[MCN-L] Small Museum SIG at MCN Montreal

Hi all - As well as talking up the Small Museum SIG at the Byte of Lunch on the 
Friday of next week's MCN Conference, I would like to encourage attendees 
interested in issues concerning technology in small museums to speak with me 
during the conference. Specifically, I would like ideas on how the Small Museum 
SIG can be relevant to MCN members who work in smaller organizations and 
suggestions for sessions for future MCN conferences. Earlier this year 
respondents to a Small Museum SIG suggested that the following were of most 
interest to MCN members in small museums:

- Exploiting digital technologies with limited staff resources
- Funding sources for technology in museums
- Digital Asset Management
- Mobile applications in small museums
- ePublishing
- Website re-design on a limited budget
- Open source software solutions
- Developing writing skills for media-based interpretation
- Effective use of social media
- Podcasting
- Video shooting and editing
If you have specific ideas as to how the Small Museum SIG can provide resources 
to help museum staff with any of these, please let me know. If you want to talk 
to me at the conference, please let me know off list.

Hi all,

The Small Museum SIG will also have a table at the MCN Unluncheon/Unmeeting on 
Friday the 18th from 12:45-2:00pm at Max Lager's

[MCN-L] Using iPads as stationary display

Hi all - In the last few months there have been posts to this list concerned 
the use of iPads in museums, but mostly in the context of visitor being able to 
use one made available by the museums in galleries or learning lounges, and 
presumably able to walk around with them. We are considering using iPads as 
touch screen exhibits, mounted on a stands and using local files (galleries are 
not wifi enabled).

Peel Heritage Complex staff would like to know if other museums have done 
anything similar. From previous posts to this list I am aware of some of the 
issues surrounding public use of iPads such as limiting icons, making Settings 
inaccessible and locking it down. At this stage we would like to know how well 
using iPads as touchscreen displays works, if there are any pitfalls (not 
necessarily of a technical nature) and if anyone has produced a best practices 
document for using iPads or similar devices in exhibition galleries, rather 
than the specific software that will be needed.

[MCN-L] RFI - Collaborative Multitouch Table Projects

Hi all - The Peel Heritage Complex in Brampton, Ontario is about to embark on a 
project to produce an interactive historical map using a multi-touch table. As 
planned, much of the digital content accessible on the table (historical 
images, contemporary photographs of historical buildings and landscapes, video, 
oral history recordings) will originate from other museums or heritage 
organizations in our region who will be our partners in this project. My 
question to the listserv is not concerned with the technical aspects of content 
management software or hardware, but rather with the experience of 
collaborating with other organizations on such a project when the organization 
involved are at vastly different points on the digital content learning curve.

Firstly, is our multi-touch table project unique in its collaborative nature? 
We have not been able to find another museum, art gallery or science centre 
with a multi-touch table which has incorporated digital content from other 
institutions. Is that an actual reflection of reality?

If your institution has gone this route when producing a multi-touch 
interactive project, please reply to me, either privately or to the list, 
describing any possible pitfalls. Specifically, did you produce any scaled 
versions of the exhibits using a different platform? i.e. a smaller, portable 
multi-touch screen. Did you have to assist in the digital imaging of the 
collections of other organizations? Or just provide technical advice?

Any sharing of experiences would be greatly appreciated.

Hi Christina - Some weeks ago I did send Doug Hedley a half formed idea about 
small museums and DAMS, an idea for which I got no interest when I had sent it 
out on the list serve prior to that. He had asked SIG chairs if they had any 
ideas and I forwarded him the message I sent out earlier, but heard nothing 
further.

If that went nowhere ten please let me know if there are any other proposals 
that would be appropriate for being sponsored by the Small Museum SIG. I may 
also be able to assist if that is needed.

[MCN-L] Small Museum SIG - 2010 Conference

Hi all - I am looking for readers listserv who have an interest in the issues 
faced by smaller institutions, to provide me with both ideas and feedback on 
how the Small Museum SIG might participate in the 2010 MCN Conference in Austin.

