Exchange 5.5 -- Exchange 2003
I have followed the instructions from Microsoft's deployment paper on upgrading Exchange 5.5 to Exchange 2003. So far, so good. I've run all the preps and verifications, installed Exchange 2003 and ran the final verify. Everything checks out great EXCEPT these two error messages in the Exchange Server 2003 Configuration Object Checks: The system attendant contains no homeMDB (homeMDB) The system attendant contains no homeMTA (homeMTA) The install program shows that these are two legitimate error messages, but doesn't say anything about how to fix them. I'm sure it's something simple, but perhaps it's because I haven't yet migrated any mailboxes yet? I'm hesitant to move forward until I resolve these last two error messages. What causes mail to back up in the IMS queue?
Ocassionally mail starts backing up in the IMC/IMS (Internet Mail Service) queue. (Exchange 5.5 - SP4 on W2K - SP4) A reboot of the computer clears it. (Restarting the IMC doesn't clear the queue, unless I'm just too impatient.) Our mail goes from Exchange to a McAfee e250 Anti-Virus box, through the router to our ISP. This is an infrequent problem which, I suspect, is possibly a network glitch of some sort which doesn't allow mail to go through so, I guess, Exchange gets confused about what to do with it and just holds it? I'm planning an upgrade to W2K3 and Exchange 20003 so I can live with the problem, but if there is some configuration issue, like in DNS or something, I should fix that before I move forward. Thanks for your help. RE: What causes mail to back up in the IMS queue?
I'm sorry, it's backing up in the outbound queue (outbound messages awaiting deliver). Looking at the messages usually indicates a name resolution issue which, of course, is DNS. But I don't understand why it (DNS) would just stop working. I've got my main Active Directory server (which is also my main file and print server) running DNS. I have a static IP address on the Exchange server pointing to the DNS server as the primary and then to my ISP's DNS servers as secondary (and tertiary). You know I'm also getting messages from the Exchange listserv that my account is on hold. I know Ed looked into this earlier and noticed something wonky but I was never able to figure out how to resolve it. Right now I'm answering this on the Swynk website since I'm not receiving messages again from the group. I did find a post through Google that said I should restart the MTA as well as the IMC. But I'm thinking if this is a DNS issue that's not going to help. But then, I don't understand why rebooting the computer helps since DNS is on a completely different machine. The DNS Event log on my DNS server is clean there are only informational events, nothing even remotely resembling anything wrong with DNS on that machine, so it's GOT to be localized to the Exchange server. I see nothing in either the Application or System logs in the Event viewer prior to this problem that gives me any clues. Thanks for any thoughts. RE: SPAM blockin software recommendations.....
I guess we're kind of lucky. Our ISP filters all our mail before delivering it to our Exchange server AND he doesn't charge us for it (makes sense if you think about it - he's saving bandwidth as much as we are). I don't know of all the rules he uses but there are two: reverse DNS lookup and checking the HELO greeting against the RFC. If the mail fails either one it never comes across the wire to his server. Needless to say we have a number of irate parents who complain that they can't get mail through but in EVERY case it was a misconfigured email server on their end. For those who absolutely MUST get mail through, I have a separate school account set up with the ISP on a non-spam basis, configured so that Outlook will check it every 5 minutes. So the end-user gets an email alert when new mail comes into that account. They really don't know that the account exists so they can't use it to register for free stuff on the web. Some crap still gets through, but iHateSpam does a pretty good job of stopping the few pieces that do. Recommendations on backing up .pst files
What is the generally recommended procedure of backing up .pst files, particularly the archive.pst file? Of course Outlook puts archive.pst on the local drive. If you put it in the My Documents folder (mapped to the network), when the user synchs the file on logout they get the WARNING DID NOT SYNCHRONIZE .PST FILE! (or something like that which will freak out all but the stouthearted). They cannot leave their computer until the synchronization finishes. Since the archive is, in effect, saving space in the IS by moving those files to a separate folder, losing the archive could be pretty bad? Is archiving Outlook files not the thing to do? Should that be turned off on all users and just let the IS swell to whatever it gets to? Should I create a logoff script to backup the .pst files to a separate network share? Yes, that will work but since .pst files (and a few others) won't synchronize, the user gets an error message when the synchronization is done. I warn them that will happen, but, you know, it shouldn't. They also have to wait until the synchronization is complete, acknowledge it and then they can continue the shutdown process. RE: Recommendations on backing up .pst files
Synchronize (ost). I always get a message that it won't backup .pst, .mdb files. So the shutdown won't continue until the user acknowledges the message (unless there is someway to bypass that). Also freaks out some of my users. I try to warn them, but you know how it is. Mailbox access permissions

RE: Mailbox access permissions
Situation is we have a new secretary who needs to be able to get access to the inbox of the boss to send and receive emails on his behalf. Same thing with calendar and tasks. I know I can get the boss to add her as a new delegate, but most likely I'm going to have to go down there and do all three machines myself (his and his two assistants). I was just wondering if I could do it from, for example, Exchange Administrator. Just give User permission to the new user (from each mailbox) and then have the new secretary open the mailbox when her copy of Outlook opens. I've tried that and it doesn't seem to work, unless I'm not doing it correctly. If there isn't there should be a tool that does that, seems to me. I do have backup tapes of the Exchange database but to try and find them would require building a new Exchange server, restoring the database, etc. Anyone have any ideas where else these files could be? Missing emails
I have a user who tells me that he has lost some important emails. He says they were in his inbox just after Christmas and are not there now. He has Outlook 2002 on his desktop and we are running Exchange 5.5 - SP4. 1.) We looked at Recover Deleted Items (I keep deleted items for 30 days.) Nothing there - so it is obvious he didn't delete them. 2.) We did a search of all his mail folders and could turn up only an email that he forwarded to another individual within the school. The original was not found in the same search. 3.) We searched his computer for archive files (and found two). We examined the archives but the files were not there. 4.) We searched his computer for all .pst files but other than the archive files there were none. 5.) I asked him about his home computer possibly pulling the email messages down from the Exchange server without keeping a copy on the server, but he had recently bought a new computer and had not had a chance to set up the email client. 6.) He does use Mail2Web to get email when he's out of the office, but M2W doesn't appear to download mail from a server, it just looks at it. However, if you delete it in M2W it will delete it from the server. 7.) We looked at all the quarantine folders (we use iHateSpam), but there was nothing there. 8.) I sent him the help file that Outlook has concerning filtering messages. I though maybe, by accident, he turned on a filter that filtered out these messages somehow - although his mailbox is pretty full. He SWEARS he didn't delete it and due to the nature of the email I'm pretty sure that he didn't. When I posted this to an NT/W2K group I did get a response from someone who said they had a similar problem when using Outlook rules to filter spam. Evidently existing emails would just disappear. The only other thing I can think of is that I do a weekly mailbox scan of the Exchange Server running McAfee GroupShield 5.0.
