Fantastical sends me a new version every few weeks.
Evernote updates every week (or two).
Drafts - new features frequently.

Whereas I've paid for Alfred the old fashioned way and it updates rarely.

In the end with an insane amount of funkiness I found a trick. Fantastical
has calendar sets. So I told the Openings function to consider a smaller
set of calendars and the display function uses all the calendars. I just
cringe at the maintainability.

Leigh - thanks for the reply. I already have a separate calendar set up. 
The problem is that if the calendar is visible in Fantastical then it is 
taken into account for my free/busy status ;-).

[MLO] MLO tasks in Google Calendar are marked all day busy

I have my MLO tasks syncing to google calendar. Strangely when they arrive
in the calendar the time is marked as busy.

 This is bad since my calendar app (Fantastical) now assumes that people
can't schedule meetings with me.

How do I fix? aside from unsubscribing to my own tasks?

A few details that may help:
- All of the apps I've seen keep the current "pro" level features free
forever
- You can always stop paying and then the app reverts to the free version
- I've only been using Fantastical for 6 months, but am amazed at the rate
new features appear. They now have a whole calendly like product built into
fantastical - so my subscription to one product saves me the cost of another
- The Android and iOS apps have always seemed to suffer because they only
get sporadic love, a steady revenue stream would allow Andrey to put
consistent effort into them, which should speed the product cycle.
- I feel by paying a small subscription I ensure the developer has an
incentive to keep the app going forever vs the apps I've seen where I pay
$10 once and bugs are never fixed or worse the app goes away (my workout
tracking app_

(I'm sure some of my viewpoint comes from my professional work where I'm
clients do Continuous Delivery and Continuous Discovery)

Good to see all the old timers crawl out of the woodwork. I'm going to
offer a suggestion that appears alot of the Mac world at the moment that
would help Andrey and in the long run help us.

Switching to a subscription model. Many iOS apps have done this in the past
few years to provide a stable income stream for their creators and steady
stream.

Benefits:
- Steady income allows the app developer to keep people on staff
- Features can be released as it's useful and not a big bang i.e. v5 or 6 -
where if you don't get your feature in that release you wait another 12-18
mth release cycle

Others who have done the same transition gave existing app owners,
permanent access to all existing features. One app (either Drafts or
Fantastical), simply made all existing "Pro" features free and then the
subscription unlocked the new features. There were other safeguards put in
place, but the key idea is existing users didn't lose anything,

When I find the interview with the Fantastical founder I will share.

I know for some this is hersey and so Andrey will need to reflect
carefully. Frankly I think it's Andrey's path to long term sustainability.

subscription.

[MLO] Permanently using iPad app on Mac

Gerhard, Google won't allow me to reply directly google groups even though
I'm a member. Google groups is buggy.

I've been using MLO on my M1 Mac for nearly a year. It's great with two key
weaknesses. The window wants be one size and gets lost on a 27in monitor.

There are no menus or keyboard shortcuts. The latter can be worked around
with Keyboard Maestro if you know it's Ins and outs.

Frankly bringing the ios app to the Mac via catalyst is the fastest way for
Andrey to get there. (I've already mentioned this to him privately)

Srini - I love MLO, I think I'm one of it's earliest users. As much as I 
love it, I can't see using as a Wiki. It doesn't support cross linking etc. 

If you enjoy Markdown, have you looked at Obsidian? Ugly UI, powerful app.

[MLO] Re: Any plan to release Mac version through Catalina / Project Catalyst?

I will add that I use MLO on a Mac with the iPad app. It's ok. However it 
can't be automated and there is no support for things like shortcuts. I 
hope Andrey does bring it over using the Catalyst approach. I'm not sure if 
I will still be a user by the time that happens. 

(I only use MLO for my personal tasks, my work is run via a Storymap and 
Kanban board, since my operations team isn't on MLO).

[MLO] Keyboard Shortcuts for iPad? Do they exist?