An issue that is becoming critical for smaller and medium sized museums and 
archives is acquiring a DAMS given limited resources and limited in-house IT 
expertise. Even "micro-museums" of fewer than five permanent staff member have 
now created thousands of image files of their collections and yet the focus of 
most digital asset management solution for museums have been appropriate only 
for large institutions. Beyond a SIG sponsored session, I think that any 
exploration of the situation in Austin should include demonstrations, case 
studies and even the stories of institutions that have not yet found a 
satisfactory solution. Also, the fact that many of the museum professionals 
that this would be pertinent to may not have the resources to attend the 
conference in person will be taken into account.

If anyone has any ideas as to how this might be formatted, if you would like to 
participate in whatever form it manifests itself as, or if you have another 
idea to increase the profile of the Small Museum SIG, please either e-mail me 
off the list or reply to list in the case of the larger issues surrounding DAMS 
in small museums.

[MCN-L] SM SIG: Small Museums SIG Meeting at 2009 MCN Conference

Hi All - Despite the fact that I will be unable to attend the Portland 
Conference, there will be a Small Museum SIG meeting on Friday, 13 November at 
12:45. The exact location will be announced at the conference. Ari Davidow has 
kindly volunteered to run the meeting in my absence.

All conference participants who are employed at a small or medium sized 
institution are welcome to attend, as those of you in larger institutions with 
a particular interest in the technology related problems of smaller museums, 
galleries and archives. In particular we would be interested in any ideas for 
possible sessions at the 2010 conference and ways that the Small Museum SIG can

prefix the question line with "SM SIG:" for Small Museum Special Interest 
Group. It was the practice in the past to prefix the submissions to MCN-L with 
initials of the Special Interest Groups so that the general subject of the 
question could be readily determined by just looking at the subject line.

[MCN-L] Small Museum SIG Meeting at MCN 2008 in Washington

Hi All,

I would like to invite any delegates attending the MCN Conference in Washington 
who either work in a small museum or gallery, or have an interest in the 
problems faced by small museums trying to adopt various computer based 
technologies, to attend the Small Museum SIG meeting on Friday, November 14 
from 12:00 - 1:30. The Farragut/Lafayette meeting room is reserved for our 
meeting, but we will probably meet there and move on to a restaurant.

The Small Museum SIG has become dormant in the last couple of years and I would 
like to revive it. A provisional Agenda for the meeting will be:

*   Adding new links and case studies to the Small Museum SIG page on the 
MCN website.
*   How can the Small Museum SIG be a resource for/help smaller 
institutions?
*   Choosing a vice-chair.

Also, the Small Museum SIG sponsored session at this year's conference is 
Technologies in Small Museums: Common Problems/Innovative Solutions, 1:30, on 
Thursday.

Even if you are unable to attend the SIG meeting but have an interest in the 
issues surrounding technology and small museums I look forward to talking to 
you at MCN 2008.

[MCN-L] SM Sig: Use of Extensis Protfolio in small museums or archives

Hi all.

I realize that there have been previous threads on the use of Portfolio
in museums, but I would like to know if there have been small to medium
museums (10 or fewer permanent full-time staff) that have used a version
of Portfolio or another example of DAMS software. We are currently using
an Access database for image files of historic photographs from our
archives collection, but I looking for a convenient way to organize and
make accessible all of our digital assets, including images of the
museum collection and in-house images of special events, educational
programmes, etc.

Since the person who would be charge of the DAMS would be the same staff
member in charge of the collections database, putting numbers on
objects, accessioning the museum collection and a host of other duties,
the experiences of larger institutions that can assign one person to
cataloguing just non-collection images of special events in their DAMS
are not are not entirely relevant. A simple system without too many
bells and whistles that can be mastered relatively quickly would be
ideal. Since we are part of regional government we do have an IT
department, the computers are networked and there is a server, but we
are a small and atypical department to the regional IT staff and
therefore we have to be self-sufficient when it comes to finding the
appropriate software.

So if your situation is similar to our own, please reply to the list and
let us know how your Portfolio (or other DAMS software) experience went
and if it can do what you want it to do while staff do all their duties.

