[LegacyUG] Heritage Collector Suite offer

Hi -

I noticed on the Legacy Home Page a discount on purchasing Heritage
Collector Suite.  I have been thinking about getting some sort of software
to organize my photos.  Has anyone used this product?  I was unable to find
any reviews by users online.  I'd be interested in any opinions.

[LegacyUG] verified locations in the master location list

Hi,

 

Is there a way to global remove all of the "verified" checks in the master
location list?  I know that I can do each one individually but I was hoping
for a quicker solution.

Okay,  I think I am still making this way harder than I think it should
be...

I am trying to have one source/source detail about a census record applied
to multiple family members.

Individual 1 - I enter an event, click on the source icon and using the
source writer create a source and the source detail.  [That is all okay]

Then,
Individual 2 - I enter an event, click on the source icon and click on 'cite
a master source'.  Finding my source in the list I highlight it.  I then can
click select and it prompts me to enter the source detail.  (it is here that
I though Ron was suggesting that I click 'save' on the source detail screen
which is just saving a blank detail screen.)

I just want to re-use the same source detail that I have already recorded
for individual #1. 

(Is there any way to do this from the master source list???  I'd like to be
able to scroll through the master source list, highlight that source and
then scroll through the perhaps numerous source details attached to that
particular source and be able to select appropriate one).

I then played around some more and tried out the source clipboard that I
have never used before.
Is there any way to access the source detail other than going back to the
original person, going into his specific source, copying it onto the
clipboard, closing individual #1, going to individual #2, opening his events
and pasting the source from the clipboard?  That seems to be an awful lot of
steps to just add a source with the source detail.

[LegacyUG] Source details

Hi,

Need some basic help.
I am using the source writer and have created my source and attached to an
individual.  I am now trying to attach the same source to a second person
including the exact same details.  The source writer prompts me to enter new
source details but I don't want to have to retype everything a 2nd time.

What am I missing?

I enter my census as follows:

Census
Description blank (I got started a long time ago not using this field and
never have... not sure what my original reason was.)
Date - year of census only
Location - town/city, county, state, usa

Notes
He is living with his wife of 6 years and 4 children, working as a farmer,
aged 43.
Or
She is living with her parents and siblings, attending school, aged 9.
Etc...

I enter an event for each individual listed in the census.

Then in my sources I have the source name to read 1920 US Census: Indiana.
SMITH, Joe
(listing each census under the head of household name)
And in the source details I do a transcription of each census (like others
have indicated in their notes... with each name in the household, birth,
age, profession, etc.) and then I also attach the census image to the
source.  This source I then attach to all of the family members.

I decided long ago that I needed a simple way of keeping track of what 
information or I had or did not have for every individual in my file so 
I created a spreadsheet.  It has one sheet for each of the 4 branches of 
my family and each sheet has the User ID, forenames and surnames down 
the left side, with years of Birth and Death. There are then columns for 
Birth, Baptism, Marriage (3 columns - haven't had anyone marry 4 times 
yet!), Death and Burial, columns for each Census then columns showing 
briefly who the person is (wife of Joe Bloggs 123, for example) and 
their relationship (if any) to me.

It only takes a second to update it as I go along and I can see at a 
glance where basic information is still to be located

This works however it also picks up everyone born in different place  
so I have a large search list of people.
What could I use as  a second condition to filter this out better so  
I only find the following

Anyone born/christened in Doncaster
and
Anyone who does not have information in the Death/Burial place

Thanks heaps for any help with this.  I am a little confused how it  
should work.

Hi Pat,

Many users record census events differently.  To give you the best solution
can you tell us how you record the census events?

First do you record them as an event or a source to events such as
occupation or residence.

If you recorded it as an event
Secondly is your event title "Census" which is used for all census records
or something like  "1930 Census" and "1920 census", etc

Hi,

I go to the individual information screen.  Click on the + and bring up the
burial address.  
Then click on address list (3rd button from the top on the right) which
brings up the master event address list.
[CE directed you how to reach this list a different way.]

But then you must
click on 'show list' the 2nd button from the bottom on the right)

This will provide a list of all individuals that are associated with that
address.

CE, I use Legacy Deluxe, I do not see any tab called Master.

