guadec-list is being used for volunteer coordination.
TODO: add a page to guadec.org with basic volunteer information and point
it in the general direction of the wiki page.

  * the volunteer coordinator needs to be *local*

As far as I am aware, we are still lacking a 100% confirmed volunteer
coordinator.

 * volunteer coordinators from the last two years need to be asked to help
 out
 *** from 2011: Patricia Santana Cruz patriciasantanac...@gmail.com

Patri has been contacted, she replied privately to me to say that she was
unable to do anything pre-conference because of
exams.https://mail.gnome.org/archives/guadec-list/2013-June/msg4.html

*** from 2012: still tracing, got as far as Santiago Saavedra who has more
 information

German Póo-Caamaño is helping out with this, but it does not look too
promising.

 * the volunteer coordinator needs one phone (usually with a pre-paid SIM)
that can be passed to whomever is in charge of volunteers so that all
volunteers can get in touch with them at any point
 * the volunteer coordinator phone needs to be pre-programmed with mobile
contact numbers for all volunteers (this was a point of failure in some of
the previous conferences) - volunteers usually use their own phones/SIMs
because this is only in case of problems and walkie-talkies not working

rishi, any updates on getting a volunteer coordinator phone?

 * list of volunteer tasks needs to be decided on

At the moment, consensus is that we need 13 volunteers at all times and the
university will make 5 people available (not all at the same time).

 * do volunteers get free refreshments and registration? (as per previous
 years)

TODO, requires action from someone on the local team.

  * each volunteer needs one t-shirt per day, extras must be available

What is the status of t-shirt designs and printing? Along with this item,
how many local helpers will there be? This should at the very least be
all the organisers. I would roughly estimate that we need around 150-200
volunteer t-shirts based on the numbers.

Getting a pre-paid SIM is easy, and arranging a phone to go along with it
shouldn't be hard. So, I was not treating this as something that has to be
done *now*. Do you want us to have the phone and SIM in our hands right
now?

It would be good to tell the volunteers what the number is around a week
before the conference starts at the latest, so it's not urgent yet.

   Hi all,

The GNOME Foundation has recently sent out a call for bids for
hosting GUADEC 2012 [1]. We are also calling for volunteers to help
with organizing GUADEC. You can help regardless of where you might
   be located.

We would like to setup both a GUADEC event committee and also a
local team of volunteers on the ground at the event location. It
would be very much appreciated if people with experience hosting
past GUADEC events could get involved and help make this event a
   success.

Even if the local team changes every GUADEC, there would be value
having a core and stable event committee to ensure good planning
going forward for GUADEC 2012 and future GUADEC events.

The GUADEC committee can help things on:
 * Manage call for bids, including helping with review
   selection
 * Build the website infrastructure including a registration
system and use it for every GUADEC
 * Draft call for sponsorship, call for paper documents etc
 * Share Sponsors' contact
 * Have regular meetings (usually IRC) with the local team once
   the bid is chosen
 * Focus on continually improving the process, including
   post-event reports.
 * The event committee would help with international
sponsorship opportunities while the local team would likely

Re: [guadec-list] Call for volunteers on GUADEC

2011-05-24 Thread Emily Chen
Hi all,

We have several people contact us to show their interests in building a
GUADEC organizing committee.

To build a core and stable committee, the most important things we need but
we don't have yet are:
1. Regular IRC meeting
2. Wiki page for GUADEC committee.
3. Road-map and planning schedule

We already have a page for GUADEC : http://live.gnome.org/GUADEC , but we
need to create a page for GUADEC committee. We can add below sections to
this page:
Introduction about GUADEC
Introduction about GUADEC committee
Committee members
What committee members are working on
Useful Documents
Meeting Minutes
Other...

I just update the wiki and create Committee members
wikihttp://live.gnome.org/GUADEC/CommitteeMembersto build a core
team from scratch. We can add more members once they step
in and join us. It would be great if anyone of you can help on building this
wiki page for GUADEC committee.

We are calling for more volunteers and help now.

 Hi all,

The GNOME Foundation has recently sent out a call for bids for hosting
 GUADEC 2012
 [1]http://mail.gnome.org/archives/foundation-announce/2011-April/msg1.html.
We are also calling for volunteers to help with organizing GUADEC. You
can help regardless of where you might be located.

We would like to setup both a GUADEC event committee and also a local team
of volunteers on the ground at the event location. It would be very much
appreciated if people with experience hosting past GUADEC events could get
involved and help make this event a success.

Even if the local team changes every GUADEC, there would be value having a
core and stable event committee to ensure good planning going forward for
 GUADEC
 2012 and future GUADEC events.

The GUADEC committee can help things on:

- Manage call for bids, including helping with review selection
- Build the website infrastructure including a registration system and
use it for every GUADEC
- Draft call for sponsorship, call for paper documents etc
- Share Sponsors' contact
- Have regular meetings (usually IRC) with the local team once the bid
is chosen
- Focus on continually improving the process, including post-event
reports.
- The event committee would help with international sponsorship
opportunities while the local team would likely focus more on local
sponsorship opportunities.
- Art design
- Other
