[LegacyUG] ANOTHER short location name question

while we are on the subject of the short location name field:

During the 1800's in Sydney Australia, there was a strange little phenomena of 
using a house name as an address, so the Smith family may have given their 
address as "Keiraville" Jones Street, Glebe or "Keiraville" 6 Jones Street, 
Glebe or sometimes just "Keiraville" Glebe.
It must have been a nightmare for the postman but it appears constantly in 
death and funeral notices and even in the electoral rolls.   I also think that 
some families may have packed up the house name and taken it with them when 
they moved!

I'm trying out ways of entering this in the address field. So far I've been 
placing the inverted commas around the house name so they all appear first in 
my address lists, but I'd also like to be able to sort according to the name of 
the street.

I think I read an earlier post from some one in England who was asking about 
sorting according to streets so he could see who had been neighbours.

I've thought of including the house name in with the house number and placing a 
comma after the number so I get "Keiraville" 6, Jones Street, Glebe. That way I 
can sort which relatives were also living in Jones Street (maybe that's why 
they didn't need numbers, the whole street knew each other!)
But for the ones with just house name and no street I would need extra commas.

So to get around printing a messy looking address field with lots of commas I 
thought of using the short form as my 'proper' looking address for when I want 
to print a report.

I'm only experimenting with this so does anyone have any comments on why this 
would or wouldn't work before I start changing my very long locations list.

thanks everyone, Ron I did mean the location field, shouldn’t have referred to 
it as address.  I probably wasn’t clear  but I was really looking for a way to 
sort street names without a lot of commas appearing in the reports.  I’ll think 
about it a bit longer before deciding how to tackle it and will look at 
Micheles’ suggestion to use the plus additional info or the notes.
BTW Jenny and Ron, yes our Victorian inner city houses (the ones that are left) 
still have their old house names attached but they are seldom used nowadays as 
part of the address.

I never put the street address in the location field anyway so this is a moot 
point for me.  My reasons for using the 4 locations fields is 1) consistency  
2) so that the Legacy search features will work correctly, and so that I will 
be able to integrate with FamilySearch.

If I had a location like Smith Farm.  I would write it as
, Lamar, Mississippi, USA  [I would leave the town blank assuming the farm name 
was used in lieu of the town name, Lamar is the county, Mississippi is the 
state, and USA is the county]

Next to any location field there is a plus sign where you can put any 
additional information.  You can also explain it in the notes.

I have changed the Subject to something which relates to the content.

Firstly can you confirm which you mean the address book or the Location List – 
I think the latter, and have answered accordingly.

Commas!! Ugh!! It has always been my practice to write a location as it is 
written and not using the so called American 4 field convention which tries to 
fit locations into this synthetic construction. It is still common in England 
for houses to have names as well as/instead of using numbers, in fact my ex was 
brought up on a farm whose location was Farm Name, Town, Derbyshire, England. 
Note there is no street, simply because there isn’t one, just a track leading 
up a mountain. Inserting commas instead would imply that there is a street of 
unknown name.. Wrong, there isn’t.

For ease of comparison between locations of varying fields set the location to 
read from right to left – go to View>Master Lists>Locations>Sort. At the bottom 
right set to read from right to left, click OK to exit, and check the little 
box next to the Sort Button. I always include the full location, including the 
house name/number.. street, etc. in the long location, and with few exceptions, 
certainly no more than any other method, it maps correctly.

couldn’t you tag who you want – create GED from those tags – open GED as a 
renamed new tree – edit this renamed new tree - then create another fresh GED 
from this edited tree.

That way you are not touching your original Legacy tree even though you say to 
back it up, I’m sure I’d mess up somewhere between the backup and the restoring 
of original.

I think this would work on a small export, would hate to have to edit too many 
people this way.

Update--more trial and error corrected  problems to get a bare 
bones file.

First I made a backup of my Legacy files before starting.
Then, to create a GEDCOM file, I did the following.

Step 1. On GEDCOM Export screen, I selected produce file for "only 
5.5".

Step 2. I used Tag 1 to contain a group of 8 individuals.
   For record selection, I selected All records with an 
individual tag of 1.
   I  unchecked all the boxes listed below.

Step 3. To customize, I checked off boxes to exclude all options 
except child status,
compiler information and marriage status.

