[MCN-L] estimating the monetary value of digital assets

Hi everyone,
I have received a question from one of the team here that works with our DAMS - 
how to capitalise and estimate the monetary value of our digital assets? I have 
to admit I have been involved in a  number of valuation processes at my 
institution but we have only ever looked at physical items. Has anyone out 
there developed a process and/or formula for valuing digital assets?

[MCN-L] 2007 conference proceedings

HI everyone

Here's a blast from the past. I am trying to track down a digitised copy of the 
2007 MCN conference proceedings from "Building Content, Building Community: 40 
Years of Museum Information and Technology" . It one of the few ones that has 
not been digitised on the MCN website. I presented at this conference and I am 
trying to track down a  fellow presenter, whose name I have forgotten but who I 
will  know once i see their paper title. Any help would be very much 
appreciated.

[MCN-L] Releasing CMS records to the web

Hi

I am looking for information on the procedures/policies other intuitions have 
on releasing records from your CMS to the web. Currently all records from our 
system need to go through an approval process by curators before they can be 
released. There are also a number of fields that must be filled before they can 
be displayed in our collection search.


This process is being reviewed and information from other museums and galleries 
on your processes would be useful as we are keen to find the right balance 
between records being made available to the public in a timely manner and 
detailed enough to describe our collection.

[MCN-L] what is your CMS and why?

I am really keen to hear from you all about which CMS system you use in your 
institutions. We are about to undertake a review of our current system and I am

[MCN-L] managing library collections in museums

HI all
I am wondering how many of you in MCN land also manage a library collection at 
your museum. The Australian War Memorial has a library which is used by the 
staff and public and is housed in our research centre. There are 100,00+ items 
in the library collection, including books, maps, sheet music and aerial 
photographs. The questions I have are

1)  How to you manage the collection? Do you use a LMS, CMS or something 
different?

2)  If you use a CMS and an LMS, why?

3)  Do any of you manage a library collection of a similar size in your 
CMS? How did you go with things like cataloguing in MARC and applying other 
library standards to your CMS?

4)  If you do use a CMS to manage your library collection, which modules do 
you use?

5)  Do you upload or download records/ contribute to something like 
Worldcat or LoC?a

[MCN-L] Labelling objects

Hi everyone
We are looking for a way to produce labels for our collection objects and I 
would like to hear what any of you may have implemented at your museums etc. We 
need to be able to print the labels as we produce close to 8000 of them a year. 
We started testing a Tyvek tag with a hole punched in it but have found that 
the process of punching the hole causes a weakness in the Tyvek. We can rip it 
quite easily.  Does anyone have non rip tags that the produce on a printer out 
there?? I'd love to hear from you.

[MCN-L] barcode label systems in your museum

Hi everyone,
After 20 odd years or so, we are looking at changing how we attach barcode 
labels to our objects. Our collection is diverse, ranging from buttons to 
canons and a lot in between. I have got some information on some software and 
printer systems but would be really interested in hearing what you may be using 
at your institution. We currently use XG for our CMS but we produce labels 
through crystal reports.  Please let me know what you use. We are looking at 
using tyvek labels and printers, plus bartender software.

Differing approaches can be used depending on the material the objects is made 
out of. And some materials are almost impossible to shoot without reflection.

1. A very diffuse light source.
2. Matt black walls in the studio.
3. Polarise the lens of the camera
4. Cross Polarise the light source
5. Shoot in a light tent

[MCN-L] Version control of museum objects, especially photographs

I would like to get an idea of who out there has found a  way to manage 
multiple versions of a single object in their collections. No so much multiple 
examples of the same object, rather versions of the same one.  As our 
photographs collection has built up over the last 100 odd years, a variety of 
versions have been created of the one object for preservation, access and other 
reasons. However we tend to have the one catalogue record to rule them all, 
which sadly does not truly reflect our holdings. There are a number of ideas 
being put forward, but it would be great to hear how other institutions 
have/haven't tackled this issue, especially in regard to how you represent 
these versions in your CMS (we have XG).

I recently had sight of a really exciting product under development by Gallery 
Systems as part of TMS which integrates Conservation processes alongside 
Collections management so it might be worth making contact with them.

More generally, at the Collections Trust we are hoping to see more of this kind 
of integration - conservation is one of the most intensive knowledge-generating 
activities in a museum, but very often this in-depth knowledge of the object 
can be held separately, not recorded or not made available to the public

I recently had sight of a really exciting product under development by Gallery 
Systems as part of TMS which integrates Conservation processes alongside 
Collections management so it might be worth making contact with them.

More generally, at the Collections Trust we are hoping to see more of this kind 
of integration - conservation is one of the most intensive knowledge-generating 
activities in a museum, but very often this in-depth knowledge of the object 
can be held separately, not recorded or not made available to the public.

I'm really interested to hear how you get on with this, so do let us know how 
it goes via the list.

Hi all
I am curious to know about the number of donations museums have coming in and 
how you manage their receipting and assessment. At the Australian War Memorial 
we are offered (on average) 50,000-60,000 items each year. The majority of 
these come (unsolicited) from the public and collections can contain 2 items or 
thousands. I would like to start talking on a  regular basis to other 
organisations on how they manage their donation offers, both physically and in 
their CMS.

