[MCN-L] estimating the monetary value of digital assets
Hi everyone, I have received a question from one of the team here that works with our DAMS - how to capitalise and estimate the monetary value of our digital assets? I have to admit I have been involved in a number of valuation processes at my institution but we have only ever looked at physical items. Has anyone out there developed a process and/or formula for valuing digital assets? Happy to collate answers and share with the list once they come in. [MCN-L] 2007 conference proceedings

[MCN-L] Releasing CMS records to the web
Hi I am looking for information on the procedures/policies other intuitions have on releasing records from your CMS to the web. Currently all records from our system need to go through an approval process by curators before they can be released. There are also a number of fields that must be filled before they can be displayed in our collection search. This process is being reviewed and information from other museums and galleries on your processes would be useful as we are keen to find the right balance between records being made available to the public in a timely manner and detailed enough to describe our collection. [MCN-L] what is your CMS and why?
I am really keen to hear from you all about which CMS system you use in your institutions. [MCN-L] managing library collections in museums
HI all I am wondering how many of you in MCN land also manage a library collection at your museum. The Australian War Memorial has a library which is used by the staff and public and is housed in our research centre. There are 100,00+ items in the library collection, including books, maps, sheet music and aerial photographs. The questions I have are 1) How to you manage the collection? Do you use a LMS, CMS or something different? 2) If you use a CMS and an LMS, why? 3) Do any of you manage a library collection of a similar size in your CMS? [MCN-L] Labelling objects
Hi everyone We are looking for a way to produce labels for our collection objects and I would like to hear what any of you may have implemented at your museums etc. We need to be able to print the labels as we produce close to 8000 of them a year. We started testing a Tyvek tag with a hole punched in it but have found that the process of punching the hole causes a weakness in the Tyvek. We can rip it quite easily. Does anyone have non rip tags that the produce on a printer out there?? I'd love to hear from you. [MCN-L] barcode label systems in your museum
Hi everyone, After 20 odd years or so, we are looking at changing how we attach barcode labels to our objects. Our collection is diverse, ranging from buttons to canons and a lot in between. I have got some information on some software and printer systems but would be really interested in hearing what you may be using at your institution. We currently use XG for our CMS but we produce labels through crystal reports. Please let me know what you use. We are looking at using tyvek labels and printers, plus bartender software. And some materials are almost impossible to shoot without reflection. 1. A very diffuse light source. 2. Matt black walls in the studio. 3. Polarise the lens of the camera 4. [MCN-L] Version control of museum objects, especially photographs
I would like to get an idea of who out there has found a way to manage multiple versions of a single object in their collections. No so much multiple examples of the same object, rather versions of the same one. As our photographs collection has built up over the last 100 odd years, a variety of versions have been created of the one object for preservation, access and other reasons. However we tend to have the one catalogue record to rule them all, which sadly does not truly reflect our holdings. There are a number of ideas being put forward, but it would be great to hear how other institutions have/haven't tackled this issue, especially in regard to how you represent these versions in your CMS (we have XG). [MCN-L] managing incoming donations in a museum
Hi all I am curious to know about the number of donations museums have coming in and how you manage their receipting and assessment. At the Australian War Memorial we are offered (on average) 50,000-60,000 items each year. The majority of these come (unsolicited) from the public and collections can contain 2 items or thousands. As resources allow, we've been digitizing these collections and publishing them to our online database. We're beginning to look for funding sources to launch a sort of oral history task force which will travel to communities where we know this kind of human resource exists, share images with seniors, and collect their stories about the images. [MCN-L] institutional image database (Kwan, Billy)
At the AWM, we have a large number of images taken by our staff photographers of all kinds of events here. We also, like the Met, have a large number of images in analogue formats and there is a program to convert these to digital formats. We also have Mediabin and at present we have a folder where what we call public event or corporate images live. We actually also catalogue these on our CMS (Selago's XG) as we found that we are building quite a substantial pictorial (plus sound and film) history of our institution and we wanted to be able to capture as much metadata as we could about these assets. Some have now been deemed to be part of our actual photographs collection, as they provide a unique perspective on the history of museum development in Australia. I would be happy to share information on the standards we impose for the cataloguing of these assets, plus the decisions we have made in regard to what metadata should be stored in which system (CMS, DAMS etc) and what we plan to do with these images in the future. We have been cataloguing corporate assets on our CMS for years and have quite established standards and procedures. [MCN-L] Online Collections Publication
Hi Maggie, Sorry I'm coming into this discussion bit late but we don't print that many catalogues anymore for our exhibitions - they just didn't end up being a cost effective way of enhancing the collections shown in our long or short term exhibitions. We concentrate on having a strong online presence, as we tend to tour a lot of our special exhibitions and so people in remote areas need to be able to quickly plug into our website and find out what else we have http://www.awm.gov.au/exhibitions/ . We treat exhibitions as just another way to see and learn more about our collections and so the publication of catalogues has really fallen by the wayside, as we have found that people prefer to find out about us online. This may not quell the fears that some of your curators may have :) but I suppose each museum has to work out what best works for them. Hi all, We have XG and we have found that by creating fields that say physical description and another called contextual description has reduced a lot of the problems we were having with people getting to their happy place when it came to who can write what on an object record (and who can change it!). Curators work mainly in the contextual fields and our registration staff work in the Physical description fields, as this suits their purposes much better. It also allows us to keep information on how an object has been described by different areas of the museum. Our DB team work very closely with all staff who use our database (we call it MICA) to ensure they understand the importance of maintaining correct standards. Am happy to share much more detailed info with listers (including screen shots etc), just email me at emma.jones at awm.gov.au . Every catalogue (or object) record must be approved by a senior curator in the relevant curatorial section before it can be released to the web, public etc. In this way, each curatorial section is responsible for the checking of accuracy etc. Our DB team do a regular review of all records created and if we find what seem to be errors (spelling mistakes, incorrect conflict terms etc), we place them in a group and send them back to the relevant curatorial area with a request to re-check. Our view is that the curators are responsible for the content of the records they create - without taking this approach we found that people felt that no one had ownership of them, which meant when it came to cleanup, it just didn't happen. We have also created a number of Cystal reports and attached them to MICA which curatorial staff can run to easily find any records created within a time frame so they can go back and check. Maggie, if you have XG, why don't you try archiving old information in the description flexi fields? It's a little more robust than the notes field when to comes to keeping the information. [MCN-L] Engaging community in exhibitions
At the Australian War Memorial, we have been dabbling in blogs, facebook, Flickr etc but we have an exhibition coming up where we would like to engage the community beyond the historians, experts on 16 pound shells and military history enthusiasts. As the working title is Love and War, this exhibition will be moving beyond some of our more traditional themes and we are looking for ways to allow people to tell us their stories, related to war or overseas service. Has anyone else done this and if so, what did you find worked well (or not). Let me know.