I previewed many attempts on Notepad until I got what I wanted. I 
deleted unwanted material, like burial information and simplified location 
information, from my individual view screens.

When satisfied, I saved my finished product to desired places.

Then I restored my earlier backup to override the deletions I had 
made on the individual view screens.

Hope this is helpful to someone else in the future.

I've tried selecting Only 5.5, basic,  and generic.  What exactly is only 5.5?  
I've tried highlighting the categories I want on either side of the include 
button, but it appears the categories like only 5.5, etc. had defaulted 
options, so I'm not sure what I am supposed to be including or removing.

Can someone walk me though the process of 
getting Wendy Howard's result?

It does say in the help section that the numbers can be used to generate lists 
in the search area, so it could be handy in that way.

(BTW I've given in and updated to the latest version, after a full day of 
working on Legacy the dancing icons finally lost their cuteness appeal!  LOL)

So Brian, what you are saying is that if I put those numbers up to 3, that 
means that I am very interested in that persons ancestors and descendants?
I can't imagine how that would be remotely helpful.  I already know that in my

I’m probably not doing this the ‘correct’ way but it works for me – if I find a 
birth on, say, the New South Wales registry office online index, it will give 
the district where the birth was registered. Assuming the parents went to their 
closest registry office, I give the birth location as that town plus the word 
‘district’ so a birth location might read: Burwood district, New South Wales, 
Australia.   It just shows me that they were probably in that general area at 
the time of the birth.  Of course this also adds “Burwood district” to my 
locations list, but that doesn’t particularly worry me.

 I would like the view of the users of this forum on how to register a 
'probable' town. So someone is born (ofcourse always) but it is nopt 
entirely sure in what town. If I now would note down in Legacy (e.g.) "London?" 
or soemthing like "prob. London" then it would enter as another town/city than 
London. That is not what I want. Is there something similare for names of 
cities like approximate dates? Or how would you advice?

Like Ron, I too use "Barton upon Irwell Registration District" if that is all I 
know for place of B, M or D.  I replace that (although it is still recorded in 
the Source Details, of course) when I get more precise information from another 
Source.  Unlike Ron, I don't include the County with an RD.  That is because so 
often the Districts cover an area which includes more than one county.

Sometimes, for example, I am fairly sure a person was born in Dalbury Less in 
Derbyshire because the family have been living there for ages, but all I know 
for sure is that the birth was registered in Burton-upon-Trent.
Burton upon Trent itself is in Nottinghamshire but that RD incompasses quite a 
few places in Derbyshire.

[LegacyUG] some of my notes have disappeared

I was looking at electoral rolls on Ancestry last night and entering names
addresses occupations etc into my Legacy research notes of various members
of the same family, intending to later go over each one and enter this
information in their events fields.
Suddenly the most recent (probably the last hour of work) disappeared, the
earlier notes from the first couple of hours is still there, but nothing I
added towards the end.
The notes field for 3 family members are totally blank and I know I had
entered information there.
This seemed to happen as I clicked between general and research notes
fields.
It may also have happened a week ago but at the time I put it down to being
overtired and thinking I was looking at the wrong person, but now I am sure
this has happened before.

By coincidence when the first incident happened a week ago I had just
started to use Dropbox as a backup after hearing so many good reports.  I'm
wondering if this is somehow connected as I've never had this problem
before.
When I save each entry before moving to another screen, does this 'save' go
to Dropbox or to my temporary folder
When I look at the general info box, it tells me my family file path is:
C:\Users\Tom & Erica\AppData\Local\Microsoft\Windows\Temporary Internet
Files\Content.IE5\ATZK0IED\ALL-family-current-OCT[1].fdb
Is this something to do with the internet connection to Dropbox - I'm not a
computer wiz but it looks to me that the file I'm relying on to open each
time I open Legacy, is likely to go if I do a clean up on my computer and
delete any temporary files.

On the scale of things, the missing notes are not a huge problem, I can
backtrack to see what is missing, but would like to know if it is a problem
with my programme that I should report as I would not like it to continue.

I'm also thinking that for the sake of being able to sit with my laptop in a
comfy chair may not have been worth Dropbox even though I do love the
concept, I might go back to the USB backups.

BTW I have the latest Legacy 7.5.0.112 and am running Windows 7 -64 bit.

