 For the past few months, several users have been having issues in Outlook

 address to the To: field at random. It seems to be an address that an email

 What's bad is that it happens with customers. So, for example:



 1.  I send an email to, say, Joe, talking about how we're having
 trouble with a job for customer A.

 2.  Joe replies to my email, yet somehow, a random email address
 (typically another customer, like customer B) is magically added to the To
 field.

 3.  Customer B replies with a WTH??? email.

 4.  People look at me with extreme frustration



 Any ideas what could be causing this? I don't think it's that they're
 accidentally hitting a key and it's using autocomplete to put a name in. The
 user that it happened to twice today swore that she checked the To field
 several times before sending the second email where this occurred (because
 obviously she was very nervous after it happened the first time.)

The file will be re-created when they start using Outlook again.
Deleting it would help pinpoint the problem.

Hrmm... no, they don't really know how to create their own lists, and
the addresses they're being sent to just append themselves to the
address they actually wanted to send to. It's just so weird. I'm slowly
rolling Outlook 2007 out, and perhaps that will fix this issue Not
sure

Maybe just rename the .n2k file instead of deleting it. Then you can go
back to it, if it isn't the problem.

Switch to Exchange?

Hello everyone,
 
Right now I'm using Mdaemon by www.altn.com. I'm very happy with it, but I'm
starting to need some features it does not provide very easily. We are a
small company with about 10 email clients.
 
Myself and another user have Blackberries and I want to use the Blackberry
Professional Software (a smaller version of the Blackberry Enterprise
Software) to run our email and manage them with.
 
I'm starting to look at Exchange, and it's looking like overkill for what we
need. I'm willing to live with that, but I want to know if it will hog all
the resources on my server. I have a Win2k3 SP2 x64 server with two opteron
CPU's and 4 Gig of ram. It is also running SQL Server 2005 x64 and some
other smaller programs. Right now I would say I'm using about a 1/3 of it's
resources.
 
Can someone please tell me if I'm going to kill my server with this setup,
or any other issues I should be considering?

In my experience it would not be a good idea to run Exchange on this
setup.
You always want Exchange on its own separate server.
You may want to look at a hosted solution such as mailstreet
(www.mailstreet.com)

If you really need Exchange and only have 10 users I would look at a
hosted solution, there's a lot out there and they could handle your BB's
also.  We were an Mdaemon shop also until we got to about 100 users and
needed Exchange for work flow routing etc with our ERP.  I still use
Mdaemon as a secondary Gateway behind our Barracuda for spam/virus
detection.  For a couple hundred $$/year it makes a great secondary
gateway scanner and backup if the primary were to ever fail.

What kind of connection speed do you need for users to have an enjoyable
Outlook experience with a hosted solution? To me that seems like the biggest
hangup with hosted.

With 10 users, I know what I would be looking at - Small Business Server. For 
the cost of a full Exchange 2007 license and the CALs you could probably have a 
completely new system to run SBS. Buy it with Software Assurance as SBS 2008 is 
due very shortly (RTM last week).
Then install BES on your existing machine where it can use the SQL server.

If you are still looking at a hosted solution, as long as you use cached mode, 
most xDSL type connections will be fine. I have run more than 20 users on a 
regular 4mb xDSL (256k up) without any problems. The initial setup when you 
import your existing mail is the only slight headache.

Outlook 2003 SP3 or 2007 SP1 set in cached mode work just fine over dialup
after the initial sync.  It's certainly fine over DSL/Cable and VPN.

Be aware of large file attachments...do your users use email instead of
shared folders to send files to each other?  Address this non-optimal
behavior beforehand as the large file will be traversing the WAN
connection twice in addition to the inefficiencies of MIME encoding binary
files.

Online Spreadsheet

Happy Monday!

We are currently looking for a collaborative online spreadsheet for both mac 
and pc users.  I have seen google docs but are there any other products that 
you all have used or recommend.  Does anyone want to comment on the drawbacks 
of using google docs vs other products.   I have also been looking at 
sharepoint services but some functionality is missing when using a mac in 
particular the export to excel function.

If you really need Exchange and only have 10 users I would look at a hosted
solution, there's a lot out there and they could handle your BB's also.  We
were an Mdaemon shop also until we got to about 100 users and needed
Exchange for work flow routing etc with our ERP.  I still use Mdaemon as a
secondary Gateway behind our Barracuda for spam/virus detection.  For a
couple hundred $$/year it makes a great secondary gateway scanner and backup
if the primary were to ever fail.

The only thing I can add is I would be very hesitant to use an outside service 
(especially Google) to host anything that was even remotely confidential. I 
would only go forward with something like that if everyone involved (and the 
lawyers) understood that there could be little or no privacy in that kind of a 
solution.

Outlook Issue?

Often when sending an email from within Excel or Word 2007 everything
works except the email never leaves the screen, after hitting the send
button. I can go to sent folders and it was emailed but I have to close
the Outlook form manually. Ideas?