The subject says it all. If they don't let me present the trivial case for
them:
- iPad users have keyboard - especially with the next OS release
Montrey/iOS15 where the iPad can share keyboard/mouse with a Mac
- iPad users are also Mac users - I'm running the iPad app on Mac

Heck give me access to the repo and I will code the shortcuts for you. *I'm
not seriously expecting that degree of trust, especially since I have never
used XCode in anger.*

Thanks Richard - I wasn't aware of the hotkey toggle. However I really want 
the properties displayed all the time. In addition I don't need to see as 
many tasks as my monitor allows. (It looks Iike I see ~70 tasks). Ideal 
would be an ability to change the view. 

I suppose this gets added to dreaded feature request list that goes on for 
100 pages ;-)

BTW I love the Mr Incredible icon.

[MLO] Properties Below the Main View and not to the Right?

Is there a way I've missed to display the properties view on the bottom of
the window and not the right side? I give MLO 50% of the width of my
monitor meaning it has a tall narrow window. So when I have the properties
pane displayed I can't see much of the text of the todo item.

Is there an elegant solution? - other than giving MLO more of my monitor?

C.K. - I have been searching for a solution to this problem for years.

For the past two years I've been trying to build a Zettelkasten - which I 
was inspired to do after reading How to Take Smart Notes

I've tried
- Evernote - doesn't visualize relationships between notes at all
- OneNote - the folder system just doesn't work with by brain
- Mutliple Zettelkasten tools that worked with Markdown files (I can't 
remember most of their names)
- Maintaining my own archive system using Markdown and links between notes. 

Recently I've settled on TheBrain: https://www.thebrain.com/ - Zettelkasten 
purists don't love it. But its working very well for me.

Ugh. Funny I tried MLO on Wine when I moved to the Mac 3 computer refreshes
ago - almost 9 yrs now. Wine was a monster for disk space and visuals
didn't work quite right.

:-) This later reason is why I want a 32GB Mac (hope Apple is listening)
and a 2 TB drive.

And here’s the (temporary) downside. Parallels doesn’t run (yet) on the M1

[MLO] Inheritable context?

Can I inherit context from a folder? I created a folder called reading. I
would like all child tasks (and sub folders) to inherit its context. Logic,
when I’m on my iPad I would like to be able to see which books are on my
current reading list.

Other options - being able to focus on a folder in do list mode. (while on
iPad)

Thanks Susannah - you replied nearly two weeks ago and I haven't given you
the courtesy of a thank you.

You raised enough interest points that I realized the problem is only dates
in a very small way. The real problem is I don't have a good mental model
for organizing, MLO. I didn't 7 yrs ago and the problem is worse not better
with time :-)

I'm going to attempt to catalog what I just learned
- create folders or parent tasks for small issues to be completed in order
- a folder for routines that promotes you to look in other queues
- you give contexts different opening hours

All of these things really help accomplish an elegant goal. They allow you
to have a deep/rich hierarchy with many items, yet your actions list is
small.

For what I can tell my toolset contains:
- Contexts with open/closed hours
- Goals
- Due Dates
- Complete Tasks in order
- Projects
- Stars

I suspect my next challenge is to find ways people have used these tools to
create order from chaos

My naive leaning would be just give me an option not to sync start dates 
with the calendar at all. The challenge is that when I use start dates even 
my most trivial tasks appear in the calendar.

I think the bigger issue is that I have over used dates at all in MLO. I 
notice that I plan a number of tasks for a weekend. Maybe half of them get 
done and then I have to spend time rescheduling them for the next weekend. 
Really the weekend task list is a queue, get some stuff done around the 
house/garden until we have either achieved something major or we've spent 
4-5 hrs, then relax. In this world view I just want a well ordered queue. I 
was using dates as a quick and dirty way to force items to the top of the 
queue.

Much deeper issue - the challenge, I've always had with MLO, its an 
incredibly flexible tool that you can get lost in. In an ideal world you 
would pay some people to document their personal organization systems that 
they have created. Food for thought my wife:

helping women create systems to organize money (income -> spending -> 
investments). She sees me using MLO and asks should I share it with my 
group. Part of me wants to shout from the rooftops yes. The challenge is 
that these are normal people - not recovering software developers like 
myself. They would get lost.

