One way to overcome both the file format and /or the ICC color problems and even the computer platforms issue is to prepare all the presentation in Acrobat, with all files converted to PDF. It has become almost a defacto standard for presentation of porfolios, sequencing of images, slide shows, and displays for Seminars-workshops, etc. It is a presentation format readable by just about any computer /laptop you may be using on site.
Even if you don't have the Acrobat app you can still use many available utilities to convert, say, a word document into pdf. Insert each image ,text and logos in each page of a Word document and proceed to convert the entire doc into PDF.
THis sort of presentations make discussions flow very easily, since you can be asked to jump from, say, slide # 87 back into slide # 12 and this just requires a mouse click to go back and forth, without any effort or interruption of the conversations.
As stated previously, check the projector's max resoution and keep it in mind when preparing your documents.