[MCN-L] SM SIG: Small Museum SIG meeting in Pasadena

Hi all,

In my absence the Small Museum SIG meeting at the upcoming MCN
conference in Pasadena will be chaired Richard Cloutier of the Passage
Project. Richard will hold the meeting at a local restaurant which will
be announced at the conference.

I would encourage all those who either work in small museums, archives
or libraries, or who are interested in the challenges faced by staff
these institutions when adopting various technologies to either attend
the SIG Meeting or talk to Richard during the conference.

I would very much like to increase the visibility of small museums at
the 2007 conference and to make the SIG more relevant for members who
work in small institutions. Please participate by forwarding relevant
news items or links to this listserv. If you have any other ideas please
post them, talk to Richard at the Conference or e-mail me.

If you are a member of MCN and thinking of participating in this session
at the 2006 AAM Annual Meeting, please let me know. As the chair of the
Small Museum SIG I think that it is important that MCN have some sort of
presence at a professional gathering concerning technology and small
museums. As a museum professional in a small Canadian museum, however,
it is not practical for me to attend myself. Even if you have not
participated in the MCN Small Museum SIG in the past, I would encourage
you to participate in the session if you have experience with technology
in small museums and to show the MCN flag.

SM SIG: Small Museums SIG Meeting

Good Morning

Just a reminder to those who will be attending next week's MCN
Conference in Boston that the second meeting of the Small Museum SIG
will take place on the Thursday of the at 3:00. The meeting is open to
any MCN member who is either associated with a small or medium sized
museum, gallery or archives, or who has an interest in technology based
problems faced by smaller museums. The meeting place will be decided at
the conference and can either be a hotel lounge or a
close by restaurant or bar, or a meeting room. Please e-mail me or talk
to me on the Wednesday to give me your preference.

If you are interested in participating in the Small Museum SIG but are
unable to attend the meeting on Thursday please either e-mail me by
Tuesday morning or talk to me at the conference. I would particularly
like to know if you have something say to the items on the Small Museum
SIG meeting agenda:

- Directions and projects which the SIG can take to be more relevant to
small and mediums sized museums.

- Possible themes for the SM SIG sponsored session at 2006 MCN
conference.

- Suggestions for web resources to link to SM SIG page on MCN web site.

I would suggest that anyone providing Treden with an example of a
digitisation policy might want to consider asking Richard Urban to post

conference in November that the second meeting of the Small Museum SIG
will take place on the Thursday of the conference at 3:00. It is open to
anyone who takes an interest in the problems faced by smaller museums,
whether they work in one or not. One of the issues which will be
discussed is how to raise the profile of this still relatively new SIG
and in the process be relevant to staff wrestling with technology issues
in smaller institutions with limited resources. 

Speaking of which, I am still looking for links to resources relevant to
museum staff from said smaller institutions which I can put on the Small
Museum SIG page at http://www.mcn.edu/resources/sigsm/index.htm .

As well, I strongly encourage anyone on this list with news or questions
relevant to small museums to post them to this list. Just add the prefix
"SM SIG:" to the subject when doing so.

The Small Museum SIG web page is about to go up on the MCN website and need to some suggestion of appropriate links. At the inaugural meeting of the Small Museum SIG in Minneapolis several participants commented that there were web sites which would be of use for staff in smaller museums and archives concerning digitization, databases, web sites, etc. If anyone knows of useful links or of particularly good examples of web sites produced by small museums, please post them to the list and I will consider adding them to the new web page.

As well, I would like encourage staff from small institutions to post their technical questions to this listserv and for anyone to post any links or news which may concern small museums and the adoption of computer technologies.

SM SIG: Co-opertive techology projects involving small museums

I am currently writing a proposal for a panel session for the MCN Boston conference in November. The proposed panel session will highlight co-operative projects or consortiums aimed at assisting small museums with some aspect of computer technology, e.g. automated collections management systems, digitization projects, virtual exhibits, etc. 

