[tdf-discuss] 2014 annual report
Hello, within the next couple of days, I will start the selection of content for our annual report, which - for the first time - will be published in English and German in parallel, and be shorter than the previous one, to have an easy-to-handout document for events, tradeshows and marketing purposes. To have enough time to work on both versions in parallel, I have to close down the data collection rather soon, but no later than immediately after FOSDEM. Dear community, allow me some personal words on this very special day: Happy Birthday, Document Foundation! It's unbelievable that it's already been two years. Two years to the day, The Document Foundation (TDF) was created as a stable, safe, secure, independent and longlasting entity, by the community, for the community, with strong values and ideals. Two years later, the LibreOffice community is one of the most vivid, valued and recognized free software projects, with truly wonderful and fantastic friends and contributors around the world, and has grown way beyond our dreams. I would like to personally thank all of you for making possible what looked impossible two years ago - you all truly rock, and all of you made TDF what it is today. I'm very proud and truly honoured to be part of this project, and to have been given a chance to shape it from the very beginning. It has been an interesting, exciting and unforgettable time for me, and I am looking forward to the next years, because a bright future is ahead of us. Dear community, in less than four weeks, the LibreOffice Conference 2013 will take place in Milan, Italy. LibOCon is the global and annual event for the whole LibreOffice community and ecosystem, with creators, adopters and users meeting and gathering, exchanging ideas and thoughts. After the Call for Papers has been finished, we are currently working hard to prepare the schedule out of those many great proposals we have received. Hello, sorry for spamming all the lists, but in the light of recent events and discussions, I'd like to make all of you aware of an important mailing list, that so far has not been used as extensively as it should be, which led to some frustration and communication issues. As part of our mission to foster the project internal communication, I'd like to tell you about our so called projects mailing list, which Sophie initiated quite a while ago, and which should be used for communication amongst the various projects - e.g. design and marketing, development and marketing, UX and development, and the like. The list's intention is not to be a gossip list where everything should be thrown at, but to make all affected projects aware of important changes. Philosophy: Low traffic, but important topics. Some examples are: Change of version numbers, a new slogan, design changes, new products. In other words: Everything that has an impact on other areas of working than the one where the change originally comes from. If one team decides LibreOffice will now be called different, and has a shiny new colour, surely marketing should know in time. Well, a bit of a made up example, but you get the point... ;-) We have seen some unpleasant events in the past, that based on my experience, are mostly due to the lack of communication, or due to miscommunication. To avoid that in the future, I'd like to call out to everyone of you, if you are active in one of the subprojects, to also join this mailing list by sending an empty e-mail to projects+subscr...@global.libreoffice.org and following the instructions mailed back. At least one or two representatives from *each* project should join this list, to act as a gateway. Hello, at the moment, we are looking for volunteers who could help moderate this mailing list. If you are interested, the only requirement is that you are subscribed to the list yourself and read its mails in a somehow timely manner, but that's about it. Moderation means dealing with e-mails that do not automatically make it to the list, which you then manually forward, or reject. This happens either when an e-mail comes from an unknown sender, e.g. when a project member uses a different address for posting. It also occurs when someone unexperienced writes to the list, thinking it's a private account, but in fact it's a public list. You'll receive the message to be moderated via e-mail, which you then can either "moderate through", or reject. Is someone interested in joining our efforts? [tdf-discuss] feedback needed for TDF annual report
