Hi Olivier,

Thank you for publishing this version of the document.

I am interested in reviewing / updating Chapter 3 (Tables) and have put 
my initials against it in the tracking spreadsheet. This chapter makes 
use of the Media_without_Macros.odb database and, in case it needs some 
updates for better figures or any other reason, I have added that item 
to the spreadsheet and placed my initials against it.


I'm not sure how long my work on these two items will take and have 
reflected that in the spreadsheet too.

Exactly. I have seen this while there was a post for Listboxes in 
ask.libreoffice and couldn't find this header, special in online version 
of Base Guide 7.2.

Tweaking the template can resolve almost all code colorization presentation
issues as explained below. (Process issues can be worked on separately.)

Key findings:
* Process is a bit of a black art
* LibreOffice_7.x_Template.ott has no Character Styles for colored computer
code
* Code Colorizer Formatter
https://extensions.libreoffice.org/en/extensions/show/71 is used but an
extension bug ignores the configuration dialog Font name, Text sizes and
Tab width
* Fortunately, the extension does not define styles defined in a document
* The Getting Started Guide 7.3 code looks good but Character Styles for
colored code seem to have been manually reformatted
* Adhoc processes will continue to occur in the absence of a standard
process as demonstrated in the Getting Started Guide 7.3 which essentially
duplicates character style trees with _LOCodeBase and OOoComputerCode

Suggested template workaround changes for existing extension:
* Use Paragraph Style Code Font Size of 10pt (extension mixes sizes and end
of line comment bug affects following line)
* Use Paragraph Style Code Spacing Do not add spacing to paragraphs of the
same style (reduces BG7309 page count by 15% and looks better)
* Use Character Style OOoComputerCode parent of Code (to carry style
through as intended)
* Character Style Code descendants must only configure color

Furthermore, define the following Character Styles in the Documentation
template instead of the extension:
OOoComputerCode
_OOoComputerBase
_OOoComputerComment  Grey
_OOoComputerBaseNoLocale
_OOoComputerSpecial
_OOoComputerLiteral  Red
_OOoComputerNumber   Red
_OOoComputerKeyWord  Blue
_OOoComputerAltKeyWord   Blue
_OOoComputerIdentGreen

The LibreOffice color palette should be used, for example, assuming no
color shades: (Grey), Orange Accent, Blue 1, Green 1. Other styles might be
needed for Bash, SQL, Java, and XML.

Thanks for the comments, which I have reviewed and actioned as appropriate.

I have rejected:

•    Some comments that seem to be simply changing the order of words in 
sentences that already seem reasonably well structured and clear.


•    Comments that propose adding more detail about the process of 
downloading and installing an ODBC driver, and then creating an ODBC 
data source name (DSN). I have deliberately assumed that this has little 
to do with Base and is, or should be, described in the documentation for 
the relevant ODBC driver. If these actions are not described adequately 
in a particular example of a driver’s documentation, then it might be 
better to propose improvements there rather than trying to rectify the 
problem in the Base Guide.


I have updated the date in the file name and returned the chapter to the 
NextCloud WIP folder, moving previous versions to the Archived folder.


Having spent a fair amount of time already on this chapter, I will leave 
others to process any further comments raised by any reviewers.

Hi All,

I have placed a proposed new version of Chapter 2 in the WIP folder, 
moving all previous versions of the chapter to the Archived folder. I 
hope it is an improvement.


The chapter has essentially been re-written and so I recommend that it 
be given a thorough review before issue. Because of the level of change 
throughout the chapter since the previous draft, changes are not tracked 
in the document.


I wasn't sure how to handle the reviews that have already been done on 
the previous version of the chapter within the tracking spreadsheet and 
so I did nothing. Perhaps Olivier could handle that as he sees fit.


Many thanks to Robert Großkopf for his assistance and advice during my 
work on this chapter.

be used in Nextcloud and the tracking spreadsheet has also changed. The
template used for chapters was changing by the time I left and it has
changed completely. One thing that has not changed much is Base
itself . I will try to understand everything but I would be thankful if
someone would guide me if I do something wrong.


I don't think we did so many changes, the edit-revision process is still 
the same however we want to test if we publish our guides (Base being 
the first) in a continuous manner, "as is" and update it  indicating 
"revisions" in a periodic basis.

...



For now, I have taken BG7305-Queries for second review and the expected
return date is 26 April.

Side Note: I am getting a notice on Nextcloud - Group folder "LibreOffice
Documentation" is almost full (93%). I think this should go to infra but I
just added it here if somebody knows anything about it.


I also noticed that. It may require a housekeeping job by ourselves or 
it may also be a setting in Nextcloud installation. I'll jump in.

