[ilugd] Linux Asia 2005

As time grows short, we finally move our dragging feet and decide we
ought to do something about Linux Asia 2005 (LA2005).  What do we
have?  What can we do?

What is it

The Linux Asia conference, February 9 to 11, 2005.

We are getting the following from the organisers:

- - A stall at a decent place (not tucked away in the back like last
time) with enough space.

- - A hall on the last day for holding our own talk sessions.

What can we do
- --

This is tentative and subject to change...

First of all, we must make the stall a success just like last time.
If you have an idea and equipment for a running demo, please speak
now.  State exactly what additional equipment (down to the last 3-pin
5-amp socket) you will need.  Rope in at least one more friend to help
you run the demo.  Prepare a spiel for attracting visitors.  Make sure
the demo doesn't use any proprietary software.  Specify what you will
need on placards above your demo station.  And do the demo!

Apart from the demos we will have, like last time, CD sales.  Mary has
kindly volunteered to get CDs burnt and printed in advance, let's make
up a list of the CDs that sell well along with quantities.

We are also planning to have t-shirts printed for the event.
Volunteers MAY get one free on the last day.  Others are for sale @
Rs. 250 or so each.

We need at least 3 people to handle billing -- making receipts and
storing the cash.  Hey, we're almost a society now, better get
organised some time or the other!

Apart from that we can have 4-5 talks on the last day.  I strongly
feel that at least one should be about software patents, the burning
issue of the day.  Others are yet to be decided, though one little
birdie in South India is trying very hard to book a slot -- you know
who you are :)

LA2005 has also asked us to provide us with volunteers for their help
desk, who would answer basic inquiries on Linux from visitors and
redirect them to the ILUGD stall for complex queries.  Volunteers for
the help desk will be. uh, ``volunteered'' from the stall volunteers.

What you can do
- ---

If you can spend 3 or even 2 days at the stall please sign up as a
volunteer.  As before, being a volunteer means the following:

- - Hard work
- - Being screamed at
- - Carrot of a free t-shirt which you never get
- - Interacting with all sorts of people
- - Another carrot of being able to get into talks for free, which also
  never happens
- - Meeting with all the members of the LUG
- - Hanging around with luminaries of the FLOSS world
- - A third carrot of joining up for the post-event booze and dinners,
  which you never...
- - Another carrot of free connectivity to download tons of software
- - Loads of fun

If you have a talk or presentation please polish it up and prepare to
give it at the last day.  At least 2 talks will be kept as backup, so
please don't be upset if you're called at the last minute to give a
talk.  You MUST make the slides of the talk available by February 1.

If you have a demo idea, sit down and work it out in detail.  Then
make a list of:

- - Equipment you will need
- - Connectivity you will need
- - Equipment you have
- - The objective of the demo
- - The target audience
- - The length of each complete demo

The mailing list for posting specific demo, volunteer and presentation
stuff to is:

Suggestions, flames, etc should be posted to this list.

Let's meet up on Sunday if that suits everyone, or 90% of everyone and

It seems that there is some confusion about the prices being charged for 
entering the LinuxAsia 2004.  I checked the prices today 
(http://www.linuxasia2005.com/attendee/reg_att_c.php) and there is no 
entry fees for the "Expo/Job Fair Pass" .  I remember that this is the 
way it was arranged last year too.

The reason why I am mentioning this is because some people are under the 
impression that you have pay a good sum of money to even enter the 
LA2005 event, while LA2004 had free entry for all.  from what I can see 
on the website, it is still the same (or is there a fine print thing I 
missed out ?)

Hence, if you are planning to volunteer for the ILUGD stall, you can 
register yourself for the free pass thing.

Secondly, there are rumors that ILUGD has been promised a hall (beside a 
space for the stall) on the last day of the conference which will be put