If you are referring to View>Master Lists> Event> That only brings up a 
listing of events, and does not list the persons who have that event in 
their record.
I believe what Keith (and I ) are looking for is a report that lists every 
who has data in the burial address or burial notes or burial picture event 
fields.

children with the name of the first wife in parens.  Finally, he 
and his 3rd wife would show all 9 children (the census shows them 
all still living with the man and his 3rd wife) with 1/2s for all 
the children, the 1st 6 with then name of the 1st wife in parens 
and the last 3 children with the name of the 2nd wife in parens.

If I have this figured out correctly, then how do I make it 
happen?  If I'm wrong somewhere, please tell me where and how to 
fix it.

Hi,

Enter his biological parents if you have not done so.

Then go to the child, click on the parent icon.  Per your description it
should show his aunt and uncle.  If you would like, go to bottom of the
page.  Set relationship to mother as adoptive; and then you could do the
same for the 'relationship to father'.

Next click "link to existing parents'  Select the appropriate parents from
the marriage list that pops up.

It then returns you to the 'parent screen'.  Highlight their names and then
you can set their relationship as "biological"

Finally click/highlight on whichever couple you wish to show on the family
view.  This will be the preferred couple.

I believe Legacy would be able to do what you would like.

 

 

For each individual you could create an "event" called 'membership status'
and include whatever notes to this event if you would like.  

I would then create tags.. [Tag 1 active;  Tag 2 inactive, etc.]

 

Finally you would go into the search feature and create as search string to
pull up all the records you are looking for and generate a list (i.e.  have
it locate all records which include a membership status event with tag 1 in
the state of Iowa)

 

Once you have the results of the search you can have the list include other
details about the individual (i.e. name, date of birth, user id number, etc)

Thanks for the response.  Already tried all the help pages.  The routine
FAQ's do not address what I'm looking for.  I am a regular user of another
software package that I know can do what I want, but Legacy is said to be
more user-friendly.  If it can do what we need, we will purchase Legacy.
But need to find someone who has experience with some of non-traditional
applications of Legacy.  

For example,  I want to add a field (in my software we call it a flag) for
MEMBERSHIP STATUS in my organization.  Within that field, I want a drop-down
list of options:  ACTIVE, INACTIVE, DECEASED, JUNIOR.  Then I want to
generate a report that will produce a list showing name, county OR state OR
country of residence and Membership Status of everyone whose member status
is designated [] take your pick from one or more items on the selection
list.  In "my software" we call it a "list" report.  Can Legacy do that for
me?

Do you have your brother and you linked in any way.  If not add your parents
- you should add them once and then click "link to an existing son" to add
them to your brother.  Once everyone is together then you should be able to
make a chart with both families.

Hi Brian,

I believe the reason for an event of "Disproven Birth" is to record what you
have found and why.  Generally this is used for an ancestor that often is
listed with one birth but you have tracked down proof that you believe
verifies the correct information.  The 'disproven birth' event will then
help remind you (and anyone else you might share your research with) that
yes you have found a discrepancy in the birth data and an explanation as to
why you think the information is wrong.

While I understand there might not be a right or wrong way of doing
these things, I wasn't sure if there were better or worse ways.  I'm
still a beginner with Legacy and genealogy and so wasn't sure if there
could be problems (say with reports) if I did things one way or the
other.  With respect to disproven births I had been just deleting the
wrong one after I figured out which was correct -- but after watching
the video I became worried.

I like your idea of a note in the Birth Notes.

Like many aspects of Legacy there is no right or wrong way of doing
things (this also applies to your other email) and my best advice is to
do that which is most comfortable for yourself.
 
You can create your own Events should you wish, for Events see
View>Master Lists>Event Definitions and select Add. I do use Alt Birth
now and again but not disproven for which I may add a note in the Birth
Notes, or in the To Dos, or even ignore it, if was a completely
rediculous idea in the first place!

Hi Dave -

I enter the cemetery information in the burial address.  Not sure how/what
you are trying to search for but

I enter the cemetery name as 
Cemetery KY:Crown Hill Cemetery

If I click on address list (button on the right side) then I get a list of
all of the cemeteries sorted by state and then name.  (I also have churches
for marriages and hospitals for births etc)

I can then click on show list which lists all of the people using that
address.  I use the burial address "notes" for anything I want to remember
about the cemetery office hours, staff people I found helpful, etc that
I want to keep but won't print in reports.

