The biggest caver gathering in east Texas of the year is less than 3 weeks away. Everything is still on schedule. Several cavers from southeast Texas, and possibly a caver from Austin and Dallas will be there having a relaxing good time, camping, bicycling, eating, socializing, and enjoying the warm weather, and beautiful scenery. There will be activities for toddlers and young children. This is a very inexpensive event. The Cookout is still on schedule for May 21st at Camp Happy Hollow near Burton, TX. It is highly likely that there will be no cooking. It may either be Popeye's Chicken or KFC. Unlike the previous caver gathering in west Texas, that had unlimited flow of beer, we are going to show you how we lay it down out here in the wastelands void of Karst.We will have an Oreo brownie for every attendee, and hopefully some factory-fresh Blue Bell ice cream. I do not expect anyone who lives more than 2 hours from Burton to attend this event, and I fully understand. My plan is to find new people in east Texas and invite them to this event. The manager of Camp Happy Hollow told me Friday afternoon that cavers can use his beautiful campground again for a caver gathering. I asked him for the date of Saturday, May 21, and for the exclusive use of the entire facilities of the camp for a 3 day period that weekend. He "tentatively" agreed to that. A realistic goal is to hold an event as successful as the one was last year. But it is possible to do much better than that. For that to happen, we only need a few more cavers and better food. [Texascavers] East Texas Caver's Cookout - update
I met with the campground manager today ( May 12 ). The Cookout is on schedule for May 22nd. He agreed that I could put a combo lock on the entrance gate. The gate will be kept locked most of the time. The combination will be 4490. If that does work, don't worry. The gate is only 2 foot off the ground, so you can step over it, and walk up to the camp. There will not be any signs. It is the only campground on Happy Hollow Road and about 2 miles down the road, whether you are approaching from the north or the south ( meaning it is in the middle of a 4 mile long road ). There should be an orange traffic cone set out by the entrance, so the gate will be more visible in the dark. The road makes a 90 degree bend around the camp. The gate is on the south side of the road, and easy to see. I have lots of supplies for a big event in storage 6 miles away. Since only 2 people have RSVP'd, I will probably leave most of it in storage.There are some minor things still to get, but nothing to stress out over. If major thunderstorms are forecasted for the area, the Cookout, I will post another update. But if it is just regular spring rain, then we will just move indoors if it rains. There will be popcorn and hi-def movies as Plan B. The Cookout is just 10 days away.But I encourage everybody to come the night before and camp all weekend. The potential for fun at this event is pretty high.The camp has a forest of 60 acres of big oak trees, and it has never been open to the general public before this event.Relaxing in a hammock and bicycling will be the primary activities. Because of the low turn out, you don't need a tent. There are 18 large covered structures you could sleep under, but you will want something for the mosquitos or a tarp for privacy. Each campsite is about an acre of oak trees. Each campsite has a standard water faucet, and electricity. There will be some very simple door prizes that are caving related. There will be a very small activity area set up for young children, mainly for my 5 year old daughter. Please tell anybody you know that likes caves about this. Hopefully, this will be a success even with the very low turnout, so that next year, the Cookout will be a much easier to coordinate. The cookout near Brenham is just 14 days away. Most of you can't make it, but if you could help me spread the word, that would be helpful.There are lots of Texas cavers not on Cavetex, or Facebook, or in a grotto, and some don't check their e-mails often, so getting the word out is not easy. I am still optimistic that this is going to be a success, eventhough, I only have one other person that has RSVP'd. I am still planning this event as if 80 people are going to show. I will be surprised if more than 30 do. The dinner is 6 pm Saturday May 22nd, at Camp Happy Hollow, at 2029 Happy Hollow Rd. Brenham, Texas. Camping is free all weekend. [Texascavers] East Texas Caver's Cookout - update
The cookout that I am hosting is just 26 days away. So far, I am only expecting about 15 cavers. I am still planning as if there will be more than that, but it looks like the date, May 22, was bad, even for those that wanted to come. I thought waiting till after finals would be a good idea, but so far no college kids are coming, and that was one of the major things I was aiming for.They all seem to either not be interested, or quickly rushing off to their summer jobs or after school vacations, or all of the above. High school graduations seems to be popular that weekend. My main goal was to prove that attending this is worthwhile, so that a more successful event could take place at this campground in 2011. I am still hoping that those semi-interested will RSVP via Facebook or e-mail me. And, I am still hoping to find Texas cavers who are not on CaveTex or Facebook. Getting the word out has been the 2nd hardest part of this so far. Under the circumstances, I am fairly organized and hopeful that those that attend will look forward to the event in 2011. David, It's sounding better all the time. I would hope that the Houston, Austin and San Antonio grottos would come in mass for this "first ever" event. In the future it could be named "The David Locklear Memorial Event". A word of advice, don't wait until the last minute to determine that you need special events liability insurance. Wherever you obtain it, a week or two may be needed to acquire a quote which may be bound. I just received the message below from the camp manager, at Camp Happy Hollow, the site of the East Texas Caver's Cookout. I hope his message shows that everything is in order and on schedule. David, Thanks for the email. We are really excited about the event as well. I hope it works out the way you have in mind. It will be nice for a state wide organization to have gatherings in the interest of the organization throughout the state. I can meet with you prior to the event and we can do a walk through to look at all the facilities and areas as well the few idiosyncrasies of the older facilities. Knowing where things are located or housed and the supplies of toilet paper and paper towels will be helpful. It's fine to move things to suit your needs and the needs of the event, so long as they are put back. All 18 campsites have a faucet and hose bib. The water is "City Water" not well water. There is a 20 amp GFIC outlet at each campsite. There are two small hard sided plastic pools at the lodge, We have used them for water and sand in years past. We need to check them out to be certain that they will meet your needs before you count on them however. ( This was in reference to having some sort of water activity for the kids ) Many of the locks are combination locks. I'll be sure that you have the current combination at the time of the event. The combination is changed frequently. Also I will get for you a set of keys to the storage areas for supplies and the extra tables and folding chairs. Someone from the Camp will be available to check you in and out. Access on Friday is also easy and not a bad time to do a check in. There are box fans and a fan on a stand , plus the ceiling fans in the Lodge and the Cabin. Bringing additional fans is fine. Having a chance to look over the camp prior to the event is a good idea. Let's look at our calendars in early May to see if we can spend some time there. Please let me know what day will accommodate. _ While it does not sound like they are rolling out the red carpet, it does sound to me like they are being hospitable to perfect strangers, which to me is a good sign. And he doesn't mention "special event insurance," which has been the primary topic of our past discussions.I am still hoping I don't have to buy that.