Thanks Ron, this all happened while I was typing into the notes,  no power 
spikes (we have everything plugged into a protection board) and no apparent 
overwriting (how would you do that? by opening an older saved version?)
I do a backup at the end of each session but wouldn't have thought to do one 
half way through.
I can only think that maybe I clicked too quickly from general notes to 
research notes without saving, but I thought that it would save automatically 
when you leave one screen for another.

What happens with Dropbox should have no effect on on your Legacy Database.
As you enter enter data into Legacy Legacy's own database, on your PC, is 
automatically updated, and, at least in theory, this can only be lost if 
overwritten by a previous version, or say, a shut down caused by a power 
failure spike - hence the need for spike protection!

I thought that the same had happened to me the other day, but I realised that 
in a moment of confusion I had overwritten with an older version.
Fortunately I only lost two records.

It does send a message about the need for regular backups whilst one is working.

Sorry, but I cannot offer an explanation for your problem.

Hi Alan
Have just replied to Ron so won't repeat it all again but in answer to you,  I 
wasn't using the family search interface, I was reading from jpgs on Ancestry 
and typing the transcription into the notes field on legacy - no RAID0 on the 
laptop. (I just had to google to find out what it was!)

I'll just take things slower and keep an eye on it (and lots of saves and 
backups)

Erica, I had this problem when using the New Family Search Interface, although 
I am not so sure this was the only culprit.  I also use Windows 7 64 bit and my

Bernhard, don't confuse us poor Aussies anymore, we already have Wagga Wagga 
which is only ever called Wagga, and Woy Woy which is never called just Woy, 
please no Ulladulla, Ulladulla !(just kidding)
and I doubt if even the locals of Ulladulla would know they were in Gilmore 
electorate unless there was an election due - electoral boundaries seem to be a 
moveable object in Australia, our house has been in three different electorates 
in 30 years, personally I would never include that in a location.
As you have suggested, the 4 fields could be used to include a suburb of one of 
our major cities eg Glebe, Sydney, NSW, Australia  but it's not something most 
Australians would use unless you were trying to describe the general location 
of Glebe to someone.
 After all this discussion, I have decided to stay with my original fields of 
street address, town or suburb, state, country.

I know that, many hundred of towns Downunder eg. Timber Creek, NT, are so small

But I know there are many citys where the 4 field format could be used without

Dennis, I went to the Legacy customise backup screen: Select name and location 
for data backup:  and directed the backup to the Dropbox folder, so the zip 
backup went there each time I closed Legacy.
Do you mean you would have physically copied the .fdb and not made this 
automatic selection to Dropbox?  Where would you have saved your .fdb before 
copying to dropbox?

I've now gone back to doing two backups - first to a removeable USB stick and 
second to the c:\Legacy\Data, changing the location each time to suit.

I've gone to options : locations and made the Default location of family files 
: C:\Legacy\Data
Default location for pictures, sound, docs etc are C:\Legacy\Pictures\  or 
sound etc.
Location of temporary files is set at C:\Legacy\Temp

I then did a complete drive clean up and as I suspected would happen, the .fdb 
in the Windows\Temporary Internet Files etc. has been deleted  and Legacy has 
asked which family file to open. I've opened the .fdb in the latest back up zip 
(which by the way, adds a [1] to the name each time I open from here, so at the 
moment my family file name ends in [1][1][1].fdb  )

After doing all this, in the Family File Information (gen. info) screen under 
File Information, my Family File Path is still showing as  C:\Users\Tom & 
Erica\AppData\Local\Microsoft\Windows\Temporary Internet 
Files\Content.IE5\9NMBQ1FW\ALL-family-current-OCT[1][1][1].fdb
Under this the Legacy Path is C:\Legacy

I don't doubt you when you say I'm probably causing the problem, but am now at 
a loss - I don't think I've ever studied the general information screen so have 
not noticed the path to the temporary internet file before and can't see 
anywhere to change this - as far as that goes, why is it saving in a 
temp.internet file anyway, couldn't I theoretically be using Legacy offline? So 
where would the file go then?

If I have set my locations for the temp. files to C:\Legacy\Temp, shouldn't 
this working file be saving there? I don't understand why is it still saving to 
the C:\Users etc etc.