I'm frustrated trying to determine where to document cemetery information.
I've begun putting the Cemetery information in the Burial Address field.
However, I cannot find a way to search using the Burial Address field. If I
put the Cemetery in the Burial Place field, that screws up the Master
Location List.  I'd like to be advised by those long time users of Legacy
how they think the best way is to document the Cemetery where someone is
buried.

I am using Legacy 7.0.0.90.

Thanks Brian and Ron,

With going to "options" and changing the tags I want to show to 4-6 they do
show up on the report.  I can just print that report and go back to change
the tags to 7-9 and get the others.  It is not one neat report but it gets
the job done.

Angela,

Go to Options > Customize > General
In the Tagging options click on the tags to show button and change those 
to include at least one of the custom tags you want in the report. On 
the Report Row 1 screen ensure that that number is also selected. If 
tags to show are the default 1, 2, and 3 the report will not include the 
other tags.

I am going to submit a problem report on this.

Hi,

I have a family branch whose name was constantly misspelled in the census
records.  I am trying to generate a handy report to show everyone with that
last name and which census records I do have so I can focus on the ones that
I am missing without having to pull up 200 individuals.

I have used the tags to indicate different US census reports.  Thus Tag 7 is
1910, Tag 8 1920, etc.  So in the report I want to show Name and then all of
the tags so I know what census years I am missing.  The report does have
enough room and reflects the correct titles and the corresponding rows and
columns.  For tag 3, which is working correctly, it has an 'x' in the box if
they are tagged.  For tags 4-9 all of the others are blank even though
some/most are tagged.

With the first part I wasn't thinking it through clearly but with your
message I was able to fix my query - after generating a list of individual
with the name Smith or spouse surname Smith then I searched only the search
list for Tag 1 equal untagged, etc and got rid of the ones that were showing
tagged on the list.

I am having difficulty in picturing this as I cannot really see what you are
trying to do and why.

However, let us take the first bit:
 

Individual with the surname of Smith
OR
Individual with the spouse surname of Smith
AND
Tag 1 equal to untag
 
The 3rd condition only operates on the outcome of conditions 1 and 2, and I
can see it returning a result with a tag 1. For example do you have a
marriage of two Smiths with only one of the partners having a tag 1?
 
What out put do you actually want from "Print" - have you allowed enough
width for it to print? I am afraid that I haven't had to time to actually
work out what you are trying to do here and what the expected output might
be, perhaps you could help me?

Hi Jim,

I was still with version .76 so I updated to .86  My third option still says
"view additional relationships" and as you said it brings up the
relationship calculator.  

I am not sure why it is not picking up on the relationship for both John and
Rose.  Is one of the relationship based on the marriage and not a blood
relationship?

Look down on the lower left of the relationship calculator and see if
changing the settings (limiting the number of blood and non blood
relationships helps)

The only other suggestion that I have is to go back to the Tools (located at
the top of your screen usually) and remove and then re-set the
relationships.

Hi ---

The + sign with RELATIONSHIPS actually means that that individual is related
to you (or whomever you used to calculate the relationships) in more than
one way.

In the Family View right-click on the relationship title.  There will be 4
different options.  The third option reads "VIEW ADDITITIONAL RELATIONSHIPS"
This will bring you to a screen which will show you all the ways this
individual is related to you.

"What do the Little Symbols Mean?

You may notice some symbols on the Family View at the ends of some of
the names.  Here is what they mean:
A "+" at the end of a parent names means that person has parents.
There is at least one more generation of ancestors on that line.
A "+" at the end of a child name means that person has children.
There is at least one more generation of descendants on that line."

There are more symbols described, but I only included the part about
the + sign, since that's what you asked about.

Does this make sense with what you're seeing?

[LegacyUG] search index report problem

I am trying to generate a report and it is not working correctly.  Below is
listed the detailed steps of what I did.  If someone would please let me
know what step I might be missing or if they too have the same error.

 

First go into search and set the following parameters:

 

Individual with the surname of Smith

OR

Individual with the spouse surname of Smith

AND

Tag 1 equal to untag

 

Then I select search only search list 

Tag 2 equal to untag

 

I then have my search list of people

 

First error - it picked up a person that is tagged  (Tag 1).  but I can cope
with this.