Make sure that  Edit > Track Changes > Record is checked. Then make the 
changes you want to make. You can also explain why you think the change 
should be made in comment-forms of the document. When you save the 
document, it will contain the original text and your changes. The author 
can then check what you have done and either accept or reject your changes.

Hello Oliver,
Thank you for your message. Currently, the base guide has been translated
from its german version. I have translated all the chapters. I think now
that we will have a base guide 6.2, we english contributors can update it
for version 6.4 and further versions by ourselves. We do not need to
translate from german anymore. We can take content from german
handbauch time to time as Robert is much better than me in base but I do no
think that we should be completely dependent on only the german version of
base guide for translating into English. 4 chapters are left to be
reviewed for version 6.2. After that it would be ready to be published. Out
of those two, Dan and Drew have taken 2 for their review. Randolph, a new
volunteer, has agreed to review the left two. So I think that base guide
6.2 is going to be published soon. After that we can update it to version
6.4. There is not much to do as base has not changed much but I have
decided to add some more information to it and update all the screenshots
(the screenshots are a bit old) with the help of Rob.

Drew wanted to add content to the chapter about Access2Base. I have
written only a few rows about this possibility to create macros, because
I don't know anything about macros in Windows and macros in Access and
don't need to use this feature.

Hello Everybody,
I have moved chapter 6 to published folder. I have changed some structure
in the spreadsheet. Before this there was a column called Actual Return
Date. I did not understand the use of that column. The return date of
reviews are written after the respective review by column. So there was no
need of that column. I have deleted it. I have also made two columns -
"First Draft uploaded by" and "First Draft uploaded on". The checked out by
and Expected Return Date would act as common columns for First Draft, First
Review and Second Review and the information in it can be deleted
afterwards. If anyone has any questions they can ask me. This change is
only for Base Guide 6.2.

It's a good idea. I don't know anything about Access2Base. So I have
written only that there is such an extension.

This chapter should be written by somebody who has used Access and used
macros in Access. I have never used Access, never used MSOffice, used
only StarOffice/OpenOffice/LibreOffice under Linux. So I couldn't know
what should be the reason for the extension Access2Base.

I will translate your chapter to the German Base Handbuch later.

I am having to do screenshots using Mac OS as I no longer have a reliable 
Windows/Linux computer. I know there is slight differences between the 
operating systems, but a user should be able to work things out as the pictures 
are almost the same.

on, but the original Base Handbook and the published version for LO 5.0

The wrong date on the file and the spreadsheet was my mistake. I was not
paying attention and I thought Friday was the 29th! 

BTW, I am “she” not “he”. I know Jean is a man’s name in France and other

Hello Jean, Dan and Rob,
I have compared chapter 1 before and after being edited by Jean. I have
accepted all the changes. I have adjusted some screenshots so that they
meet the current standard (For example on page 24, I have cropped the
figure so that it does not include the german title). I have placed the
chapter in Published folder and updated the spreadsheet.

To Jean:
I have added the name of the databases Media without macros and media with
macros to the preface. I dit not used track changes as the change was
necessary and the database name should be mentioned there.

To Dan:
Jean has commented that it would be too complicated to name the table
"Athletes". He has changed the sentences accordingly so that the readers
can understand that starters anre athletes. I agree with him.

I have adjusted the screenshots that you commented on so that they meet the

To Rob:
I have adjusted the screenshots but if you want you can take the chapter
from the published, replace the screenshots and put it back there and

There is a date problem. I think Jean being from Australia has added 29th
Feb to the date in the Spreadsheet but it is 28th in India (where I live)
at time of writing this mail. I think we should not use local dates and use
the Universal time.

come in the viewpoint of the developers. Which one is better, yours or

 To me, an outline is vague or clear depending upon how detailed the 
outline is. I looked over your proposed outline, and to me it looks vague. Why? 
Because I don't see the details of your outline. For that matter, Drew's 
outline could use more details that would make it clearer.
 My perspective of Drew's outline: it compartmentalizes the discussion into 
chapters. 
 Chapter 1 is an introduction. 
 Chapter 2 describes how to plan/design a database. (Considering some of 
the posts to the user mailing list and personal experience, I question how many 
people actually do this very well at all.) I consider this to be one of the 
most important parts for creating a database: not needed for the expert who 
takes the time to do the needed planning/designing every time; an Absolute must 
for those who have not always done this or never have done it. (Proper 
planning/designing reduces if not eliminates the GIGO [garbage in garbage out] 
that can become part of a poorly designed database.)
 Chapter 3 looks at the details of tables, views, relationships, and forms. 
If a person wants to know how to create, modify, or delete these, this is where 
they should look.
 Chapter 4 discusses Queries and Reports. Again, anyone wanting to know 
about any of these should look here.
 Other chapters are similar in nature: look in this chapter for discussion 
on what you can do with the parts of Base mentioned here.