I would therefore like to know of any grassroots collaboration projects which involve small museums or archives adopting computer technologies. If there is such a project in your area please either pass on my e-mail address to the project manager or reply to this message either on the listserv or off. The proposal deadline is Feb. 11 and I am looking for someone who can make a 20-25 minute presentation on their project as part of a panel session. I already know of the Passages Project in Nova Scotia, the Colorado Digitization Project and a museum web project based in the Olympic Peninsula of Washington State. I am particularly interested in projects based in regions in Eastern Canada or North-eastern US (so that travel to Boston is not as much of an issue) or which have participants who are already planning to come to the MCN Boston Conference.

The new Small Museums Special Interest Group held its inaugural meeting earlier this month during MCN’s annual conference in Minneapolis. Small museums that adopt technologies such as digitization of collections and even automated collections management are severely challenged by budget restraints and limited collections staff members who are already multi-tasking as it is. Maintaining data standards in these kinds of situations is always problematic. A further difficulty is that often technical solutions which are available for museums have been written or created with only larger institutions in mind. Twelve staff from small museums and cooperative museum projects from across North America attended the meeting and shared both their concerns and some of their own solutions to these challenges.

The principal point agreed upon by those who took part is that the Small Museums SIG should be a means for small museums, archives and libraries to share information and success stories. It was proposed that the SIG section of the MCN website be a place where links useful to staff in small museum and case studies of small institutions could be posted. It was also suggested that the theme of a Small Museums SIG sponsored session at the 2005 conference could be cooperative projects involving consortiums of small, sometimes micro, museums.

Even if you are not currently working in a small museum or archives, I would like to encourage any of you who know of any links, web articles, case studies or grants which would be of particular interest to the members of the Small Museums SIG to post them to the MCN listserv.

Registration software summary

Many thanks to those of you who answered my query concerning registration software, both on and off the list serve.

The two options which seem to be out there are in house systems using generic database software (predominantly Filemaker), or using a module of a large (and expensive) software package used for ticketing, development, etc. There does not seem to be any “stand alone” registration software appropriate for a smaller museum or gallery. Ideally, if we were going to go with a larger package it would only do a limited number of things such as ticketing or cash management.

For the time being we can get use an in-house system using Access, once I find the time to design it.

Registration Software

Hi All,

I would like to know what kind of software, if any, is used by other small to medium sized museums for registering individuals in programmes. For the most part these are March Break and Summer art classes for children which run for a week at a time. There are also occasional special programmes and a genealogy class. Our education coordinator would like an on-line system which would store information on the registrants and the classes. It would also have the ability to produce forms for parents to sign, class lists for the instructors, etc.

It could possibly be done, in part at least, with generic database software, but I would like to know if there is proprietary software out there which is appropriate for a small museum.

It could be that many MCN members who are staff at
small museums may not be subscribers to this list serve so a better gauge of
support may be to hold a meeting at the conference. I will compile a list of
names and send out another message closer to the conference date. If you or
anyone else has any suggestions as to how to gather more names of possible participants
other than this list serve, please let me know. If there appears to be some
interest from a few more individuals I will definitely put myself forward as a
prospective chair for the SIG.

 

As for Ann’s question as to the definition
of a small or medium sized museum, art gallery or archives, I don’t think
that it needs to be rigidly defined at this point. It is often a relative term
and it may be one thing in the context of MCN members and another in
terms of all museums which are currently operating. It may suffice that if you
think you are a small institution, then a small museum SIG would be applicable.

I would be willing to take part in the first of these informal
gatherings. Coming from a relatively small museum I realize that there
is not a lot of information out there for collections managers/curators
of smaller institutions to help them build there own collections
management applications if they do not already have a background in
information technology. Perhaps a long term goal coming out of such a
meeting would be the production of a fact sheet or guide (web based or
otherwise) for those who may choose to go down the self-built
application route or would more information before making that choice.

Hi All,

I find that the latest thread on this list serve has been one of the
more ones interesting of late. I would support Richard Urban's call to
broaden the scope beyond Filemaker, mostly because I've used Microsoft
Access for our collections management database application. 

I am particular intrigued with the comment Deborah Diemente made
concerning the switch from ARGUS to applications using generic database
software. Is there a trend towards abandoning proprietary collections
management software? And why was Filwmaker chosen and not Access?

