Secretary
 
The Office of the President
seeks a Secretary.
 
The Secretary reports directly to the President. The duties and 
responsibilities of the
Secretary are as follows:
  
1.      Prepares correspondences,
agenda/minutes/materials of the meeting, specialized reports and other office
documents.
2.      Attends to calls, internal and external
clients, and sets appointments/meeting schedules.
3.      Maintains and keeps pertinent confidential
files.
4.      Assists in necessary preparations for the
President’s meetings (e.g. Board of Trustees’ Meetings, President’s Council
Meetings, etc.), conferences and other special functions (e.g. word processing,
preparing Powerpoint presentations).
5.      Maintains accurate and updated inventory of
supplies, appliances, furniture and fixtures of offices/special facilities
under the Office of the President.
6.      Receives and returns checks that need the
President’s signature.
7.      Coordinates with internal and external
clients/offices as needed.
8.      Ensures adequacy of office supplies and
maintenance of office equipment
9.      Receives and sorts mails of the President’s
Office.
10.  Ensures the maintenance of the office and
various meeting rooms under the Office of the President.
11.  Performs other tasks that may be assigned
by the supervisor.
 
 
The
candidate should have completed a Bachelor’s degree and has experience in
office management.  S/He must have good communication skills (oral and
written), efficient organizational skills and must be proficient in computer
applications.