 

I then click "PRINT"

 

Which gives me the List Report Options.

The grid fields I have checked are Surname, Given Name and Tag 1

The optional fields I customized to read

Cathy,

The only reason why you might not want to have 5 places for some USA
addresses and 4 for another is sorting.  

In the master location list you have the option to sort the list in any
manner you'd like.  However, you must have consistency.   It will not be
able to easily find for example all of the locations in Iowa if you have the
state name listed in the 3rd place for some locations and in others the
state name is located in the 4th place.

The solution to this is to come up with template for the 9 location fields
and then use commas so that everything stays in its place.

For example
Location name (--cemetery/church/business, etc), street address, township,
county, city, state, country

Crown Hill cemetery, 5746 Broadway St, , , Plainfield, Iowa, USA

In report preferences you can have these extra commas removed so they do not
print.

I did it because I was not as astute as you to pay attention that you 
can sort right to left.  THANK YOU!  There have been so many threads 
about this topic and I don't think anyone has ever suggested that (or 
my brain wasn't working that day if someone did).

I have always entered the country (USA or otherwise) so that is not a 
problem for me.

You've made one happy LUGGER and maybe others that have struggled with this.

If I'm overlooking a reason not to have 5 places for some USA 
locations and 4 places for other USA locations, I hope someone will 
address this.

Hi John,

I use the census as an event (not just as a source as others do).  In the
events notes I add a sentence that reads " His name is incorrectly indexed
by Ancestry.com as Mazzari"

I do not use the AKA because this is not a name that your grandfather ever
used and the it was an error by the individual indexing the census.

Also I have found that indices for the same census image complied by
Ancestry, Heritage Quest, etc may show different names for the same
individual.

Finally, as someone else stated - in Ancestry when you are on the
individual's preview page (not sure exactly what it is called)  on the left
it has a place to click for name corrections.  The yellow triangle notes
that there are other optional names for this individual. These names are
then also listed in index thus if you make the correction anyone else
following you will be able to access your grandfather's image with the
correct name.

For right now there is the option of using the old format or using the
sourcewriter for your sources.  There is not a source conversion option
available right now.  

Just think... there are probably as many ways sources are entered as there
are users of Legacy not sure how they would be able to create a user
friendly conversion tool that would work for everyone or at least most.
Heck I know I don't even have all of my sources standardized I can't image
trying to write something that would work for a huge user base.

Hi Mary,

I too have tons of sources and have never used the source detail.  To manage
my source list I have (my own strange but..) logical way of entering source
names.  I was hoping that the source writer in ver. 7 would help me in
completing the publication details (which I never manage to do the same way
twice).  

For census records using the source template it prompts for the state and
the county (as well as where you found the image, etc)  BUT! And a big BUT
for me ... is that the township/city, enumeration district, census page
number, household numberare all on the Source detail page!  Thus IF you
want to use the SourceWriter and want to include these items in the
publication endnotes/footnotes then you are going to have to use the source
detail (and figure out the source clipboard)

Alternatively you can use what they are calling "basic source system" which
is what we have known and loved in all of the past versions so you don't
have to change a thing about your data entry system. This is found at
Options>customize>sources>  on the bottom left corner of the screen.

I haven't played with all of the different templates for all of the
different sources to see which 'force' you to use source details... since I
have almost 850 different census images I think I am going to stick with
what I know!

Well I must confess (yet again) that my Sources are wildly
idiosyncratic, to say the least.
I am a splitter to extremes. Each birth, marriage, death, census
record, email etc. is a separate source. On the "Source Info." screen
I rarely fill more than the Source List Name. And count on one hand my
usage of "Source Detail".
Resulting in (as Kirsten said) " a huge Master Source List ...
considered improper form by just about any standard."
However,  it works for me ... I never have to worry who has which
Source Detail ...I can "Show List" on every Source.
Please - can someone with V.7 reassure me - can I go on misbehaving?
Or will I be forced to conform?

Hi Elizabeth,

As Kristen stated there is no magic way to organize your list.  That being
said one thing that many people overlook is that the "Source List Name" and
the "Title" of the source can be two different things.  The 2nd is the
actual title of your source - and thus would be used in the actual
footnotes/endnotes.  The first - "source name list" however is 'your' name
for the source.  Think about how you would look for this source if you
needed to cite it again and then create a logical name.

