I think I understand what you are overlooking.

When the QFX/OFX importer imports your QFX file you will be asked where 
to put the transactions if it does not recognize the financial 
institution (Visa, Amex,  ...).

Once you actually see the individual transactions it will guess which 
corresponding account (groceries, gas) to post to.  If you like what a 
transaction matches, go to the next one.  If you do not like what it 
matches (or says New, UNBALANCED ) double click the "A" box.  You 
will then be asked which account to match the transaction to.  Once you 
like what you see for all of the transactions, click the "OK" button.

I also suggest that if it checks either the "U+R" or "R" box, that you 
double click the the "U+R" or "R" box just to make sure it matches the 
right transaction.  If not, double click the "A" box and manually match it.

And any time you do a manual match, you have the opportunity to create a 
new account to put it in if need be.

Maybe I was just lucky, but I selected the first choice in the QIF 
export which was all accounts including categories and it did it all in 
one pass (and that was for a file that had 20 years of data, 3 banks 
with checking and savings in each and 4 credit cards).


I fully expected to have to break the file into several separate exports 
like you're referring to but figured it was worth a try. I've been using 
the result now for several months and have yet to discover any errors.

I found it easier to just start again with GnuCash instead of importing data
that I did not require. You then have a nice new clean set of accounts.

You need to read the manual and understand how double entry bookkeeping
works.  You do not really have hundreds of accounts that don't actually
exist.  As you stated originally, you only have three bank accounts.  All
the others would be what were called categories in Quicken but they are
Income and Expense accounts in GnuCash

One of the first things you may want to export is all of your Quicken 
categories that are accounts in the real world. Then export each of your 
accounts in Quicken into a qif file for import into GNUcash. You will 
need to go through each entry in the register to make sure you have none 
with an 'uncategorized' corresponding account (category in Quicken 
terms). It will be tedious but well worth the effort.
Online download of transactions may not work but you can always download 
the data to a qfx file (webconnect file) for import into GNUcash.

The QDF format is one of the data formats that Quicken has used over the
years.  It is proprietary and sufficiently encrypted to be impossible to
read with other programs.  Before you abandon Quicken you need to use it to
open your file and export your data to QIF format which GnuCash can
import.  Depending on how much data you have we usually suggest exporting
one account at a time.  Good Luck.

Edward -- I did the switch about 8 months ago and have not looked back.

I am pretty sure you can directly import your file from Quicken.  I do not
remember exactly how I did it but I think QIF means quicken file so it
should work.

Three things to be aware: 

1.  If you use categories -- those no longer exist is GNUCASH.  Each
category, theoretically becomes a separate account
2.  Double entry accounting means that for every entry there will be an
opposite an equal "counter" entry into a second account
3.  Finally, to get started at the beginning, you will have some "beginning
balances" entries.

I got a python script written to put the Australia gst split into 
downloaded bank (qif) files. Otherwise there doesn't seem to be any way 
of accounting for it short of putting every purchase through the 
invoicing system. And that just isn't reasonable or practical for a 
large volume of transactions.


I've never used a commercial product, I've always wondered how they 
handle it.

Splits do not exist independently of transactions. Transactions have a
collection of splits. The collection of splits within a transaction must
balance. You cannot import splits alone, as they would then lack a
transaction context.

This is overly simplified. I can't tell, for instance, the date of the
cheque deposit, if this is referring to 1 check or 3, what is debited or
credited, etc. It *looks* like it might be a single transaction in which
one check was used to pay for both Alice and Bob's memberships, but it's
lacking basic information about the transaction like the date.

And it should be "E.g. (super simplified)" not "I.e. (super simplified)".
The abbreviation "i.e." is short for "id est",Latin for "that is". It's
used to give an alternative definition or description of something (like
"in other words"). In contrast, "e.g." means "exempli gratia", Latin for
"for example", used to provide an example.

The easiest way would be saving  the spreadsheet to .csv format and importing 
that to Gnucash.

Id recommend:
- first removing any other text and stuff you have so that the spreadsheet is 
just the headings you want and the data you want in columns
- doing the import on a new test gnucash file first if you have a lot of data 
already in your gnucash book. Just in case.

export shows ‘F’ and ‘T’ so those should work, but if not, using or 0 or 1 
should suffice.