Have you tried clearing the .nk2 files on the PC?  (the autofill for
Outlook)

Okay, I used to think my users were crazy. Scratch that.. I still think
they're crazy, but some weird things are going on with multiple people,
so I don't think it's just a simple user screwed up issue.

 

For the past few months, several users have been having issues in
Outlook (2003) where they either start a new email, or hit reply, and it
ADDS an address to the To: field at random. It seems to be an address
that an email was previously sent to from that account.

 

What's bad is that it happens with customers. So, for example:

 

1.  I send an email to, say, Joe, talking about how we're having
trouble with a job for customer A. 

2.  Joe replies to my email, yet somehow, a random email address
(typically another customer, like customer B) is magically added to the
To field.

3.  Customer B replies with a WTH??? email.

4.  People look at me with extreme frustration

 

Any ideas what could be causing this? I don't think it's that they're
accidentally hitting a key and it's using autocomplete to put a name in.
The user that it happened to twice today swore that she checked the To
field several times before sending the second email where this occurred
(because obviously she was very nervous after it happened the first
time.)

We've used SBS 2k3 for years and have recently put BES on it.  It's worked 
great for us.  We have about 70 users (most of whom are remote) and have had 
very few issues with connectivity or our server bogging down.

What kind of connection speed do you need for users to have an enjoyable 
Outlook experience with a hosted solution? To me that seems like the biggest 
hangup with hosted.

In my experience it would not be a good idea to run Exchange on this setup.
You always want Exchange on its own separate server.
You may want to look at a hosted solution such as mailstreet 
(www.mailstreet.com)

Hello everyone,
 
Right now I'm using Mdaemon by www.altn.com. I'm very happy with it, but I'm 
starting to need some features it does not provide very easily. We are a small 
company with about 10 email clients.
 
Myself and another user have Blackberries and I want to use the Blackberry 
Professional Software (a smaller version of the Blackberry Enterprise 
Software) to run our email and manage them with.
 
I'm starting to look at Exchange, and it's looking like overkill for what we 
need. I'm willing to live with that, but I want to know if it will hog all the 
resources on my server. I have a Win2k3 SP2 x64 server with two opteron CPU's 
and 4 Gig of ram. It is also running SQL Server 2005 x64 and some other smaller 
programs. Right now I would say I'm using about a 1/3 of it's resources.
 
Can someone please tell me if I'm going to kill my server with this setup, or 
any other issues I should be considering?

Have you tried clearing the .nk2 files on the PC?  (the autofill for
Outlook)

 

Close Outlook and delete the .nk2 file on the PC.  See if the issue
persists afterwards.

Okay, I used to think my users were crazy. Scratch that.. I still think
they're crazy, but some weird things are going on with multiple people,
so I don't think it's just a simple user screwed up issue.

 

For the past few months, several users have been having issues in
Outlook (2003) where they either start a new email, or hit reply, and it
ADDS an address to the To: field at random. It seems to be an address
that an email was previously sent to from that account.

 

What's bad is that it happens with customers. So, for example:

 

1.  I send an email to, say, Joe, talking about how we're having
trouble with a job for customer A. 

2.  Joe replies to my email, yet somehow, a random email address
(typically another customer, like customer B) is magically added to the
To field.

3.  Customer B replies with a WTH??? email.

4.  People look at me with extreme frustration

 

Any ideas what could be causing this? I don't think it's that they're
accidentally hitting a key and it's using autocomplete to put a name in.
The user that it happened to twice today swore that she checked the To
field several times before sending the second email where this occurred
(because obviously she was very nervous after it happened the first
time.)

Here's the scenario.
1. New message arrives in mailbox.
2. Message is forward to external mailbox (say AOL.com)
3. AOL fills up (due to mailbox limit reached)
4. AOL sends notification back to sender (corporate mailbox) informing of
failed delivery
5. See step 1.

No loop detected as it is not the original message coming back.

 My client would like to create a rule that would fire when a any new
 message is received.  The rule would send email email to an outside email
 address saying that a new message is waiting for you on the Exchange server.



 Apparently his users can't be bothered to check their email and for
 security reasons they have to keep the email in house.



 I don't see a rule for this in Outlook 2007, anyone have a script that I
 can borrow or any other ideas?  Maybe even a central way to accomplish this
 using an event sink?

Anyone have any thoughts on how we can block the ability a user has to add 
signatures in MS Outlook desktop?

We are planning to roll out via AD but ultimately users can add signatures in 
MS Outlook.

We've used SBS 2k3 for years and have recently put BES on it.  It's worked
great for us.  We have about 70 users (most of whom are remote) and have had
very few issues with connectivity or our server bogging down.

With 10 users, I know what I would be looking at - Small Business Server.
For the cost of a full Exchange 2007 license and the CALs you could probably
have a completely new system to run SBS. Buy it with Software Assurance as
SBS 2008 is due very shortly (RTM last week). 
Then install BES on your existing machine where it can use the SQL server. 
 
If you are still looking at a hosted solution, as long as you use cached
mode, most xDSL type connections will be fine. I have run more than 20 users
on a regular 4mb xDSL (256k up) without any problems. The initial setup when
you import your existing mail is the only slight headache.