I do something very similar to what you suggest in your e-mail.

I have grouped like items together, and then by location and then by name
(see examples below)

1880 US Census; Indiana. SMITH, Joe
1880 US Census; Missouri. DOE, John
1900 US Census; Missouri. SMITH, Joe
1900 US Census; Missouri. DOE, John
Baptism record - Indianapolis, IN; St. Patrick - O'BRIEN, Mary
Birth record - DOE, Joe
Birth record - DOE, Nathan
Cemetery - Indiana; Crown Hill Cemetery Index
Death Certificate - O'BRIEN, Mary
Newspaper - Miami Herald (FL) - marriage - FRASER, Ted
Newspaper - Miami Herald (FL) - obit - FRASER, James

I have a lot of people in my database and though I have quite an extensive
master list they are sorted so I can easily find what I am looking for and
it corresponds to my files.  (I have both paper files and downloaded images
of censuses, etc that are similarly named)

Create a system that works for you...  I like to group things by location so
I can see what family groups are living nearby each other during a specific
time period BUT I had quite a few people that spent their entire lives in
one place and then retired and died in another (which of course I never
remembered...  thus my birth certificates and death certificates are just
grouped by name which helps me find them quickly.)

One caution though if you sort everything by an individual's name you
will inevitably run into the case where the source is referring to 2 or more
people.  Are you going to have the source twice under each person's name or
somehow remember that one source is for multiple people.

In my case I have used the head of household, or the individual who is the
main focus of the source.  I then in my events list created an event called
'witness/participant' and provide in the event notes a description.  (ie.
For an obituary I would have it as a source for the person that died but I'd
also list is under 'witness/participant' for the surviving family members
and notate anything of relevance - first that they are still living
(especially when I don't have a death date for an individual), a married
name and/or location of where the family member is living, etc.

There are no Source Police, so you can organize your list in any way that
works for you although, if I understand what you're asking, I certainly
wouldn't use an ancestor's name at the beginning of the source name in order
to get all of his/her records to sort together.  This would result in a huge
Master Source List and would be considered improper form by just about any
standard.

Also, I think you have something of a mixture here.  E-mails and personal
letters would be more of a "source type" (which could be called
Correspondence) and I would combine them under titles like Research of John
Jones, Research of Mary Smith, etc.  (The "Research of" keeps them all
together in my source list but to save typing you could use something like
Re John Jones for the short name.)  The date of the letter or e-mail would
go in the "Source Detail" field of the Source Clipboard and the full text or
an abstract of the letter or e-mail goes in the Actual Source Detail field,
again, on the Clipboard.

With the Mills sourcing templates in Legacy 7 this may all change and I
wouldn't begin making massive changes to sources at this point when it
appears we may only be a few days or weeks away from a full software
release.

Thanks for your response. but I still need help.

Using a census record for example.

In the past (Legacy 6) in the Master source list--

For the source list name I recorded it as 1860 US Census: Washington DC.
FRASER, James 

(I could easily find my sources because they are sorted date>location>
alphabetically by last name so even though I have about 30 entries from the
1860 Census in DC I could quickly find the correct family)

In the publication facts I'd have something like.
Year: 1860; Census Place: Washington Ward 7, Washington, District of
Columbia; Roll: M432_57; Page: 120; Image: 243.
but I didn't always enter the information in a uniform manner (thus looking
forward to some help standardizing this part of my sources).

With Legacy 7  I used the Source writer template to enter a census record.

I feel that the SourceWriter Templates are set up more for "lumping" your
sources and thus I'd have one entry for the 1860 US Census.

Following the template my "publication" details are then listed in the
source detail.  I also include a transcription of the household information
in the text of the source and an image of the actual census page.

I'm okay through all of that but --  how do you IN THE MASTER SOURCE LIST
view the source details??

At this point I can select the source "1860 census", create a user list and
go to an individual user, open the source and see the details but that
frankly is a heck of a lot of work AND more importantly for me I lose the
ability to have the source entries grouped by location and name

I am hoping that there is some way to scroll thru the master source list
with the option of viewing the source detail without having to go to an
individual.  


