Lucy: You might want to try using the Descendant Book Report (Deluxe Edition) -- that's the one with a narrative that has underscores and blanks where there is any missing information, like a date of birth or place of death. Like someone said, you could print one or a few out, and then let people look at them and mark them up. I'd provide colored pens for them to use. Have them put their names by each correction or addition, so you know who to credit, and who to ask more questions of.
For those who have e-mail, make a .pdf version and e-mail it to all that have expressed interest. You should do this after you have entered all the new data. You might want to do it with your old data, if there wassn't time for everybody to get all their contributions in. Don't forget to ask the contributors if they have primary source documents (birth certs, etc.) that they would be willing to copy and send to you. If you want photos, be sure and ask them to bring or send those, too. Be sure and tell them that it really helps if all photos have notes identifying where and when each photo was taken, and especially who all the people are! Have fun, both at the reunion and during the capturing-of-data phase!