Hello, one of the legal requirements of running a foundation is to send in an annual report. In fact, it's two reports: One financial report, which mostly Thorsten takes care of (thanks so much!), and one activity report, which is mostly on my desk at the moment. We need to list all activities we have done, all milestones achieved, and hand that over to the authorities, to show that we have been doing what's outlined in our statutes, and that we were active and not just collected money. ;-) This report is due end of April, and to be in time and have some reserve for changes and translations, the board wants to approve it end of March (!) already. It must be formally approved by the board. I will look at the announce mailing list as well as the blog, but the more material I receive, the better it is. So, today, I would like to ask everyone in the community for feedback: - What major achievements have you done? - What events did you participate in? - Did you get new contributors, donors, supporters? - Did you participate in any third-party projects on behalf of LibreOffice? - What were your highlights of the previous year? In a nutshell: We are about to write a review of our first year as foundation. The good news is, we have been very active. ;-) The report will be public, so please only send in information that is meant for the general public. It does not need to be too technical, so rather than telling "we have implemented function XYZ, improved API functions ABC" and so on, make it understandable for a wide audience. So we can collect all documents in one place, please send your feedback directly to i...@documentfoundation.org (I am not subscribed to all mailing lists). Images, videos, slides and other materials are highly welcome as well. Many core developers may be less inclined to invest their time into significant, active assistance: mentoring, reviewing, finding code pointers, merging, back porting, and so on, for functionality that will not provide a distinctive value for LibreOffice. So, while there may be many possible acceptable variations of inbound license and contributions, there are likely relational consequences of those choices that are hard to quantify. Having said that, all developers who want to contribute constructively to LibreOffice are welcome in our community, and we have a high degree of flexibility to fulfill their genuine needs. Hello, quite a while ago, we have renamed the @libreoffice.org mailing lists to @global.libreoffice.org for technical reasons. I'd now like to do the same for the @documentfoundation.org mailing lists, namely - announce - board-discuss - discuss - mirrors - moderators - test The reason behind is that I'd like to split up our mail system into two instances for reasons of load balancing and security. One should contain all private mailing lists as well as e-mail accounts, the other one should contain all public mailing lists. The fact that all our communication tools are on one system at the moment is quite unfortunate. At @documentfoundation.org, we not only host public mailing lists, but also e-mail accounts. One way to achieve the distinction on the server side is to create a forwarding/transport in the mail system, but I'm not a friend of that, it has a few drawbacks. The other option is to rename the list part, and - like we did with libreoffice.org before - use @global.documentfoundation.org in the future, so each subdomain can be attached to its own MX record (mail server). Before doing such a change that affects many users, I wanted to ask about your opinion. From a technical point of view, it is IMHO the best solution. Agreeably, it is a bit annoying to update all the website elements and links, and we can do the rename with enough time in advance, but would you generally support this approach? Hello everyone, exactly one year ago, February 17th 2012, The Document Foundation was established as a charitable Foundation under German law (gemeinnützige rechtsfähige Stiftung des bürgerlichen Rechts). So far, it has proven to be the ideal entity for reflecting the LibreOffice's community needs. I am proud and honoured to be part of this project, part of this community, and part of TDF. Hotel costs and transportation costs can be refunded, while other expenses like food can usually not be refunded. Exceptions can be granted only in rare occasions on a case-by-case basis. [tdf-discuss] 2013 budget draft - TDF Budget as of 2013-01-14
Hello, between Christmas and New Year, I have been working on the budget for 2013. The good news is that since our fundraising campaign in October, we have received approximately 60.000 € (!) in donations, which is just amazing, and the average donation rate per month shifted from 2.500 € to about 10.000-15.000 €. Congratulations to everyone involved, you all can be very proud of that! A few comments to this very first draft of the budget, that we would like to refine together with you. - All counters are reset to zero, which is why at a first glance, the available money looks less than last year. In the December budget, only one monthly rate for our infrastructure was left, while for 2013, full 12 months are planned in. - The item of domain names was previously left uncounted, but I calculated our annual fees yesterday, and added that value. - This budget only plans in the TDF Berlin account money, not the donations SPI collected for the LibreOffice project. The most recent SPI treasurer's report I could find is linked in the header of the budget. - Travel fundings usually occur via SPI, not via the TDF Berlin account, which is why we did not plan them in as fixed item in this budget. - The safety reserve is based on my gut feeling. It might make sense to top that up to 20.000 € to be prepared for unexpected spendings, but for the moment, I'd like to leave it at 15.000 €. - This budget does not yet foresee any reserves for 2014, which we should collect already early on, since nobody knows how the donation flow will continue. - The budget can always only factor in the amount we