Reference Works on Database Design - Summary

Hi Everyone,

About three weeks ago I posted an e-mail on this listserve asking people for
recommendations of reference works on database design and relational
modelling. Some of the response it received was from other individuals who
also wanted recommendations. There was also a brief foray into the
do-it-self vs. proprietary software debate. The following excerpts are from
the responses which did recommend references not specific to any particular
software package. As is evident, the books of C.J. Date were mentioned more
often than not:

*   "C.J. Date's "An Introduction to Database Systems"  (the title is a
bit misleading -- it really 
focuses on relational database design).  ... C.J. Date is apparently "Mr.
Relational Database," and the book is 
still in print.  Some people find  it a bit dense ...  and there may be more
elementary books on the topic that have come out since I was first looking.
But you can skip over the theoretical mathematics and academic-speak
sections and still get a lot out of it."

*   "...The works of Codd and Date - (all of them have pithy titles such
as Relational Database Management).  
The only pitfall in reading these works is that they teach you the ideal
case - which real life rarely is."

*   "The classic work on relational databases is C.J. Date's,
Introduction to Database Systems (it's pretty expensive, but I bet you can
find it at the local library). Be forewarned however, that this isn't for
the faint of heart. Several editions have been published over the past 25
years. The most recent one includes object-oriented approaches (although
Date isn't necessarily unbiased in his discussion of the pros and cons). You
may need to skip around a bit and will probably only find two or three
chapters that meet your current needs."

by Michael J. Hernandez

A useful book with more nuts-and-bolts discussion, assuming a somewhat
higher degree of comfort with more technical language and presentation"

Since getting these responses I have purchased the Hernandez book, Database
Design for Mere Mortals but I have not been able to delve into it yet to any
great extent. All I can say at this point is that it is indeed relatively
jargon free and the parts I have read are easily understood by this
non-programmer.

Courses and References on Database Design - Addendum

Hi Everyone:

When I posted my last message to the MCN listserve I wanted to avoid yet
another proprietary software vs. in house collections management system
debate. I only asked for recommendations of books and types of courses on
relational database design. A couple of the recent replies, however, have
presented arguments against designing in-house collections management
databases to which I would like to respond to.

First of all, the decision to go in-house took months. At different points
in the process proprietary software was considered. If I was starting the
process at a different institution with a different staffing structure and a
collection which was documented differently, I may have given a different
recommendation. At a larger institution in particular, I may have
recommended collections management software designed for institutions with
multiple departments.

But this is a community institution with a collection which has been poorly
documented in the past. There is no need for 400 fields. The flexibility
that using generic database software provides allows us to massage the data
and come up with solutions to the problems which crop up at small museums.
As data is entered and procedures are established the software needs of the
institution may change and another option may be more suitable. Choosing an
in-house solution now does not mean it is a permanent solution

Flexibility was the main reason behind the choice of an in-house system.
This was a much more important factor than cost. There are software packages
which were designed with small museums in mind, but they in turn usually use
software such as Access or Filemaker. Professionals in smaller institutions
are fully capable of establishing standards and designing databases
themselves. Moreover, they are the best judges of what the needs of their
individual institutions are.

On another note, I still plan to post a summary of the answers I've received
regarding my original message.

Courses and Reference Works on Database Design

Hi Everyone,

I am currently converting our collections management database from DOS based
proprietary software to MS Access and I would like to know if there is
anyone who has been down the same road with any recommendations of works on
relational systems design and data modeling. I am aware of the risks and
disadvantages of doing it ourselves with generic database software rather
than using proprietary software, but it was felt that it was worth having
the control and flexibility that this option would provide. 

I have had a good deal of previous experience with Access but I feel that I
need more knowledge of relational systems design. I would like to know if
there are museum professionals who are not programmers who took courses on
this subject, and if so was it helpful? Also, are there any reference books
on the subject which anyone would recommend? Searching on the internet I
found a few books on database design but I am not sure which ones would be
appropriate for some one with no programming experience. I looked for these
books in a couple of large book stores in Toronto and only found reference
books specific to particular software. Does anyone have any recommendations?