 Showing how to plan and design the database which is used as an 
 example throughout the guide is a very good idea.
 
 I disagree. This is not how a database should be created: plan and design 
it as it is being created. It needs to first have a plan.
Secondly, it needs to have a design based upon that plan. Then if a problem 
comes up while creating the database, the plan and then design should be 
adjusted before continuing with the creation of it.
 I see a pattern in Drew's outline for creating a database. First you plan 
and design, Then you create the tables and the relationships between them. Next 
you create most of the forms you will need (forms that contain queries are 
created after them). Next, you create your reports. Now comes the uses for the 
created database. Next, learn how to customize the database. Finally comes the 
most complex (accessing Base database document files with embedded databases 
using the HSQLDB as well as using Base as the front-end to databases created by 
other programs (Access, MySQL, Oracle, PostgreSQL, etc.).

 I have included my ideas (Proposed TOC) at the bottom just below the 
 current layout.
 
 So, are you suggesting that we essentially begin from scratch? That the 
outline we have presently can not be modified in terms of the details in the 
outline to make it better? Perhaps a rearrangement of a chapter? (Specifically, 
using Base as a front-end might need to be moved to chapter 5.)
 A plan for the Base Guide is similar to a plan for a database.
There are very often many ways to do the same thing. The differences come in 
the viewpoint of the developers. Which one is better, yours or Drew's? Likely 
the differences is also a matter of Drew's and your viewpoints. But most 
importantly, the details of either outline must be considered.

Mark,

This is another problem with using HSQLDB as an example that I overlooked.
It is cumbersome. And to be honest I would use a MySQL DB on localhost if
I wanted to create a database. Although PHPmyAdmin is better, Base is more
visual and seems to work well. Of course anyone with DB experience will want
to use their preferred DB.

And, there has been some discussion of losing much of the Java dependancies,
especially since Sun and Oracle aren't in the picture any longer. So HSQLDB
may someday be replaced with something like SQLite.

Particularly because it's the cause of so much trouble, I'd suggest it would
be good not to focus on the native HSQLDB setup, though I agree it would
be good to show it.

Hi :)
I like the sound of both ideas for the watermark and/or for the discrete 
mention in a header.  Either way sounds good to me but there is something 
sexier about a watermark.  

I think the Getting Started guide's chapter on Base should stay as is because 
at least there is something there even if it's not perfect.  I'm happy with 
other ideas about that tho especially because i have no idea what is in the 
newer version.  

Mostly i was just interested in getting the material up in the Base Guide 
because it contains stuff we don't have available elsewhere.  

Adding new stuff to the wiki shows people that work is being done and shows 
that you are getting results.  This is more important with Base because it 
would be a bit of a morale boost to people working on other aspects of Base, 
such as the devs.

People do not have to sign into ODFAuthors to *download* docs, IF
those docs have a State of Externally visible (probably the folder
hierarchy needs to be Externally visible too). They only need to
sign in to upload docs, or to see items with other States.

That said, it might be preferable to put them on the LO wiki, though
I'm not sure what might be the best page to put them on. Some thoughts
follow.

For the Base Guide, it would be easy enough (and, I think, clear
enough) to put them on
http://wiki.documentfoundation.org/Documentation/Publications (as Tom
suggested), but change the chapter names in the LibreOffice Base Guide
section to read, for example, 2 Name of Chapter -- DRAFT (and
include only the ODT?).

The GS with Base chapter is a bit messier, since v3.4 goes into a
second column for that book, and so DRAFT would need to go into that
column... which doesn't fit the layout as well

You know I'm writing a Base Guide in German. After the collection of
many ideas I have planned the structure from the first to the last
chapter. Then I was writing down my ideas for some of the chapters.

When I'm reading chapter 2 is nearly complete it's too late for help
from other people. Could be we are writing the same in English and in
German at the same time.

The chapters of the Base Guide that are fairly complete as of right

 Getting Started with Base (ch 8 of the Getting Started Guide), and

 There were perhaps three other chapters as well on a server, but we
 are having problems with it right now. I have these three chapters as
 written for OpenOffice.org, but I am doing some extensive rewriting of
 them for both OOo and LibreOffice.
  These are
 Planning/Designing your Database (220K),
 Data Input and Removal (2.1M), and
 Data Output (900K).
  I'm not sure how much good these would do you. I can email this to

Hi :)
At the moment there seems to be an almost complete lack of anything about Base 
and apparently it's a nightmare to even try to start writing for it.  