I look forward to the MLO guides/stories/scenarios with enough depth to 
help people see how to use the app in real life.

(It is good to be back - don't think I will ever be forum moderator again)

[MLO] Start dates and calendars

7yrs after I departed I'm back. I no longer use MLO for business - my team
uses StoryMaps and a Kanban board. (Don't ask we're searching for a better
tool set on that front). I'm back using MLO for my personal tasks as I
realized that I was abusing my gmail account and its snooze function as an
ineffective task manager.  *(For those who keep track I'm back using a
Windows, at least until the dust settles on the Apple ARM platform - 5+
yrs).*

The actual question, since I've been gone calendar view/sync has popped up.
(Thank You/Спасибо Andrey/Team).

However the calendar also gets the start date, not just the due date. In
the past I have used start dates as a way of ignoring something until a
specific moment. With start dates syncing to the calendar, I see tasks
anytime I look into the future in the calendar.

Example I have to buy my daughter a new paper notebook. The due date is
Saturday, however I could get one anytime i'm out of the house. So I set
the start date to today. Of course now it appears in my calendar for the
next few days.

I looked for calendar sync options and I can't find any.

What are my options:
- stop using start dates?
- ….

[MLO] Signing off for now

Gang - its been a fun run. I've been using MLO since 2005, I love the app,
the group and Andrey. However in the past 6 months since moving to a Mac
and hiring a part time assistant I've noticed I don't use MLO much anymore.

In addition I've been assessing where I spend my time and energy. Sadly the
MLO mailing list isn't a good use of my time at this stage.

Andrey - thanks for a fun run.

Lisa, Dwight, Richard, Olivier, David and dozens of others - thanks for all
the great ideas and conversations.

Silly thing - I'm in tears as I write this.

We hear an appeal for dropbox to do something miraculous every 3-4 mths. I
suggest looking in the archives to understand the limitations.

no idea why you emailed him. The product developer is Andrey and he just
replied to you earlier in this thread. For whatever reason
your activation codes are being blocked by a filter somewhere. Is there any
chance your other account has a sophisticated filter sitting in front of it?

Please appreciate that the full time support person is on vacation and
Andrey plays the role of developer/product owner for his team. Sometimes
his responses are a bit slower than we would all like. However if he
responded faster we wouldn't get the new features we bug him for.

Dwight and Joel - I was the one who made the point. My point was the
implementation cost is higher than you think because it needs to
implemented on all platforms at once. You can't have rich text on windows
and not have it on Android/IPad/IPhone etc otherwise the odd platform
out destroys your formatting or even the note. Oddly enough I suspect the
legacy platforms think BB 7/8 etc would be the biggest issue.

Lisa - I live in your world. I've currently got ~30 tabs open in my browser
and that's down a few.

Some tricks:

   1. Anything I want to read and evaluate later goes in Instapaper -
   coupled with a good app on your phone or IPad you can read this articles
   offline (i.e. on a long plane flight). Caveat my article queue is closing

   anything I want to keep is copied to Evernote - many Instapaper apps have a
   share function to copy the contents to Evernote
   2. Everything to save right away just goes straight to Evernote with
   their browser plugins (Clip to Evernote; and Clearly)
   3. Bookmarks for anything I might want to reference again later as an
   evolving webpage i.e. JUnit docs
   4. A good undo close tab buffer - I use "Sexy Undo Closed Tabs" for
   Chrome - I've got the buffer set to 5000 tabs.

Even then I occasionally lose things and that drives me nuts :-)

Greg - Andrey has his moments he did however commit to this feature a while
ago. Several problems strike me:

- There isn't common agreement on what this feature is - if you dig through
the discussions on this list we don't see to have a clear understanding of
what we want
- 4.0 Development and polishing seems to have taken a lot more of Andrey's
time than we might have liked.

Upshot it hasn't been done yet.

My experience and my knowledge of behavioral psychologists suggests that 
you can't accurately predict the amount of time most tasks will take. In 
addition experience and feedback don't really help you improve your 
estimates.