The tax column also appears to be binary. I think the setting is just a check 
box for each account that asks “Tax Related?” so that makes sense. But I know 
the tax report setup is more complicated and likely that data lies somewhere 
else. Even after the import, you’ll likely have to set that up separately.

Hi Clint, the associations are kept within the datafile itself. There's no
current mechanism for modifying these associations, however, the upcoming

Where does Gnucash keep the list of accounts to match transactions to when importing OFX/QFX

Hi,

I'm importing a number of transactions, and most repeating transactions import 
fine, but some have incorrect accounts linked and some don't choose. 

I seem to remember that there is a file or page somewhere where these links are 
stored, but I can neither find that within Gnucash or a reference by googling.

Could someone point me in the right direction please?

Control order of splits importing from QIF?

   Hello,
   I created a QIF file to test importing a payroll transaction. The
   import works well but the splits are ordered differently in the gnucash
   transaction than the QIF file.
   I enter the splits in an order matching the report from the payroll
   software to make it easier to review / check.
   Is it possible to control the order of splits within a transaction
   imported from a QIF file? If not, is there another format I could
   import transactions from that will preserve the order of the splits?

I think that earlier versions would crash if the date format was not
correctly selected.

Crashes importing CSV

Hello everyone,

I've been using gnucash for a bit now and had no issues once I started to
understand things but recently I tried importing CSV files, not for the
first time, and gnucash crashed. Going through some previous suggestions
I've tried re-saving the file, adding "," to the end of each line, removing
extraneous information, etc and nothing seems to work. No matter what it
crashes after I select which account to import transactions into. I also
went back to the old file that I had succeeded in importing before to test
it and that one also crashed the program now. I'm not sure what changed but
if anyone has suggestions that'd be great; I'm at my end here.

There should be no need to delete the Trading Accounts. It only exists if
you have set File>Properties>Use Trading Accounts to true, and you have
transactions that involve a currency/stock conversion. The transactions in
the Trading Accounts are harmless, and are even useful when performing some
capital gains calculations. If you delete them, they will be created again
if you have "Use Trading Accounts" ticked, and you run Actions > Check &
Repair.

The Imbalance transactions also contain splits which indicate an error in
data entry... Best to go through them and find another account for each
split. The Imbalance account can be deleted if it's empty, or, set View >
Filter By > Other > Show zero total accounts to True to hide it when it's
empty.

I forgot to mention that there is a setting somewhere called "Use Trading 
Accounts" that turns that feature on or off.  I think it is mentioned somewhere 
in the documentation.

may be in use by another user, in which case you should not open the database. 
What would you like to do?"

There are options to open read only, create a new file, open anyway, quit.

What is this lock file?  

I am going to copy the whole dir and then try to open read only, then resave.

So I redid the import and saved my self periodicallyeverything was going

Don't know much about importing, 'cos I've never done it, but trashing the 
data file is a worry!

AFAIK,when GC does a save (or autosave) it doesn't delete the data file - it 
renames the old one to [name].timestamp.gnucash, and then creates a new 
[name].gnucash  -  which I know doesn't help much...

are you on Windows?  Try looking for hidden files?  What was the full path to 
the folder the file disappeared from ?  Were you using the XML or SQLite file 
backend (or a full-on database)? 

- fully appreciate that as a new user, you may not know the answers to these, 
especially the last question!

It's entirely possible that Frank has a "mybooks.gnucash" file that doesn't
have everything, and a bunch of "mybooks.gnucash..gnucash" files
which have (incrementally) more of everything, as well as the "*.log" files
which go along with them, but beign a new user doesn't realize what those
timestamped autosave files are.

everything you do as you do it. This means two things: you won't have the

I just tried the QIF importer on a tiny file that I had laying around.  For
this test I was using release 2.6.15 in Windows.

I found that the QIF importer is somewhat tedious to use initially until it
has some history in it's memory from previous imports.  After several steps
of finding the correct account names to import into, it does have a step to
find possible matches of existing transactions to new incoming
transactions.  A good reason to take baby steps here is that you may need
to remember what the transactions looked like in Quicken to be good at
making the correct matches.  Once you have some history imported correctly,
it should get easier to import more history without accidentally letting
too many duplicates through.  When you see the data you may find that
certain transactions in your Quicken file would import better if they were
changed in Quicken before being exported.  I recall that around 2005 or a
little later it was possible to export single accounts and limited time
intervals from Quicken, which helped me then.  I know that Quicken has
changed a lot since then and that may not be possible any more.

did back in the 2.2 series or the 2.4 series  or even the 2.6 series before
release 2.6.18.

