatically on imported data. 

The purpose of the feature is to associate an external file such as an image
or pdf file of a receipt or invoice or other documentation to a transaction
entry in GnuCash so that if you need to view it, it can be opened from
within Gnucash.

If by Transaction Associstaions you are referring to the assignment of a
transfer account in the window called the Generic Import Matcher, this is
not done from the menu. The documentation is in the process of being
rewritten and updated at the moment and the current documentation is not as
clear as I wold like.

Generally single left clicking on a row in the import matcher will select
it. Ctrl-left click will add to the selection. Double clicking on the row
will either bring up a dialog to examine the match if a row is not to be
imported or if it is marked for import it will bring up the dialog to assign
the account for a second split. 

The following is a link to the help manual under development in a shared
folder on my dropbox. It is still under development but the section on
importing transactions in the chapter on transactions may help you.  It
hasn't been fully reviewedand accepted by the documentation team at this
stage. If you do use it I would certainly appreciate any feedback on clarity
and anything which doesn't work as described. 

To use it paste the following link into a browser, look for the file
help.html in the folder the webpage opens at and doubleclick on it. This
should give you the help manual index on the page. The importing is
discussed towards the end of chapter 6.

I am the person that had the problem.  Windows defender blocked  gnucash, 
quicken and open office.  I posted a fix but I did not save it.
On my wife's computer quicken listed the programs that were blocked and was an 
easy fix.
My computer I went into settings and found windows defender settings and 
unchecked.  If you can't find it I will look tomorrow.
Was not very nice of MS to do this.  Someone had to do this on purpose

to firewall settings.

What is odd is that if this is the issue, why aren?t *many* more people 
reporting problems? (there are certainly plenty of Win10 users here)

p.s. -a cursory web search turns up some advice linked to Windows Defender 
?Controlled Folder Access?. The suggestion is to turn this feature off. I 
should think though one could white-list an app instead so it isn?t all or 
nothing, but I don?t have a copy of Win10 to verify that hunch.

I tried all the clicking I could think of and the only one that did anything 
was when I selected the "R" box on the import screen for an item and then 
double clicked on that row.  A window titled "Select Matching Existing 
Transaction" and the bottom part of that window labeled "Potential Splits..." 
was blank.

I downloaded your guide, I will give it a read.