To get a rough idea try looking at: 
http://en.wikipedia.org/wiki/Planning_fallacy which does a good job of 
explaining the problem in layman's terms.


Want to better job of predicting the future:
- focus on slicing all tasks to roughly equal size +/- 50% will do
- ensure no task is larger than a half day
- count the number of tasks you achieve daily
- use a trailing average over the past week (or similar time span) as a 
rough predictor of the number of tasks you will achieve today.


Learn to do this well and you will spend less time guesstimating and 
more time executing.


FYI Yes this adapted from what I do with teams, on a larger scale.

there, I really think that porting MLO to Mac OSx would be quite a 
smart move businesswise. I have not make a market survey, but if I 
said that probably only Omnifocus can be compared to MLO. Neither of 
both is cross platform Mac Windows, and the Omnigroup specifically 
said they wouldn't develop a windows version of its product... has MLO 
formally stated anything? not that I know.


Frankly, I think that not developing a Mac version of MLO is a 
terrible mistake.

One last thought - many of us (myself included) see grand ideas for MLO as
we make this wonderful suggestions we have to remember that MLO is small
company that is funded from application sales. As we compare it to Evernote
(or other big players) these are venture (or vulture) backed companies.
Their focus (for legal reasons :-) is making their vultures happy first,
the users are only important as long as they vultures are happy.

Back to making development teams happier.

   Delphi
   3. It kills offline usage for most us (I fly and travel a lot often
   without Wifi access)
   4. Latency kills - if you're relying on data server, its slow or far
   away no data.

I could possibly imagine some form of api that is access on the cloud
server that would allow other developers to build MLO related applications.
That would have the elegance of making the cloud service more popular for
Andrey which means more subscribers.

Added bonus Kitus or some other enterprising MLO consumer could right MLO
to run against this.

Frank - replying from my phone please excuse brevity.

MLO works on Wine. The problem is that it doesn't look great (Wine doesn't
implement all the required graphics) and keyboard shortcuts. These are
really both limitations of Wine.

Some Mac users would prefer a native implementation. I wrote about the
costs do people would realize what they're asking for. Apparently I was
naive  :-)

Mono is a great tool if your application was written in .Net. MLO isn't
it's Delphi compiled to native code.

This another frequent request who's complexity needs to considered. 
Since MLO supports multiple platforms Windows/Android/iOS/... - rich 
text needs to be implemented on all platforms not just the one you use. 
Formatted notes need to be synchronized and editable on all platforms. 
Many small but important questions arise. Next comes the question of how 
much would be enough. Bold/Italic/..., then we will want lists, followed 
support for images.


Is this the best use of Andrey's time or would we prefer other 
functionality.


As a reminder mlo.uservoice.com exists so Andrey can a rough sense of 
our key priorities. A vote there is more meaningful than another +1 here 
as it costs you one of your 10 votes.

I totally hear you on that Eric. I think it's referred to ask Rich 
Text note. Including this would make some tasks that I don't 
necessarily need sub tasks for (which would be over kill) great to 
use. For example, I have a couple "self studies" that I do and would 
like to include a bullet list of chapters to read in a book and set it 
to reoccur on days I need to study. Having the ability to do this and 
then just use a cross out feature to cross the list off in the notes 
area would be great. I've seen a lot of software incorporate this and 
in a sense, out perform MLO in this area. I personally think that MLO 
needs to advance in this area.

I have been demo'ing MLO and decided to buy it.  I think the product 
is amazing.  Will MLO ever support formatting of task notes? This 
would make projects with various steps that have extensive notes much

You're welcome. FWIW I think I Andrey created the Android/IPad etc apps 
from scratch each time. The only alternative is to use a framework like 
MonoTouch or PhoneGap (among many), to cross compile or bridge the gaps 
between each phone. Effectively every tool vendor faces the same 
problem. In addition Google, Apple, Microsoft have little incentive to 
make it easy to build your app for all platforms.


So every new mobile platform we ask for is a new tax on Andrey's time.