definitely do have. For planning of long-term projects, it might make sense to have a "prospective budget" soon, to know what - given the donation flow stays as it currently is - we have available in e.g. June. However, keep in mind that budgets can never ever be on prospective amounts, but must fit to what we definitely have available for spending. - The values outside the yellow frame are planned in and/or booked already, and the budget requests we have received so far are in the yellow, framed box. The latter are the items we need to plan and discuss about. Hello, for those of you attending FOSDEM, be advised to book your hotel in time. :-) The "traditional" FOSDEM hotel is the Astrid at Place du Samedi. Based on my experience, it helps to book via HRS, as they have pretty good conditions, and direct hotel booking might be more expensive. [tdf-discuss] Personal wishes at the end of the year
Dear friends, Dear community, the end of the year 2012 is approaching with large steps, and in most countries around the globe, whether they celebrate Christmas or not, the holiday season has just begun. People meeting with old friends, their families, their beloved ones, thinking about what has happened in the past twelve months, and looking forward to what is to come the next 365 days. For the LibreOffice community, The Document Foundation and also me personally, the current year has been an extraordinarily exciting one. One year ago, we weren't sure whether our plan to set up TDF in Berlin the way we wanted it to be - independent, meritocratic, open and transparent - would work out, or whether we had to redecide for another country. Shortly before Christmas, we received several concerns we had to address, but as all of you know, luckily everything went well, and on February 17th, The Document Foundation was finally incorporated in Berlin, marking not only a milestone in the history of free office suites, but also, I dare to say, in the history of foundations under German law ("Stiftung"). Since the creation of our very own legal entity, the LibreOffice project has seen a massive boost in activity once again. Individuals, governments and corporations from around the world have a rapidly growing interest in what we do, how we do, and how we govern ourselves. The LibreOffice community has been invited to dozens of events around the world, giving speeches, talking to major stakeholders, and, most important, fascinated more and more people to become a part of our community. This October, we have gathered in Berlin and celebrated a wonderful conference at the physical hometown of The Document Foundation, which to me marked the highlight of this year. I am very proud for being part of this community. Exciting times are behind us, and even more exciting times are ahead. When we started TDF more than two years ago, one of our strongest wishes was to keep this spirit and this momentum we have seen during the very first days - and today, I feel this spirit and this momentum have even grown further and continue to drive us day by day. I would like to thank all of you personally for what you have contributed to LibreOffice, The Document Foundation and free and open source software at large. I am honoured to be part of the free office community since summer 2004, and still, I am fascinated day by day to see this activity all over the world, people dedicating their heart and their passion to work on our common goal. In all those years, I not only met fantastic colleagues, but even more, true friends. We can all be proud and thankful for what we have achieved, and can anticipate the year 2013 with confidence, as great times are ahead - the best is yet to come. I wish all of you a wonderful holiday season, lots of time to spend with your beloved ones, time to recreate your soul and to relax, and time for those things in life that are truly important. We can discuss them during the next board call: Task: Finally investing the capital stock Status: We have some better offers than before, and should check them, and then finally invest the money. Responsible: Offers in my inbox, any help appreciated. Task: Writing policies for @libreoffice.org mail forwarders Rationale: Technically, offering those mail forwarders is no problem, but legally, we need those policies, because otherwise it might even risk criminal (!) charges Status: I have a presentation in my inbox that deals with the issue, any help appreciated to put that into a text. Task: Write community bylaws ("Community-Satzung") Task: Write rules of procedure ("Geschäftsordnung") Rationale: Both are required per the statutes. Status: We had some drafts, but unfortunately, none of these really fit the requirements (they doubled contents from the statutes etc.). Any support welcome. No German language required. ;-) Task: Work on rules for money investment ("Anlagerichtlinie") Rationale: Not required per se, but of course pretty much appreciated, if we make our thoughts with money investment public. Status: We have a page that can serve as template, any support appreciated. So, indeed, discussing it over and over again doesn't change anything, and IMHO, the best way to give it a try is by doing it. Call it selfish, but if you spend hours a day working on TDF matters, and you hear the