I am in agreement with Dave Lundy--Proximity Space is very user-friendly, 
and their staff is receptive to all questions. I know they have 
international accounts, and will even schedule phone meetings to match up 
with other's time zones. Also, when space operators ask for new features, 
they are great about creating software improvements. Their cost is quite 
reasonable.

the coworking VISAs across the internet. I would encourage you to sign up 
for all of them, as it gives your space visability, and also helps to 
spread the work about coworking around the world. Please don't worry that 
you will have too many visitors--we are in a city of 3 million people, and 
still haven't had an international guest, but we would love to very soon!

[Coworking] Feeling like a sponge (and absorbing all I can!) as we launch our space

Hey there! I'm part of a team that's opening a 33,000 s.f. coworking/maker 
space/offices/corporate training space called Evolve Workplace, in West St 
Paul, MN. We're in an older, newly-redeveloped first ring suburb, about 10 
minutes south of downtown St Paul in the Twin Cities.  I'm hoping to glean 
some pearls of wisdom from those who own, manage, operate and who are 
members of similar spaces. I really want to know what does and doesn't work 
for each of you! Our website (according to initial feedback) 1. Needs more 
images of humans 2. Needs less verbiage and 3. Needs more personality. That 
being said, feel free to give us feedback and pointers--we're going to try 
to jazz up its personality in the next few weeks.

The three of us who are founders (along with two of the guys wives) are 
serial entrepreneurs, and decided to hop on the coworking bandwagon that is 
just now gaining popularity in the Midwest. As for unique space features, 
we have three cabanas/tents, a few hammocks, postal packaging and gift 
wrapping stations, and a photo/video studio with lights and a Chromakey 
green screen. We also have an awesome game room with a putting green, ping 
pong, foosball, air hockey, English darts, puzzle and board game tables, 
and even scrapbooking/stamping/card making.

For now, we're trying to open Phase I of the space, and to pull in as many 
people as possible. Any guerrilla marketing techniques are greatly 
appreciated!

[Coworking] Building Community

Hello!  My name is Lisa Dimond.  My family and I opened ecafe, a coworking 
coffeehouse, in Overland Park, KS, in October 2016.  Here's our website 
(which is a work-in-progress):  www.ecafecoffee.com.  We also have another 
website, www.visitecafe.com, which is in the process of being merged with 
the coffee one.  Originally we thought we needed to be 2 separate entities, 
but we are now presenting as one.

I mainly run the coffee shop portion of our setup, but I am starting to 
take over the coworking space as well.  I am really interested in how to 
build community in our space.  Everything I read talks about building 
community as one of the top priorities in a coworking space.  I just don't 
know where to start.  I need specific examples, please.

Do I hold workshops?  If so, how do I go about finding them?  Do I charge 
for them, or make them free?

I want to hold networking events, but don't know where to start.  I don't 
want them to be stuffy and fake; I want it to feel natural.

I have been with Impact Hub Ottawa and using Nexudus for just over a year 
now and overall we are happy with it. We have a coworking space with 300+ 
members, meeting rooms for booking, and extra services (mail service, 
after-hours entry). 

It's great having everything in one place - hours tracking, room bookings, 
invoicing, and so on.  It's easy for the members to use and understand, and 
it's hands-off for them (and us) to track their hours. 

I will echo one of the previous comments that the system is not something 
that can be learned in a day. There are the basic functionalities which are 
fairly straightforward, but I am certain we're not using the system and all 
its features to the best of its ability. We are always tweaking and 
changing things, looking for ways to improve our usage and get more out of 
it. Adrian is very helpful with this, I am regularly in touch with him 
trying to figure out a new process or get help with something that I can't 
find. He is very quick and responsive on the support side.

I would say our biggest struggle is with the reporting. The membership 
numbers aren't displayed in a way that we find convenient and usable. The 
finance information is fine, but when we want information re: upgrades, 
downgrades, hours used in the month, checkins per day/hr etc. it's much 
more effort to break that all down. We are regularly struggling to find *one 
*report that suits our needs instead of having to combine several (which is 
time consuming for weekly updates). They do some tweaks every now and again 
and add more reports, but that can be a little overwhelming because there 
are a lot to choose from and some of them don't seem to make much sense. 
Maybe it's the way our information is inputted so it's not pulling 
properly, however, it's still been an ongoing struggle with that. 