Here's an unofficial comment on the license that neither Andrey or
Alexandra are going to give because its not strictly according to Hoyle.
Start your wife with your MLO license, when she discovers how great it is
she should buy her own copy. Its like an addictive drug, sometimes it just
takes time to take hold.

This unofficial comment has no official weight, but it makes sense even for
Andrey (another user eventually).

I appreciated the comments from whomever talked about projects a day 
or two ago.


I agree that MLO will probably not become a major force in the Project 
Management sphere, but for SMALL projects, I've been begging to see 
MLO upgraded to do so.  Specifically, I enjoy the simple checklist 
format of MLO, far easier than marking bars 100% complete, or reading 
down a gantt chart to find what needs to be done or is slipping.


On the other hand what I sorely miss in MLO, and I know it's been 
discussed before, is:


a.Dependency relationships, and more importantly

b.Lag times between steps.

While the above are probably obvious, an example is setting up client 
meetings.  There are about 20 steps I take, and MLO is perfect for 
it.  3 days before the meeting I prepare all client docs, and a day or 
so I send out a reminder, and the day of the meeting I prepare my 
web-conference environment.  For this, I need a template that allows 
for lags.  Manually changing the start date, or worse the due date, is 
cumbersome.


But for repeating small projects, like client meetings, MLO fits the 
bill well.  What do you think?

I'm watching the Beta process from the sidelines (I'm on a Mac and 
haven't had time to spin MLO up)

Key Features being tested right now
- Auto sync to cloud
- Multiple Windows
- Multiple Views

The new features work as Andrey intended however we often spend hours 
debating how best to name them and make them useful. Some of the changes 
turn out to be quite fundamental in terms of their implications. By 
having Lisa, Grant, Dwight et al (sorry if I've missed any) discuss the 
missing details and how to name things.


Net result slow Beta process to get you an awesome product. IF everyone 
here were invited into the Beta group the key details in sorting out big 
new features might get lost.

Just as counterpoint to the original post. I recently became a Mac user 
and am struggling with the Wine Implementation on the Mac to get MLO to 
work. Yes I would love a Mac port, I would even like a Web Interface but 
these may not be the best uses of Andrey's money. As to Windows 8/RT I 
wouldn't count Microsoft down by a long shot.

Here's my problem if I use my power as moderator to delete things then

Rob - uservoice is far from perfect. As its less than perfect administrator
I've tried to encourage people to merge/delete duplicate requests. In
general no one has listened to my suggestions. Net result I've moved onto
more valuable activities.

I suspect that Andrey survey's the field of requests he looks through all
of them and not just the top 10.

I've spent a lot of time with Product Owners/Managers as they play with
excel and other electronic tools as they try to get their backlogs in the
right order. They put much effort into guessing how much money they will
make. The funny thing is once they see features ranked they tend to say
"that's not right" and try soon. Instead of trying to get MLO to provide a
perfect list I just use it as a filter to find the right things this week.
Beyond that I ask what I have the energy to work on.

Luc - it's funny to see someone else in Ottawa on this mailing list.

I've been tempted by the same system but said no in the end:
- Weight the tablet version is ~4lbs. Windows ultraportables must be less
than <3lbs
- Battery life ~5hrs disappointing for the weight
- Windows 7 isn't really touch screen friendly even the Android tablets get
this right.

At the rate things are going I will likely likely purchase an Ultrabook
this year when I see one that meets my price point. The IPad is out not
because of the limited MLO functionality but because I can't readily edit
my business documents on it (my business runs on GIT) and because it's not
designed for heavy writing

Grant - I agree that this an annoying problem but I really don't see how
its a quality problem. Quality problems come when they're surprised by
something. They weren't they, instead they made trade off. When they
supported internationalization they had to drop the incremental search. Now
they have rewrite it from scratch. They haven't made that a priority.

They've failed on a few points:
- prioritize adding this feature back in
- tell us that this had been removed
- tell us where in the roadmap this feature sits.

However long time MLO users won't be shocked, communication is the area
where Andrey is weakest. I look at the upside in the time I've used the
product (5+ years), I've never lost data.