argument that people would do much more if the lists were configured the right way - would you give it a try? Hello, this is to inform you that the reply settings on this list have changed (so-called "Reply to mangling" has been disabled). So far, e-mails had set a reply-to the mailing list address. In other words, with any e-mail client, replies to e-mails on the list were automatically sent directly to the list. In the past, this lead to two major problems: 1. Several times, people have sent direct replies to the public list, where deleting them is nearly impossible. I remember at least one case where confidential information has been sent out that caused lots of worries for the sender and his employer. This happened because people hit "reply" and thought it would reply to the sender only. 2. I have heard complaints in the past from people, stating that working with the non-developer lists of LibreOffice is a pain for them, because of reply-to mangling, resulting in a lack of communication. This also led to the fact that numerous tasks were done by the same people, who needed to spend more and more time, instead of sharing the work burden with others. While I do not fully believe this argument, there's just one way to find out... Therefore, I have applied a change: Replies to e-mails from the list now only go to the original sender. You either need to use the "reply to all" feature of your e-mail program, or - preferably - the "reply to list"/"reply to group" feature, which will direct replies directly to the list. This is common practice on most mailing lists, and even the default setting for our mailing list software, so we did not re-invent the wheel here. Those seeking for details should have a look at http://www.unicom.com/pw/reply-to-harmful.html I know we had numerous discussions on this topic in the past, but the outcome was that roughly 50% were for this change, and 50% refused it, so I am really sitting between two chairs here, for which I beg for your understanding. On the one hand, those complaining the lists are unusable with reply-to mangling, on the other hand, those complaining the lists are unusable without reply-to mangling. Unfortunately, combining those two, even on a per-recipient basis, is not possible, so they are mutually exclusive to each other. In order to find out the real impact, I simply changed the setting, and again, I beg for your understanding. Do not worry: The mailing lists are for the community, so it's the community deciding how they should work. What I'd like to ask all of you is to try out for a few days if that change is good for each list or not. Should we find out it is more harmful than it helps, I will immediately switch back to the old behaviour. Hello, while we are still in preparations for 2012, back earlier this year, we announced [1] that end of August we would start the Call for Locations for the upcoming year. My proposal is that the CfL ends end of the year, December 31st, with announcing the final location sometime in February, which should leave plenty of time for preparations. Users joining the more specialized mail lists may have a little more knowledge, but, in general, our users (IMO) have lower levels of knowledge of working/managing email filtering systems.. thanks for that proposal, indeed! This is something we indeed could do, and I'd like to enhance the idea bit: How about writing to all the mailing lists (global/English ones for a start), sending a short link to a poll, where all list participants could cast their vote? I can imagine that on developer, infrastructure and other lists the suffix could be omitted, while on users and discuss lists it is more likely needed. In order to find that out, we could simply ask the subscribers. Do you think that makes sense, or is it too much spamming? The problem with DKIM (and PGP, S/MIME and the like) is that the message content is signed, i.e. normally at least the message body and the message prefix, sometimes also more header fields, like sender, date, time and the like. In DKIM you can configure what to sign. If the message content is modified, e.g. by adding footers, or by prefixing the subject, those signatures usually break, as the message has been modified. So, while the problem as explained is existing, the solution is not only to remove prefixes... :) Mea culpa. Hello, today, a discussion started on the certification mailing list whether we want to get rid of those mailing list prefixes in the subject, like [libreoffice-announce], [libreoffice-conference] or [tdf-discuss]. This would be helpful in several ways, like DKIM and other e-mail signing tools don't break, plus it looks much better in the mail overview. However, this depends on how people filter their e-mail. Filtering on the subject line is a *real* bad idea, rather use the List-Post or List-Id header. However, some mail clients don't support that. So, my question is: Are there mailing lists where we could get rid of this prefix? What do people think? I would imagine that for the users list, removing the prefix is a bad idea, while for other lists, it could work pretty well. Thoughts? Hello, just a short follow-up on that. Initially, I planned to hand out @libreoffice.org mail addressess to all TDF members in the month of May, but