Apart from the incident with the disappearing notes, I would just like to know 
that I've set up all the options and locations correctly, so any advice would 
be appreciated.

Exactly HOW are you using DropBox as a backup? After closing Legacy, are you 
copying the .fdb file to your DropBox folder? That is how I would do it.

I think you are causing your own problems, but without more details I cannot

A very big thank you to all who have helped me straighten this out, especially 
Dennis and Brian for his instructions on restoring my file (which I've now 
done) and Mike for his comment " remember that from Vista onwards, Windows 
tends to create ZIP files i.e. backups, as folders."
 I think this was the root of the problem, I've had experience in the past 
unzipping files but going from XP to Windows 7, I think I was lulled into a 
different mindset by seeing the .fdb sitting out there in the open in the zip 
folder and thinking I could just use it.  I had accidently closed my working 
file and  opened the one in the zip folder when prompted for which to open.

I also still believe Dropbox to be a good option and certainly didn't mean to 
sound like I was putting it down, I think now it was my inexperience and a 
coincidence that all this started at the same time.

I am still not entirely clear on Dropbox but stop me if this is not the place 
to ask the next (I know we are only supposed to be discussing Legacy):

At the moment I have everything in the C: drive Legacy folders as suggested by 
Dennis and Brian and set to open from that location.

*if* I went back to using dropbox,  would I need to have the working .fdb in

My method is to store my working file elsewhere, not in Dropbox (it's actual 
location doesn't matter, so I won't muddy the waters here by giving details).  
*But*, when I back up my Legacy file, the backup is directed to a folder under 
Dropbox.  So the backup is in Dropbox, not the working file.

I *usually* only work on my Legacy file from my laptop.  However, if I wanted 
to access it from my desk computer, or from someone else's
(online) computer, I just need to restore the backup file - either from the 
Dropbox folder on my computer, or by accessing my online storage if I'm 
elsewhere.

When I'm done on the other machine I back up to Dropbox again, and when I'm 
next at the laptop I restore the latest backup before continuing.
That's the catch with this method, if you work on more than one machine
- you have to remember to restore the backup if you last worked on a different 
machine to the one you're using now.  I don't normally do that, so it's not an 
issue for me.

Just like Legacy itself, there's more than one way to approach this tool.  Mine 
isn't necessarily any better than the other replies you've had, just different. 
 It works for me, and may be what works for you, too.  :-)

Hi Paul,
Thanks more making this clearer for me, I didn't understand before if the 
automatic screen 'saves' in Legacy would be getting transferred to the dropbox 
website and was wondering if a slow or interrupted internet connection would 
create a problem, but if the interaction is all on my PC until the programme is 
closed that would remove the worry of the saves not transferring quickly 
enough.Thanks for your help, I understand the process a lot more now,

Yes, this is essentially correct. However, to be precise, you put the .fdb file 
in the Dropbox folder on your local PC, and while you are using Legacy you are 
still interacting with your local PC. Only when you close Legacy will the 
updated fdb file be uploaded to the Dropbox website for 1) backup, and 2) 
synchronization with other computers if you choose.

And, yes it is very important not only to use Legacy on one computer at a time, 
one must allow Dropbox to sync files after booting up the computer before 
opening Legacy, or you could still get conflicted files.

All I did was move my Legacy Data folder to Dropbox, I left everything else in 
C:\Legacy.

I stand corrected. Dennis is right, (I tried his test). Dropbox is being 
updated each time you save a record, not just when you close Legacy.

I took it one step further. I updated (but did not close) Legacy while my 
internet connection was disabled by powering off my modem. The little Dropbox 
icon spun and spun until I re-established my connection, then the files updated 
in the cloud. Confirmed by looking at event log in Dropbox.

You know I was quite content before I joined this group, now look at all the 
extra things I have to think about LOL

I've been doing a lot of searching through early Australian newspapers  and 
find generally the 'colonies' of Australia (up to 1900) all referred to 
themselves simply as Queensland, New South Wales, there doesn't seem to be much 
reference to the word colony.
Exception was Tasmania which in very early times was part of the New South 
Wales colony and known as Van Diemans Land - it became Tasmania sometime around 
1850.

So speaking for my mainly Australian research, I'm personally happy to forego 
history to a point, drop the word 'colony'  and call them by the name they took 
on after Federation which seems to be the name they themselves were happy to 
use before Federation.