It would be great if you 2 could collaborate but if we end up with 2 very 
different guides that would not necessarily be a bad thing.  It is fantastic 
that you guys are working on this!

The 1st link is the most useful one as it also leads to 3rd party 
documentation.  There is an old page
http://wiki.documentfoundation.org/Base
but i don't think it has sub-pages or anything really useful that isn't already 
in any of the guides in the first link.  

OpenOffice forums might be worth exploring and/or the Users List but i think 
the OOo is the main place that has a co-ordinating with each other about Base.  
TDF has rejected the idea of having a mailing-list dedicated to Base to gather 
people together.  So, cross-discipline growth only happens at OOo whereas each 
person working on Base in LibreOffice is pretty isolated from anyone else 
working on it.

Slight correction: the links in  the second URL simply point to the documents 
stored on the wiki. Adding the links to the website page does sometimes come 
later than adding the docs to the wiki. And as noted below, the wiki contains 
other docs as well.

I have no objection to putting the Base Guide drafts on the wiki, but I suggest 
not on the same page as the officially published docs -- unless clearly marked 
as DRAFTs.

I've seen a lot of confusion (and accusations of poor quality) from people who 
get hold of user guide drafts thinking they are finished documents. They get 
passed around from one user to another and not everyone realises there might be 
a more up to date version or where to get it. Of course, some of our finished 
docs are a bit rougher than we'd prefer, but that's a separate problem.

I think there is a lot less to worry about wrt branding now that it's Apache 
running OOo and also because LO has already become so widely known.  Now it's 
just a matter of cosmetics and image, especially if it's only temporary.  Ok, 
image is important but it's not everything.  

I quite like the way the Brazilian team handle their wiki

Tom,
In some cases, there are actual differences between the two products (LO and 
OOo), so it's more than just branding and cosmetics. For example, LO includes 
an extension for Base reports, which makes the default or typical behaviour of 
the two products different. We've been discussing this, though perhaps it's 
been on the ODFAuthors list. There may be other differences as well. That is, 
I'm sure, what Dan is referring to.

Yes, and I'm thinking that this would be a very good thing to do. Put it in the 
header or footer, not as a watermark as such, much as I did for the Free 
eBook Edition notice on some of the OOo PDFs. That way it's obvious but 
doesn't interfere with the text, and it's quick and easy to remove when we 
declare the document final.

word Draft. I made the larger graphic the background for the Chapter
page which shows Draft 2 cm in height at the bottom of the page.
(Selected position instead of Tiled or Area, and then selected the
bottom center position.) I made the smaller graphic the background for
the OOoFooter adding tab spaces in the footer to increase the number of
lines so that the word Draft appears in the center of all the footers. I
the created a header and modified it in a similar way. So, every page of
the text had the word Draft at the top and bottom.
To undo all of this takes only a few steps. 
1) Remove the background for the title page (OOoFirst Page).
2) Remove the background for the footer style (OOoFooter).
3) Remove the extra tab spaces so that the footer contains only one
line.
4) Remove the header in the OOoPage style.

 One more question: where should these draft chapter be placed so
they will be available without having to have sign into ODFAuthor?

People do not have to sign into ODFAuthors to *download* docs, IF
those docs have a State of Externally visible (probably the folder
hierarchy needs to be Externally visible too). They only need to
sign in to upload docs, or to see items with other States.

That said, it might be preferable to put them on the LO wiki, though
I'm not sure what might be the best page to put them on. Some thoughts
follow.

For the Base Guide, it would be easy enough (and, I think, clear
enough) to put them on
http://wiki.documentfoundation.org/Documentation/Publications (as Tom
suggested), but change the chapter names in the LibreOffice Base Guide
section to read, for example, 2 Name of Chapter -- DRAFT (and
include only the ODT?).

The GS with Base chapter is a bit messier, since v3.4 goes into a
second column for that book, and so DRAFT would need to go into that
column... which doesn't fit the layout as well. Minor detail! And I
like the idea of putting some of the other developed, but not
finished, chapters there as well.

The way things are currently set-up on Alfresco is that English
documentation team contributors get added to the English group. That
group is currently set-up to be able to add and edit content, but not
to delete content. The idea behind this was to insure ourselves
against the (remote) possibility that someone ill-willed might decide
to zap all the content on the platform.

A small number of full system admins are supposed to help out with
content admin jobs not available to the English contributors group.

This is something that can be changed, of course. I initially set this
up on my own initiative with Jeff Potts because we (the English docs
team) was, at that time, very short (read totally bereft) of people
actually contributing regularly to docs work.

All ideas and comments about how to organize things are very welcome.

in various parts from people from both groups. So I agree with both your