We have the privilege of curating the largest archive of historic
photographs in the state of Maine. As resources allow, we've been
digitizing these collections and publishing them to our online database. Of
course, many of the photographs are not well-described, and the generation
best qualified to provide details about them is slowly departing (I'm sure
this is a familiar dilemma).
We're beginning to look for funding sources to launch a sort of oral
history task force which will travel to communities where we know this kind
of human resource exists, share images with seniors, and collect their
stories about the images. The resulting data will be added to the image
records.
Can anyone recommend grants or grant makers which would resonate with this
kind of project?

[MCN-L] institutional image database (Kwan, Billy)

At the AWM, we have a large number of images taken by our staff photographers 
of all kinds of events here. We also, like the Met, have a large number of 
images in analogue formats and there is a program to convert these to digital 
formats. We also have Mediabin and at present we have a folder where what we 
call public event or corporate images live. We actually also catalogue 
these on our CMS (Selago's XG) as we found that we are building quite a 
substantial pictorial (plus sound and film) history of our institution and we 
wanted to be able to capture as much metadata as we could about these assets. 
Some have now been deemed to be part of our actual photographs collection, as 
they provide a unique perspective on the history of museum development in 
Australia.

I would be happy to share information on the standards we impose for the 
cataloguing of these assets, plus the decisions we have made in regard to what 
metadata should be stored in which system (CMS, DAMS etc) and what we plan to 
do with these images in the future. We have been cataloguing corporate assets 
on our CMS for years and have quite established standards and procedures.

At the Met, we keep them in our DAM system, MediaBin, together with the object 
photography of the Museum. However, these images of non-object are kept in a 
separate directory/folder structure in our system. In fact, many of our 
non-object images are in analog formats, e.g., negatives and 35mm slides. We 
scan them on an as-needed or thematic basis, and upload the scanned images into 
MediaBin.

I just got back from my vacation this Sunday. I think this kind of questions 
will be suitable for our proposed panel discussion at the coming annual MCN 
conference. Related questions to this issues are their metadata and cataloguing 
standards, and the copyrights issues related to this kind of images. I hope 
through discussion and sharing ideas, we will be able to develop some common 
standards and best practices for handing this kind of materials in the museum 
community.

Hi Maggie,
Sorry I'm coming into this discussion  bit late but we don't print that many 
catalogues anymore for our exhibitions - they just didn't end up being a cost 
effective way of enhancing the collections shown in our long or short term 
exhibitions. We concentrate on having a strong online presence, as we tend to 
tour a lot of our special exhibitions and so people in remote areas need to be 
able to quickly plug into our website and find out what else we have 
http://www.awm.gov.au/exhibitions/ . We treat exhibitions as just another way 
to see and learn more about our collections and so the publication of 
catalogues has really fallen by the wayside, as we have found that people 
prefer to find out about us online. This may not quell the fears that some of 
your curators may have :) but I suppose each museum has to work out what best 
works for them.

I just wanted to thank everyone who posted which DAMs they were using and
why.  I think we are going to explore a bit further with
Fedora/Islandora/Solr, but David Dwiggins spent a great deal of time on the
phone with me showing me ResourceSpace and it was really impressive.  The
main thing I've learned is that there is no out-of-the-box
one-thing-does-it-all solution, so we will have to sort through which layers
will work best together.  Anyone who has advice navigating this part of the
project will be welcome!  Specific costs and vendors/developers and pros and
cons of various APIs please! And much gratitude goes to Leala for her time
and suggested resources as well!

We are using MediaBin at the Met. In fact, I will be interested to form a group

Hi all,
We have XG and we have found that by creating fields that say physical 
description and another called contextual description has reduced  a lot of 
the problems we were having with people getting to their happy place when it 
came to who can write what on an object record (and who can change it!). 
Curators work mainly in the contextual fields and our registration staff work 
in the Physical description fields, as this suits their purposes much better. 
It also allows us to keep information on how an object has been described by 
different areas of the museum. Our DB team work very closely with all staff who 
use our database (we call it MICA) to ensure they understand the importance of 
maintaining correct standards.

record must be approved by a senior curator in the relevant curatorial section 
before it can be released to the web, public etc. In this way, each curatorial 
section is responsible for the checking of accuracy etc. Our DB team do a 
regular review of all records created and if we find what seem to be errors 
(spelling mistakes, incorrect conflict terms etc), we place them in a group and 
send them back to the relevant curatorial area with a request to re-check. 
Our view is that the curators are responsible for the content of the records 
they create - without taking this approach we found that people felt that no 
one had ownership of them, which meant when it came to cleanup, it just didn't 
happen. We have also created a number of Cystal reports and attached them to 
MICA which curatorial staff can run to easily find any records created within a 
time frame so they can go back and check.

Maggie, if you have XG, why don't you try archiving old information in the 
description flexi fields? It's a little more robust than the notes field when 
to comes to keeping the information. Below is an example (not the complete

I'd be interested to know what approval is needed by db staff to check the 
corrections of the curatorial staff. It is the curatorial staff that are 
experts on the collection, not necessarily the db staff.

[MCN-L] Engaging community in exhibitions

At the Australian War Memorial, we have been dabbling in blogs, facebook, 
Flickr etc but we have an exhibition coming up where we would like to engage 
the community beyond the historians, experts on 16 pound shells and military 
history enthusiasts. As the working title is Love and War, this exhibition 
will be moving beyond some of our more traditional themes and we are looking 
for ways to allow people to tell us their stories, related to war or overseas 
service. Has anyone else done this and if so, what did you find worked well (or 
not). Let me know.