Re: [MLO] iPhone or Android? What is best smartphone platform for MLO?

HHm - As much as I love MLO I wouldn't choose on that basis.
MLO-Android currently has the features lead but I'm sure MLO IPhone will
back in the hunt soon.

Key differences between the two systems for me (I owned a IPhone 3G and now
have a Samsung Galaxy SII):

*IPhone*:
- Polished UI
- Poor Integration between apps (leads to better security)
- It was a pain to share much between apps
- Keyboard couldn't be changed

Summary: IPhone's rock as long as you want what Apple says you will have.

*Android*:
- Polish, what Polish. Its not too bad now but everything requires about
two more clicks than it should

The upside you can change anything (Keyboard - replaced with Swype I can
now write much longer emails that I ever did on an IPhone). Heck I just
replaced the builtin sharing system with app that gives me more control.

BTW You might look at autohotkey as way of creating new shortcuts/actions

Ken this is exactly what I advise my clients to do and have suggested to
Andrey several times ofter the years. I coach/teach/... Agile software
development for a living.

While no agile method tells you exactly how to engage your stake holders
it's usually during as simple as a monthly demo (webcast maybe?), with
regular releases. For an app likely MLO a monthly our bi monthly release
cycle probably makes sense. The idea would be to make most releases small.
We as users could decide on month by month basis if the new features were
enough to make the effort worthwhile.

Andrey take up three challenge be consistent in your communications. Set a
MLO task to show us working software every month :-)

list. Andrey is a little bit more cautious than I would be but there upside
is that I think an excellent product is brewing.

[MLO] Cloud Renewal warning dialogs stack up

I've been away from my main computer over the weekend (shocking I know).
During that time I've had 5-6 warnings that my MLO cloud subscription was
going to expire (most of them were for 9 days). Its excellent the software
is pro-active and warns of me of these problems. However I think one
warning at a time would suffice.

I think that's the right idea. Caveat emptor working on many tasks in
parallel (multi-tasking) really doesn't work on any level (individual, team

Thanks to all. A funny thing happened I wrote the original on Friday with
the full intent of signing off the list. However I got distracted by course
prep :-)

The enails over the weekend madr.me smile. I will stay on the list but I'm
not going to help with moderation for a while.

Part of the issue is that I'm no longer sure where MLO fits in my world. My
primary tool for focusing these days is Personal Kanban (on a new phone
haven't figured how to paste links yet). If anyone else is using MLO for
Personal Kanban please share your approach. Currently I'm using MLO to
maintain my backlog and LeanKitKanban to track/maintain daily flow. This
hybrid approach is failing me. As a Scrum trainer I would suggest to a
client that I'm keeping too much detail in the backlog that will never be
addressed. I can't decide how to proceed.

Anyway a long winded way of saying I was ambivalent on Friday when the
person swore at me.

Thanks for making me feel that.its all worthwhile.

BTW even if my personal workflow abandons MLO I will hang around the quality
of people here are that good.

Tone check, whether we agree on tablets vs laptops vs desktops vs phones we
need to understand that everyone has a valid point of view. In this case
step out of your comfort zone and ask where the other person is coming from.
Take a moment to see their viewpoint. Like you I expect tablets are the way
of the future but also understand there are those who will disagree.

We can rehash the good and bad of mobile for the rest of time. Two yrs ago
everyone in this forum was saying MLO will die if Andrey doesn't do: IPhone,
Android, BlackBerry, 

Now the discussion has swung back the other way. Keep in mind that Andrey
has a small team doing the work and they're human.

Interesting point I challenged you and everyone else on this thread to tell
us the *what* and the *why* of your needs and you skipped that. Telling
Andrey html is right way to go is technical decision best left to Andrey, we
should focus on how this will make our use of MLO better. So I ask again *what
*is that you want (without technical details) i.e. I want to copy and paste
an email without losing formatting or I want to copy and paste a web page.
In addition we need a *why *what business problem will that solve?

In my case I've never understood the case for rich text - so sell me (and
maybe Andrey) on why it matters to you. Not just more +1 but tell what
underlying business problem it will solve for you.