If that is the c as e  then we really do need someone who is familiar with
the way it works now to jump in and help.

Frank,

I did not mean to imply that it worked better then, but it may have worked
differently in older releases.  In any case, if you went that far back,
there are some file compatibility issues to be concerned with.  I do recall
being irritated with the fact that the QIF importer failed to import memos
in split transactions, and I think that has been fixed.

The main thing is that neither David T nor I recall having a significant
problem avoiding the potential duplicate transactions that could arise if
the user does not know the best procedure (as you have seen).

importing

I thought I had the importing figured out, but no...
I exported my quicken data to qif format.  When I import it into GC I get a lot 
of double entries.  Quicken uses catagories, GC uses accounts... How do I 
import my cash accounts without getting all the duplicates.

My checking account imports as do all my categories to the same accounts in GC. 
 I am given a list of possible duplicates, but it will take days to go through 
this.  Isn't there a way import without sorting through the list?  If I do not 
go through the list (just import everything as is, I end up with every account 
with double entries, double money.  

I am trying to get away from quicken because of all the troubles they are 
having, but now I wonder if it is worth it.  I am always for programs like GC, 
but sometimes they are very cumbersome, like this appears to be.  What am I 
missing?

importing qif file

I import a 10 day bank transaction from my only  bank into my only gnucash  
checking account.  My checking is in current assets.  When I imported prior to 
this week, my transaction went to the checking account with a "unspecified" 
note in my transfer column.  This worked great for me.  When I tried to import 
the same way today, all of the data went to the "unspecified" account and not 
to the checking account as usual.  When I changed the "matching file" to 
checking account it still sent data to "unspecified". Then I got only deposits.

I have just a basic home setup.  Nothing fancy.  How do I get all of my 
transactions to my checking account to verify and balance them.

That sounds indeed like exactly the thing that I would need!

However, I already tried a bit with the QIF format, reading the manual,
then trying to manually fabricate some QIF file exactly with that
intention - with no success so far.

So if you have any knowledge of that format: Would you be able to just
fabricate a little example file with one booking record in the way that
you describe?

I would be more than happy if you could do this!

I think with this I would be more or less "done": First generate that
table that I described, then write some (probably easy) conversion from
the table to QIF - and import!

Importing bookings with accounts fully assigned

Good morning,

Does anybody know a way or a specific data format that allows to import
bookings into Gnucash that have already their "counter booking"
(probably not the correct bookkeeper's language...)?

Example: I have a list of bookings somehow like the following:

Date  Amount  Text   Account from  
Account to

11-08-2017 25.70  Birthday gift  Giro  
Gifts
24-08-2017   2000.00  Salary for August  Salary
Bankaccount

etc. etc.

Of course the accounts "Giro", "Gifts", "Salary" and "Bankaccount"
should exist in Gnucash already.

So far I always prepare several lists, two for each of the main bank
accounts, then I import them as CSV and then I have to more or less
assign the "counter booking" for each single like manually because even
after a couple of years the automatic assignment does not really do a
really useful job.

Any idea or proposal?

Importing Memo data via QIF

Everything else imports OK, but the Memo data does not import. How do I

the user has chosen for the data file, even though it is important to allow

 In my experience it depends on which method you use.  I usually use the OFX 
import and if I choose update the new text replaces the existing so I often 
either choose match which keeps the existing text or add to keep.the existing

The importer includes three options: A, R and R+U. These mean:

A = add the transaction as new 
R+U =  reconcile the transaction with a matching transaction and update the 
existing GC transaction with the incoming data (description field etc.) 
R = Reconcile the incoming transaction with the existing transaction 

What you choose affects what you get.

transactions, GC proposes to match some of the imported transactions with 
transactions in my file.  GC highlights these transactions in green.  These 
transactions do not have identical data in the date, description, and notes 
fields.  What happens to the non-identical data in the description and notes 
fields?  Which date survives the match.

Thanks David - I'm not really sure how useful Jobs will be, but it is a
little confusing, and appears tp be a singular list of Jobs but each job is
tagged as either a Vendor Job or a Customer Job.