Another problem is when areas change names, I have several localities which 
were probably named for the local landowners and now no longer exist under that 
name. I add this sort of information to my general notes field and also into 
the notes in the edit location window.

But then I suppose, we have to consider how far we are going with our research, 
if I  were planning to publish a book on my findings I would have to rethink 
the historical accuracy, even though the only 'inaccuracy' is the use of the 
word 'colony'

I'm not all that sure about American history, but I believe that before
1776 the United States didn't exist.  What are now the states were British 
Colonies.  Certainly, Australia didn't exist before Federation in 1901.

My question is...

If you have events which happened before 1776 in the Americas or before
1901 in the Australian colonies, do you still say that it happened in Norfolk, 
Virginia, America or in Norfolk, Virginia Colony?  (I realise that a county 
should appear in there somewhere, but that's not the main point).

What about Clermont, Queensland, Australia vs Clermont, Queensland Colony?

Is it worth having two location names for the same place to get historical 
accuracy or is it better to simplify and forego history?

Hi Marli,

 I do the same as Mary.  I notice you said in one of your letters that you are 
a visual person, I am too, and I like to see at a glance what I have on each 
person - and what I DON'T have, the "Don't have" items also go into my TO DO 
list.

All my findings (and their source) goes first into my research notes and is 
then ALSO distributed amongst the sources for events/facts like births, deaths, 
residence, occupation etc.   As Mary said it is double work -  I *know*  I am 
duplicating things, but it helps me think if I can glance chronologically down 
these notes, something is more likely to jump out at me, than if I am clicking 
on individual sources.

I also list in the research notes any information I may have received from 
another researcher that doesn't tally with mine and my feelings on its 
authenticity.  (these are also listed in the "alternate" facts)
A lot of my research notes include newspaper death and funeral notices, someone 
may be mentioned in these who isn't immediately "connectable" but whose name 
may later be one of those  that "jumps" out.

I recall Geoff saying in one of his webinars that he puts his findings into the 
research and uses the general notes to write each persons story (I hope I'm not 
misquoting him)  This is what I've been doing, my general notes are more of a 
readable biography of the persons life including any local information which 
may have affected him.
ie: " At the time of his marriage Fred Brown worked as a dairyman. Shortly 
after their marriage, he and his new wife moved to Smithtown. This coincided 
with the opening of the Smithtown Dairy Processing Plant which would have 
boosted the local economy and provided extra work in the surrounding area. "
This gives a clue as to why Fred Brown may have moved and  "pads" out a persons 
life making it ( I think) a more interesting read than lists of places and 
dates.

Also I like the ability in Legacy to pick and choose what is printed - so I can 
give someone a printed report with this story from general notes, include the 
sources but keep my research notes and thoughts to myself.

But I will emphasize this is just my way of working with the notes, as it's 
been pointed out so many times Legacy can be used so many ways, it is up to you 
to decide what you are eventually happy with.

I put my notes in the Research Notes section in chronological order in order to 
find them easily, and I separate each note by a line. I put the source at the 
top of the note and any analysis of the source.  Then I also copy & paste them 
separately into an Event/Fact. It's double work but it helps me to easily see 
what I have researched for a person.

[LegacyUG] sorting and naming pictures

I was looking at the list of pictures in my C:\Legacy\Pictures folder and am
thinking about adding sub folders. I know about linking the pictures but am
wondering if adding extra folders is getting a little too pedantic am I
better off with a long alphabetical list?
I have all these pictures backed up on a zip in family folders and wonder
whether to duplicate this on Legacy.  There are times when I have to think
hard about the odd stray photo to remember which family folder to file it in
- something that wouldn't happen with a long alphabetical list.
BTW I know I could link from my backup zip but would prefer to use the
Legacy folder.

Also naming the pictures, has anyone experienced problems with commas,
spaces or "&"  in the names? I'm thinking of future exports or webpages.
There was a time when we were encouraged to use underscores instead of
spaces, is this still necessary?

My collection of pics is not too big at the moment and it would be a good
chance to  develop a new plan before the collection grows out of control.

Interested in hearing ideas and suggestions on how others have handled this.

Please be aware that changing burial to cremation compromises your ability to 
share files via gedcom as standard gedcom does not recognise Cremation.