unfortunately, due to lots of administrative tasks, this will be delayed. Legally, we are required to have some service agreements, stating that we do spam & virus filtering, that addresses may be revoked at any time, that there is no service guarantee and so on - drafting those needs some time, and right now, I simply miss that. Having those is mandatory, since deleting spam messages without informing people beforehand might be considered a criminal act. Hello, TDF has now received their tax number from the tax department. In addition, and more important, we have also received the preliminary confirmation of our public benefit. This is important to issue donation confirmations, and in order to not have to pay taxes on incoming donations. The preliminary status is normal - a "final" confirmation cannot be issued before at least one or even more years of accountings are done, so it can be verified that we have been using the donations in compliance with our statutes. The Document Foundation today announces that it has been officially incorporated in the state of Berlin, Germany. The legal form of the entity is a German "rechtsfähige Stiftung des bürgerlichen Rechts", a form based on the governance model the LibreOffice community has chosen. On Friday afternoon, February 17th, the incorporation certificate, signed by the state secretary, has been handed over by the authorities. With this legal act, the entity officially came to life and is legally recognized. I am happy to hear others thoughts on that, but for the future, I'd ask everyone to jump in the time the discussion is being opened, and not one week later. This introduces delays and much more work. We have open BoD calls and we have open discussions, so we can decide in time - and not reopen discussions over and over again. Hello, as you might have spotted, today we issued the proposals for this years' LibreOffice Conference. Berlin and Zaragoza (in alphabetical order) have sent in their applications and are therefore candidates for this years' location. What about those not on a list, but actively contributing in the wiki? Thus, for 2012, we decided to only allow members to vote, and at the same time encourage contributors to become members. I guess any solution has drawbacks, so I hope we could find some sensible one. Hello, we just discussed about that in the BoD call, and agreed to only let members vote. After all, it's their TDF and their money being used for the conference, and anyone who is fairly active should become a member soon. I am in favor of including as many active people as possible, but the issue indeed is that when we have a wider voting scope than members, it will be hard to draw a line between "all the world" and "contributors". We will always miss someone eligible, whereas for members, it is clear. Hard choice, but I hope you all support the decision. The proceeding will be as follows: - I plan to publish the proposals by the end of this week and send them to the announce@ list - The proponents were not fully aware that details will be all made public, so they were allowed to remove confidential information (like private phone numbers) they did not want to have in public - All other additions, like giving out more details that became clear later, should be solely done on the discuss@documentfoundation.org mailing list. Proponents and the community are invited to discuss the proposals, ask questions and send in enhancements - Voting will start soon thereafter. They tell that due to internet connectivity issues during the weekend, they were not able to retrieve the CfL, and thus not be able to create a proposal in time. Their question is, whether they can work on it today and send it in. My *personal* opinion is that it would be unfair to others to extend the deadline, so I would propose them to send in for 2013 instead. Everyone had a fair chance and the deadline was well known - but I'd like to hear your thoughts on that. [tdf-discuss] LibOCon proposals
Hello, we have received two proposals for this years' LibreOffice Conference - thank you very much for your applications! My proposal for the voting process is as follows: - I would like to make the proposals public immediately, by uploading them to the wiki, and sending out a short notice to announce@tdf - For the timeline of a week or so, the community can ask direct questions to the proponents, should something be unclear in their proposals - After that, we will initiate the voting - For voting, I propose to use a simple majority vote, i.e. the proposal having more votes will host the conference - The candidate not succeeding this year can propose for 2013, but it will not automatically be preferred there (since we already called for 2013 proposals as well) - Where I'm a bit undetermined is the voting scheme itself - One option is to allow every subscriber to the announce@ lists to vote (after e-mail confirmation in the voting system itself), - another one is to allow only TDF members to vote. The latter one would exclude "joke" votings like we have seen them in the past, but exclude many eligible people. - A third option would be to send out a voting invitation to everyone subscribe to a set of mailing lists (e.g. discuss@, announce@ and so on), but send them a private token.