That is our only qualm though!

setting up a co-working space, and may use Nexudus.  A few questions:  Do 
you find it easy to learn and use - is it user friendly?  Also, how 
responsive is customer service, especially since they are based abroad, I 
believe.

I've noticed a lot of interface improvements recently, and I do like that I 
get a text when someone makes a booking so I can immediately review and 
approve/decline as I choose. It does seem someone out there is working on 
the product but not the help desk - I submitted a support request 
recently on several truly buggy things and never heard back. We just 
recently entered our payout details to collect what's supposedly waiting 
for us, but the past reservations and receipts page is so jacked it's 
unclear what that amount even is. Will be curious to see if we get paid. 

Minna, have you tried searching LinkedIn for an employee you can email 
directly? Or making a support request post on their company page there, if 
they have one?

On a similar issue in the past with another vendor, I had some success in 
saying that I really liked their product and wanted to keep using it, but 
the growing concern in the online community of coworking space managers and 
my own experience of not receiving any help replies were leading me to take 
my business elsewhere - also, that I'd love to report back to such an 
influential community of prospective customers that I finally received good 
service and they should give it another chance. Power of the people ;) 
 Even the scummiest product will get back to you if they feel you're a 
voice to many. It's not a tactic to be abused of overused, but it was 
totally true in that case, and it totally worked.

+1 to Tyler's approach - it works out well. We do a few 'personal' services 
like gym, but mostly focus on business service discounts. I occasionally 
ask our members what services they're using, and then I pick a few from 
that list to approach about a discount.  Just position yourself as an 
influencer amongst a great group of candidates in their target market, and 
detail the internal marketing you'll do, and they're usually happy to offer 
something. 

We do all the same marketing Tyler mentioned, plus announce them at our 
monthly happy hour. One idea that I tried *unsuccessfully* was inviting a 
partner to do a quick preso of their own to the happy hour group about 
their product and discount. Seemed like a great way to create a personal 
connection - the partner loved it, got to talk directly with interested 
members, etc. - but it just didn't feel right in the moment. I could read 
my members' faces and they felt like they were being held captive for an 
advertising campaign. So we won't be doing that again :)

Thanks to Jerome, Adrian, and Jacob for your suggestions! I thought I'd 
follow up and share with the group what ended up being our tool of choice: 
Parklet.

I looked at Simpler.co, Cobot, Nexudus, Mobilize.is, Dovetail.io, 
Memberful, and probably others I can't recall right now. We already have 
great tools to manage the prospective leads cycle, internal chatter, 
billing, and conference room booking. In the end, I didn't want a tool that 
replaced all those tools - while that seems a nice and streamlined ideal, 
I'm too invested in my other services and like them too much to consolidate 
at this time. If I were just starting out, I'd likely choose a more 
full-service or coworking-specific solve as some of these promise, but this 
is where we are today. It might also be important to note that we only 
offer dedicated desks, so it's a consistent group of people with 
comparatively low turnover, I have specific billing requirements (ACH only, 
no credit card), and other parameters that made the robust feature set of 
these tools a less-aligned fit for us in the end.

Parklet turned out to be a beautifully-designed solve for the last two 
issues I was needing tools for - onboarding and directory - that felt 
visually similar to our aesthetic, had good customization options, and a 
helpful product team behind it.

Following up on this thread... thanks for everyone's recommendations here, 
especially to Will from Locus for such an awesome and detailed sharing of 
process! I probably would've copied his method exactly had the LiquidSpace 
team not found me - by complete chance - the same week I was determined to 
solve this issue. After researching lots of services, I indeed went with 
LiquidSpace, which has been *mostly* great. It's an online meeting space 
booking tool, which is free to use internally so long as you post at least 
one space in their marketplace for external public booking (rev share 
model). You can choose access levels, pricing, amenities, paid add-ons, 
etc. The public bookings are a nice little bit of extra money each month 
but I intentionally don't do much of them, to keep rooms open for members. 
There was a transition period in which our members learned to change 
behavior around their booking process, but ultimately I've gotten good 
feedback on it. They have a very responsive support team as well, and I've 
sent in a ton of feedback (mostly around the features people expect from 
using Google Calendar that aren't yet developed in LiquidSpace, like

calendars for booking. I would add and remove people from that group as 
they join or leave Hattery, and that would update their calendar access.

