 Hi,

it looks that there is no more activity on the survey for mid-cycle
dates so I went forward to evaluate it.

I created a table view into the etherpad [0] and results are following:
 * option1 (Jul 28 - Aug 1): 27 attendees - collides with Nova/Ironic
 * option2 (Jul 21-25) : 27 attendees
 * option3 (Jul 25-29) : 17 attendees - collides with Nova/Ironic
 * option4 (Aug 11-15) : 13 attendees

I think that we can remove options 3 and 4 from the consideration,
because there is lot of people who can't make it. So we have option1 and
option2 left. Since Robert and Devananda (PTLs on the projects) can't
make option1, which also conflicts with Nova/Ironic meetup, I think it
 is pretty straightforward.

Based on the survey the winning date for the mid-cycle meetup is
 option2: July 21th - 25th.

Does anybody have very strong reason why we shouldn't fix the date for
option2 and proceed forward with the organization for the meetup?

July 21-25 is also the shortest notice. I will not be able to attend
as plans have already been made for the summer and I've already been
travelling quite a bit recently, after all we were all just at the summit
a few weeks ago.

I question the reasoning that being close to FF is a bad thing, and
suggest adding much later dates. But I understand since the chosen dates
are so close, there is a need to make a decision immediately.

Alternatively, I suggest that we split Heat out of this, and aim at
later dates in August.

July 21th - 25th doesn't work for me at all (wedding). Any later date

Hi Clint,

here is the challenge:

I tried to get feedback as soon as possible. We are not able to satisfy
everybody's restrictions. During summer everybody is planning for
vacation and it is impossible to find a time which works for all. I was
reading your restrictions in the etherpad and it is excluding options
from the end of July until second half of August. So I didn't expect
that option 2 would conflict with your plans.

In August folks usually have scheduled private time off so it will be
much worse than July to find some date. Just look at restrictions and on
August's dates proposal, how the number of attendees decreased.

Furthermore, why I am against being close to FF is that TripleO itself
is not restricted by FF but the project is dependent on various other
projects for which FF applies to. So being in the middle of the feature
proposal milestone makes sense for us to plan forward. What benefit from
the meetup do we get if we can't discuss, propose and get needed
features in?

Options 1, 3 and 4 are out of the question. I am sure that if we do it
in the end of August we will for sure lose various attendees (probably
more than in July) and furthermore we will not be able to propose new
features and neither get them in.

As you mentioned, we need to make a decision immediately. The etherpad
was on for a while and I had various discussions in the meantime. It
seems that July 21-25 makes the biggest sense and allows majority people
to attend.

What do we need to do to lock this in to RedHat's venue schedule?

Yeah, Robert is right. I think, everybody who is approved by his
employer (or is expected to be approved) should enter his constraints.
So realistically enter dates when you would be able to attend.

Personal view: after Aug 11th, we will have about 3 weeks to feature
freeze which is very late I would say. I would better target the meetup
to July.

Given the organizers, I assume this will be strongly focused on TripleO
 and Ironic.
Would this be a good venue for all the mid-cycle discussion that will be
 relevant to Heat?
Is anyone planning a distinct Heat-focused mid-cycle meetup?

We haven't had one in the past, but the project is getting bigger so,
given our need to sync with the TripleO folks anyway, this may be a good
opportunity to try. Certainly it's unlikely that any Heat developers
attending will spend the _whole_ week working with the TripleO team, so
there should be time to do something like what you're suggesting. I think
we just need to see who is willing able to attend, and work out an agenda
 on that basis.

For my part, I will certainly be there for the whole week if it's July 28
 - Aug 1. If it's the week before I may not be able to make it at all.

I quite like this idea. Yes, it means a weekend in Raleigh, but that's
better than spending 1.5 weekends on a plane, which is what I have to do at
the moment. I'll still be spending just as much time on a plane, but doing
it during the week has less of an impact on my work/life balance.

Alternatively maybe we can find somewhere to host the next mid-cycle Down
Under ;)

 cheers,
 Zane.

think we just need to see who is willing able to attend, and work out
an agenda on that basis.

Last time we managed to work also on the items not related to other
projects. So I think it is just matter of putting together an agenda.
Each team can work on their own, schedule cross-project topics and huge
benefit is that we can discuss interrelated issues directly with members
of other teams easily and anytime because we can get up and approach
anybody face-to-face.

BTW one timing option I haven't seen mentioned is to follow Pycon-AU's
model of running e.g. Friday-Tuesday (July 25-29). I know nobody wants
to be stuck in Raleigh, NC on a weekend (I've lived there, I understand
;), but for folks who have a long ways to travel it's one weekend lost
instead of two.

+1 - excellent idea!

It looks that there is an interest in these dates, so I added 3rd option
to the etherpad [0].

For one more time, I would like to ask potential attendees to put
yourselves to dates which would work for you.

2014-05-29 Thread James Polley
Thanks for putting this together Jaromir!

August 1 may be a problem for those of us from Australia - it's the day of
the OpenStack miniconf at Pycon-AU.

I don't know if any of us intended to go to that, but if we did we'd need
to leave no later than the 4:40pm flight on July 30 in order to make it
back in time - and that would have us arriving in Brisbane at 7am on the
day of the miniconf.

If we stayed till midday Friday and caught the 4:40pm flight out, we'd
arrive in BNE at 7am on the 3rd - just in time for the last day of talks
and the two days of sprints.

As I said, I'm not sure how many other people from this part of the world
had intended to go to Pycon-AU and the openstack miniconf, so I'm not sure
how much of a problem this is.

Is there any wiggle room on those dates? As James Polley says, PyCon

overlap significantly - and I can't be in two places at once.

However July 21-25th would be totally doable :)

Hi James,

that's a good point. I just restructured the etherpad so that there are
3 sections: one is for July 28 - Aug 1, second is for July 21-25 and
third one is for those who want to attend but can't make it within
suggested dates. So I would like to encourage everybody who is willing
to attend to put himself into the slots when he can (so if both weeks
work for you, please enter yourself into both lists).

Hi Jaromir,

I agree that the midcycle meetup with TripleO and Ironic was very
beneficial last cycle, but this cycle, Ironic is co-locating its sprint
with Nova. Our focus needs to be working with them to merge the
nova.virt.ironic driver. Details will be forthcoming as we work out the
exact details with Nova. That said, I'll try to make the TripleO sprint as
well -- assuming the dates don't overlap.