Issues with Importing Invoices

Greetings - I am a fairly new user, and have a couple of business questions.
I was looking to see if I can make, print & send to vendors Purchase Orders
in GnuCash, and assign this to job(s) if necessary.  I see Orders in the
Properties / Counters tab but there is little to no explanation as to what
this is for.  Could be for stock orders, but having them pre-numbered
doesn't make sense.  This looks like maybe a latent Purchase Order
numbering?

 

Yes I can twist & alter a custom Vendor Bill printout to say Purchase Order,
& send that, but that's not exactly the same thing.  So just wondering what
the thoughts are on that.

 

 

On a related topic - are the Jobs relating to Customers the same as Jobs
relating to vendors?  Can A Job relate to A Vendor with multiple Bills AND
also to A Customer with multiple Invoices?  This is a little confusing, but
I can see from what I do having A Job that covers A Customer AND A Vendor.
Trouble is I might have multiple vendors, but usually one customer per job.

 

 

Any feedback on either topic is appreciated.

Nelson – on a whim, today at work I decided to import my 34 June 1 invoices, 
opening date today but invoice date and due date June 1, with posting fields 
filled in – worked like a charm.  So I have to plug in invoice numbers, but 
that’s ok.

 

You’re right about the header row forcing commas as without the header row and 
without invoice numbers, Excel deletes the blank column A when saving.  I 
opened the file in a text editor and placed a leading comma in both rows, but 
then got the same error as if I omitted invoice numbers with a header row (ID 
Not Set).

 

To tell the truth, I could not import customers from my work PC, but it worked 
the first try on my home PC.  At work all the fields to the right of Ship Name 
got shifted 1 field to the right, like if there were one too many commas in the 
file – but at home it worked perfect using the same csv file.  Weird.

 

SO – I’m importing and posting, all one step.  Thanks Nelson, all is good.

Glad to hear you got it working!

 

If you google "gnucash counters" or look in the online tutorial guide you might 
find some hints that may help you get that aspect working.

 

I guess having a header row for the invoice import forces all the optional 
fields as having blank values and also forces the required number of commas 
into each row, thereby making sure the file is in the correct format for the 
import function. If you open the file in wordpad/notepad then you'll see all 
the comma's in the data rows - I'm guessing these might not have been there in 
your original file.

 

The customer import may not have so many optional fields and therefore what you 
had in your file was valid right from the start. 

 

It's up to you if you post your invoices as a separate activity to importing 
them - but if you fill the "posting" fields in file as well then it's all done 
for you when you run the import.

customer number at all.  That is the central issue right now.

When I post invoices on June 1, I don’t want all 34 to go to C001 (or whoever 
is first on the list).  So I’m trying just these two customers to see if I can 
get this to work.

 

I have the latest version 2.6.16 loaded on both PC’s.  I updated both when I 
had the idea to try this on the water club.

 

If you think of any reason I get both invoices going to customer C033, please 
let me know.  Any idea would help.

And I’ll let you know if & when I get some success.

Please check your version of gnucash - most recent version is 2.6.16. It's best 
to keep up to date.

 

Tou can't delete an invoice - but if it's left as not posted then it won't show 
in any of the accounts. It's a bit annoying but it's always been that way AFAIK.

 

 

I suggest you firstly complete the remaining columns out to 'V', and then try 
again If GST is not relevant for you then leave columns O, P and Q blank. You 
might want to change your invoice numbers to something else first - to ensure 
Gnucash doesn't get confused with existing invoices.

 

Due Date can be set to the same as Date Posted - I add 7 days to mine but you 
don't have to if you don't want to.

 

Yes - if you keep the first column blank then that could well fix your 
auto-generate invoice numbers. Another way is to open the csv file using 
Wordpad, and adding a comma in the first character position to each line (if 
you don't want to add the header row)

 

 

It's very strange that you are getting the second invoice with the C033 
customer - that has not been my experience.

When I post invoices on June 1, I don’t want all 34 to go to C001 (or whoever 
is first on the list).  So I’m trying just these two customers to see if I can 
get this to work.

 

I have the latest version 2.6.16 loaded on both PC’s.  I updated both when I 
had the idea to try this on the water club.

 

If you think of any reason I get both invoices going to customer C033, please 
let me know.  Any idea would help.

And I’ll let you know if & when I get some success.

you don't want to add the header row)

 

 

It's very strange that you are getting the second invoice with the C033