Thanks everyone! I work for a company called MBO Partners. The long
and short of what we do for independent consultants (the ones who
would normally be 1099's) is kind of offload all the back office work
like billing, invoicing, contract negotiation, and we carry all their
business insurances, etc. But also, because we hire them as W-2
employees, provide group benefits like health insurance, a 401(k)...
stuff like that.

As far as questions for the group - Ya know a while back I wrote a
blog post about coworking and how a lot of independent consultants are
choosing to cowork rather than work at home alone. Then, as we were
preparing an upcoming webinar on working in teams as a consultant,
we started wondering if there were ever small teams that formed at
these coworking locations. Like - small businesses formed out of a
crowd of talented solo workers/freelancers/consultants. Have you ever
seen that where you cowork?

Well, I don't have the experience yet of others as my opening day is
TODAY but my effort lies within starting cooperative meetup groups and
Jellies to get those workers out of the house and taste what it means
to be a part of a sustainable community.  Every room I have here at
The Office (save for the conference room) is open workspace.  Even the
breakroom.  So I am promoting coworking both from within and from the
outside.

I will let you know how it goes

I have a rather comprehensive umbrella insurance policy that covers
those that are injured (i.e. falling down the stairs to my entrance,
etc.) but my membership agreement specifically states that any
equipment or valuables brought in to The Office (whether under lock
and key or not) are the responsibility of the owner with no exceptions
- even from damage by another member. I also have a strict
confidentiality clause because I will have legal types running in and
out.  I don't offer private office space so I run only under a
membership with no sublease.

Well, I just wanted to let you all know that The Office of Media PA is
almost a reality.  I looked at space on Veterans Square within sight of the
Media Courthouse and it is a winner, both in price and location.  It already
is wired for Ethernet and the previous tenant left all their phones!  Just
an FYI, the proximity to the courthouse is probably going to send a lot of
attorneys my way that want to drop in to get some work done.

I will send out more information later as this grows.  Good luck to all you
out there that are doing the same thing!

 gadgetry, that the attorney could reserve as part of a basic
 membership. Several small private office/meeting spaces are also
 available.

 The attorney wanted to know the hourly rates and membership benefits.

 Jayne explained their simple membership structure, with daypasses
 being perhaps the most economical and suited to the attorney's needs,
 rather than a regular membership. The passes provide access to all
 resources, including the conference room (with advance reservations
 available), for $25 a day, less in pre-purchased quantity ticket
 books: $20 per visit if you buy 15, $15 per visit if you buy 30.

 The attorney was naturally concerned about privacy, but seemed
 satisfied by the conference room options. Jayne noted that the
 videoconference and other technology in the room will involve extra
 use fees.

 The attorney had noticed, and Jayne explained, the additional-cost
 secretarial support options available, such as word processing. Right
 now we're working to find out what our members want.

 While Group 88 envisioned various types of professionals such as
 executive recruiters usiing the space, Jayne said they hadn't yet
 created a detailed plan for marketing this type of use. This is a
 different market for us, she explained. We do want to target
 attorneys, for things like depositions.

I'd read that up to 5000 of startup expenses can be written off and the rest
appreciated over 15 yrs.  I'm certainly going to be hammering away at an
accountant pretty soon.

Ok, its not depreciating.  I looked up my source.  I do apologize for not
being clear earlier or looking up my source before posting.

If you start a business, you may deduct up to $5000 of startup costs in the
year that you launch it.  That $5000 is reduced by anything over $50,000.
Whatever isn't deductible *in that year* can be amortized over 15 years
beginning the month you launched your business.
Startup costs can include advertising costs, training wages and consultant
fees.

Not being an owner YET these are instinctual thoughts, but I would think the
event could also be a venue for getting more customers and limiting it to
paid members would prevent that whole angle.  On the other hand, if the
event is rather expensive and you are seeking to reward your members and
don't want freeloaders.. then you limit it.

Anyone think thats a bad idea?

Very good points, Alex.. adding this to my list of questions for vendors!

I should probably start a new thread, but I am playing around with multiple
ideas for phone systems.  I want to offer phone service and vm that is
easily set up on the fly like Cisco Call Manager and Unity - only because i
expect more business clients that will need it (and plus it is something I
already know how to maintain lol).  The Media market is like that.  It's a
pretty large expense initially, but I am thinking that it will save me money
in the long run.

Who is doing what with their phone systems?