Even if I go back to my "old" way of entering the Source list name so I
could easily find the individual family entry and have lots of sources (not
a problem for me) I then lose my "publication" details which I used to look
at as I scrolled through my sources to see who for example lived in the same
Enumeration District, etc because these are 'hidden' in the source detail if
I use the new templates.

Thanks for any insight you might be able to provide.

I can't imagine never having used Source Detail ;-)

What you are missing, I think, is the Source Clipboard.
You can load a Master Source plus Source detail 
onto the Source Clipboard and then use that to 
attach both to any other event or individual.

If you've already entered the source detail for 
someone, you go to their Assigned Sources screen 
and highlight the Master Source and Source detail 
line you want and use the Copy to Source Clipboard button.

[LegacyUG] Source Detail (using Legacy 7)

Hi,

 

I am a "SPLITTER" with my sources having a master source for each family in
each census.  I have NEVER used the source detail.  With the new
SourceWriter I am experimenting with LUMPING having just one master source
for each census year.

 

My problem. in the source detail I added the detail text with all of my
individual family's census details.(ie name, age, profession, etc for
everyone in the household).

 

I can use that for the first person when "adding a master source" but for
the next family member when I "cite a master source" I don't see how to
re-use the same source detail without re-entering all of the source details
all over again.  What am I missing??

I just wanted to say thanks for all the suggestions. 

 

 I do have GenViewer but never did much with it.   It worked great.  It took
me a bit to figure out how to generate my list but then you can click on the
index headings - in my case date of birth and it sorts it oldest first (or I
could click again and get the youngest).  I was able to print from GenViewer
without having to import/export anything!

 

This saved me a huge amount of time.

Please do not forget that Mudcreek's GenViewer will do this also. You can
open a Legacy file in GenViewer, and convert that file to a CVS. Then, you
can open that file from Excel, OpenOffice Calc, Lotus, Quattro Pro, Boeing
Calc (Discontinued, I believe), MultiPlan (eBay?), SuperCalc that I am aware
of. Last I checked, Mudcreek still offers a trial.  Please go to:

By the way, Mudcreek also sells a product called GenMatcher, a product many
users find useful.

As far as I know, if you set Legacy for 4 year display, and you should get
four year display when you do this.

[LegacyUG] Settings for report options to sort data

I need help generating a report and have it sort by date of birth.

 

I have tagged all of my individuals and gone to list report options and set
all of my columns. ( I have the individual's name, father , mother and date
of birth)

 

At this point I am stuck.  the report is alphabetically per individual's
last name.  I would like it sorted by date (YEAR) of birth.

 

How do I do this?  I have tried in Legacy and also saved file as a CSV and
copied data into EXCEL( ver. 2007).  In EXCEL though there is an import
wizard but all that shows up as data is "Version 5.0.2 Index Report 2.09
2.09 (etc) Arial Arial (etc)  which is actual my column widths and font
selection.  No actual data (names, dates) are showing in EXCEL.

 

 

What am I doing wrong ?   Is it something in Legacy or EXCEL?

(Print preview in Legacy shows the report just how I want it except that I
want it sorted on the date)

Well, I haven't been able to duplicate the problem either.
l've just tried two descendant reports (one a .pdf from reports, all 
reports, book reports, descendants) the other, just clicking on the 
Descendant tab in family view, and choosing a .txt file and both included 
"W(VA)" without a problem!!

Sometimes I think writing to Legacy UG is similar to calling a mechanic when

you have a strange auto problem -- the problem seems to solve itself without

anybody doing anything that is different.

Thanks for everybody's input anyway -- and I appreciated the various ideas 
about how they handle changing county boundaries.  I suppose at some point 
I'll have to go through my files and try to make those consistent.  I 
Imagine I could spend the entire rest of my life trying to get those 
straightened out!

Hi Angela,

In this Print dialogue, you can choose to save as a .csv file.

This can be opened in Excel or in Word. If you use Word, you then 
need to convert text to table.

Then Sort on the Relationships column.
Gets close to what you want.

Search> Misc. Search> direct
line ancestors with no parents> create list

 

I now have a list of 445
individuals.  I then went to PRINT and under list report options I have
customized the optional fields to show a)relationship

b) Last name, First name

 

What I would like to do is have this
report sort on the relationship per generation.

 

I.E. great-grandparent, 2nd great
grandparent (or the other way 10th great, 9th great, etc)

 

Is this possible to do in Legacy?
